Happy New Year! Hope that everyone was blessed with a joyful and peaceful holiday season. A couple of good New Year’s resolutions include those that promote professional development and contributing to our society. Your ARMA chapter pro-vides opportunities in both of these areas. Through your ARMA chapter you have great opportunities to take in knowledge in records management as well as to provide a service to our community. There are five (5) educational luncheons and a full day seminar remaining in the last half of the 2012-2013 ARMA season. Visit your ARMA chapter’s web site for additional information – www.armasanantonio.org The topic for this month’s educational luncheon is “Privilege in Corporate Email,” which is being presented by Dr. Gavin Manes, President & CEO of Avansics, Inc. Dr. Manes is a nationally recognized expert in digital forensics. Privilege in cor-porate email is becoming more complex. Telecommuting, portable digital devices (smartphones, tablets, etc.), and the readily available Internet access contribute to unclear boundaries between work and personal lives. Use of personal devices for em-ployer business and use of employer equipment for personal digital exchange presents complex issues in regard to privacy and ownership of information. Does a business have the right to review all the Facebook status updates (even those that are private) sent from their company smartphone/desktop? Can personal information that is on your personal laptop, tablet, smartphone, which you also use for company business, be exposed due to an investigation of company business that you conducted on these devices? If this is the case, can this personal information be used as part of a case against an employee? What obligation does a company have in performing discovery activities on personal devices that are also used for business transactions? You will find some clarification on this topic by attending this month’s ARMA San Antonio educational luncheon on Tuesday, January 15. Invite your legal associates and business leaders to share this knowledge with them. Mark your calendar for the annual seminar being held on Thursday, February 21, 2013. This a a great opportunity to network with your peers and digest relevant knowledge on delivering best records and information management practices to your organization. This seminar will prepare you to:

• Address the leading challenges encountered by RIM programs • Describe today's typical records & information management environment • Understand and present a highly functional information management roadmap • Offer business process management strategies that enable and empower users • Identify factors that drive change

For more information on ARMA’s Annual Seminar and to register, visit your ARMA Website at www.armasanantonio.org. Your ARMA chapter will be soliciting for volunteers to support the upcoming Shred Day scheduled for Saturday, April 20th. This is a good opportunity for ARMA members to promote the final phase of records retention – destruction of records that have met their retention cycle. This event is well recognized across the City of San Antonio, and monetary contributions that are collected support your ARMA San Antonio educational program. For now, mark your calendars to be available for this event and share this information with your business associates. This is a free service that is brought to the citizens of San Antonio by your ARMA Chapter and SACU. More detailed information will be shared over the next couple of months. Wishing you a prosperous new year,

Harvard cracks DNA storage, crams 700 terabytes of data into a single gram

By Sebastian Anthony

Scientists have been eyeing DNA as a potential storage medium for a long time, for three very good reasons: It’s incredibly dense (you can store one bit per base, and a base is only a few atoms large); it’s volumetric (beaker) rather than planar (hard disk); and it’s incredibly stable — where other bleeding-edge storage mediums need to be kept in sub-zero vacuums, DNA can survive for hundreds of thousands of years in a box in your garage.

George Church and Sri Kosuri, a bioengineer and a geneticist at Harvard’s Wyss Institute, have now successfully stored 5.5 petabits of data — around 700 terabytes — in a single gram of DNA, smashing the previous DNA data density record by a thousand times. That’s 14,000 50-gigabyte Blu-ray discs… in a droplet of DNA that would fit on the tip of your pinky.

Email Will Never Die – The Man Who Invented It Reveals Why by Mark Hachman Is email a dinosaur, soon to be replaced by Facebook, Twitter or other social media? This article examines the reasons for the power and persistence of email, which has been in use for over 40 years. Over 144.8 billion emails are sent every day, and there are 3.4 billion email accounts worldwide, with three-quarters owned by individual consumers. Email has filled a niche for targeting a specific audience in a way that allows you to send it now and let your target read it/reply later at their convenience. The article discusses the history of the development of email in 1971, problems with the current email system (spam), why other forms of communication have not replaced it, and what future email may look like. The full article may be viewed at http://www.afr.com/p/technology/cyberspace_forgets_to_remember_original_Ayru0szrzOUFxWxkxFM6pO ) Have you ever wondered what the world’s first web page looked like, the one that actually launched the world wide web in August 1991? You will never be able to view it as it was never captured with screen shots or archived in any way. Type in its address today and you will see a modern site that provides details of Tim Berners-Lee’s seminal achievements at CERN, the European Organisation for Nuclear Research, where he devised the first web browser and server. The rapid turnover of content on the web has made total loss the norm. “Civilisation is developing severe amnesia as a re-sult,” says Stewart Brand of the Long Now Foundation. Danny Hillis, a pioneer of parallel computing and machine intelli-gence, fears the world has become stuck in a digital dark age, with few cultural artifacts from its digital past to point the way. Lacking cultural artifacts, society has no mechanism to learn from previous mistakes. It is not hard to see where that can lead. No one is saying that today’s digital dark age portends a great disaster. Nevertheless, there could be serious ramifica-tions for education, scholarship, government and even national security. Sites such as The Wayback Machine, the Internet Archive, and Open Library are making attempts to preserve materials from the Internet and make them publically viewable for free. Read the full article for more information on this problem with the internet.

