for

THESIS TEMPLATE (Version 1.2)

Section 1

General Instructions

Read the following carefully :

1 . This template works with Windows 7 or above with Microsoft Word 2007

or above.

2. Download AUCFR-thesistemplate .zip file from

https://cfr.annauniv.edu/scholars/ containing following 5 files

a) AUCFR-thesistemplate.dotx(Thesis template)

b) usermanual.pdf(User Manual)

c) Author2XML.xsl

d) Author2String.xsl

e) AU-CFR.xsl

3. (Imp. Note: Take backup of Author2XML.xsl and Author2String.xsl)

from C:\Program Files\Microsoft Office\Office12\Bibliography” and save it

in some other location.)

Replace existing Author2XML.xsl and Author2String.xsl in the office

installation package with new files (2(c) and 2(d) as mentioned in instruction 2 )

Step 1: Copy Author2String.xsl and Author2XML.xsl files to:

“C:\Program Files\Microsoft Office\Office12\Bibliography”

Step 2: Copy AU-CFR.xsl file to style folder inside Bibliography

“C:\Program Files\Microsoft Office\Office12\Bibliography\Style.”

(Note: If Microsoft office is installed in some other folder then its path should

be Drive name:\Program Files\Microsoft Office\Office12\Bibliography)

4. Open the downloaded template (AUCFR-thesistemplate.dotx). Save the file in

new name and its extension should be in “docx” format. (Imp: Do not change

the file names except for template (AUCFR-thesistemplate.dotx)).

5. To enable margins (only for viewing purpose).

Click the Microsoft Office Button , and then click Word Options, a new

window opens, in the left panel click Advanced option, and then select

the Show text boundaries check box under Show document content Pane.

It enables page margins in the document as dotted lines. (Note that it does not

appear in the Print view or on a Printed document).

6. The template is prepared using the styles specific to the thesis formatting

instructions as per regulations

7. The Style Set (cfrstyle) supplied will be useful for formatting most of the

thesis content in general. For formatting content that is not in the purview of the

style set(ex: equations, algorithms, flowcharts, lemmas, notations etc.,), authors

may choose appropriate styles of their choice as per formatting instructions of

Anna University regulations

8. Tab/Escape should not be used unless required (that will disturb the formatting)

9. In template whatever is between <text > should be changed by author as

appropriate and remove „< >‟ symbol.

Ex: <TYPE YOUR TITLE HERE> . After typing title. It should be like,

10. Update Table Of Contents page as and when chapter contents are done.

11. Ensure that home tab is chosen, otherwise click home tab, you will find styles

group in the right panel (see image below), click quick style guide (a

small down-across arrow below the styles panel) otherwise use shortcut

key(Alt+ctrl+shift+ S). It will list out all the available styles

12. For listing only template related styles in style group

In the Styles pane lower-right corner click 'options'. In the clicked mode a

pop up window opens with options for selecting the style set (Select styles to

show :). From the list, select the option “In use”.

13. Don't include Appendix page. If you don't have any appendix content.

Section 1.1

Don'ts and Limitations

Don'ts

1. Don't use other styles( Follow the prescribed style set) for editing/formatting

general content.

2. Do not change the file names except for template (AUCFR-

thesistemplate.dotx)

3. Don't edit automatically formatted content like Table of contents,

Bibliography, Chapter No., Chapter Subheading No., Citations etc.,

4. Don't format/edit the thesis document without supporting files(section 1

Points 2&3).

5. Don't modify the styles (Listed in the Appendix 1) created exclusively for

formatting purposes.

6. Don't edit the footer that has the university's digital signature.

7. Don't disturb page layout.

8. Tab/Escape should not be used (that will disturb the formatting)

Limitations of the template

The following features of the thesis document are not automated as on date.

So to be done manually.

1. List of Figures

2. List of Tables

3. List of Abbreviation(or ) Symbols

4. For formatting any content that is not in the purview of the cfrstyle set(ex:

equations, algorithms, flowcharts, lemmas, notations etc.,), authors may

choose appropriate styles of their choice as per Anna University regulations

Cover/Title Page( Page I )

Use the format available in template. Change the Thesis title, Scholar name,

Department detail, Regulation information..etc, in the existing template.

<NAME INITIAL> - use ‘ cfr_Scholarname’ style set

FACULTY OF <CIVIL ENGINEERING> - use ‘cfr_Scholarname’ style set

Certificate Page(Page II)

The certificate format available in template. In that change the thesis title

detail, Scholar name. example content provided below

“The research work embodied in the present Thesis entitled “<TYPE

YOUR TITLE HERE>” has been carried out in the <Name of Department>,

<Name of the college>, <place>.”

At the bottom of the page scholar sign and Supervisor’s name, academic

designation (not any other responsibilities of administrative nature) as given

below(Note: The same format available in template just change it according to

requirement).

