During the CASC 2013 Welcome Reception and Opening Plenary on Thursday evening, the trade show will be opened to conference attendees and the public, with public attendance from 600 to 1,000 guests, in addition to the CASC 2013 conference delegates.

Payment and Cancellations:

§ Requests for cancellation received on or before May 1, 2013 will receive a refund of 50% of the full exhibitor registration fee. No refunds will be issued for cancellations received after May 1, 2013.

Exhibitor Terms and Conditions

General Conduct of ExhibitorsExhibitors must confine all materials and activities to their contracted booth space. All of the following practices are expressly prohibited: promotion of products or services other than those manufactured or regularly distributed by Exhibitor; use of strolling entertainment or activities outside of booth space; excessive noise that interferes with other exhibitors; storage or use of flammable or other explosive materials or any substance prohibited by local laws or insurance carriers; use of materials with strong odors; solicitation of business by anyone other than representatives of Exhibitor; and any promotion of any activities that draw CASC delegates away from the exhibit hall during exhibit hours.

Liability and InsuranceExhibitor agrees to assume all liability for loss or damage to any property of Exhibitor, which Exhibitor may suffer during installation or removal of its booth, or during the CASC 2013 Conference and Trade Show itself by reason of burglary, fire, accident, or any destructive cause. Exhibitor also expressly agrees to indemnify and hold harmless TELUS Spark and Calgary Science Centre and Creative Kids Museum Society and the CASC 2013 Conference, and all officers, employees and agents of the same rom any and all claims, liabilities, losses, damages and expenses that may ensue from accident, injury, fire, theft, or any other cause.

Exhibitor shall, at its own expense, secure and maintain through the period of the Conference and Trade Show, inclusive of move-in and move-out days, commercial general liability insurance to a minimum of $2miilion per occurrence. Upon request, Exhibitor shall provide TELUS Spark and the CASC 2013 Annual Conference with an insurance certificate naming TELUS Spark and the Calgary Science Centre and Creative Kids Museum Society and the CASC 2013 Annual Conference as an Additional Insurer on the Exhibitor’s general liability insurance policy. Although security will be provided, no guarantee of security is implied. Exhibitor retains sole responsibility for its own exhibit materials. In the event the Trade Show is cancelled, the liability of TELUS Spark and the CASC 2013 Annual Conference shall be limited to the money paid by exhibitor for rental of the exhibit booth.

ExclusionTELUS Spark and the CASC 2013 Annual Conference reserve the right to refuse any applicant for exhibit space, as well as the right to restrict or evict any exhibitor that, in the opinion of TELUS Spark and the CASC 2013 Annual Conference, detracts from the general character of the exhibit hall. This reservation applies to displays, printed matter, promotional materials, noise, personal conduct, and method of operation. In the event of such restrictions or eviction, TELUS Spark and the 2013 CASC Annual Conference will not be liable for any refunds or other exhibit expenses. Exhibitors who sell products and services to the science centre and museum community are not allowed to conduct or solicit business during the CASC 2013 Annual Conference unless they have purchased exhibit booth space or sponsored an official event at the CASC 2013 Annual Conference and may only do so within the confines of their exhibit booth space. Violation of this policy may result in CASC’s refusal to accept any and all registrations and future registrations. Acceptance of this contract by TELUS Spark and CASC 2013 Annual Conference shall in no way be construed as an endorsement by same of the Exhibitor or its products and/or services. TELUS Spark and CASC 2013 Annual Conference reserve the right to determine eligibility of exhibitors and category of exhibits. TELUS Spark and CASC 2013 Annual Conference reserve the right to change exhibit hours as deemed necessary to meet conference program needs.

Unavoidable DelayIf, for any cause (except in the case of payment of a sum of money) beyond its reasonable control, including but not limited to force majeure, natural disasters, delays by suppliers, or any government regulation or order, either party is prevented from performing any of its obligations hereunder, that party shall be excused from such performance until such time as the cause giving rise to such prevented performance no longer exists. The parties shall notify each other respectively and promptly of any force majeure.

Notice of Agreement

By agreeing to the Trade Show Exhibitor Registration Form and incorporating these terms of reference, the Exhibitor agrees to abide by these rules and regulations and those of TELUS Spark and the CASC 2013 Annual Conference. This agreement will become binding on the Exhibitor, TELUS Spark and CASC 2013 Annual Conference upon its acceptance by the CASC 2013 Annual Conference.
