2. Synopsis of the KELIO PRO system

KELIO PRO is a client/server type application that is run as a thin client from a Web browser.

KELIO PRO integrates a fully secured and self-administered Firebird-type database.

Users have a rights profile that grants them more or less restrictive access to the application.

Identification is by identifier check or SSO (Single Sign On) via native links with LDAP® and

Active Directory®.

You have over 400 export Web services and over 50 import Web services as standard to

facilitate integration into your information system (IS).

out, breaks, business leave, delegation, etc.

5.2 Employee configuration

KELIO PRO centralises your employee information in the "Configure" section.

This section contains several tabs to enable you to access each employee's professional and

personal data, along with their time contract and their user rights.

The first "Summary" tab contains the key data that must be entered for an employee.

Employee's time contract

An employee's time contract contains all the assignments and parameters that enable the

KELIO PRO system to provide the expected results for each employee in accordance with

their employment contract.

The following assignments are found in the time contract:

The employee's contractual working time (hourly base, type, rate, distribution) The work cycle (schedule to be performed) The calculation configuration The authorised functions The authorised accounts The authorised control programme (to define the anomalies to be monitored for the

employee) The end-of-period calendar (to match the results calculation period to the payroll

period) The procedures for activating periodic overtime The TOIL calendars.

With KELIO PRO you can define as many time contract templates as you want. This allows

you to build up a reference base of time contracts representing the different employment

contracts within the organisation. For example: Administrative 100%, 3x8 Shift

Workshop 100%, Maintenance Workshop 75%, Mobile workers, Managers on daily rate, etc.

These templates will be directly associated to the relevant employees in a single assignment.

Employee creation and transfer tasks are therefore accomplished very quickly. Furthermore,

to match the specifics of each employee, exceptions to the template may be defined directly

by employee.

User rights management

Each user may have rights that are more or less advanced on the KELIO PRO system. To do

so, each employee is associated with a rights profile adapted to the role they are to play in

the system (Administrator, HR Administrator, Manager, Validator, etc.).

User profile creation is very flexible and highly customisable: in view/modification/addition

for each software function.

5.3 Employee management

KELIO PRO centralises all the regular management features for your employees within the

"Manage" section. This is the entry point used to access clocking/attendance monitoring,

schedule calendars, absence calendars and calculation functions.

Attendance screen: real-time and customisable

The individual attendance screen can be consulted by week or by a given period. It is fully

customisable and enables all the information about your employees' working days to be

managed. The results and anomalies detected by the system are highlighted by colours and

indicators.

For increased efficiency, a high-performance collective display is used to monitor the

attendances and results for a group of employees. It is very practical for mass working day

correction and control.



Schedule calendar

The schedule calendar enables you to plan and adjust the work cycles assigned to your

employees. A range of schedule assignments enables you to enter your details with a drag-

and-drop.

This calendar's display may be customised and enables you to view only the exceptions, rest

periods and specific cycles and/or schedules for example.

KELIO PRO allows you to manage:

Work cycles from 1 to 52 weeks, with or without shift rotation

3,000 different daily schedule templates

Automatic schedules to adapt schedules to non-regular working organisations and

your teams' shifts.

Schedules may be assigned individually and collectively thanks to a powerful grouped entry

screen.

representative template for a typical working day then, depending on the daily variations and

adaptations you need, the template adapts dynamically to the new working periods you

Manage your employees' absenteeism efficiently with individual or collective calendars.

5.4 Employee supervision

KELIO PRO centralises all the functions used to monitor your employees in the "Supervise"

section. This is the entry point to access the anomaly monitoring and the absent/present

employee monitoring.

Anomaly monitoring

Anomaly processing is further enhanced by a wide range of features:

Absent/Present employee monitoring

Absent/present employee monitoring is a very practical function in KELIO PRO that provides

a real-time report on the number of employees present or absent, with each employee's

situation. This monitoring may also be requested for a specific date and time.

It provides an immediate status of:

Who is absent, who is present Now, at a precise date/time

Who was present over a time period

The Present/Absent ratio

The reason for the absence, for employees whose absence is approved

The working day end time for the employees who are present

The scheduled absence return date/time for the employees who are absent.

This monitoring is often used by switchboard operators who need to direct calls to different

people within the organisation and who need to know quickly: Who is present? Who is

absent? Until when?

5.5 Analysing your employees' results

KELIO PRO centralises all the results available for your employees in the "Analyse" section.

This is the entry point to access the presence, break, absence, contractual basis difference

and absence balance results.

The results may be consulted for every frequency: day, week, payroll period, date to date.

The following accounts may be analysed:

KELIO PRO centralises all the report solutions in the "Print/Export" section. This is the entry

point to access the various standard and configurable reports.

You can choose your preferred graphical

scheme by selecting the application colour.

