1. About the project

The COMPASS (710543) project is one of a range of EU-funded projects focusing on the idea

of “Responsible Research and Innovation” (RRI). The project investigates whether RRI can

improve research, development and innovation in industry. Possible improvements are being

investigated both in terms of processes and in terms of positive outcomes for industry and

society.

The main output of the project is an interactive online platform, the Responsible Innovation

Compass, which will provide guidance and orientation tailored towards the needs of innovative

enterprises, in particular SMEs. To contribute to our research, a bottom‐up call for case studies

of successful examples of RRI is integrated into the project. Five case studies will be funded

from successful applicants.

2. About Responsible Research & Innovation

Responsible Research and Innovation (RRI) is:

Involving society in science and innovation ‘very upstream' in the processes of research

and innovation to align its outcomes with the values of society.

A wide umbrella connecting different aspects of the relationship between research and

innovation and society: public engagement, open access, gender equality, science

education, ethics, and governance.

A cross-cutting issue in Horizon 2020, the EU Programme for Research and Innovation

2014-2020.

3. Purpose and scope

This document contains details and information about the management of deliverables and academic publications, presentations, as well as the visual identity of the COMPASS (710543) project. The dissemination plan should be adhered to by all project partners when developing materials, deliverables and publications for dissemination 0F

3.1. Purpose

The dissemination plan of the COMPASS (710543) project shall encourage academic publications and the elaboration of top-quality deliverables throughout the COMPASS (710543) project. It shall safeguard the legitimate interests of all COMPASS (710543) consortium partners, and ensure appropriate handling of related intellectual property rights issues. Beyond the formal dissemination activities that are planned for the project duration, consortium partners are encouraged to make reference to the COMPASS (710543) project in their specific organizational and work context wherever possible and to make ample use of the dissemination materials and resources to be developed in the course of the project.

The guidance provided in this document is intended to ensure that all materials, deliverables and publications for dissemination correctly represent the contributions and authorship of the individual consortium partners. Concurrently, the rules and procedures in this document give practical guidance to project partners to ensure that all materials, deliverables and publications for dissemination resulting from the COMPASS (710543) project follow a clear and cohesive style.

3.2. Scope of the dissemination plan The COMPASS (710543) dissemination plan covers five central issues. First, it lays out the general strategy for dissemination and exploitation of project results. Second, it provides a set of publication rules for written reports and publications based on foreground, i.e. data or knowledge, generated during the COMPASS (710543) project. This includes deliverables as

partners in conjunction with the data management plan (D6.1). For all matters involving

communication materials (D5.3). For all matters related to the mainstreaming and

laid out in the Description of Action (DoA), academic publications, as well as presentations of the project itself. Third, the dissemination plan establishes a quality assurance process and elaborates on the roles and responsibilities of all consortium partners in the development of deliverables throughout the COMPASS (710543) project. Fourth, the visual identity of the COMPASS (710543) project is described in detail. This part includes details about the logo, templates, as well as the colour range to be used for all project dissemination materials, deliverables and publications. It also provides details on the intended usage of these elements for a cohesive style and display of the COMPASS (710543) project. Finally, it includes detailed information on the design and functionalities of the Responsible Innovation Compass, as the online gateway and important dissemination channel for the project.

4. Strategy for dissemination and exploitation of results

COMPASS (710543) will engage in dissemination, communication and exploitation activities to maximise impact on several levels.

4.1. Dissemination, communication & exploitation

Dissemination of core project results to first, second and third tier stakeholders as well as the public is a priority of the COMPASS (710543) project. In order to ensure the quality, consistency, and target group appropriateness of project outputs, the present dissemination plan (D5.2) gives detailed guidance on

a) how to develop and manage the publication process for all research reports, presentations and publications resulting from the COMPASS (710543) project.

b) A dedicated process and set of criteria for assuring the quality of project reports and publications.

c) The visual identity of the COMPASS (710543) project including templates for reports and presentations.

d) The design and functionalities of the COMPASS (710543) website as a major dissemination channel for the project.

