The stock adjustment by quantity process allows the inventory files to be adjusted by a specified quantity. The product and the branch that is to have its stock adjusted are nominated along with the quantity. For analysis purposes each adjustment is tagged with a stock adjustment reason code and can have its writer and/or narrative comments entered. General ledger interface entries are posted for the value of the adjustment. This value is the quantity x the average cost of the product at the time of the adjustment. The interface entries are:

DR/CR Inventory DR/CR Stock Adjustments

The stock adjustments account is determined from the account that is held on the stock adjustment reason code file or the default that is held on the branch general ledger control file. Branch: Enter the branch or use the search facilities to access the required branch. The branch entered will have its inventory file adjusted and receive the relevant general ledger postings. RMA number: Enter the RMA number of the adjustment. This field is only accessed if the branch specified is a workshop. Product code: Enter the product code or use the search facilities to access the required product.

Reason: Enter the reason code that reflects why the stock adjustment is being done. The search facilities can be used to access the required reason code. General ledger code: Enter the general ledger code the stock adjustment is to be coded to. This field defaults to the code from the stock adjustment reason file and maybe overridden but only if this is permitted via the program parameter settings. Quantity: Enter the quantity that the stock file is to be adjusted by. This can be positive or negative. Location: Enter the bin location the stock is to be adjusted from. This field is only accessed if the branch specified is a dynamic location warehouse. The quantity held in the location is displayed for reference purposes. Operator: Enter the operator initials. This field may be mandatory and a PIN number may be required. This is dependant on the program parameter settings. Writer: Enter the writer's identity. This is entered in narrative form for reference purposes. Comments: Enter narrative comments on the stock adjustment.

The costed quantity stock adjustment process allows stock adjustments to be made at a specified unit value. The product and the branch that is to have its stock adjusted are nominated along with the quantity and the unit cost that the adjustment is to be made at. For analysis purposes each adjustment is tagged with a stock adjustment reason code and can have its writer and narrative comments entered. General ledger interface entries are posted for the value of the adjustment. This value is the quantity x the unit cost specified for the adjustment. In addition, if the average cost of the product is altered, branches that are holding stock of the product will have their inventory account altered to reflect the change in value of their stock holding. The intransit stock adjustment process is used for clearing transfers or stock in transit. The transfer number, delivery and line to adjust are nominated. Product numbers, descriptions and quantities sent and received will display. The user then nominates what the quantity sent AND received should be. This will then clear the line of the transfer as both the sent quantity and the received quantity will be equal. Reasons and comments can then be entered and the adjustment updated. The stock entries and the general ledger entries will depend on whether the sent quantity or the received quantity is changed. If the send quantity is changed general ledger entries are created to reflect the shift of stock from the intransit file to the stock file of the supply branch. If the quantity received is changed general ledger entries are created in both the supply branch and the receiving branch. The intransit stock file is also adjusted. Transfer: Enter the transfer number the adjustment is for. Delivery: Enter the delivery number the adjustment is for. Line number: Enter the line number of the transfer to be adjusted. New quantity sent and received: Enter the quantity reflecting the actual quantity sent and received.

The product conversion facility allows stock held to be converted from one product code to another code. The item that is to be converted is entered along with a control total. The code that the item is to be converted to is then entered along with the quantity. It is this quantity that represents the adjustment to the inventory files of both the items converted and the item converted to. An update is done to the inventory files as each converted to item and quantity is entered. This update re-averages the stock of the converted to item based on the value of the converted from product. The branch that is to have its inventory quantities adjusted is also nominated. This can be the same branch for both the decrease and increase of inventory or can be different branches. If different branches are nominated an automatic stock transfer is done. General ledger interface entries are done to reflect the financial impact of the transaction. A conversion factor can also be applied to the product that represents the converted to product. A product conversion audit report is produced on exit from the screen that details the parts converted and the average cost change. Branch: Enter the branch that is to have its inventory reduced. A "?" will display all branch codes. Product: Enter the product code for the inventory item that is to be converted into another item. The search facilities can be used to access the required code. The product description and unit of measure will display. Quantity: Enter the quantity of parts to be converted. This figure is used as a control total only.

Location: Enter the bin location the converted product was taken from. This field is only accessed if the branch specified is a dynamic location warehouse. Branch: Enter the branch representing the receiving branch for the converted product. A "?" can be used to display all branch codes. Normally this will be the same branch as the from branch as the product would not normally change location when converted. After conversion the inventory transfer process can be used to transfer inventory to the required location. Product: Enter the product code that the inventory was converted to. The search facilities can be used to access the required code. Quantity: Enter the quantity. The quantity entered represents the figure that is used to adjust the inventory records of both the converted to and converted from item (unless the conversion ratio is different than 1:1). Location: Enter the bin location the converted product was put in. This field is only accessed if the branch specified is a dynamic location warehouse. Conversion ratio: Enter the conversion ratio that is to apply. If the default of 1:1 is to apply RETURN. Operator: Enter the operator doing the product conversion.

