MISSION AND OBJECTIVES

The mission of the WELS Choral Festival is to foster Christian fellowship among WELS high

school students as they prepare, rehearse, and perform choral music, so that with one heart

and voice they may glorify the God and Father of our Lord Jesus Christ. (Rom. 15:6)

1) To foster Christian fellowship among WELS high school students

Provide an opportunity for the students to develop Christian friendships during

rehearsals and social activities

Create an environment of cooperation rather than competition

2) To expose students to a wide variety of choral literature that promotes musical growth,

both technically and aesthetically

3) To promote the music program and ministry of the host school in their association and

the community

4) To make Choral Festival financially feasible for all WELS high schools

Create and sustain a central WELS’ Choral Festival account to fund the Executive

committee, commissions, and other joint Choral Festival projects.

Provide a WELS’ Choral Festival music library database to clinicians so they can

program literature from past festivals

CHORAL FESTIVAL EXECUTIVE COMMITTEE DUTIES Fall Meeting: hold a face to face meeting to work on issues and conference with host

school(s)

Spring Meeting: If possible, hold on site visit of host school(s)

Be of a general assistance to the host schools

Prepare and update Choral Festival Handbook

Prepare and update a Choral Festival website

Prepare and print the directors’ meeting agenda

Request and align which regional festival the schools will attend

Line up speakers at the Sunday Sacred Concert

o Chairman of the Executive Committee or his designee thanks the students &

introduces each individual choir

CHORAL FESTIVAL TIMELINE 3 years prior

Secure calendar date and announce to schools

Secure site if necessary for your area.

Contact your athletic director and janitorial staff–secure the date for the gym use

2 years prior

Start working on art work (stationery, logo, letterhead, banners)

Start working on concert theme

Begin work on selecting clinicians (3 for National, 2 for Regional)

October - 13 mo. out

Set up committees to include housing, food, entertainment, finances, audio/visual,

printing/publicity, transportation (airlines), hospitality

Finalize clinicians (3 for National, 2 for Regional)

November - 1 year countdown to Choral Festival

Finalize sacred concert theme and ask clinicians to select titles to fit

Have local Choral Fest planning committee up and running

If possible, have local committee attend Choral Festival weekend

Executive Committee asks each school which regional they will attend and the number of

students they are bringing. (at Choral Festival directors meeting)

Finalize art work and concert theme (Send to Website Manager)

3) Work with host school director to select pieces for the sacred concert:

a. Select music to support the concert theme

b. Choose appropriate and doctrinally sound texts

c. Literature of varying difficulty levels and styles

d. Consider the overall vocal demands the literature will place on the students

e. Choose 25% of the literature from previous choral festival programming

4) Work with host school director to finalize a rehearsal schedule.

5) Provide rehearsal notes and recordings if possible.

6) Lead vocal warm-ups.

HOST DIRECTOR 1) Facility

a. If necessary, obtain a site to host the festival

b. Contact Athletic Director to clear up scheduling and facility issues

c. Schedule janitorial needs for the weekend

d. Send stage dimensions to each director for choreography purposes

2) Choose a date along with your administration and present it to the Choral Festival

Executive Committee 3 years in advance.

3) Choose clinicians according to guidelines for clinicians above.

4) Communicate with your area pastors that the WELS Choral Festival will be taking place

at your school.

a. Select a theme for the weekend

b. Work along with clinicians to select music according to the CF Timeline

c. Send pertinent information to directors according to the CF Timeline

d. Create names for the small choirs and assign schools to each choir

6) Set up schedule for the Festival weekend

a. Work with clinicians to hear their needs and wants for a seating arrangement

b. Design a master seating chart

c. Make signs for rows (a, b, c, etc.) and columns (1, 2, 3, 4, etc.)

d. Place the assigned seat on the student name tags / lanyards

9) Recording (Sound/ Video/ Streaming)

a. Obtain license and royalty information on selected pieces

b. Pay royalties to proper agencies

c. School provides personnel or contacts other agencies to video stream the two

concerts

HOST SCHOOL COMMITTEES 1) Devotions / Spiritual Guidance

a) Line up devotional leaders and organists/pianists

b) Prepare 3 devotions including a short order of service

c) Devotional materials are to be done and printed 1 week in advance to be placed in folders

d) Devotions last anywhere from 6 to 15 minutes

2) Housing a) Line up a housing coordinator from each individual congregation

b) Develop a working relationship with each congregational coordinator

c) Assign schools to congregations based on size and requests

d) Assign students to host families

e) Instruction sheet for a host family outlining the weekend and responsibilities

f) Allergies and other medical information should be passed on to host families

g) Noon meal on Sunday is at church or at hosts’ homes

h) Master housing list sent no later than ten days before festival to each high school director

i) Be present at registration and welcoming to make sure there were no problems

iii) Make sure that there are good pianos located in the sectional rehearsal areas as well

iv) When putting together budget, make sure rental and tuning costs are included

CONGREGATIONAL COORDINATOR 1) Provide housing in congregation for choir members and director based on information

provided by the Choral Festival Housing Committee

2) Have each host family complete and return the Host Family Information Form.

