President’s Report November/December 2020

Well Hello All

Welcome to the end of another year. I’d like to say a

huge “THANK YOU” to all the helpful little elves at the

club Christmas Party especially our fun coordinator Di. I hope everyone had

a great time and enjoyed the food. Again, Thank you. Pete Harrington is

organizing our Christmas lights run 12th December. There should hopefully

be more info in the N/L and or talk to Pete at the meeting on Tuesday

evening 8th December 8 pm sharp. You would have all seen some confusion,

discussions, input about sanctioned runs let me tell you that I have heard

and read many scenarios myself. A few us have been researching, talking and

going to meetings of those supposably in the know. Conversations to come.

CLUB Meetings -- for at least the next 3- 4 meetings we will be holding them

at Capalaba Football club as the COORPAROO RSL HAS SAID THEY ARE

NOT ABLE TO ACCOMMODATE US ON A TUESDAY EVENING UNTIL

FURTHER NOTICE. You will have to have dinner prior to coming or bring

something with you BUT the bar is open. There are many restaurants and

takeaway options close by.

HERE’S HOPING EVERYONE HAS A SAFE, HEALTHY, HAPPY AND

PROSPEROUS CHRISTMAS AND NEW YEAR.

Tammy

GENERAL BUSINESS: 1. Tammy advised she has received a few phone calls since being elected as president. She wishes to leave the past in the past and move on. She let everyone know no bullying will be tolerated. 2. The North Queensland areas of the club have asked for funds towards their Christmas Parties; Townsville $500 and Mackay $400 – it was put to everyone who was at the meeting, everyone agreed. The Wide Bay area have not asked yet but it was agreed $300 would be given towards their party if they arranged one.

3. Valla is no longer at Valla Beach, the alternative next year is at Coffs Harbour Big 4

Caravan Park. Hunter Valley club has advised they are not going to organise anything as it is

not a normal Valla event. Tammy proposed to propose to the clubs that go to Valla that all of

the clubs put in money for a meet and greet BBQ, Keith Clarris proposed each person who

attends pays a small amount, it was decided that it would probably be better for the clubs to

contribute. There may be an impromptu car show on the weekend, but the details will need to

be worked out. This year will be very casual.

4. Christmas lights run – 12th December, we will be meeting at Pelican Park with food available to be purchased from a variety of shops across the road. We will then go for a cruise to look at the Xmas lights. 5. Christmas Party is on this Sunday 22nd at the Capalaba Warriors Football Club 6. Keith suggested ‘Valla’ should have a Facebook page so everyone can be updated easily. 7. 26th March is the 40th anniversary of the club, there are suggestions of having a dinner to celebrate, if you have a suggestion of where to go please let a committee member know, ideas so far are one of the dinner boat cruisers. We are also looking at arranging a 40th anniversary shirt that members can purchase. 6. Nationals update, the club has postponed the nationals for 2021, Nationals have put out a proposal if any club wishes to hold the Nationals on the Gold Coast on 2021, it was also an option for it to be in October 2021. We have put in a proposal for Easter 2022. Sponsorship has been hard to find as businesses have been affected by the Covid pandemic. 7. Bob Taylor and Mark Barraclough will be doing workshops around the place to show people what to do to have their cars prepared for the Nationals. Meeting closed 9.00 pm

Club Christmas Party Well as most of ya know the club Chrissy party was today with plenty of familiar face's attending, was a great day for it especially in the building with its 3 new air conditioners

keeping the heat away, It all kicked off about 11ish with the classic Heads & tails game, basically if ya keep ya hands on ya arse?? You won!! Then the famous Clarris's trivial quiz started the minds a thinking & thanks to the quiz I now know what "Spelunking" is! Plenty of other high interest questions as well & I believe the Hincks Lewis Bonney's &

Kathy table won the quizzes outright so 3 cheers to us, After that lunch was

served, Chicken Ham & cold salad's, the potato salad "Woz Da Bom" & desert was the biggest apple crumble I've seen, served with custard cream with the side dish was 3 Hugh fully topped Pavlova's, The colouring comp &

pass the parcel kept the kids entertained (& heaps quite'r) The good ole "Celebrity head" game kept the members amused because it was a cack-up to watch & the topper to that was the "Reindeer races" some funny stuff I tell ya, The game of skill patience balance & hand eye coordination which kept the ordinance in ore, "Floor pong" was won by yours

truly with plenty of prizes & gifts being handed out, The Big fat fella in the red suit appeared & gave prezzy's to the kids & plenty of hugs to those who didn't think he was a bit creepy, A big thank you from all went to Tammy Keith Di Tanya Jo & everyone else who helped make today a great day,, One off the best we've had yet, cheers Jarrod.

