Grade Book Setup (1 Component) The Instructor Grade Option page will permit instructors to enter student grade data in various formats. Options within this page include Create, Edit, View and Submit. Initially all courses have to be setup with the desired grading scheme. You have the option to setup the grade book using components. Simply put, components allow for simple or complex grouping schemes. Standard grade books allows for simple grid layout while complex grade book can have nested like groups (e.g labs, tests,etc).

Grade Book Setup (1 Component)

Purpose To setup a basic course evaluation scheme that has 1 component.

Step Action

1. Navigate to “Instructor Grade Option”. 2. Highlight a course from CourseName field. 3. Select the Create link under GradeBookOptions

02 Select the “Component:Main;Desc:…” link within the “GradeBook Structure” field.

Note - the default fields on the page (Name, Description, TotalPercent) are automatically filled in. The PercentWorth and RequiredPercent fields are set to 0; however the PercentWorth field must have a value entered. When only using 1 Component PercentWorth will be set to 100%.

04 Create Evaluation/Components: Use the drop down option next to each evaluations type that you require and set the number of each.

Create: Once you have the required Evaluations selected, select the “Create” Button.

Evaluations: Once you select the Create button, the Evaluations field will be populated with the evaluations that you selected. There are 3 other fields:

1. Description – Not mandatory but useful for describing your evaluations 2. MaxScore – Required and the total of the max scores should add up to the

PercentWorth. 3. GradeType – Required and you have the option to select % or Raw.

NOTE - When instructor is assigned to multiple offerings of the same course they are only required to setup 1 of these courses. The grading scheme will apply to the other courses and they will be grouped.

07 Eval/Comp to GradeBook Structure: Once you have the fields in the above step are populated select the “Evals/Comp to GradeBook Structure” button and then select “Save”.

Confirmation dialog boxes will display, select OK on these.

Select the “X” in the right corner of the Create/Edit GradeBook screen to close the page. Repeat Steps 1 to 6 for other courses in your list that require setup.

Grade Book Setup – Courses that are Pass/Fail

Purpose To setup a course evaluation where the course is a pass or fail.

Step Action

1. Navigate to “Instructor Grade Option”. 2. Highlight the pass/fail course from CourseName field. 3. Select the Create link under GradeBookOptions

Select the “Component:Main;Desc:…” link within the “GradeBook Structure” field.

Note - the default fields on the page (Name, Description, TotalPercent) are automatically filled in. The PercentWorth and RequiredPercent fields are set to 0; however the PercentWorth field must have a value entered.

Enter 100 in the “PercentWorth” field.

Create Evaluation/Components: Use the drop down option and select Final … 1 for the evaluation scheme, then select Create.

Evaluations: Once you select the Create button, the Evaluations field will be populated with the evaluations that you selected. There are 3 other fields:

1. Description – Not mandatory but useful for describing your evaluations 2. MaxScore – Required and the totals of the max scores should add up to the

PercentWorth. 3. GradeType – Required and you have the option to select % or Raw.

If you are only using 1 evaluation of Final enter 100 for the value in the MaxScore field, and select “%” from the Grade Type drop down field.

Eval/Comp to GradeBook Structure: Once you have completed the steps above select the “Evals/Comp to GradeBook Structure” button and then select “Save”.

Confirmation dialog boxes will display, select OK on these.

Select the “X” in the right corner of the Create/Edit GradeBook screen to close the page.

Once you View the grade book to enter a student’s grades, enter 100 for a student who has passed the course and a 0 for those that have not. Once you have saved this and go to the Submit page for this course a P and F will display for the appropriate grade given.

Grade Book Setup (Multiple Component) Navigation

Purpose

To setup a course evaluation scheme that has multiple components.

Step Action

1. Highlight a course from CourseName field. 2. Select the Create link under GradeBookOptions

Select the “Component:Main;Desc:…” link within the “GradeBook Structure” field.

Note - the default fields on the page (Name, Description, TotalPercent) are automatically filled in. The PercentWorth and RequiredPercent fields are set to 0; however the PercentWorth field must have a value entered. When using more than 1 component the PercentWorth field must reflect the percentage of only Component Main. For example if you are setting up a Component for Theory and a Component for Practical , the PercentWorth field for component main may be set the 50. Then Component 1 PercentWorth will be set to 50. For this example you will setup a theory and a practical component, both worth 50%

Set the PercentWorth to 50% Create Evaluation/Components: Use the drop down option next to each evaluations type that you require and set the number for each. Ensure to select Components and select 1 from the drop down.

Create: Once you have the required Evaluations selected, select the “Create” Button.

Components: In this example you have a Component created for the Practical portion of the course. Enter a description for the Component and enter the TotalPercent (50) and the PercentWorth (50) (see below).

Eval/Comp to GradeBook Structure: Once the fields in the above step are populated select the “Evals/Comp to GradeBook Structure” button.

Double click the “Component:Main;Desc…” then select “Component:Component1;Desc…”

Create Evaluation/Components: Use the drop down option for each evaluations type and set the reguired number for each. Ensure to set the `Component` drop down list back to ``0``. Then select Create.

