Welcome! Welcome to your Dashboard. This is your starting point for access to your Club’s information. It provides you quick information about your club’s content and what is available to you. ClubSportal training materials are broken up into four main types of content: Curriculums, Seasons, Practices, and Activities. A link to each content type, along with a counter showing the number of items of each content type in your club’s database, is available on the Dashboard. Here you will also find all of your own activity, as well as content created by all club members within the previous month.

Welcome!Welcome to your Dashboard. This is your starting point for access to your Club’s information. It provides you quick information about your club’s content and what is available to you. A link to each content type, along with a counter showing the number of items of each content type in your club’s database, is available on the Dashboard. Here you will also find all of your own activity, as well as content created by all club members within the previous month.

Configuring Your ClubMany features of ClubSportal can be customized to meet the needs of your club. With just a few mouse clicks, you can select what sections of the software will be displayed for your Club and what Playbook components are available.

On the Club Configuration page, you will see that by default all ClubSportal sections and Playbook components are available to the Club. To deactivate any of the features, simply click the appropriate slider so that “Off” is displayed. When finished modifying, click “Update.”

To begin, select the Club Page from the Navigation Pane, and then click the cog wheel in the upper right, and select “Configure.”

Editing Your Club PageYour Club’s homepage can be customized with information about your Club, including the Club name, contact information, logo and banner.

On the Club editing page, simply fill in the information in the appropriate fields. For the Club logo and banner, you can drag and drop images into the respective panes, or click on a pane to browse your computer for the image you want to use. When finished modifying, click “Update.”

To begin, select the Club Page from the Navigation Pane, and then click the cog wheel in the upper right, and select “Edit.”

Adding Users to Your Club, Part 1ClubSportal makes it easy for a Club Administrator to keep track of club members and share information with all club members.

Whether you would like to add existing ClubSportal users or new ClubSportal users, this is easily accomplished through the Members page.

1. Navigate to your Club’s Members page, by clicking on “Members” in the navigation pane.2. On your Members List page, you can add one member at a time by entering each member’s

information, or you can bulk add members from an existing spreadsheet or database.3. To add one member at a time, click “Add New.”

Adding Users to Your Club, Part 2 (Individual)4. On the Add Member page,

complete all pertinent information. Name and email address are required fields.

5. To automatically send a welcome email to the new member, ensure the “Send Welcome Email” option is checked. To automatically generate a password for the member, ensure that box is checked, as well.

6. Using Admin Options, assign the new member to one or more teams within your club.

7. Using Admin Options, assign the role of the new member• The selected role will affect

the new member’s abilities to use and access certain features. For a complete list of features accessible by each role, visit our FAQ.

8. Click “Create.”

Adding Users to Your Club, Part 3 (Bulk)9. To bulk add users from an already existing

data source, click “Bulk Add.”10. On the Create Multiple User Accounts page,

simply cut and past data from your existing spreadsheet or other data source into the webpage’s spreadsheet template.

11. To automatically send a welcome email to the new member, ensure the “Send Welcome Email” option is checked. To automatically generate a password for the member, ensure that box is checked, as well.

12. Using Admin Options, assign the new members to one or more teams within your club.

ClubSportal’s four main types of content are built upon each other, such that one type of content is comprised of groups of another type: • A Curriculum is a group of Seasons.• A Season is a group of Practices.• A Practice is a group of Activities.

Because each type of content is a collection of items from another type of content, it is very easy to create new items of one type of content using existing items from another type of content. While this may sound confusing, we will show you just how easy it is.

Working with Content, Part 1Because every type of content interacts within the hierarchy the same way, once you know how to create one type of content, you can create any type of content.

Here’s how to create a new Practice from existing Activities : 1. Click on “Practices” either in the Dashboard or under “My Playbook” in the navigation pane.2. Under “Practice List,” click “Add New” to open the Create Practice page.

Working with Content, Part 23. Fill out all the important information about your Practice.4. Click “Select Activities.” Remember, Practices are a collection of Activities. The Select

Activities pane will open.• Here you will have the choice of showing existing club content or creating new Activities.

Let’s focus right now on using existing Activities.

Working with Content, Part 35. Click “Show Activities.” If it is not already checked, check the box marked “Show All” in the upper left corner of the Select Activities pane. A list of all club Activities will be shown. • Click the “Select” check box next to the Activity or Activities you would like to include in the

practice. Once you have made your selection(s), click “Select.” You will be returned to the Create Practice page where the selected Activities will appear as part of the Practice.

6. Click “Create” and you will be taken to your newly created Practice page. This Practice will now show up in your list of Practices.

Creating Evaluations, Part 1Evaluations are a critical part of the development process. With just a few clicks, ClubSportal allows you to create Evaluations for each of your players and share them directly through the system.

Here’s how to create a new player evaluation:

1. Select “Evaluations” from the navigation pane and then choose “Create new evaluation.”

2. In the Create Evaluation pane, select the user for whom you wish to create the evaluation and choose the Evaluation form you wish to use. Then click “Begin.”

Creating Evaluations, Part 23. Complete the evaluation form and select one of the many controls available for handling the

form.• “Access” allows you to select Members who will have access to, and be able to review,

this Evaluation. • “Copy” allows you to create a copy of an existing Evaluation. • “Save” and “Save and Close” allow you to save your work but keep the Evaluation in

‘Draft’ status .• “Complete” allows you to finalize an Evaluation and send an email with a link to the

Evaluation.

Adding Team Schedule ItemsKeeping track of everything your team has going – practices, games, social events, tryouts – can be time consuming and an organization challenge. ClubSportal allows you to create a team schedule that all of your Team Members can see. Adding items to the Team Calendar is simple!

1. Navigate to your Team’s page from the navigation pane.2. On your Team’s page, in the Schedule pane, select “New.”3. In the “Add Events” pane that pops up, give your new event a Name and Description and the

date and time it will take place.4. When you are finished, select “Save.” Your new event will be added to your team’s

schedule.5. To share the item with your team, click the Sharing icon next to the event name, type a

message, and click “Send.”

Sharing Content and Information among Members

ClubSportal’s power isn’t limited to creating content for yourself; ClubSportal provides the means for you to Share everything you do with the rest of your club.

ClubSportal makes it easy to share your Activities, Practices, Season Plans and Curriculums with other coaches or your Team’s parents and players.

Wherever you see the “Share” link or the Sharing icon , just click on it to share your content with others.

You can also use the “Send Message” feature on the Club page or on a Team page to send a message to your club or team members. Just look for the “Send Message” button .
