Chairs Report

SUNDA Y, AUGUST 18, 20 I 3

Chairs Report- Yulanda informed all committees handling money that they need to make

deposits daily if money is received on Friday it need to be in the bank by 12noon-lpm on

Saturday no monies are to be held until Monday. The chair also talked about everyone being

accountable to the chair, and the chair being accountable to the fellowship as well as the BOD.

Working with strong personalities sometimes can be challenging, but there is no time for that.

you have to stay focus and remember what our primary purpose is. There was a discussion about

vendors and if we want to have an exclusive vendor, do we want to allow one vendor to have the

opportunity to sell pre convention merchandise? And do we want to allow all the vendors who

are interested of being a vendor at ere the opportunity to sell merchandise with our logo so that

we can have many choices of merchandise to buy if they are willing to pay the fee? There were

three motions put to the floor, and passed.

Motion I:

It was motioned and second that all vendors are offered a flat rate for vendor certificates. Each

vendor certificate is good for two tables. If a vendor wants to have more than two tables they

must purchase more than one vendor certificate.

Thursday fee - $100.00

Friday fee - $200.00

Saturday fee - $300.00

Sunday fee - $100.00 Motion passed: l l-yes

However this motion is out of order because the vendor certificate was already passed by the

BOD in May, and the fees are as follows tor vendors for ere

Thursday-$lOO.OO

Friday-$2S0.00

Saturday$350.00

Sunday-$100.00

Motion 2;

It was motioned and second that all vendors are offered the opportunity to purchase the rights to

the convention logo at a cost of $500.00 and if a vendor is interested in purchasing the rights to

the convention logo, that payment is received by November 15th and the logo is released once all

monies are confirmed or by December 1st•

Motion passed: l l-yes

Motion 3:

It was motioned and second that a deposit of $750.00 is paid to the vendor for the registration

package items so we can lock in our prices for our package, which is $2.00 per pack. All prices

on our package are getting ready to go up September I st so this gives us the opportunity to save

on our package.

Motion passed: 10-yes; I-abstain

Convention Information Chair - The Chair requested that any changes be submitted ASAP.

The Convention Information Co-Chair which is our webmaster for the CRC website will renew

our Domain name crcofna.org for five years, and the yearly hosting fee. There will be a

payment deducted of$194.00 around August 31st• There is a store on the website where

merchandise and tickets can be sold. The webmaster had spoken with one of the vendors who is

looking to be an exclusive vendor to have pre-sales on our site, but the issues came up of which

account the money would go in. So after much discussion it was decided that if we go with that

idea all monies would go to the ere account and disbursed later to the vendor later.

Arts & Graphics Chair - He will meet with the programming committee to work on the

convention program, as well as working with the vendors.

Serenity Keepers Chair - The Chair has signed up 60 members to be on the committee, as

always it is still open and room to join. The committee did a walkthrough of the hotel for new

members to get familiar with where everything is at the hotel; also Serenity Keepers will be at all

upcoming events.

Hospitality Chair -Marla H. was appointed to hospitality chair, and she will have more

information about what the committee will do next month. The Chair wanted to know if the

committee is responsible for having huggers at the convention. The chair of ere stated that we

need to go back to the way we used to do, hugging our members and welcoming them to our

convention. The chair also suggested that hospitality look at some old-timers as huggers. The

chair asked about having a silent auction on old merchandise, such as ercl t-shirts, and jackets,

cups, and etc. The chair will come back next month with more information on the auction.

Programming Chair - Co-Chair was present in the chairs place. Topics have been slotted into

t ime slots, and the committee is asking that each area please submit their speaker selections

ASAP. The deadline to submit both tapes and names is September 15th• There was not many

tapes sent in through the mail, but the committee is reviewing the few tapes received. A draft of

the program and topic spreadsheet was given to the Events Manager and the Convention Chair.

The topics are coming from the Living Clean and the JFT book. The A&G Chair asked if the

names of speakers would be on the program, because that it more costly to put the names on the

program; the committee is still in discussion about putting names in the program.

Registration Chair - Chair reported 286 registrations have been sold to date, also

the Chair

passed around an example of the registration package that we will have at the convention. .