Enter the Max score and Grade Type for the evaluations you setup above.

Select “Evals/Comps to GradeBook Structure” and then select “Save”.

Close the page by selecting the “X” in the right corner.

Entering Grade Data for Students. Navigation

Purpose To enter grade data for students.

Step Action

01 Navigate to the “Instructor Grade Option” page.

Select a course from the Course Name field and then select the “View” option from the “GradeBookOption”field. Next select “Component:Main;Desc…” link .

Note – If you have been assigned to 5 offerings of a course (i.e Ma1060) and you select the first one in your list, all students from the other groups will display in the list but separated by the “ClassNbr” header.

To view the description that was entered for each header, double click the “Component:Main;Desc:….” option to expand the tree structure. The Desc: for each of the fields will display.

Double click in the evaluation field of a student and enter data. To view the grading schemes for each header use the mouse to hover over the field. The below will display.

Ensure you select “Save” from the bottom corner before leaving the page.

Grade Book - Assign Value of a test/lab, etc for an individual student to another grading scheme. Navigation

Purpose

To Assign 1 Evaluation for individual student to another Evaluation, due to missed evaluation.

Step Action

01

Navigate to the desired grade book.

Select the “Operation Type” drop down arrow for the required student and select “Assign” from the drop down menu.

03 Click in the field for the evaluation that you want to assign to another, and then make a selection.

Select “Edit” in the “OperationType” field and elect “Save”

Continue entering grades as required.

Remember to select “SAVE” when finished.

Grade Book - Edit Navigation

Purpose To edit a previously setup grade book scheme

Step Action

01

Navigate to the desired course from the Course Name field in the “Instructor Grade Option” section.

Select the “Edit” link and then select the “Component:Main;Desc….” Link.

Make changes to Description, MaxScore and GradeType by making the changes in the fields and ensure you select Save when finished.

To remove Evaluations that were previously setup, highlight the evaluation and select the “Remove Eval” button.

Select “Save” when finished

To add an evaluation select the drop down for the evaluation type and make a selection.

Select “Create”.

Enter Description, MaxScore and GradeType. Select the “Evals/Comps to GradeBook Structure” button and then select “Save”

Submit Grades Navigation

Purpose

To Submit final grades to people soft for one or multiple students.

Step Action

01

Navigate to the “Instructor Grade option” page

Highlight one of the courses in the course name field.

Select the “Submit” link.

To submit all records select the “Select All” check box (shown below). Or you can use the check boxes to the right of each student to select individual grades to be submitted.

In order to submit a letter code (i.e. INP, IN, etc.) select the drop down option in the Submit Value field for the students and select the appropriate code.

Select the “Submit” button when ready.

You will receive a confirmation (see below) that the grade(s) were submitted successfully.

Select OK and close the screen by selecting the X.

Attendance Setup – Course Based Navigation

Purpose

To setup individual courses for student attendance tracking.

Step Action

01 Within Course name row, highlight the course that you wish to setup. Select the Create link.

02 Select the calendar link for the “Start Date of Attendance Book” .

Start Date – Select the start date for the semester.

Attendance Weeks: Select the drop down next to the “Attendance Weeks” and choose the duration of the course.

Classes/Hours: For each week select the number of Classes/Hours from the drop down and when finished select the “Save” button. Close the page by selecting the X in the top right corner.

Repeat steps above to setup other courses in your list.

Entering Attendance – Course Based (View) Navigation

Purpose

Entering student attendance for course based tracking.

Step Action

01 Navigate to the “Instructor Attendance Option” page. Select a course from the list and then select “View”.

Select the appropriate week from the “Attendance Weeks” list. Enter the appropriate number of missed classes for the students..

03 Select “Save” when all data has been entered.

Attendance Setup - Program Based Navigation

PCP Main InstructorCourseProgram Instructor Attendance OptionsCreate

Purpose

To setup attendance tracking for students based on program. (Multiple Instructors for some campuses may have access to the same Attendance page. If changes are made by 1 instructor it will be reflected for all. One instructor should be designated to setup the attendance page for a program.

Step Action

01 Navigate to the “Instructor Attendance Option”, select the “Programs” tab.

Highlight the program to setup and select the “Create’ link.

03 Select the start date from the calendar link.

Select the number of weeks from the attendance weeks drop down.

Select the days per week from the drop down option.

06 Select the number of AM and PM classes from the drop down options under each header.

Select Save, then close the screen by clicking the X in the top right corner.

Entering Attendance – Program Based (View) Navigation

PCP Main InstructorCourseProgram Instructor Attendance Options

Purpose

Entering student attendance for program based attendance.

Step Action

01 Navigate to the “Instructor Attendance Option” page. Select the “Programs” tab, select a program from the list and then select “View”.

Select the appropriate week from the “Attendance Weeks” list. Enter the appropriate code in the time slot that you are teaching for the week that was selected.

Select “Save” when all data has been entered. Close the page by selecting the X in the top right corner.