Educational Opportunities

Chapter Education: San Antonio Chapter Keynote: The New Legal Realities for Electronic Records Management

This session from the MER Conference is brought to you through ARMA International's Session of the Month partnership. Records management and electronic records are no longer just about a “record”. Accordingly, our legal system now focuses on electronically stored information. This radical transformation is the result of changing from tangible to content-centric records and from readily visible to virtually invisible processes. The electronically stored information revolution is precipitating a veritable sea of change in the law. How will the changes impact the processes by which electronically stored information is managed? What should RIM professionals do to meet the challenge of the changing legal world? What are the legal and business consequences of RIM process failures? This web seminar from the 2010 MER Conference addresses the new legal realities for managing electronically stored infor-mation—from the perspectives of a presiding Federal Judge as well as plaintiff, defense and in-house counsel. Special focus is on being successful in the ever-changing new world of records and information management. To access: Login to the ARMA International website. It is free with your membership.

CRM Certification: What’s it Worth? by Sofia Empel, CRM

Most CRMs identify the benefits of their credential as validation of knowledge; improved marketability; outstanding reputa-tion and credibility; and increased confidence. But, what’s CRM certification really worth? The Certified Records Manager (CRM) credential refers to a records and information management (RIM) industry certifica-tion that demonstrates RIM knowledge and a minimum level of RIM experience. It is often used as a prerequisite to hiring and is based on industry assessments developed by the Institute of Certified Records Managers (ICRM). The value of the CRM designation can be measured in both qualitative and quantitative terms. Qualitative value refers to how much quality (excellence) increases as a result of the CRM, while quantitative value indicates monetary worth. To deter-mine the real worth of CRM certification, both values should be considered. Many potential applicants take a narrow view of the CRM. Although they often associate the value of the CRM with benefits connected to the individual being certified, they rarely consider how the designation impacts other stakeholders. For exam-ple, CRM certification provides value for employers, the ICRM, and the public. Some of these qualitative values are as fol-lows: Certified Records Manager (CRM) • Provides a sense of personal accomplishment • Increases and/or validates RIM knowledge • Increases career advancement and/or earnings • Enhances professional reputation and credibility • Demonstrates commitment to RIM practice • Supports continued professional development • Provides recognition by a third party Employers • Increases the organization’s RIM competence • Provides organizational, industry, and government com-

pliance • Demonstrates commitment to RIM quality and compe-

tence • Improves employee and customer satisfaction through

RIM services • Increases security and privacy of information • Provides employees with ongoing professional develop-

ment • Increases confidence in RIM employee’s abilities • Assists in employment decisions Continued on page 9

ARMA San Antonio Collaborator

Page 9

Continued from page 8 Institute of Certified Records Managers (ICRM) • Helps standardize RIM practice • Advances RIM as a discipline • Provides means to establish and enforce an ethical code • Provides self-regulation of RIM • Increases cooperation between ARMA and ICRM Public • Helps identify qualified RIM individuals • Increases RIM confidence in organizations employing CRMs • Provides a means of filing ethical complaints through the ICRM Although the qualitative factors listed above cannot always be measured easily, they nonetheless add value to the CRM certi-fication. Likewise, quantifying the monetary worth of the CRM designation is not easy either. For example, putting a dollar amount on career advancement, increase in responsibilities, and personal growth is difficult. According to a 2011 Salary Guide from Robert Half International, individuals with certifications can earn a starting salary up to 10 percent above the market average. Generally, you can assume this increase holds true for entry level CRMs as well. Furthermore, today’s RIM job announcements increasingly specify “CRM required” or “CRM preferred”. According to a recent ICRM survey, the demand for CRMs as compared to non-CRMs has increased 31%. In fact, the ICRM established a strategic initiative to ensure the number of CRMs keeps pace with the high demand for CRMs by employers. The economic principle of “supply and demand” helps determine the certification’s worth too. So, what’s CRM certification worth? Minimally, ten percent to an entry level RIM professional, but if you add qualitative value—much, much more. Finally, if you are not familiar with CRM certification and want to learn more, here is the link to the ICRM Handbook: http://www.icrm.org/wp-content/uploads/2012/01/ICRM-Handbook-01-12.pdf Sofia is writing a series of short articles devoted in 2012 - 2013 to two very worthy organizations: ARMA International Education Foundation (AIEF) and Institute of Certified Records Managers (ICRM). Bear Update – By DuWayne Headrick

I believe the Bear pace is starting to pickup a little bit as I have been receiving phone calls from schools wanting to know more about our Care Bear program. As always thank you everyone for the donations of $74.56 you made to the Care Bear program during the December lunch program. Thanks to Jenny Barker, CRM for bringing in a couple of bears during our December lunch program. I hope some of you had a chance to check for any after the holiday sales of stuffed animals. Using your donations I was able to purchase 43 animals from Walgreen’s. On December 21st, Ken Haynie assisted by going to Mary Lou Fisher ES (Northside ISD) to pick up stuffed animals. Thanks Ken. The Fisher ES PTA lead by Rebecca Rodriquez, President had a bear drive during December, which netted them 170 stuffed animals. On December 26th I picked up 48 critters from the home of Janet Ferrill. Janet is the Chaplain for Boy Scout Troop #17 and they had a small drive so they could earn their badges. Janet also indicated that Rudder Middle School (Northside ISD) would be having a Bear drive sometime in the future. I will be contacting Hobby MS PTA to arrange a pickup as they had a drive prior to the Christmas holidays. There will be photos and details on Hobby MS next month. Please keep looking for that perfect care bear.