The kit assembly/disassembly process is used to either make kits from components held or to disassemble kits held. The process adjusts kit stock by the quantity of kits specified and component stock by the quantities defined for the kit and the quantity of kits assembled/disassembled. No financial gain/loss occurs as a result of kit assembly/disassembly. The kit valuation is always taken as the sum of the components. Branch: Enter the branch that kits are to be assembled or disassembled in. The search facilities can be used to access the required branch. Product: Enter the product that is to be assembled. The product must be defined as a kit. The search facilities can be used to access the required product. The product description and unit of measure will display for reference purposes. Serial #: Enter the serial number of the kit being assembled or disassembled. This field is accessed only if the product specified contains serialised components. Quantity assembled: Enter the quantity of kits to be assembled or disassembled (for disassembly enter a negative quantity). Location: Enter the location that the kits are moved from. This field is only accessed if a dynamic location warehouse is referenced.

If kits are being assembled the location of the components used is specified in an additional screen if the branch specified is a dynamic location warehouse. For both the assembly and disassembly of kits a putaway docket is produced if the branch is a dynamic warehouse to deal with the location either the kit or the components are to be put in.

The attachment maintenance process allows items (stock, misc charge codes, procures and general ledger codes) to be attached or removed from serialised products that are held in stock. As attachments are made the value of the serialised stock item is increased by the value of the attachment (attachments removed decrease the value of the serialised item). The attachment value is kept separate to the base cost of the serialised item in order the total value of attachments can be seen and to ensure attached items can be returned to stock etc if appropriate. Attachment lines can be viewed in attachment maintenance or via the attachment enquiry process. The general ledger is updated with the related financial transactions. Branch: Enter the branch that is holding the serialised product that is to have attachments added or deleted from it. The search facilities can be used to access the required branch. Product code: Enter the product code that is to have attachments added or deleted from it. The product must be a serialised product and be held in stock (the serial number must be specified). Product detail plus detail of attachments already held will display for reference purposes. The search facility can be used to access the required product. Reference: Enter a narrative reference. The command line will display options to (A)dd or delete attachment detail. Line #: Enter the attachment line number that is to be deleted. This field is only referenced if lines are being deleted.

The jobs to stock facility provides the ability to manufacture items that are required for inventory. These can be made using stock held, misc charge codes, procures and general ledger codes. The process is a simple assembly process. It records costs and places the finished items into stock. The items that are manufactured can be either existing part numbers or part numbers created as the jobs are entered. Part numbers created are automatically added to the product file. All costs entered are accumulated and displayed as a total cost for the job. This cost is divided by the number of items being made to establish a unit cost. This cost is used for inventory receipt purposes. Unit sell prices are entered for part numbers that are created. A transaction number is given for future reference when the job is updated. Branch: Enter the branch that is making the product. The branch represents the receipt branch for the item being made and the supply branch for the components used. The search facilities can be used to access the required branch. Product: Enter the product that is to be made. If the item to be made does not exist on the product file RETURN and enter the job number in the pattern specified. Description: Enter the description of the job. This field defaults to the product description if a product is being made but can be defined if a “JOB” is being done.

STOCKTAKE The stock take facility allows the computer records to be matched against a count done of the physical stock and adjustments done for any variances between the two. The stock counts are compared against a stock file that is frozen at a point in time and any variances to the file posted as stock adjustments to the actual stock file. These stock adjustments in principle are the same as manually entered adjustments. They are, however, referenced as stocktake adjustments. By comparing the count to a frozen stock file, trading can continue during the period the stock count is being finalised. It is still important however, to administer the actual stock count carefully to ensure an accurate match is done of physical stock held to the stock records. It will be the variances that are ultimately updated thus allowing continued trading after the freeze. It is important that the user ensure that his/her physical count is at the same time as the freeze and counts are adjusted for any trading. The stock take entry screen is used to input physical counts. The line number (as per the count sheets) is entered and the count. The next line number will then display allowing the count to be entered, etc. The part number and description is displayed. A choice is also available to input part numbers. This can be used where the part is not present as a line on the stock sheets or the user is trying to identify the line it is on. It is this data that will be compared against the freeze and variances reported. Branch: Enter numeric branch code or "?" to display all branches. Line#: Enter the line number from the count sheets. The part number and description will display. Select (P)roduct to retrieve the line by the product code. If the stock physically counted is not present on the count sheet, it may be entered as a supplementary item at the end of the count line numbers. Part number: Enter part number for which the count is to be entered. If this is already present on the count sheets it will force this line and then allow count entry. If it is an extra item it will allow count entry. This ensures no part can be input twice.

The stock take update process measures the variances between the final stock counts entered and the frozen quantity. The variances are posted as stock adjustments and are distinguished from normal stock adjustments by their transaction type. The general ledger is updated y the value of the adjustment. The inventory account and the stock adjustment account (as defined in the GL branch control maintenance), are used for posting purposes. The valuation of the adjustments is at the average cost held on the product files at the time of the adjustments. Audit trails can be obtained using the stock adjustment audit and the stock take variances after update report.