Abstract Page(Page III)

Abstract should be an essay type of narration not exceeding four pages outlining

the research problem, methodology used for tackling it and a summary of the

findings.

For Abstract content – use ‘cfr_Abstract’ style set.

Note : In the template, there are few lines of text available for testing

purpose, delete those lines and type your own abstract content. For typing next

paragraph in abstract, press enter and start typing the paragraph. After typing if

paragraph is still not aligned, just click on that paragraph and select „cfr_Abstract’

style set from the list.

Section 1.5

Acknowledgement Page(New Page)

It should be brief and should not exceed one page when typed in double

spacing. Supervisor‟s name and title should be in bold The scholar‟s signature

shall be made at the bottom right end above his/her name typed in capitals.

For Acknowledgement content – use ‘cfr_Ackcontent’ style set.

Note : In the template, there are few lines of text available for testing

purpose, delete those lines and type your own Acknowledgement content. For

typing next paragraph in acknowledgement, press enter and start typing the

paragraph. After typing if paragraph is still not aligned, just click on that paragraph

and select „cfr_Ackcontent’ style set from the list.

Section 1.6

Table of Contents(New Page)

For preparing table of contents, don‟t delete the sample chapter details

instead replace with new chapter heading for first chapter and for few subtitles

replace with new subtitles. For typing chapter and its content, refer Section 2:

Typing chapter Contents in this manual.

Table of Content preparation

After preparing some chapter content, go back to table of contents, place

the cursor in table of contents page (Note: Already some sample text is available

in table of contents) and right click, select update field, select update the entire

table. Do this updation as and when required.

List of Tables

The list should use exactly the same captions as they appear above the

Tables in the text. One and a half spacing should be adopted for typing the matter

under this head.

For Table no - use „cfr_Tblorfigno‟ style set.

For Table title - use „cfr_Tblorfigname‟ style set.

For Table page no – use „cfr_Tblorfigpgno‟ style set

The table title wrap to two lines then „page no ‟ should come in second line

like.

In list to add new table name after enter Page No. on Page no column press

Tab key to create new row in table

For preparing above format follow the given steps

For preparing list of tables go to page 'x' and enter table no, table name,

table page no (Replace the old data available in template).

For alignment of Table No select particular TABLE NO column and click

cell alignment and then choose 'Align Top Center' as shown in above fig.

For TITLE column select 'Align Center Left'

For PAGE NO column select 'Align Bottom Center'

For creating new row go to end of row(as shown in above fig) press tab it

will create new row and then add the details of table one by one .

Note : For preparing list of figures follow the same procedure as that of list of

table.

The list should use exactly the same captions as they appear below the

For preparing List of Figures follow the procedure mentioned for List of Tables.

Section 1.9

List of Symbols and Abbreviations

One and a half spacing should be adopted for typing the matter under this

head. Standard symbols, abbreviations, etc. should be used. The list should be

arranged alphabetically order.

Typing Chapter Contents

Place the cursor where “CHAPTER NUMBER(CHAPTER 1)” to be

inserted . Then select “Heading” style available under multilevel list, it will insert

text for chapter(as show in below figure)number or choose 'Heading1' style set.

It should be centered 50 mm down from the top of the page. Two spaces

below, the title of the chapter should be typed centrally.

For “ Chapter Heading” – use „cfr_chapter Head‟ style set

The division heading of chapter should be left justified, capital letter and

bold With font size of 13 and numbering for division should be in given format

1.1 OUTLINE OF THESIS - „Heading2‟ style set

1.2 SCOPE OF PROJECT - „Heading2‟ style set

The subdivision heading should be left justified, bold, font size 13 and

numbering for subdivision should be in given format it is under “1.1 OUTLINE

OF THESIS”

1.1.1 Literature Review - „Heading3‟ style set

1.1.2 Synthetic - „Heading3‟ style set

The subdivision under “1.1.2 Synthetic” then it should be follow as

1.1.2.1 Synthetic aperture radars on satellites.- „Heading4‟ style set

1.1.2.1.1 Synthetic aperture radars on satellites.- „Heading5‟ style set

1.1.2.1.1.1 Synthetic aperture radars on satellites.- „Heading6‟ style set

For typing chapter content - „cfr_chapter content‟ style set

Footnotes should be used sparingly. They should be typed single space and

placed directly underneath in the very same page which refers to the material they

annotate.

2.1 Numbering of Tables and Figures

1. If Figure appears second in chapter 3 then give figure no as Figure 3.2. For

Table it should be Table 3.2

2. If Figures(or Tables) appear in appendices then Figure 3 in Appendix 2 will be

designated as Figure A 2.3.

(Note: If a table to be continued into the next page this may be done, but no line

should be drawn underneath an unfinished Table.)

