    INTRODUCTION

    In this fast growing and competitive world every one wants to defeat his competitor, and

    want to grow and secure his place in the growing world. Automated system and this shows the

    requirement of the computerization. In this modern era thats why this age can also be called as

    the age of Information Technology everyone is invited to be getting automated with the latest

    technology.

    Every department likes to work in the automated environment that provides more

    facilities and more features to do a particular task. Sale management Automation System like

    every other department can also automate with the latest technology. Software Shoppe

    Automation System plays an important role in .Inventory management So it is very important for

    the Software Shoppe to give the latest and correct information to the Software Sale Management

    like sale of a particular date, product detail ., daily cash collection, bill generation and on the

    spot or customer demands.Automated software Shoppe comprises mainly current sale information of software and

    purchase information on the basis of customer/salesman requirement basis.

    It is easier for Software Shop to put the information about daily cash collection, monthly

    cash collection, customer information about back dated and advance booking date (how many

    software are reserved for a particular date ) etc.

    The Automated Software Shoppe System also remove, updates the records of the

    customer depending upon the actions and it also provides the security for a local users that can

    not changes/remove the important data in the master files.

    The current system Software Shoppe is designed to perform the efficient security,

    reliability and maximum accuracy of information.

    OBJECTIVE OF THE PROJECT

    Importance and Need of Computerized system:

    1. To do the processing of the application forms speedily and to help in decision making

    whether to accept the form or not, due to the automation the information regarding

    the acceptance of the form can be retrieved in the faster manner as compare to the

    manual system and the information provided by the system is accurate and to the

    point which help in faster decision making.

    2. To improve the Inventory management for software shop which is faster in a

    computerized system.

    3. To minimize the cost of manpower and the paper work which lead to minimum

    wastage of time in the organization. The paper work in the organization can be

    reduced due to the computerization of the different departments.

    4. To give the management accurate and updated reports about the cash collection, Bill

    Report of a particular date and types of Software detail etc.

    5. To give the details and solutions for the queries asked by the system timely and to

    give the precise and confirm information to them.6. To keep the document or records and other valuable information in safety so that

    unauthorized access of the information can be prevented and detected and the records

    are prevented from the modification, which is not allowed so that unauthorized

    person, cannot access and modify the information.

    Speedy and efficient information processing is crucial to our socially and highlydeveloped technology. Computers can help the intolerable burden of handling the ever increasing

    amount of information with which government department, public services and business

    concerns are expected to contend because of there ability to analyze information as well as to

    retain, update and reproduce it because of there versatility to present it in a variety of forms can,

    to some extent ease the problem faced due to information explosion.

    The application of the proposed system is associated with various problems in the conventional manual

    system.

    Brief description of current system and its deficiencies :

    The current system follows the traditional approach of delivering the information i.e. all

    paper work like pamphlets, leaflets, forms, etc. The Software details, Purchas details Bill

    generation, software sold details, cash collection and other details are all verbally told to the

    customers and lot of work has to be done in absence of computerized system. Further the

    retrieval of information is very slow and time consuming and the processed information may not

    be 100% accurate, as with the case of computers.

    Software Shoppe Management is the backbone of software shop and plays an important

    role for the above. In todays competitive world speedy and accurate information is very

    essential to face the challenge of meeting the ever increasing demand of people. Change is the

    law of nature, as rightly said, and if it brings prosperity and gains all welcomes it.

    The main drawback of the current system is the lack of retrieval of fast and accurate

    information. The consumption of time is another major disadvantage as it finally result in loss of

    money, which is a vital resource.

    In deciding the fate of any organization. Another disadvantage is cost of labor. That is

    involved in completing this task is very high. The report generation is very tedious and time-

    consuming process and there is always the possibility of processing the wrong result, as manual

    systems are prone to error.

    Description of the current system

    The system currently operable at the "Automated Software shoppe System" is the manual

    system. Whenever the custmer comes in and ask for the services from the system as per the

    requirement, staff members has to check for the solutions of their requirements manually by

    searching each and every record and updates all the records when the task given to them is

    accomplished.

    Besides this, the staff members have to prepare various status reports manually which in

    turn require greater attention over the different records of the system.

    Manual system has more problems associated with it.

    Deficiencies of manual system:-

    (1). Area of unsatisfactory performance:-

    (a). Accuracy and reliability:- Since all the manipulation and calculation are handled byhuman being, so it is not sure to get correct output further handling large amount of

    data is also error prone as correction in hand written document leads to overwriting

    and this create confusion.

    (b). Managing the number of physical file register:- All the records relating to the

    booking and removal of the student record are maintained on paper and physical

    files. So it becomes a tedious job to manage all of them in an effective manner and

    also difficult to group homogenous records together.

    (c). Preparation of periodic reports are not accurate:- Since manipulations are done

    manually, the processing may result wrong. This will lead to inaccurate reports.

    Manual processing takes more time and so it may take time in preparation of report,

    which is not required.

    (2). Excessive cost of operation:-

    (a). Manpower shortage:- System requires efficient working of the system but it is not

    always possible. This results in continual shortage of staff and rise in pay slab to

    keep manpower.

    (b). Manual efforts and paper work:- Large volume of information has to be recorded and

    maintained manually. This leads to lot of manual efforts and time. Large volume of paper is also utilized for maintenance. This results in excessive cost of stationary.

    (c). Movements of documents:- Different documents, files and reports has to be sent to

    different departments, which requires additional resources.

