It is caused by a virus called Coronavirus. Symptoms can be mild, moderate, severe, or fatal. The virus seems to be transmitted mainly via small respiratory droplets through sneezing, coughing or when people interact each other for some time in close proximity. Droplets can be inhaled, or they can land on surfaces that others may come into contact with, or who can get infected when they touch their nose, mouth or eyes. This is a generic Risk Assessment for dealing with the current Covid-19 situation in the workplace. It is not likely to cover all scenarios and each employee should consider their own unique circumstances. The most effective method for control of the Covid 19 virus involves the preventing the spread of the disease by dealing with direct transmission (for instance, when in close contact with those sneezing and coughing). This is best achieved by maintaining separation (Social Distancing) from individuals, isolation of infected individuals (Stay at Home) and isolation of vulnerable individuals (Shielding).

The Vice Principal Human Resources & Organisational Development is responsible for ensuring that a survey and assessment of all employees is carried out prior to re-opening and at regular intervals depending on changes in guidance to determine each individual’s vulnerability and personal risk. Those assessed as clinically extremely vulnerable due to pre-existing medical conditions (as advised by their clinician or through a

letter from PHE) should rigorously follow shielding measures in order to keep themselves safe. This group will not be required to come to College but will be provided with alternate duties and facilities so they can work from home. Those assessed as clinically vulnerable (but not clinically extremely vulnerable) are also encouraged to work from home if this is possible. Return to work will be staged in such a way that the least vulnerable employees will return to work first and the most vulnerable employees return to work at a campus-based office only when safe to do so. The assessment will take into consideration:

• Age of the employee. • Is the employee or family member shielding? • Does the employee have a pre-existing medical condition that

is identified to make a person more susceptible to a critical outcome to a Covid 19 infection?

• Is the employee a carer or share a home with a High-Risk family member?

• Does the employee suffer from high anxiety? • Is the employee an expectant mother?

Individual vulnerability may need to be assessed by a qualified person such as occupational health nurse or doctor. The Vice Principal Curriculum and Quality is responsible is responsible for ensuring that a survey and assessment of all Learners is carried out prior to them re-commencing on-site learning and at regular intervals depending on changes in guidance to determine each individual’s vulnerability and personal risk. Those learners assessed as clinically extremely vulnerable due to pre-existing medical conditions (as advised by their clinician or through a letter from PHE) should rigorously follow shielding measures in order to keep themselves safe. This group will not be required to come to College but will be provided with facilities so they can

continue to learn remotely at home. Those learners assessed as clinically vulnerable (but not clinically extremely vulnerable) are also encouraged to learn remotely from home if this is possible. Return to learning will be staged in such a way that the least vulnerable learners will return first where possible. The assessment will take into consideration:

Faculty Heads and Programme Area managers/Section Heads are to review all practical exercises to ensure separation of workspaces.

keyboards and work surface prior to and after use. • Limit class sizes in line with 2mts separation requirement. • Industry best practice will be adopted when close working is

unavoidable, this may include the wearing of face masks wearing i.e. Hairdressing.

Employees are required to work closely with SEND Students that may have little understanding of Social Distancing. The Vice Principal Curriculum and Quality and SEND curriculum managers will:

• Ensure that any student classified as ‘Clinically extremely vulnerable’ does not attend College, as per Government guidance

• Update each student’s personal risk assessment. Ensure the Education Health Care Plan is reviewed with reference to Covid19 hazard.

LSA required to work closely with disabled and wheelchair bound students.

• Update each student’s personal risk assessment, and PEEP.

Spread of Covid-19 Coronavirus due to close contact during large on-site activities. e.g. Graduations, Marketing activities, Information and Open Days, Student performances etc.

Staff, students, governors & Visitors. Vulnerable groups – Elderly, Pregnant workers, those with existing underlying health conditions

Large gatherings are generally high-risk activities regarding the spread of communicable disease and are strongly discouraged in Government guidance. As a rule, the Marketing Manager/s will not approve traditional open college type activities. But, considering that some of these activities are important for the commercial survival of the business, each will need to be evaluated and risk assessed individually. Managers will need to consider redesigning processes as required to ensure social distancing.

• Online enrolment. Make provision for prospective students to enrol / re-enrol in courses online and avoid coming to college or minimise time spent at college.

• Enrolee interviews by Zoom, Microsoft teams or equivalent. • Face to Face interviews by appointment only • Spread Enrolment period and opening hours. • Vulnerable enrolees or visitors should be identified and fast

tracked through enrolment process or offered 1:1 enrolment by appointment at a low occupancy time.

• Academic staff are permitted to use all their preparation/departmental duty time as working from home

• Support staff permitted to use as much time as practical as working from home.

Classroom and office doors may be held back in the open position to minimise touching handles but must be closed whenever the room is vacated. Staff, students, Visitors and contractors. Vulnerable groups – Elderly, Pregnant workers, those with existing underlying health conditions

Symptoms of Covid-19 – if anyone becomes unwell with a new continuous cough, loss of taste or a high temperature in the workplace, they will be sent home (parents to collect if under 18 years of age) and advised to follow the stay at home guidance. If the patient is not able to travel home by themselves, they are to be relocated to the campus First Aid Room immediately. Always maintain social distancing. Following the incident the first aid room will be deep cleaned Do not contact First Aid in the first instance. The incident is to be managed by the section & the first point of contact (unless a vulnerable person) will escort the patient to the isolation room collecting the Covid 19 First Aid bag from reception on the way. The Covid 19 First Aid bag will contain:

1. Infrared thermometer. 2. Disposable face masks. 3. Bottle of water 4. Hand sanitiser. 5. Disposable gloves

Covid First Aid bag will be thoroughly cleaned following any incident The First Aider will complete First aid report for the incident as soon as possible. If confirmed that a member of staff or public has developed Covid-19 and were recently on our premises (including where a member of staff has visited other work place premises such as domestic premises), a member of the Health and Safety Team will contact PHE to discuss the case, identify people who have been in contact with them and will take advice on any actions or precautions that should be taken.