Page 8: DECEMBER 2020 · 2020. 12. 12. · SECRETARY’S REPORT MINUTES OF MEETING HELD AT CAPALABA WARRIORS FOOTBALL CLUB TUESDAY 17TH NOVEMBER 2020 MEETING STARTED: 8:00 PM VISITORS AND

Fantastic day! Thank you to all who worked so

hard to make it such a fun day! Food was

delicious and Santa did a great job ! A big

thank you also to those who donated prizes

towards the raffle. Cheers Val

There are a few people who should be thanked

for giving us what is arguably the best

Christmas party the club has ever had. To

Tammy and the Committee. Thank you for

getting this party organised in the few short

weeks since your election. To Jarrod & Tanya

Bonney and “Thank you” for organising the

venue, running the bar, helping with the food

and reporting on the event. Special mention to

Melanie and Daniel Bonney who also helped

their mum and dad. To Di Clarris aka

"Minister for Fun and Frivolity". Thank you

for your efforts in assembling the games that

kept everyone amused throughout the day as

well as decorating the tables and spending

hours shopping for just the right things needed

to make the day as perfect as possible. To Val

Hincks and Paula Thank you for your efforts

in assembling the best raffle prizes I have ever seen. Thanks also to those who donated prizes

and bought tickets. To all those members who

attended and those members that helped out in any

way. Thank

you so much.

Without you

guys and

girls (and

kids) the

event would

not have

been as great

as it was. To

all the

members that

"volunteered" to be a part of the craziness Di had arranged. Thanks for being good sports and

to Jo Taylor who ended up in her usual spot “The kitchen!!”. Finally, here's hoping 2021 is a

much better year for everyone and that OUR club keeps getting stronger and better.

Cheers Keith C.

Xmas Party, great effort and drove back the same day.

Plus, Col Penrose whose birthday fell on the same day,

Farewell Valla

Hello Park Beach

It was a sad day for those members

that attended Valla in NSW, when we

got that email to inform us that there

would be no more Combined Club

events at Valla Beach. But then when

one door closes another opens, and for

some that is Park Beach Holiday Park

at Coffs Harbour. I am not sure how many members that attended Valla managed to book a

cabin or camp/ caravan site at the park as we have not contacted the park to get a list of Qld

members. Park Beach 2021 will be a new beginning and will probably have teething issues

along the way. Next year will be a very low-key event as there will be no “Fancy Dress

Night”, No Saturday night dinner, not sure at this stage about a small “Show & Shine” could

possibly drive down to Nambucca Heads RSL and

do a later show and stay for lunch. With no official

show there will be no trophies either, just chill and

sus out the layout of the park digs and how it all

work plus what is around. As Coffs Harbour has a lot

to visit and see, we will be talking to the other clubs

about some

sort of “Meet

& Greet” once

the early

arrives are there because there is a large undercover

BBQ area we can use. The New Gen Valla has ended

up at Park Beach as it seemed about the only park with

a similar number of cabins to Valla (60) although they

sleep different

amounts of

people from 2 up to 8 and unfortunately, I think some

of the other clubs might have missed out on a cabin.

There are still plenty of camp/ caravan site available

some even have their own unsuit huts and across the

road is the local Surf Club and the Bowels Club is in

walking distance.

Looking forward to a fresh change with

nice cabins where everything works!!!

Bring on 2021

NEWSLETTER No 6 SPECIAL BULLETIN11th October 2020

CLARIFICATION – IMPROMPTU (MEMBER INITIATED) EVENTS

There is confusion in some clubs as to the requirements for creating valid Impromptu Events.

Valid events cannot be created one minute before driving the car out the gate.

