CASE STUDY E-Business Suite Archive and Purge

In preparation for an upgrade of Oracle E-Business Suite from 11.5.10.2 to

R12, Centroid was brought in to design and execute a data archive and purge

strategy that would not only set the stage for a successful R12 upgrade, but

also enable our client to more precisely manage the size of their EBS database

post upgrade and for the long term.

The mature installation of Oracle E-Business Suite 11i had been through

multiple past upgrades, it was extensively modified, and the database had

grown over the years in excess of 4TB. More than a decade of historical data

resided in the production OLTP database. Years of temporary tables, obsolete

database objects and unwanted data had built up to the point where more

than half of the database contents were no longer needed. In addition,

upgrading from 11i to R12 by default increases the size of the EBS database

by 10-20%.

Determined to clean up the database from long overdue maintenance and

a proliferation of obsolete objects and data; Centroid’s team of EBS experts

were tasked with completing the challenge in less than four months.

PRIMARY OBJECTIVES

• Reduce the disk footprint of the production Oracle E-Business Suite

environment by 50%

• Reduce the downstream disk footprint of all production clones

• Improve upgrade execution performance by 30%

• Provide detailed recommendations on how to achieve purge goals

• Demonstrate calculations used to achieve space reduction and validate

them upon completion

• Work within business-mandated data retention requirements

• Cleanse the database of old, obsolete, garbage tables and data records

• Create a repeatable process to proactively manage data growth

moving forward

SOLUTION APPROACH

Engaging both the IT and Business departments, Centroid defined a project

methodology aimed to satisfy multiple sets of competing requirements while

staying focused on the task at hand...cutting the database size by half in less

than four months.

The foundation of the approach was an analysis and determination of “technical

opportunities” vs. “business-impacting opportunities”. For sake of definition,

“technical opportunities” in the context of a data purge initiative are defined

as purge/cleanup actions that can be taken without significant business test

cycles; in other words, technical data, obsolete data, data from segments that

can be re-organized to reclaim space, compressing data in place, etc.

“Business-impacting opportunities” are classified as data elements that, upon

purge, will require potentially significant business user testing to validate and

approve results.

The high level project phases included:

SCOPE => Identified and ranked database segments in terms of raw size and organic growth. Upon analysis, Centroid classified tables/indexes/segments by usage type and categorized as “technical opportunities” or “business impacting opportunities”.

MEASURE AND ANALYZE => Utilized database, application and appropriate scripts and/or tools to calculate potential space savings that could be attained via purge strategies. In this phase, we differentiated between master data and transactional data, and provided a high-level complexity and risk assessment associated with the data purge.

DESIGN AND OPTIMIZE => With a comprehensive set of segments committed to scope, Centroid designed an appropriate purge strategy that employed segment rebuilds/re-organization, partitioning, compression and deletes/truncates.

SOLUTION APPROACH CONT.

Each recommendation was vetted with the customer to ensure the solution

was appropriate based on the Oracle feature licensing, Oracle E-Business

Suite support requirements and customer requirements.

BUILD => Built code, scripts and processes to purge data.

DELIVER AND COMMUNICATE => At each phase and as a final deliverable,

Centroid documented findings, solution alternatives and provided a

quantifiable set of expectations and results.
