Here's Why…  Smaller machines are cheap to buy but expensive to run.  

 

Large machines are more expensive to purchase, however think of them as an investment. They are less expensive to run and will pay for themselves time and time again over the life of the machine.  

 

The small machines will have low yielding cartridges due to the size of the device. This equates to a higher cost per page and means you are replacing the cartridges more often.  

 

Larger machines will generally have the option to utilize a high or low yield cartridge. High yield cartridges will have a cheaper cost per page than low yielding cartridges and therefore save you money.

Hewlett Packard is the market leader providing quality product with inexpensive running costs, as well as offering you freedom of choice for consumables. 

Most IT companies, particularly those that service high end customers and government departments will choose HP as their number one choice of brand.   This is due to the quality, reliability and reputation of these devices in the marketplace. You should use this same model within your business if you are looking for quality, reliability and economical running costs.  

Brother printers are an inexpensive entry point for a budget conscious customer, yet are still a recognized and reliable option.  

 

Other brands may seem enticing when you are looking at the purchase price, however the life span of the machine will be less and will cost significantly more to run.

Things to consider …  

What functionality do you require now and into the future (print, scan, copy, fax, duplex, network…). Do you really need to spend extra money shortly down the track on a function you overlooked with your initial purchase?  

 Think of all the functionality you require when purchasing your machine and allow for growth of your business in the future.  

  

 

Is your business going to be growing and is it worth investing in a higher volume machine now to benefit from cost savings immediately and avoid the expense of continuously replacing machines as you grow.

 

Do you require colour or monochrome printing? Colour printers will cost you much more to buy and run. There are 4 cartridges to replace instead of one and the yield is much less than a dedicated monochrome machine.  

 If you do not need colour, buying a monochrome machine will save you a lot of money in both purchase price and running costs.  

 

Plan Ahead Choose a machine that will serve your needs now and in the future.

For example…  

Look at the number of consumables in the printer you are purchasing (eg toner, drum, transfer, fuser, feed kits, laser kits, waste bottles…) The majority of these operate on a ticking system.  

Look for devices that have all in one cartridges where the drum, toner and waste bin are all built into each toner and therefore reduce the number of replacement consumables you require.  

 

Cheaper printers will have shorter replacement intervals which means it is more expensive to you as you will be replacing toner and parts more often.

 

Cheaper printers will have more replacement  consumables than machines that require  a higher initial investment. 

 

Printer companies make their money on the  consumables in the cheaper machines so be  aware that a cheap machine will cost more to run.

Dedicated black and white machines can cost up to 400% less to run than printing in black and white through a colour machine 

Monochrome printers are a fraction of the cost to buy than full colour machines. You can get into good entry level black and white printer for under $500.  

Colour machines will still use colour cartridges to help produce the black images, even though you think you are only printing in black and white. 

Colour machines have 4 cartridges in them whereas a monochrome machine has just one. This means they can be 4 times more expensive to run.  

Of course there is a place in business for colour machines, you just need to analyze your own business needs to determine if is completely necessary for the extra expenses discussed above.

Choose a high quality product from a reputable company and do not buy the cheapest product you can find. It will almost certainly underperform and cause problems. Cartridges are not just a refill; they have critical components that require replacement in order to perform as the genuine does.  

Look for remanufacturers who have been STMC certified. If the company has the STMC logo then it means they test their cartridges to strict quality standards and means you will receive a quality cartridge every time. The STMC logo is a worldwide standard.  

Use locally remanufactured products where possible. This way the company who actually makes the product can support your purchase in your local area. They will understand the cartridges and if any related problems they can advise accordingly.  

A high quality remanufactured product will actually outperform an OEM product in quality and yield as long as it is purchased from a reputable source.

High yield cartridges will print up to 2‐3 times that of the lower yielding cartridges, however will cost less than double to purchase.  

 

You will be replacing the cartridges less often and benefiting from a lower cost per page.  

 

Most cartridge suppliers and office supply companies will not let you know about the higher yielding alternative because they make more money from the lower yield cartridges.  

 

Laser printers are always higher yielding than inkjet printers. Business customers should always choose laser over inkjet to minimize running costs and maximize their investment. The printer will last longer and cost a lot less to run with fewer repairs required.

Let's get started…  

Duplex printing is the process of automatically printing on both sides of a piece of paper. This is done within the printer without user input.  

 

Many higher end machines have the ability to duplex print automatically from within the printer. Lower end machines will often not have this ability; meaning duplex is a manual function. 

 

Duplex printing also allows for other cost saving measures such as the ability to booklet print reports. This puts 4 pages onto one so can quarter your paper requirements and toner requirements for that report. Booklets are then folded directly in half once they leave the printer for a perfect little A5 sized report. Great for eBooks and reports.  

 

Duplex printing will save on printer running costs as less paper will be required to be purchased. There are also environmentally beneficial advantages with relation to this.