Communication is at the heart of the project’s stakeholder and multiplier engagement strategy and of the concept of responsiveness, which Owen et al. (2013) 36F1F

2 define as the core of RRI. Key elements of the stakeholder and multiplier engagement strategy (D5.1) include

a) identification and mapping of stakeholders and multipliers, b) specification of appropriate communication channels for connecting with these target

audiences (including events and media channels), c) definition of adequate mechanisms for stakeholder and multiplier involvement, and

d) definition of the main messages targeted at each audience.

In the area of exploitation, finally, COMPASS (710543) places emphasis on producing modular resources (Self-Check Tool, Roadmaps, Method Kit, case studies, academic publications, teaching cases), which may be perpetuated as an integrated package or standalone products after the end of the project. A dedicated Business & exploitation plan (D5.8) will ensure the relevance, uptake, impact and sustainability of the project results beyond the funding period. The consortium will strive to include all developed resources within relevant platforms and observatories, such as the RRI TOOLS industry sub-home or HEIRRI (Higher Education Institutions and RRI). Academic partners commit to including developed teaching cases into their teaching activities. The Responsible Innovation Self-Check Tool will be taken up by B Lab in the course of expanding its B Impact Assessment (20,000 users worldwide) into new fields of application. The Method Kit and training materials will be made available to support organisations and cluster organisations.

COMPASS (710543) will actively seek to align its communication, dissemination and exploitation activities with those of other projects in order to increase its reach, create synergies, and avoid duplication of efforts.

4.2. Dissemination efforts by target group

COMPASS (710543) aims to support industry and its stakeholders in navigating the logics and languages of different communities of practice in applying RRI principles to research and innovation activities, namely RRI, CSR, Open & Responsible Innovation, and Sustainable Development. It aims to provide practical and empirical evidence of the benefits of RRI for industry as well as for society. Recognizing that the European economy is diverse across sectors and geographies, COMPASS (710543) will operate on the premise that evidence is needed at several levels (the individual, the company, partnerships, national, European) and from different perspectives (business, support organisations, public sector, civil society, funders & investors).

The COMPASS (710543) project specifically targets highly innovative SMEs as the drivers of European innovation, economic development and competitiveness. COMPASS (710543) will strive to engage businesses that are

a) highly innovative and research intensive; b) active in key innovation fields of high societal interest, namely biomedicine,

nanoelectronics and ICT/cybersecurity, and c) already involved or interested in collaborative R&D&I schemes, including those funded

under H2020 (e.g. SME instrument).

The second group of stakeholders comprises industry associations, alliances and support organisations as well as other service providers that play an important role in the innovation ecosystem of the targeted SMEs.

A third group of stakeholders includes actors from research, civil society and policy-making who will take an active part in co-creating visions and roadmaps for integrating the RRI approach in the three key innovation fields.

For SMEs and support organisations:

SMEs in the three targeted sectors, including support organisations within the innovation ecosystem, cannot be considered a homogenous group. Therefore, a more detailed stakeholder analysis is provided in D5.1. Stakeholder and multiplier engagement strategy. However, dissemination efforts will follow a set of established principles including:

a) working with trusted intermediaries to establish relationships with SMEs early on. For instance, B Lab Europe with its network of certified B Corps and ebn with its membership of around 250 innovation support organisations as well as the Enterprise Europe Network, represented in the project Advisory Board will play a crucial role as dissemination partners.

b) Knowledge transfer based on case studies from each of the targeted sectors has proven to be effective. A special set of case studies will be generated through an open call connected to a prize (see http://innovation-compass.eu/cases/).

c) Close connection with challenges and drivers of high priority to SMEs, including profit, economy, productivity and competitiveness.

d) Easy access to concrete advice and bundled resources to lower barriers to uptake.

