This research study attempts to develop a Grading System that may eliminate the word “manual”. Another feature is the automatic importing of grades from the teacher’s class record and printing it in different forms, unlike the current system wherein they need to write everything and present everything in person. Another capability of the proposed system is storing and accessing old data.

In order to organize the way on how and why a project takes place and to understand its activities, prior research were conducted. We developed a conceptual framework that allows us to map and assess the research findings.

The Research Paradigm shown in Figure 1 represents the concept behind the development of a Grading System for the university. It is usually the procedure upon the development of the system. The figure shows three boxes: input for the first box, process for the second box, and output for the third box.

The study aims to develop a Computer-Based Grading System for the university.

Specifically, the study seeks to answer the following:

1. How Computer-based Grading System done at the Technological University of the Philippines?

2. What are the problems encountered by the students and teachers in the current Grading System?

3. What design of a Computer-Based Grading System may be proposed?

4. What are the chances that a Computer-Based Grading System may be implemented?

The primary purpose of this study is to develop a Grading System for the university and to achieve the following:

1. To develop a system that will replace the current Grading System in the university which is highly manual;

2. To eliminate lag time between the submission of grades by subject teacher and the department head to the registrar, thus preventing a delay in submission and issuance of grades;

3. To create a user friendly Grading System that will use a database that stores all the information about the students; and

4. To have a localized Grading System that can be used by the faculty, department head, registrar’s personnel and trusted staff.

The success of this study has great importance to the following:

To the Faculty. This will save the faculty effort and will lessen the time of collecting grades and recording

them in grade sheets. To the Students. This will help lessen the late issuance of grades that can affect the students in

many ways including approval of scholarships, delay of graduation and others. Student’s retrieval of records

can easily be accessed.To the University, The study will provide an

improved method of processing the hundreds of grade reports they print and distribute to their students each

quarter.Future Researchers. Future researchers who will conduct studies will realize that the traditional grade

reporting process can be enhanced from manual processing to an online paperless system.

The Computer-Based Grading System offers more than just a class card function, encoding of students’ personal data and issuance of summary grading sheets which include the grades of the students. The system will lessen the work especially of those within the registrar’s office because the grades will be stored directly into a database. Users from the department would be able to access information they will need anytime.This grading system is exclusively designed for the faculty members, registrar’s personnel and trusted staff of the University.

It is off limits to the students, meaning students are not given the privilege to find out their grades before their actual report card is released.

The developers designed this window-based application system in a user friendly manner. The researchers used Visual basic 6.0 for the programming language and Microsoft Access for Database Management System. The scope of this study is up to implementation only.

Average. It is derived by adding all the grades in every grading component, then dividing it by the total of number of grading component.Grade. It is the achievement of each student in every subject.Grading Sheet / Class Record. It is composed of all the components needed to make a final grade; a tally of the students performance based on a certain component.

Research Design

This research entitled “Computer-Based Grading System for TUP” is a system development project that will be produced by Visual Basic 6.0 and Microsoft Access under Windows Environment. The design was based on the existing and proposed data flow diagram of the grade reporting process.

Software and procedures were documented so those are encoded into a format that can be easily accessed. The format was based on the information that can be found in the existing system and also in the sheet and report card that were used. Documentation allowed users, programmers and analysts to see the system, its software, and the procedure without having personal interaction with the subjects.

Research Procedure

For the accomplishment of the system, the researchers employed different methods in gathering data. The researchers made a personal interview with the faculty of different department. They also used some library materials like written thesis which it served as the pattern for the formal documentation and review of related literature. The researchers also browsed the internet for further relative information. After doing this procedure, chapters 1 and 2 were completed. Activities regarding the development of the study of the researchers were presented using a Gantt chart.

System Development Life Cycle (SDLC) refers to a methodology for developing systems. It provides framework of tasks and deliverables needed to develop systems. It is composed of five phases namely System Planning, System Analysis, System Design, System Implementation and System Maintenance.
