• www.hraction.osu.edu please make sure that you utilize HRA for your requests. When you initiate the request, you can track it through the approval process. Sometimes requested start dates need to be changed due to delays in background clearance and/or funding approval.

• Mailed background checks: a mailed background check means that something is on the background check report. Mailed requests can take 30-60 days to clear. Please do not allow anyone to start in the lab without a cleared background check, including students.

• Thought: is anyone interested in a shared lab manager? If there is enough interest, we will plan to pursue this option.

Non-OSU Student requests• The College of Medicine and Office of Health Sciences has

aligned with the university regarding the student employment policy.

• You must first advertise for an OSU student. After that, you may make a request to consider non-OSU students, but the justification it will take will likely cause the College to determine that the student will not be doing student work.

• Reminder: students can only work 28 hours when enrolled in any classes; 38 when not enrolled (this is per week and not an average per pay period). Any students here on a visa or on work study cannot work more than 20 hours per week.

Human Resources Policy 1.15• Policy 1.15 (Sexual Misconduct, Sexual Harassment, and Relationship Violence) has

been updated.• Applies to: faculty, staff, students, student employees, graduate associates, appointees,

volunteers, vendors and visitors (please make sure all of your staff, students, volunteers, etc. are aware).

• Purpose: to maintain an environment for work and study free from sexual misconduct.

• Training for Preventing and Responding to Sexual Misconduct: Ohio State will provide online training for faculty and staff focused on preventing and responding to sexual misconduct and relationship violence. Per university policy, all faculty, staff and student employees must report instances of sexual assault. This training will provide the necessary information to fulfill this obligation. At Ohio State, there is no place for sexual misconduct or violence of any kind, and this training is part of Buckeyes ACT, a comprehensive plan to combat these issues on our campus

BuckeyeLearn• BuckeyeLearn, a university-wide online training tool, will be introduced on September 14 for Ohio

State employees to engage in professional learning and development. The new tool will allow learning and training opportunities to be easily accessed and tracked as part of a transcript for university faculty, staff and student employees. Some of BuckeyeLearn's features include:

• Online courses.• Registration for in-person professional development trainings.• A transcript to document all professional development activities, both completed in the BuckeyeLearn system

and from outside trainings.• Ability to share the transcript and training results with managers.• Access to trainings 24/7.• Opportunity to browse a training catalog for open opportunities offered by other colleges or units outside of your

own.

• BuckeyeLearn is not a replacement for Carmen. However, non-academic training currently offered in Carmen may be moved to BuckeyeLearn over time.

• Next spring, BuckeyeLearn will replace the current Wexner Medical Center NetLearning system, implementing one training system for non-academic courses for Ohio State.

• Throughout the next year, BuckeyeLearn will grow to include trainings from additional colleges and units across the university and medical center, offering a robust catalogue of opportunities.

Open Enrollment• Open Enrollment is October 19-30, 2015.

• There are four in-person forums for faculty and staff on main campus starting October 12. Online registration is in BuckeyeLearn.

• These one-hour forums will provide updates on upcoming changes to Ohio State's health and welfare benefits, including medical, dental, vision, flexible spending and life insurance. Benefit consultants will review the annual Open Enrollment options and 2016 plan changes, including compensation tiers.

• Informed Enrollment Online is a new web-based tool that takes an individual's information from the IE Statement and allows them to further model anticipated 2016 scenarios and is available through Employee Self Service.

• If you did not complete your PHA and Biometric screening by September 30, 2015, you will only have one plan choice for the upcoming benefit year.

Bucks for Charity• As President Drake announced, the Bucks for Charity drive is underway! Through November 13, you can give to your favorite charity –

conveniently one-time or online through payroll deduction.

• Bucks for Charity is one way all of us in the CCC can come together to help transform our community and the lives of others. Our goal this year, as part of the larger Wexner Medical Center Bucks for Charity team, is to have 15.5% of our faculty and staff donate to raise $325,420. Last year, 7.4% of our faculty and staff participated and we raised $287,554.10.

• The annual drive encourages faculty and staff to donate to local organizations of their choice. There are many charities you can give to through Bucks for Charity that provide programs and services for education, health, environment, hunger, social justice or other community needs. If you’re already giving to a local organization, you can donate to the same organization through Bucks for Charity.

Sick leave, FML and Return to Work• If you have an employee who notifies you of a surgery,

serious illness, seriously ill family member or hospitalization, please reach out to the CCC HR Office so that we can be sure that we can evaluate the employee’s needs and get them in contact with an OSU Leave Administrator if necessary. 

• As we run our payroll processing reports, we may run across employees who have taken 3 or more consecutive sick days in a payroll period. The HR office will reach out to each of these employees to refer them to the OSU leave administrator to evaluate if Family Medical Leave is necessary in the situation, and request any accompanying documentation from the employee.

Sick leave, FML and Return to Work• If you know of an employee who suffers an injury while at

work, please encourage them to complete an Employee Incident Report. This form is for record keeping purposes and does not escalate an incident if no further action or treatment is required.

• Any employee returning from a medical leave of absence must provide a return to work form or a comparable work release notification from their health care provider before returning to work

Volunteers• As a reminder, in the CCC we comply with the College of

Medicine volunteer process. Volunteers should not be doing “work”. We will be working to ensure those volunteers getting access to CCC buildings have completed the College of Medicine requirements