The Responsible Innovation Compass (www.innovation-compass.eu) is the main virtual access point to COMPASS (710543), and will include: (a) a static project website (basic project information, information about the project consortium and publicly available deliverables); (b) a separate intranet platform for internal project management and knowledge sharing purposes; (c) an interactive platform for exchange with external stakeholders and supporting virtual functionalities required for the Responsible Innovation Labs; (d) a modular SME and multiplier gateway.

COMPASS (710543) will prepare a range of “high-gloss” brochures and short thematic guides that will complement the Responsible Innovation Roadmaps and make them more accessible. The case studies emerging from the competition (WP1) as well as the practical

roadmap implementation cases (WP4) will be showcased in this format (in combination with audio-visual materials).

Furthermore, COMPASS (710543) will utilise social media outlets, including Twitter, LinkedIn and other social media to maximize outreach. We will grow a standing presence on Twitter (see https://twitter.com/innocompass) and focus on relationships with both multipliers and journalists present on these outlets.

For academia: COMPASS (710543) is committed to providing peer-reviewed outputs in high quality open access academic outlets. All publication and dissemination activities carried out in the course of the COMPASS (710543) project shall follow the intellectual property rights rules laid down in the Grant Agreement (Section 3) and the Consortium Agreement (Section 8). COMPASS (710543) is participating in the Open Data Pilot of the European Commission 2F

A special open access prize for a Springer Briefs book has been negotiated with a Senior Editor at the Springer publishing house to ensure that the output of the COMPASS (710543) project aligns with the "open access" RRI indicator. Springer is a well-reputed, global publisher well aligned with our targeted innovation fields. Throughout the world, Springer provides “scientific and professional communities with superior specialist information” 37F4F

5. The recently launched Springer Briefs series, to which COMPASS (710543) would contribute, have the added advantage of going to publication more quickly than other books due to a streamlined process38F5F

6. This ensures fast dissemination of high quality. Three peer-reviewed journal papers will equally be published and ensure uptake by specialised academic communities in the fields of healthcare (target journal: “Cambridge Quarterly of Healthcare Ethics”), nanotechnology (target journal “Nanoethics”), and ICT (target journal: “Responsible Innovation”).

For policy makers: While most activities of the COMPASS (710543) project are geared toward SMEs, the project is committed to ensuring that policy-makers in policy fields related to research, innovation and competitiveness can equally profit from the project results. For this purpose, COMPASS (710543) will deliver and widely disseminate a special report for policy makers (D1.4).

COMPASS (710543) will provide a “map” of relevant activities, projects, initiatives and sources of evidence regarding RRI in industry (specifically healthcare, nanotechnology and ICT). In addition to projects with an obvious RRI focus, we will also include projects that are not flagged as RRI-related but which are highly relevant for industry and from which entry points for RRI could be gathered. Furthermore, COMPASS (710543) will deliver a systematic assessment of the role of SMEs and RRI relevant aspects across EU funded and collaborative R&D&I efforts as a valuable input into the policy debate.

For civil society organisations & the wider public:

We have foreseen the design of promotional materials, including: (a) a project flyer promoting the COMPASS (710543) project’s overall benefits and main features; (b) postcards/leaflets inviting to collaborate aimed at specific stakeholders at Responsible Innovation Labs; (c) portable rollups and stands; (d) customised animated presentations and online visual content (ads and banners, info graphics). For dissemination, COMPASS (710543) will make use of the Youtube channel of WU for which a first video has already been produced (see https://www.youtube.com/watch?v=vS_iHB0KuhE).

5. Publication rules This section presents a number of basic rules for the development and dissemination of text-based project deliverables, academic publications and presentations. For a brief description and listing of planned outputs from the COMPASS (710543) project, please see table 1 below:

Deliverables

This category includes all text-based deliverables of the COMPASS (710543) project (except D5.4, D5.5, D5.6, D5.7) as listed in the DoA. These are subject to all provisions of this document pertaining to authorship, intellectual property rights, quality assurance and formal requirements (visual identity).