    (3). Lack of Immediate Retrieval of The Information:-

    One of the problems of the conventional system is the immediate retrieval of the

    information required at some particular time. Since the conventional system deals with

    the manual work so all the data are stored on papers and the processing of the data are

    done manually, so the retrieval of the information related to some query delays.

    (4). Lack of validation Check and Validation Controls:-

    In the conventional manual system there is lack of validation while updating the

    transaction .In real life many types of invalid data can be entered so there must be some

    type of validation while entering data and updating the data. In the conventional system

    all work is done manually and there is much possibility of mistakes done by human

    beings so there must be some validation checks on the entry of data and the recording of

    the data.

    (5). Lack of Data Security:-

    In the conventional manual processing system there is lack of data security since

    all work is done manually and all the details are stored on paper so there is a possibility

    of losing data on papers and any unauthorized person can access the data.

    (6). Lack of Immediate Processing of the Data:-

    The conventional manual system deals with manual processing of the data, so the

    processing delays and all the transaction cannot be performed at the time when needed. In

    the conventional processing system all the work is done through paper work and much of

    paper work is done.

    (7). Lack of Sorted Information:-

    In the conventional manual system there is lack of getting sorted information. In

    the conventional system if we want to get sorted information we have to sorted out all the

    information manually as there is no option of getting sorted which is there in the case of

    the automated system and therefore much time is wasted in sorting of data. In contrast of

    the manual system, with computerized system we can get sorted information from the

    computer.

    Performance of proposed system

    The new system incorporates all the goals mentioned above. As soon as the passenger or

    the staff requirements are fed up in the system, the software comes up with the available options

    for the concerned entity. The new system also incorporates the feature of the automated report

    generation. The need is just to specify the type of the report required.

    The proposed system is intended to be user friendly, automated and fast, easy to maintain

    and use and require minimal knowledge of working with computers. The interface of the

    proposed system is easy to understand. It used different forms for different type of information.

    It can also be used to add or cancel a particular booking, software. etc. It gives the report like

    software chart, related software detail, reservation, cash collection report etc.

    It is easy to use for any "Software shop" to work accurately, timeliness and effective

    manner to get current information like requriment of particular booking no of software , daily

    cash collection etc.

    The system Automated Sofware shoppe System , deals with the sale and purchase of software .The basic subsystems of this system are:

    Report Generation Subsystem:

    This subsystem deals with the generation of various reports. The reports that are

    generated are:

    1. Cash collection report.

    2. Software detail report.

    3. Bus chart report.

    4. Depositor detail report.

    End Users :

    The end users are the persons who will operate the system. In this system we have twotypes of end users. One are simple users and other is administrator. The end user must possess

    knowledge of computers. He must be capable of working in the windows environment and must

    be aware of the knowledge & technology that is currently used.

    Also the person must have good communication skills so that he may be able to communicate

    with the valuable customers efficiently.

    (1). Enhancing performance :-

    (a) Provide quicker and up-to-date information in online manner.

    (b) Make process of day changes in records more effective i.e. better file management.

    (c) Improve report generating process to support better decision and planning resource usage

    effectively.

    (2). Reduce costs :-

    (a) Provide a user-friendly system so that even a non-technical person with limited training

    can operate.

    (b) Reduce dependency on manually prepared documents, this will reduce the cost

    involved with paper.

    (3). Provide newer options :-

    (a) As soon as data is entered, the related records must get updated automatically.

    (b) Only authorized person must be given an access to data.

    (c) Improve upon current method of adding, removing, processing and keeping theexisting and new records in relation to the "Automated Software shoppe and updating

    the data stores.

    Feasibility Study

    Feasibility Analysis is use to determine whether it is feasible to develop the new system or

    not.

    Feasibility study is categorized into

    Technical Feasibility : -

    By this mean the technology needed is available, whether it is usable. We use the

    Visual Basic 6.0 language in front end and access in back end. This technique is available

    in market.

    The proposed system is technically feasible as the environment of the Automated

    Software Shoppe is computerized.

    Operational Feasibility : -

    To find out this we enquire the proposed system can fit in with existing operation

    and whether it is able to satisfy the requirement of the end users. It is easy to install in the

    computer. Our system is operationally feasible for all type of organization.

    The proposed system is Operationally feasible as it is develop using the 4GL tools, and

    the system has been made so user interactive that it would be very easy for a computer

    literate staff.

    Cost Benefit Analysis

    Cost benefit analysis is necessary to determine economic feasibility. The primary

    objectives of cost benefit analysis is to find out whether it is economically worthwhile to invest

    in the project, if the returns on the investments are good, then the project is considered

    economically worthwhile.

    First listing all the cost associated with the project performs this analysis. Cost consists of both

    direct cost and indirect cost, and then benefits are calculated .A comparison is made to seeeconomic feasibility.

    Direct cost: This is used in buying equipments, cost on manpower, cost of consumable items,

    rent etc.

    Indirect cost: Cost of time spent by user in discussing problems with system analysis etc.

    Once the cost benefits of project have been qualified and calculated, the next step is to find the

    recovery period of the capital invested.

    financial operations.

    The objective of system analysis activity is to develop structured system specification for the proposed system. The structured system specification for the proposed system will doindependent of the technology that will be used to implement these requirements. The structured

    system specification will be called the ESSENTIAL MODEL. Sometimes the Essential model is

    also called as Logical Model. The Data Flow Diagrams may model the function of the system,

    Entity Relationship Diagrams may model the data and their relationships and the State Transition