3) Check student’s Health & Emergency Forms for special needs, allergies, medications,

etc.

4) Coordinate host family pick-up and drop-off times and locations.

5) Coordinate or plan Sunday lunch (Potluck at church or a host family meal. This must

correlate with arrival time needed for Sunday’s Sacred Concert.)

6) Verify basic housing essentials at host family homes (i.e. bedding)

7) Collect Host Family Information Forms and return to the Choral Festival Housing

Committee 4 weeks before the festival.

8) Compile and submit master housing list to the Choral Festival Housing Committee.

9) Communicate as needed with congregational pastor to keep him in the loop about pick-up

/ arrival times, meals at the church, and list of who is staying where for emergency

contact information.

DIRECTOR’S RESPONSIBILITIES General

1) Complete the required forms and return to host school by the set deadline.

2) Provide a photo if requested by the deadline.

3) Pay the participation fee by the set deadline.

4) Organize transportation.

5) Attend all rehearsals to supervise and monitor students. If unable to be present, bring an

adult chaperone to supervise.

6) Contact the host congregation to make preparations for Sunday worship. Choirs typically

sing in the second service.

7) Run sectional rehearsals if the need arises.

8) Have medical permission forms with you at all times.

Pops Concert: 1) Prepare one or two secular pieces, with or without choreography, that meet the time limit

set by the host school.

2) If using a recorded accompaniment, it must not contain pre-recorded vocals.

3) Although not required, most groups wear outfits or costumes.

4) Supervise students during the concert.

5) Schools support each other at this event. It is not a competition.

Sacred Concert: 1) Provide each student with original octavos. Sharing music is discouraged.

2) Rehearse the music using the director’s notes provided, making sure the students are well

prepared, knowing their parts thoroughly.

3) Gowns are worn for each school.

students raise their voices heavenward!

MICHIGAN LUTHERAN HIGH SCHOOL TO HOST CHORAL FESTIVAL

The Festival Singers of Michigan Lutheran High School will host the 36th annual Lutheran Choral Festival on November 8th – 10th.

Select choirs from nine mid-west Lutheran High Schools will join the Festival Singers in two concerts presented in the

gymnasium/auditorium at 615 E. Marquette Woods Road in St. Joseph. Participants represent Huron Valley Lutheran HS –

Westland, MI; Illinois Lutheran HS – Crete, IL; Kettle Moraine Lutheran HS – Jackson, WI; Lakeside Lutheran HS – Lake Mills,

WI; Manitowoc Lutheran HS – Manitowoc, WI; Michigan Lutheran HS – St. Joseph, MI; Michigan Lutheran Seminary –

Saginaw, MI; Shoreland Lutheran HS – Kenosha, WI; and Winnebago Lutheran Academy – Fond du Lac, WI.

“Pops” Concert

The Choral Festival “Pops Concert” will be held on Friday, November 8th at 7pm. The concert features individual choirs

performances of jazz, swing, and doo-wop eras choreographed in their own styles. Master of ceremonies for the evening is Mr.

Randy Reimers of St. Joseph.

Sacred Concert

On Sunday, November 10th, the choirs will raise their voices together under the theme - “Sing For Joy!” This concert of sacred

music will be presented at 2pm in the Michigan Lutheran gymnasium/auditorium. The concert will feature many fine works of

choral literature by two 80-voice choirs, and five anthems by the entire 160-voice assembly. Featured works will be “The Battle

of Jericho” by Moses Hogan, “Gloria” by Randol Allan Bass, “Lord of the Dance” by Larry Fleming, and “O God, Beyond All

Praising” a tune by Gustav Holst arranged by Richard Proulx.

Clinicians

The festival clinicians will be Mr. Paul Kassulke of St. Croix Lutheran High School in West St. Paul, MN and Mr. James Grasby

of Kettle Moraine Lutheran High School in Jackson, WI.

Kassulke is in his 15th year of leading the Crusader music program. While at St. Croix, he has directed the band program and

choral program. The choral program includes the Crusader chorus, the Women’s Chorus, and the Croixaliers (a 20 voice touring

ensemble). Kassulke is a graduate of Dr. Martin Luther College in New Ulm, MN and holds a masters degree from the American

Band College at Southern Oregon University. Kassulke currently serves on the staff of American Band College in Ashland, OR

and the Western International Band Clinic in Seattle, WA.

Grasby is in his 10th year of directing the choral program at Kettle Moraine Lutheran. He currently directs the Concert Choir, the

Echoes (a 16 voice touring choir), the Echoes TOO, and the Freshman Chorus. Grasby is a 1976 graduate of Dr. Martin Luther

College in New Ulm, MN and holds masters degrees from Concordia University – River Forest, IL (Church Music), Wisconsin

Lutheran Seminary - Mequon, WI (Religion) and Marian College – Fond du Lac, WI (Educational Leadership). He has served on

numerous occasions as clinician and adjudicator at Wisconsin State Music Association district and state music festivals.
