First annual Leafy Veg progress report

Writing technical and financial reports Technical reporting was relatively easy Financial reporting took considerable time for the

partners’ administrations Submitted mid March 2008 to the Commission

(March 1 deadline)

Go/no go of the project: on the basis of our experiences by March 2008 we

decided to continue. Only Michaele Cerne (USOFA, Slovenia) decided to stop.

Comments Commission on reports Technical report: a few rather detailed

questions. It took some months before reaching a satisfactorily outcome with the Commission.

Financial report: more comments from the Commission. However these problems could be solved rather quickly after the technical report was accepted by the Commission.

Reimbursement: end of September 2008

With Commission Annual progress report: priority was given to reporting by

the Commission Other administrative and financial beyond the annual

reporting activities were not taken into account, also not after telephone calls:

• the need for a new contract (NGB -> NordGen; USOFA out of the project and KIS is taking over budget and responsibilities of USOFA; 10% ceiling rule has been violated in the ‘other cost’ item)

• e-mails concerning financial amendments are not answered.

• reason: understaffing?

Second annual progress report Technical report

• WP coordinators write first draft report and send this to the partners involved in the WP (use format of first annual report (website). This is done before December 19

• WP partners comment on the draft report and send it to the WP coordinator by January 9

• WP coordinators send final WP report to the coordinator by January 16

• Coordinator prepares final report, places it on the internal LV website by January 30 and sends it to the Commission by March 1

Second annual progress report Financial report

• All partners send by February 7 their financial report to the coordinator. Please note: in case the Commission reimbursement is higher than € 10.000 over the first and second project year an accountant certificate is needed. For the certificate text: internal website, finances, FAQs nr 31. Also for other details please study the FAQs.

• All financial paperwork should be copied: one copy remains with the partner and the other with the coordinator.

• By March 1 the financial and technical reports are sent to the Commission by the coordinator.