Business term dictionary

If certain terms in the application do not correspond to the vocabulary which is used in your organisation, the business dictionary lets you redefine these terms for them to be adapted and be understood by everyone.

Calendar configuration

Week No., school holiday calendar, public holiday calendar; all customisation possibilities are provided to display or hide this information. In addition, whether you are working in standard or deferred mode, with working weeks from Monday to Sunday or Thursday to Wednesday, KELIO PRO can adapt so that your screens and calendars reflect your organisation.

Customisable fields

Do you want to manage new data in your employees' files? You can use KELIO PRO to add a new input field to the relevant screen. This data may then be used an edited immediately.

Display filters

Several screens in the application have display filters to select or leave the data you think is essential.

Internationalisation

The KELIO PRO application is multi-user and multi-language. In an international organisation, each administrator may use the application in their own language, with adapted display modes such as: the time formats (0-24 or AM-PM), date formats, public holiday and school holiday calendars specific to each country, region and so on.

5.8 Import/export function

KELIO PRO's data exchange module provides a solution to your data import

and export requirements.

The key points:

Manual or automatic data export: data on employee/clockings/absence files/totals/accounts/balances

Manual import from a source file: employee, clocking, absence files, balance initialisation data. These import operations may be added, modified or deleted.

These import/export operations may be configured and can adapt to your input or output

6.1 Intranet Module: Employee Self-Service

Kelio Employee Self-Service, an extension to KELIO PRO, can be used by

employees and managers to manage the processes involved in:

6.2 Annualised hours Module

The Annualised hours option is an extension of the KELIO PRO product

offering and is used for annualised management of working time.

You set the annual objective to be achieved and then monitor the amount

realised, still to be realised and annualised hours balance for each of your

employees.

Calculations can be viewed as an actual or estimated value in order to give a

projection for the year of objectives exceeded or achieved.

6.3 HR Assistant module

The optional Kelio HR Assistant module enables you to enter additional

information to your employees' HR files to enhance your administrative and

personal human resources management possibilities.

This module provides the following administrative and personal data:

Personnel classification management (category, job class, wage band, qualification) Training management (school education, monitoring/record of training attended by

the employee, monitoring of the Individual Training Account balance) Career management (appraisal management, professional experience history, career

aspirations) Personnel identity document management with alert for renewals (identity card,

passport, resident permit) Occupational health management: specific medical issues, medical appointment

management with alert, emergency contact management, GP Employee family information management (situation, children) Employee transport information management (commuting distance and time,

Reminders for key scheduled dates may be set up by a configurable alert system. You are

then informed by email of the end of a probation period, your next compulsory medical

appointment, your next training or appraisal appointment and so on.

This module is also available in the Employee Self-Service which will enable:

Employees to consult and modify some of their administrative or personal data Managers to view and modify some of the data for the employees in their population

This feature enables employees to be given more responsibility and outsources the often

complex updating of administrative and personal data.

The optional "Planning Lite" module completes the Kelio Pro offer with a

powerful collective personnel management screen. Managers can then view

their teams in planning mode, enabling them to read their working organisation

quickly and collectively.

6.6 Planning Advanced Module

The Planning Advanced option is an enhanced version of the KELIO PRO

standard planning module.

Users have a new screen that is adapted to management by work post. So,

you can plan your employees directly by work post. The system will help you

by carrying out consistency checks on the skills and work load objectives

required in terms of the number of people or hours.

Planning Advanced also allows improved flexibility in managing your teams by providing

functions to replace, lend, share and search for employee availability.

The ability to send planning changes by email or SMS will allow better day-to-day

responsiveness and will help you to become more responsive within your teams.

Kelio Planning Advanced can also be used to plan on-call duty periods and to measure the

time taken on on-call interventions.

When combined with the Kelio Analytics offer, you will be able to manage both your schedule

planning and your activity planning in resource or post view.



6.7 Job Costing management module

The optional Kelio Analytics and Kelio Analytics Advanced modules enable

analytical monitoring of the time spent by activity and the cost calculation. The

When combined with KELIO PRO, the Kelio Security application enables you

to manage and control access to your organisation.

Each employee has an access profile that enables them to move around the

controlled areas within the organisation at the dates and times required.

personnel, as well as surveillance of your access points (door forced, window left open, etc.)

and management of visitors.

The "Payroll interface & Reporting " module is composed of two sub-modules: "Kelio Paylink"

Kelio Paylink

Kelio Paylink is a payroll interface module that enables you to extract time

management data and export it to a payroll application. The many different

items of payroll data and variables calculated by Kelio PRO may be exported:

The optional Kelio Report module is a vital tool to meet your organisation's HR

analysis requirements. The reporting proposed is made up of powerful

management indicators with graphics to monitor the results and indicators

that affect your decision-making.

For example, the reports you can produce are very useful for preparing your

company's balance sheet or for summarising your hours worked.