High-level academic publications/ presentations

High-level academic publications (including the peer-reviewed publications D5.5, D5.6, D5.7) designate

journal articles in highly rated internationally acclaimed peer-reviewed academic journals, as well as

(paper) presentations at high-level international conferences, based on foreground generated in the context of the project.

Other academic publications/ presentations

Other academic publications comprise journal articles published by lower level academic journals,

as well as books and book chapters,

E.g. in national level publications or publications not subject to a peer-review process.

General project presentations/ communication materials

All consortium partners are encouraged to present and promote the project at public events whenever the opportunity arises. General project presentations and the development of further communication materials (specifically see D5.7) are subject to all provisions of the document pertaining quality assurance and formal requirements (visual identity).

The dissemination lead FBLC undertakes to monitor progress on publications and deliverables on a quarterly basis. On-going publication processes and published works will be documented in a repository maintained by the coordinator on the intranet at www.innovation-compass.eu.

As far as possible, publications will be made publicly accessible on the COMPASS (710543) website in accordance with the European Open Access Policy. For those publications that are subject to restrictions on open access publication, i.e. articles in high-level academic journals, the authors shall make their best efforts to ensure open access in line with the Grant Agreement (Section 2.3.2 of Annex I, Part B).

5.1. Written deliverables & reports All deliverables should conform to the quality standards and visual identity of the COMPASS (710543) project (see sections 3 and 4 of this dissemination plan). Finalized deliverables shall be sent to the Coordinator for submission to the Commission. In case the Commission requires a revision of any given deliverable, the authors and the respective work package leader are jointly responsible for ensuring necessary changes are made in a timely manner.

5.2. High-level academic publications & presentations The following steps are applicable to high-level academic publications/ presentations:

One consortium partner takes over lead responsibility for a planned publication (lead author). For deliverables D5.5, D5.6 and D5.7 the lead author shall stem from the consortium partner listed as lead beneficiary in the Grant Agreement, unless otherwise agreed by the Consortium Committee.

The lead author informs the Coordinator and the Consortium Committee about the ambition to release a publication and the foreground to be used; either in writing or during a documented meeting (including virtual meetings and telephone conferences) of the Consortium Committee. The lead author is expected to flag risks to the consortium if and as soon as they arise, for example, with regards to intellectual property rights issues.

The Consortium Committee may object to a planned publication within 30 calendar days in accordance with the Consortium Agreement (Section 8.3). If an objection has been raised, the involved consortium partners shall discuss how to overcome the justified grounds for the objection on a timely basis (for example by amendment to the planned publication and/or by protecting information before publication) and the objecting consortium partner shall not unreasonably continue the opposition if appropriate actions are performed following the discussion. If no consent on the publication can be achieved within 30 calendar days from the objection, the Consortium Committee shall decide the issue.

5.3. Other academic publications & presentations For other academic publications and presentations, the same procedure applies as for high-level academic publications. The decision time for objecting to a planned publication shall be limited to 14 calendar days in accordance with the Consortium Agreement (Section 6.2.4), if not otherwise agreed by the Consortium Committee. If objections are raised by a concerned consortium partner and if no consent on the publication can be achieved within 30 calendar days from the objection, the Consortium Committee shall decide the issue.

5.4. General project presentations Publication rules and procedures for general project presentations shall ensure that (a) all consortium partners are informed of such presentations and (b) that such presentations convey jointly agreed key elements and messages. The presentation shall conform to the visual of the project (PowerPoint template) and include mutually agreed key elements and messages. Starting point can be the revised COMPASS (710543) partner slides, flyer and website. The presenting consortium partner shall submit the presentation slides to the Coordinator (WU) for documentation.

5.5. Authorship Authorship qualifies when the person/organization in question does the writing, major editing work, a major contribution or was personally involved in the preparation of the knowledge presented in the publication/presentation. Authorship credit should be based on at least one out of two conditions:

Substantial contributions to conception and design, data collection, or analysis and interpretation of data; or

Drafting the article or revising it critically for important intellectual content.

