The first thing to check is always the Account / Amount Due. Subtracting this amount from the Memo/Authorized Aid Balance should provide you with a reasonable starting idea of the balance, but be careful. As this training will demonstrate, this is only a starting point….

There are a variety of different hold types including:BD (Balance Due), DH (Disciplinary), GD (Gate Loan Default), LF (Library), WC, WU or WS (holds for bad debt write-offs), and others. Checking the hold type can clue you in on whether student’s problem is balance-related.

It is always advisable to give RRAAREQ a quick check to make sure all of the student’s requirements are completed.
As you can see, our example student’s MA No Interest Loan was not memoing in both RPAAWRD and ROARMAN, though RRAAREQ is showing his requirements as completed. In this case you will want to factor in that $1,000 aid into the bill.

Helpful Hints
Always take note of housing and tuition deposits. Since these will only apply to one semester, it is easy to miscalculate when trying to project charges across the year.
Students with year-long TMS plans may miscalculate their budget or have unexpected charges that show up mid-semester and cause their plan to be under-budget. You can always check how much has been paid and is still pending on a plan directly at www.afford.com.

Calculating a TMS budget
• Check TSAAREV for all charges. Be sure to check if student has previously unpaid balance that needs to be included in the budget. If the family wants an annual plan, be sure to double tuition, room, and board.

• Once all charges are added, deduct any payments student has made towards balance. i.e. tuition deposit, housing deposit, check or card payments, etc.
• Check SPACMNT for notes indicating whether the student will receive UPLAN or third party funds and deduct this amount from the total charges.

• Check RPAARSC for any scholarships the student might have.
• Before checking RPAAWRD for aid, check RRAAREQ to make sure student has completed outstanding requirements. For example, if the student has a missing MPN for Stafford loans, those loans cannot be counted as aid, because the student has not completed the process to have them disburse.

• Go to RPAAWRD to check for aid. If plan is for a semester then deduct only one semester worth of aid, if it is an annual plan, deduct all aid student is receiving. Be sure to deduct amounts that already have fees taken out. i.e. a $1,750.00 Stafford loan, will actually pay out at $1,742.00. Be careful not to deduct aid such as Stafford Loans, if the student has not completed all requirements to have them disburse.

Payment Schedule• Payments are due on the 5th of the month. Any late payments that are made before TMS
sends the payment file for the month will be included in that months posting. Payments aren’t posted to TSAAREV until the very end of the month/very beginning of the following month. The dates TMS send us the file containing all payments made for the month vary.

• There are two ways a student can request to adjust their budget. They can call TMS directly and provide them with a new budget.