The Chair has requested that all agents attempt to sell at least five registrations per week. The

Chair has obtained the contact information for the treatment facilit ies. She is waiting on postage

so the letter can he sent out. Registration will have a table at the world convention on Sunday,

September 1 st

F&E Chair- The Mid-City event did well very well $1,544.00.We are looking to have another 4 .

speaker/ dance $5.00 in the SCA. The tentative date will be September 20th at S1. Phillips Neri.

The committee is still looking at entertainment for onsite. Some of the talked about events are

comedy show, house party, blues band, jazz in the banquet, and fashion, however nothing has

been finalized as yet.

Purchasing Chair will continue to review contracts/bids as they come in.

Regional H&I/Public Relations Committee Meeting for the month of August 2013

In attendance was our Regional H&I Co Chair and Nearwest Suburbs H&I Chair

-Nearwest Suburbs is looking to expand the Ho":,ebound committee to other areas, i.ej

West Suburbs, Mid City, North City, etc. This could help possibly expand on an extremely

useful tool for Narcotics Anonymous in our region. It was also suggested that they would

like to have the Homebound Committee based out of Nearwest Suburbs spearhead

these committees due to their experience with helping form the committee and the

operations of said committee.

- It was also suggested that our committee consider changing our meeting days from

weekf!hds to the weekdays. This would allow us to have more time to spend with our

families.

- Finally, they've suggested if the Regional committee would object to the possibility of I

putting on an annual Newcomers 8all, possibly within a year or 18 months from now

and, once again, doing this once a year. This would consist of a weekend event at a

location to be discussed with the intention of attracting newcomers to NA service, via

workshops, as well as a dance and speakers.

- Our regional co-chair reported that the West side Work Release Center has closed

down. He is also working with personnel from the Sheridan Correctional Facilities to

speed up the process for IDOC entry. They will be meeting one on one soon. As of now,

he reports to Sheridan on Thursdays, as it is our home base for IDoe reporting, i.e.;

fingerprinting, background checks, etc.

- I've been in contact with representatives from the DuPage County Health Department

about possibly coming out to the Glenbard North High School and hold a lecture for their

students in Health class in December of this year to bring them awareness about NA and

the dangers of substance abuse. By opening up relations, with their health department

and Glenbard North High School, other schools and programs are looking for us to do the

/-/)

same, enabling e Narcotics Anonymous message/program to reach a younger

demographic in a as where theyve been heavily impacted recently.

- Our Public Relation Co-chair, Keno X., has respectfully stepped down, stating that he

felt he could no longe continue forward at this point. We would like to thank Keno X.,

for his willingness to be f service, and wish him the best in his future endeavors.

- I also recently spoke wit the Joliet Area PR Chair regarding the current status of both

their PR committee and th ir H&I committee. He informed me that, due to whatever

reasons, their committees, w ile active, have not been able to see eye to eye with each

other on certain issues. I expla ed to him that I would be willing to go down there to

meet with both committees to h lp resolve any issues that may be under the surface. It

was agreed that we would meet sa't,{rday, August 24th in Joliet at noon. I tried calling

him back yesterday on said date to ge\ ... location address. I left a message but never got a

response back. As of now I still have n~ et with the Joliet area PR or H&I chairs.

- Finally, I recently received through chicago .org, for PR from the West Point Ministry

Baptist Church at 3566 S. Cottage Grove avenu and they had expressed their interest in

having representatives from H&I and PR to come ut and field some questions on

dealing with drug offenses and the court systems, p~icularly mandatory meeting

attendance and or treatment after a film presentationJQocumentary discussing and

informing others regarding the content of the disastrou~\onsequences on of the fail war

on drugs. I called the South City H&I chair and was inform~ that their PR chair, Oequita

5., had stepped down, but there was a new chair and was gO~ to get her number to \

coordinate with her. I didn't get a call back until late last night.~nfo~unateIY since

time was of the essence, I decided to email them back and respeCtfully decline their

invitation. After speaking with several members and considering e~~IY what they were

requesting and the specific format in which they wanted us to speak \n, I felt it would be

a violation of our 10th tradition to participate. I felt comfortable with rny decision and

\

I'm sticking to it. \