All persons designated as authors should qualify for authorship, and all those who qualify should be listed. The order of the authors should reflect individual contribution. The lead author should inform the Coordinator (WU) immediately if there are any problems with the COMPASS (710543) publication policy on authorship, acknowledgement and citations, so that they can agree on how to take the matter up with the respective publication outlet.

6. Quality assurance The COMPASS (710543) project aims at producing high-quality deliverables and publications. In order to build a common understanding of what we understand to be “high-quality”, the following processes and criteria will be maintained throughout the project. The main target of the quality assurance procedures and criteria are the text‐based deliverables listed in table 2 below.

Other project outputs will be subject to other appropriate quality assurance mechanisms: on the one hand, academic publications will undergo appropriate peer-review processes as prescribed by the targeted outlet, journal or publisher (WP5, D5.3, D5.4, D5.5, and D5.6 among others). On the other hand, practice-oriented project outputs, such as the Responsible Innovation Roadmaps (WP2, D2.5) or the Responsible Innovation Compass (WP3, D3.1 and D3.3) will be piloted with appropriate target groups in a dedicated work package (WP4).

6.1. Quality criteria Building on the extensive experiences gathered in previous projects, e.g. Responsible Industry and RRI Tools, the COMPASS (710543) project will use a set of established quality criteria -described below- to ensure that all materials, deliverables and publications for dissemination are up to standard. Given that the COMPASS (710543) project aims to engage non-academic target groups, the consortium partners shall strive to ensure both high academic quality as well as a style, which is conducive to communicating project results to the intended target group(s).

6.1.1. Academic quality Materials, deliverables and publications for dissemination should strive to achieve the following three objectives: Firstly, we aim for new or innovative outputs and endeavour to avoid "cut and paste" from other work. Secondly, we aim to avoid obvious messages that any lay person could have derived using their common sense. Our work will be based on know‐how, fact‐finding and research. Thirdly, we aim for useful outputs, i.e. useful to groups outside of academia as well as inside.

6.1.2. Respecting principles of RRI The COMPASS (710543) project strives for full alignment with the spirit and action points of Responsible Research and Innovation, namely open access, gender equality, societal engagement, science education/communication, and ethics. In terms of quality assurance, this means that all materials, deliverables and publications for dissemination should comply with established academic professional and ethical standards. Specifically, we strive to ensure transparency regarding procedures of data collection and analysis, verifiability of our results, and ethical conduct in the elaboration and dissemination of data and knowledge generated throughout the COMPASS (710543) project. Wherever possible we will strive to make project outcomes available in a barrier-free way and publishing project results in open access outlets.

6.1.3. Match to target group(s) Unless otherwise specified, educated non‐specialists and practitioners are the primary audience of the COMPASS (710543) project. The writing style of materials, deliverables and publications for dissemination should take account of this. Therefore all authors should strive to write clearly and precisely, concisely (as much as necessary, as little as possible), with relevance (no unnecessary detours), without jargon, with good use of cases and examples. To supplement clear and concise texts, the use of visualisations and graphs is encouraged. Diagrams are a good way to transfer knowledge concisely (and sometimes a good way to ensure that what one has written makes sense). Likewise, tables, bulleted lists and photos can help busy readers.

6.2. Internal peer-review In order to ensure that the contents and writing style of draft deliverables fulfils the above criteria, all deliverables will go through an internal peer-review process. In this process, a consortium partner with specific expertise on or stemming from the primary target group of the respective deliverable (other than the lead beneficiary) will provide feedback and advice for improvement to the lead beneficiary. Feedback on a draft deliverable should generally be constructive and timely – reviewers should ideally provide their feedback within 10 calendar days of receipt of the draft deliverable. Each consortium partner should provide their expertise

for at least one target group of the COMPASS (710543) project. Review assignments should be divided fairly among consortium partners in line with the overall capacity and budget share in the project.