The requirements for the Special Interest Vehicle Concession Scheme Guide (including

Impromptu Events) are clearly set out on the Qld Department of Transport and Main Roads

(TMR) website here:

https://www.qld.gov.au/transport/registration/fees/concession/special-interest

It is a matter for individual clubs as to whether they wish to offer IEs to their members. If

they decide to do so, the implementation options are outlined on the TMR Conditions and

Restrictions page, which stipulates the following elements must be complied with:

(a) involves an invitation to wider club members to attend the event and

(b) is either

(i) endorsed in advance of the event by the relevant club or Australia Street

Rod Federation committee (Option 1); or,

(ii) where it exists, complies with published club guidelines as to what is a

valid event (Option 2); and

(c) is listed either in the newsletter, on the website, or social media page (or in

another manner approved by the club or Australia Street Rod Federation, such

as the club calendar of events) prior to the event, and.

(d) Note: Incorporated vehicle clubs should maintain a register of endorsed

impromptu events. This register should contain information on the impromptu

event.

Clubs have 2 options, in (b)(i) or (ii).

Option 1 - (b)(i) is self-explanatory – the member submits a proposed IE to the committee

(or person authorised by the club to “endorse” [or approve] the IE). This alternative is no

different from what clubs have been doing for decades anyway – someone suggests an event

to the committee and they decide whether to let it go ahead or not. Regardless, there needs to

be an invitation to wider club members and a register kept of Impromptu Events.

Option 2 – (b)(ii) requires the club to first set out some conditions which in essence allow an

IE to be pre-approved, provided it satisfies club requirements – the “published club

guidelines as to what is a valid event”. A club needs to be able to produce this document if

Page 24: DECEMBER 2020 · 2020. 12. 12. · SECRETARY’S REPORT MINUTES OF MEETING HELD AT CAPALABA WARRIORS FOOTBALL CLUB TUESDAY 17TH NOVEMBER 2020 MEETING STARTED: 8:00 PM VISITORS AND

they wish to allow members to create IEs without getting prior approval for each individual

run.

It is up to individual clubs as to what they require – some stipulate notice periods for the

creation of an IE. Some require a week’s notice, other clubs 2 days, others hours, and some

say “allow enough time between creating the IE and the meeting time for members to get to

the meeting point.” What is appropriate will de-pend on the nature of the proposed

Impromptu Event. Obviously, the notice for a club coffee at a café will be less than that

required for an overnight IE away from home base, where members will have to make

accommodation and other arrangements in order to attend.

The Vintage Car Club of Qld Inc (VCCQ) PUBLISHED CLUB GUIDELINES AS TO

WHAT IS A VALID EVENT are attached and can be used as a proforma. The QHMC can

provide copies of other club guide-lines which require eg: 48 hours’ notice between creating

the IE and its commencement.

To recap, if a club wishes to offer IEs to members without each event having to be approved

by the commit-tee on a case-by-case basis, they need to do the following:

1. Create and publish PUBLISHED CLUB GUIDELINES AS TO WHAT IS A VALID

EVENT. This must stipulate date, time and a meeting point, and advise sufficient time

must be allowed between creating the event and the start time to allow members to get

to the meeting point.

2. Invite “wider club members to attend” – this can be via Facebook, text message on

phones etc.

3. List the event either in the newsletter, on the website, or social media page (or in

another manner approved by the club or Australia Street Rod Federation, such as the club

calendar of events.

4. Maintain a Register of Endorsed Impromptu Events.

Notes:

1: Some clubs have combined 2. 3. and 4. by using Facebook, which enables the creation of

an IE and an invitation being sent to other club members simultaneously, with a record

automatically being kept. The VCCQ has created a separate Private Members Page for

financial members only (in addition to the club’s general Facebook page) for the sole

purpose of creating Impromptu Events. This means only club members know when a

member will be away from their home (and their valuable cars).

2: Regarding the invitation to wider club members, the invitation must be accessible by a

significant number of members. If for example only 2 people want to use Facebook, while

OK for creating the event, you will need to come up with an additional method of getting the

invitation out, such as by text message or email.

3: While not mandatory, it is prudent for members to take with them evidence of the IE they

are on (eg: a printed page), which is independent of phones and internet access, as batteries

can go flat and there are reception black spots with no internet connection. This is so they

can prove to the police if pulled over that the car use is legitimate.

4: Regarding the Register of Endorsed Impromptu Events, this is critical as if an accident

occurs on such an event, insurers may seek to avoid liability if it cannot be proved that the

vehicle involved was on such an event.
