A Message from Praveen Last year at our October town hall I shared the overarching construct of I Love Jeff, a multi-year framework that will use our innovation driven ecosystem to fundamentally change and enhance relationships with all stakeholders into one which is meaningful, intelligent and above all – personal. This framework is inspired by Dr. Klasko’s vision to reimagine health, education and discovery to create unparalleled value in everything we do. It aligns with the Blueprint for Strategic Action (BSA), supporting that vision. I Love Jeff brings to life our innovation-driven ecosystem, which will enable us to create a consumer-centric digital enterprise. Simply put, it is an equation: Reframed and Imaginave Thinking + State-of-the-Art Technologies = The creaon of a connecon with the Jefferson community at a deep emoonal level through unprecedented technical accessibility, personalizaon and self-service capability. I Love Jeff consists of six platforms, each aligned to a BSA vector. Within each, there are two components: 1) Key Operational Initiatives required for the “care and feeding” of technology operations. 2) New Path Creation projects that support our ongoing technology innovation work. The I Love Jeff framework has been shared with the executive team, and we are currently in the midst of the budget cycle where discussions about this plan are ongoing. There are several pieces of the plan, one of them being Epic@Jeff, that are already in flight. You will hear more about some of those projects at our town hall next week. Until then, I want to share IS&T’s first strategic framework, distributed via email along with this newsletter – which contains a broader explanation of the I Love Jeff vision. Employee Spotlight Darin Freeman joined Jefferson IS&T in October as an Enterprise Architect. In just a few short months, he has already started leveraging his leadership experience and diverse technical background to provide strategic oversight and guidance for many critical projects, including the Epic server platform, Epic account automation and OnBase. Before joining Jefferson, Darin worked at Independence Blue Cross (IBC) for 13 years. He started there as a Windows server administrator and progressed into several leadership positions – ultimately overseeing all of the server and desktop teams across the organization. Teams he managed were responsible for technologies including VMWare ESX, Citrix, Active Directory, Infoblox, Centrify, SCCM, Windows, Unix and VDI. Darin is looking forward to helping IS&T succeed as we grow and partner with other health and educational institutions in Philadelphia and the surrounding areas.

Tell us what you know! Chat with Chopra Team launches AskAndAnswer Have you ever had a question but weren’t sure how or where to find the answer? The first Chat with Chopra team faced the challenge to find a cross-departmental issue and propose a simple solution. They realized that while there is an abundance of knowledge across IS&T, there is no common repository to find answers to commonly asked questions or find the “go to person” for a specific topic. Now, with support from the leadership team, a collaborative Q&A platform known as AskAndAnswer was launched. The platform imitates a combination of Wikipedia and Stack Overflow using a platform familiar to IS&T – Confluence. To start using AskAndAnswer, Open a Chrome browser and copy and paste this link to:

Type a question into the search bar to see if there is already an answer.

Add your question if it is not already part of the knowledge base, and tag it with a topic/category.

Subscribe to that topic/category to get email updates when your question is answered or related questions/answers are submitted.

Ford wins enterprise-wide award

for community service

Nicole Ford, a Project Management Analyst in IS&T, has been selected as the winner of the 2015 Miles Mack Community Service Award. As a result of her outstanding community service and leadership, $1,500 will be awarded to the charity of her choice. She will also be recognized during a ceremony on May 17.

Nicole has worked relentlessly for more than a decade empowering youths by developing student athletes academically and socially. Combining her unwavering love for youth and sports, Nicole established New Frontier Youth Services, a program that ensures student athletes meet educational standards for NCAA player

requirements.

The IS&T Engagement Team is committed to offering fun activities, and it’s even better when those activities can support the health of team members in the department. That might mean eating better, being more active, or kicking a bad habit. Last month, it meant losing a few extra pounds with the first Biggest Loser Challenge! March’s Biggest Loser Challenge included 12 participants and boasted a pot of $420, which was split among the winners at the end of the 30-day competition. Congratulations to all the winners! Epic@Jeff Operational Readiness Checklists

When we started the Epic change journey nearly one year ago, we acknowledged that Epic@Jeff is more than a “technology” project. Instead, it is a transformation that must be owned and embraced by everyone at Jefferson. At this point in the project, Epic@Jeff requires increasing preparation and participation at the local levels across the enterprise. To further emphasize the importance of shared responsibility at the local levels, Operational Readiness Checklists have been implemented to help ensure everyone in operations is doing the right things at the right times to prepare for Go-Lives.

The first checklist, which was rolled out to Jefferson managers and leadership on Wednesday, March 23, is divided into Wave 1 and Wave 2 activities that must be completed each month.

Each checklist is bundled into tasks for three months at a time, and a new checklist will be distributed before the start of each quarter so leaders can plan for upcoming activities.

Points of contact for each area have been defined to complete the checklist and report activities to senior leadership and key operational workgroups.

