RE: Cookin’ on the Kaw BBQ Contest
Dear 2018 Cookin’ on the Kaw Participant:
This letter shall serve as notification and receipt of payment for your team in the October 12-13,
2018 Cookin’ on the Kaw BBQ Contest. On behalf of the De Soto Chamber of Commerce and Cookin’ on the Kaw, we are thrilled to have you at our event and hope that it is a pleasurable and
memorable contest for you.
Below is a list of questions and answers which may help prepare you for the event. Feel free to contact the De Soto Chamber of Commerce should you have any questions or needs that we might be able to
assist you with. We do have several changes this year, so please take a moment to read the document
in its entirety.
Where is the Event Location? The event will again be held at the De Soto Riverfest Park located at 33440 W. 79th Street. Below are
directions to share with friends and family:
Directions: From Kansas City, take K-10 Highway to the Kill Creek Road exit. Take a right onto Kill
Creek Road and follow north until the stop sign. Take a left and proceed over a small bridge, past the Engineered Air building and take an immediate right to put you onto 83rd Street. Go past Miller Park
and head into the downtown area. Take a right on Ottawa Street and proceed approximately a ½ mile, over the railroad tracks to the park. From Lawrence, proceed east on K-10 Highway and exit left
to Kill Creek Road. Follow the directions above.
When can we start arriving?
You may arrive as early as Thursday evening (October 11th) by appointment only from 4:00 p.m. – 6:00 p.m. The gates will close at 6:00 p.m. sharp. Please make sure to make an appointment so that
we can have all of your information to give you, and have enough volunteers on hand to meet everyone.
Most teams will arrive on Friday after 8:15 a.m. For contestants that have small sites (20’ x 20’) we encourage you to arrive as early as possible so that you have easy access loading in.
Where is my location assignment for the event?
Please see the Contestant Site Map and Contestant Form indicating your team and site number.
What size is my site?
We have increased the number of 20’ x 40’ sites, and all remaining contestants are located in 20’ x 20’ sites. It is important to note that if your team is located within the oval, you are strictly limited to 20’
x 20’ or 20’ x 40’ sites. Teams that are located outside the oval may have up to 2’ additional space lengthwise, but this is not guaranteed. Please be respectful of your neighbor and adhere to your space
requirements. (We strongly encourage teams who require 20’ x 40’ sites for 2018 contest contact the
Chamber Office early in the registration process – as early as January, 2018 to ensure that you get the site number you would like. Paid registration guarantees your site!)
Where do we park?
Because of spectators Friday evening, we are asking that no cars are in your site area during the public
access time (5 p.m. – 10 p.m.) UNLESS YOU ARE USING YOUR VEHICLE AS YOUR SLEEPING QUARTERS. If you are in Sites 1-15, we ask for your help by not parking your cars out of your allotted
space on Friday as we have contestant sites to your East. During the public access time, due to the spectators we will not allow cars to be moved in or out. After the 10 p.m., you are free to move
vehicles back to your site. (Thank you in advance for your cooperation.)
Can I bring a motor home or large camper?
Yes, if your motor home or large camper can fit within the strict size of your site. All sites are on grass which may be problematic for large vehicles if we have a heavy rain prior to the event. If you have a
large site to accommodate your RV, please note that the site’s electric capability is 110v 20 amp. A

Cookin’ on the Kaw BBQ Contest
huge thank you to the City of De Soto for increase electrical capability on a majority of the boxes to 30
amp. It is the contestant’s responsibility to bring a 100’ extension (sites 39 – 41 may need
150’) cord to hook up to electricity. Should you need additional electrical power, it is the responsibility of the Chief Cook to notify us via e-mail your Site Number and needs so that
we can communicate that with the City. If you have already indicated a need, please e-mail [email protected] again with your site number and specific requirements so we can track all of the
requests.
North Loop Road, sites #68-#74 must be self-contained (with a generator) as there is NO electricity.
How much is the prize money?
We are absolutely thrilled to announce that through the generosity and support of The KC BBQ Store and Smokin’ With Smithfield, our prize pool is currently $15,000! We will pay to 10th place in all
four main categories as well and overall. New this year is a Smokin’ with Smithfield Ancillary Pork Loin
category, which will provide pre-registered teams with a pork loin and the contest will pay to 3rd place. Please let The KC BBQ Store, Smokin’ with Smithfield and Kris Johnson – Keller Williams Legacy Partners