For generating Automatic Figure or Table No

To automatically number the captions of tables and figures, right-Click the

object (Table/Figures) and choose "insert caption" and then choose "Figure" or

"Table" and select position(For, 'Figure' choose position as below and for 'Table'

choose position as above) as shown in figure.

Create Bibliography and Citation

3.1: Citations

To insert a citation in the text portion of your document:

Place the cursor where citation needed to be inserted.

Click the References Tab on the Ribbon

Click the Insert Citation Button on the Citations & Bibliography Group

Select the citation from the list of available sources ( To add source for

citation refer Section 3.2).

3.2: Add Source for Citation List

click Insert citation and go to Add New Source.

Choose the type of source (book, article, etc.).

For Adding Author Detail, follow author name as it appear in reference

material (Books, Papers,Proceedings, Publications,.etc)

For Single Author:

Author Name : Alishahi K (or) K. Alishahi then it should be entered in

the format of : Alishahi, K.

Author Name : “Sarbjeet Singh” entered as Sarbjeet Singh.

Author Name : W. Fan Gordon entered as Fan Gordon, W.

Author Name : Cookson, AH (or) Cookson, A.H (or)

A.H. Cookson. Then entered as Cookson, AH (or) Cookson, A.H

Author Name : “Allington Bennett Laminton” then enter as

“Allington Bennett Laminton”

For More than one Author:

It should be separated using semicolon like.

Author Name: Aghion, P; Durlauf, S; Riley Wilsen, D

Complete the Create Source Form

If you need additional fields, be sure to click the Show All Bibliography

Fields check box

Click OK

After sources are added, they will appear in list on the insert citation option

Choose required citation from the list of citation.

3.3: Rules for citatiion

The structure of a citation is the author's surname and year of publication.

Single author is cited as "Jones (2001)".

Two authors are cited using "&" (Deane & Jones 1991).

More than two authors are cited using "et al" (Smith et al 1992).

If an author published several papers in 2005, the year of the first

publication (in the alphabetic order of the references) is cited and

referenced as 2005a, the second as 2005b and so on.

When more than one paper is to be cited continuously, the paper citation

should be separated by semi colon.

Ex: Conley (1998); Smith et al (1992)

A citation is placed wherever appropriate in or after the sentence. If it is at

the end of a sentence, it is placed before the period.

All citations are in the same font as the main text.

Citations for Tables or Figures within running text should be given as :

(Figure 2.1, conley 1998).

Examples of Citation

(i) An improved algorithm has been adopted in the literature (Waldron 2008).

(ii) Conley & Galeson (1998) have dealt at length this principle.

(iii) The problem of mechanical manipulators has been studied by Alishahi et al

(2009).

3.4 Changing citations to static text:

In the CFR thesis template citation format is available only in style such as

i . Single Author-(Waldron 2008),

ii. Two Authors- (Deane & Jones 1991),

iii. More than two Authors- (Alishahi et al 2009).

To change the citation to any other format( as given in above examples) ,

select the citation from insert citation and then select "convert citation to static

text" as shown in the above figure (Mouse is place over the citations this option

will enable ) and then edit the content for required format.

(Imp Note: when this option is used, the automatic link between citation and

references gets detached).

3.5 To choose a publishing style:

Click the References Tab on the Ribbon

Click the drop down box next to Style in the Citations & Bibliography

Choose the AU-CFR style.

3.6: Manage Sources

Once you have completed a document you may need to add or delete

sources, modify existing sources, To Manage Sources:

Click the References Tab on the Ribbon

Click the Manage Sources Button on the Citations & Bibliography Group

From this menu you can Add, Delete, and Edit Sources (note, you can

preview the source in the bottom pane of the window

4.1: To add a Bibliography to the document:

Place the cursor in the document where you want the bibliography

The listing should be created 4 spaces below the heading "REFERENCES"

in single spacing

Click the References Tab on the Ribbon

Click the Bibliography Button on the Citations & Bibliography Group

Choose Insert Built-in Bibliography/Works Cited or Insert Bibliography

The created references list for different type sources should be in the

format of given below.

(Note: The reference material should be listed in the alphabetical order of the first

author. The name of the author/authors should be immediately followed by the

other details and year).

List of Publications

The list of publications (those already published/accepted for publication in

Journals and papers presented in Conferences/Symposia) made by research scholar

during the period of research shall be reported in the list. Mention Impact Factor of

the Journal (if applicable).

For “ List of Publication” – use „cfr_ReferHead‟ style set.

For Heading of "International journal" – Use Font style “Times New

Roman” and Font Size "13".

For List Details - Use “Refer Detail ” style set.

Appendices

Appendices are provided to give supplementary information, it should be

included after the Final chapter, but before References.

Appendices should be numbered using Arabic numerals, e.g. Appendix 1,

Appendix 2

For “ Appendix 1” – use „cfr_ReferHead‟ style set.

(Note: Don't include this page. if you don't have any appendix page. )