6.3. Division of responsibilities for quality assurance The consortium partner designated as lead beneficiary in the Grant Agreement (cp. Table 2 above) bears primary responsibility for the timely preparation, quality assurance and delivery of deliverables. He/she is responsible for writing and the content review as well as for the collection of the partners’ contributions and the finalization with regards to deadlines. Further, the lead beneficiary is in charge of assigning draft deliverables to appropriate consortium partners for internal peer-review and incorporating feedback received. Deliverables need to be finalized before the deadline, in exceptional cases, when the delay is foreseeable, lead beneficiaries are responsible for communicating with the Coordinator (WU) in a timely manner.

WP Leaders are responsible for the content quality check and the compliance with the project’s visual identity. Deliverables should then be sent to the Coordinator (WU).

The Coordinator (WU) will monitor delivery dates, organise final language editing, and will be responsible for the submission of finalized deliverables to the European Commission. Where applicable WU will also be responsible for publishing deliverables on the project website (www.innovation-compass.eu).

7. Visual identity The COMPASS (710543) project has developed a visual identity for a consistent appearance to outside stakeholder groups. All dissemination materials, deliverables and presentations should be in line with this visual identity. For an overview, please see Annex 1. All elements of the visual identity, including several versions of the logo, Word and PowerPoint templates, colour range and typeface, will be made available to all consortium partners via the project website (www.innovation-compass.eu).

7.1. Logo The logo must appear on all the communication materials and deliverables of the COMPASS (710543) project. It can be downloaded in all available variations from the intranet section of the website (www.innovation-compass.eu).

The COMPASS (710543) logo cannot be modified. Any changes in terms of proportions, colour and arrangement are not accepted. Only exception is the possibility to include a tagline

7.2. Fonts The COMPASS (710543) project’s main typeface is Arial in all its versions. For the logo and some web-applications the main typeface is Montserrat in all its versions. It will be used, provided it is technically possible, for every element of communication, internet, applications, etc. The use of other fonts should be omitted.

7.3. Templates For all deliverables, presentations and further publications not subject to other layout and style requirements, uniform COMPASS templates for Word documents and PowerPoint presentations shall be used. The templates are available on the intranet of the COMPASS (710543) website (www.innovation-compass.eu).

All templates are set up in the colour range and typeface of the COMPASS (710543) project. Any use beyond this range/typeface is not accepted. The COMPASS (710543) colour range consists of aqua, yellow, blue, and charcoal and light grey (see figure 5 below).

7.4. Acknowledgement of EU funding/disclaimers Beneficiaries of European Union (EU) funding are obliged to display the EU flag and to acknowledge the support received under the relevant EU programmes in all communication and promotional material. 8. Website The official website of the COMPASS (710543) project is the Responsible Innovation Compass (www.innovation-compass.eu). For promotion, consortium partners should provide the URL on their respective homepages. The website URL should appear on all communication and dissemination materials as well as deliverables. The website is published in English and website traffic will be regularly monitored. Major structural changes will be implemented by WU. Day-to-day updates will be published by WU, in collaboration with FBLC and contributors from all partners. Consortium partners are invited to send any comment, contributions, suggestion or text amendment to WU and FBLC via the intranet.

The Responsible Innovation Compass (www.innovation-compass.eu) is the main virtual access point to COMPASS, and includes:

a) a static project website (basic project information, information about the project consortium and publicly available deliverables);

b) a separate intranet platform for internal project management and knowledge sharing purposes;

c) an interactive platform for exchange with external stakeholders and supporting virtual functionalities required for the Responsible Innovation Labs;

d) a modular SME and multiplier gateway. The static project website as well as the intranet have been finalised in September 2016. Further elements and functionalities will continuously be added to the website in the coming months depending on stakeholder requirements (see D5.1 Stakeholder and multiplier engagement strategy).