What other teams are competing?
We have a fantastic group of contestants again this year and we currently have a record-breaking roster of 71 teams participating. Enclosed in your packet is a copy of the contestants as of October 4,
2018. Because of the increased number of teams, thank you in advance for your patience during the
meat inspection, Cook’s Meeting and compilation of results. Our representatives work very hard to compile results as soon as possible and to conduct the Awards Results as close to 3:30 p.m. as possible.
Will ice be available for sale at the event and will electricity be provided?
Bags of ice bags are available for purchase ON SITE. The ice truck will be located at the South Loop
entrance. If no one is handling money, please use the honor system and place your money in the bag before taking ice.
For your convenience each team will have a FREE dedicated electrical outlet. We strongly encourage
each team to bring with them a 100’ extension cord. This is especially important for teams with large sites near the judges tent and Sites #39-55 as electrical boxes are longer
distances away from sites.
When is the Dessert and Steak Contest?
There will NOT be a Dessert Contest this year as we are proud to provide the Smokin’ with Smithfield Pork Loin Contest, which will be held in conjunction with the BBQ contest and will be the last entry
submitted on Saturday. The Steak Throwdown is separate from the BBQ contest and is held on Friday
evening. There is still an opportunity to join the Steak Contest. See attached flyer for more information.
Is there a cost to get into the park? It is FREE to enter the park for the BBQ contest.
Are we allowed to bring beverages to our contestant site?
Teams are allowed to bring beverages (no glass!) for their personal consumption to their site. We ask
that all beverages be placed in a cup for consumption. City rules state that no alcohol is permitted to be taken outside the park premises, which includes the parking lot. Please be sure to let your
friends and family know they cannot bring alcoholic beverages into the park.
What happens in the event of inclement weather?
This is a rain or shine event.
Who do I call in the meantime for information?
You can contact the Chamber Office at 913-583-1585, cell 913-238-2206, or e-mail Sara Ritter at [email protected]. In the event that you are unable to contact anyone at the Chamber Office on
Friday, October 12th, you may contact Sara’s cell at 913-238-2206 as she will likely be at the park.
Questions relating to Kansas City BBQ Society rules or regulations should contact KCBS offices.
What happens if I have to cancel? Cookin’ on the Kaw realizes that emergencies arise. In the event that your teams needs to cancel, we
will do everything we can to fill your spot with another team. If we are able to fill your spot, we will return your registration payment. Please note that we may not be able to secure another team last
minute. As such, refunds cannot be guaranteed.
Miscellaneous Information
All teams should remove all items from their site prior to leaving the De Soto Riverfest Park on Saturday afternoon. Please have all trash in trash bags or receptacles and ash in provided ash cans.
We ask that you help us ensure that all park grounds are not damaged, and all trash is contained in
trash bags. Thank you in advance for your cooperation – this allows us to continue to utilize Riverfest Park in the future!
- Security is on site. Security contact information: Shane Fairburn, 913-645-2278. Secondary
emergency contact, Sara Ritter, 913-238-2206. In the event of an emergency, please be aware of their location and contact them immediately if an incident or emergency occurs. It is the team’s
responsibility to notify the Organizer immediately if an issue arises so that we can address it and to
ensure safety of all participants.

On behalf of the De Soto Chamber of Commerce, welcome to Cookin’ on the Kaw - De Soto’s 15th Annual KCBS-sanctioned contest, held at the De Soto Riverfest Park located along the Kansas River at
33630 W. 79th Street, De Soto. We are thrilled to be hosting this special event, and hope that your
weekend is filled with camaraderie and great BBQ!

Friday:
Friday, set-up: 8:15 a.m. – 4:00 p.m.
Check-in: Upon arrival. Please arrive by 4:00 p.m. on Oct. 12th. Meat Inspection: Request a time for inspection at check-in
(inspections must be completed prior to cook’s meeting) Cook’s Meeting: 5:30 p.m. (Judge’s Tent)
Steak Contest Cook’s Meeting: 5:00 p.m. (Judge’s Tent)
Note per KCBS rules, this documents serves as “quiet time” notification of 11:00 p.m.
Saturday:
Breakfast: 7:00 a.m. – 7:30 a.m. Breakfast (while supplies last) Judge’s Meeting: 11:00 a.m. in the Judging Tent
Judging: Chicken 12:00 p.m.

IMPORTANT: For safety reasons, please, NO cars are to be moved within the contestant site during
the public access from 5:00-10:00 p.m. Teams can park in the contestant parking area during this time if you need to leave for any reason between 5:00 p.m. -10:00 p.m. Cars can be moved back into
your site following after 10 p.m.