Enterprise Analytics Team efforts increase Allscripts IP notification compliance The Center for Medicare and Medicaid Services (CMS) ensures quality care through many initiatives—one being CMS regulation A-0133: “The patient has the right to have a family member or representative of his or her choice and his or her own physician notified promptly of his or her admission to the hospital.” In an effort to increase notification compliance, the Enterprise Analytics Team implemented a new post-discharge notification process that required data from both JeffChart and Allscripts – two systems that are traditionally difficult to reconcile. Baseline data indicated compliance was at 35 percent across Jefferson’s three campuses. Problem areas were identified by engaging all three campuses and comparing notes among teams. To address compliance from all team members, daily notification attempts were documented. Status updates were also conducted twice per week during leadership huddles. After only four weeks, compliance had increased to 81 percent. This dramatic change demonstrates how data collection and analysis can offer valuable and actionable insights into problem areas and help encourage collaboration

and improvement.

TICE Team presents about newest cloud-based partnership at Las Vegas conference In March, the Technology Innovation and Consumer Experience (TICE) team was invited to present its unique and leading approach to innovative software development for clinical research at the

IS&T staff members “Go Red” to help support women’s heart health in February.

Healthcare Information and Management Systems Society (HIMSS) in Las Vegas, Nev. HIMSS is one of the biggest healthcare technology meetings of the year, with more than 40,000 attendees. Co-presenting with Jefferson at the HIMSS conference was Philadelphia-based CloudMine, Jefferson’s partner for the cloud-based infrastructure that supports some of its technology solutions. Dubbed the “developer’s developer,” CloudMine offers a platform that manages back-end development of mobile applications. CloudMine simplifies the application engineering process by providing Jefferson development teams with back-end technology including data security, server infrastructure, and cloud infrastructure. CloudMine accomplishes this while also providing HIPPA and HITECH compliance, ensuring that Jefferson’s innovations keep patient health data private and secure. With those back-end aspects of application development covered, Jefferson’s teams can focus on what they do best – creating stunning applications that provide clinicians and patients with useful information and meaningful insights. The TICE Team and CloudMine are already working on projects together, one of which is a cancer survey app utilizing Apple’s ResearchKit framework and SDK that is being created in collaboration with Dr. Adam Dicker, Chair of the Department of Radiation Oncology. Multi-year SISO Project Team assesses opportunities, prepares to roll out updates The Academic and Research Team has made significant progress toward the Student Information Systems Optimization (SISO) Project in recent months. This multi-year initiative, driven by Jefferson’s Academic pillar, is designed to streamline and improve integration and utilization of the university’s academic systems. IS&T is collaborating with several consultants to work with Ellucian – the vendor for Jefferson’s student information system – and review use of the Banner system in the University’s admissions, financial aid, registrar and tuition offices, as well as other departments that interact with those areas. They have produced a number of resources to help Jefferson understand and analyze the gap between how systems are currently used and the potential for new features that could be implemented in the future. Through that process, more than 150 recommendations have been made to increase utilization of the current system and lessen dependence on external applications and other customizations.

In early January, the SISO team held a “Demo Day” to show the next round of academic features and products that will be available. Enhancements have been made to document imaging, workflows, and reporting capabilities in the administrative system, as well as portal and mobile integration solutions for students and faculty. The demos received good feedback and left stakeholders excited about what the future has to offer. Preparations for the next generation of the Banner system, BannerXE, are also underway. A testing “sandbox” will be made available during the next month. The latest iteration of the application will be more secure and will remove the need for clients to run Java on their desktop. In fact, the application is being rebuilt with an entirely new front-end technology that will be web-based and responsive. Current plans include rolling out the first modules of the upgraded system in late July.

Biomed Team replaces aging IV pumps In 2015, patient safety concerns were raised at Abington Hospital due to several IV pump failures. Research revealed that the age and physical condition of pumps, as well as the cleaning process for them, were contributing factors in the pump failures. At the time, a typical IV pump at Abington-Jefferson Health was more than 10 years old. That was an especially alarming number, since the average life expectancy for IV pumps is only seven years. So, beginning in November of 2015, the Biomed team coordinated efforts with Nursing, Pharmacy and Purchasing to replace all pumps across the Abington campus by June 2016. Their goals also included standardizing pumps through a single vendor, replacing and upgrading the Carefusion server, and establishing an improved cleaning and distribution process for all pumps. After the priority of the project was escalated to help ensure patient safety, the Biomed Team successfully replaced all pumps at Abington by the end of the 2015 and all pumps at Abington-Lansdale by the end of February – well ahead of schedule.

149 projects are in progress (includes Epic derivatives) In March, Planview@Jeff was implemented to provide increased visibility and management for all efforts. The new tool will be used to help schedule and manage resources for Keeping the Lights On (KLO) work and projects. Project Managers, Resource Managers and Portfolio Leaders (VPs) received hands-on training last month. Additionally, online Computer Based Training (CBT) was provided to all IS&T staff members who will use Planview@Jeff to track their work efforts. It will take some time for all staff to become familiar with Planview’s capabilities and gain proficiency navigating and using the new system. If you have questions, the PMO continues to be available to provide support and assistance as needed.
