TSAAREV can also clue you in on payments that students receive on a regular basis including third party and wire payments. If those payments are missing in the term you are reviewing, keep that in mind; they might be all the student needs to settle their balance.

There are a variety of different hold types including:BD (Balance Due), DH (Disciplinary), GD (Gate Loan Default), LF (Library), WC, WU or WS (holds for bad debt write-offs), and others. Checking the hold type can clue you in on whether student’s problem is balance-related.

Page 19: Calculating Balances in Banner

SOAHOLD

While checking a hold is important, a student with a balance due hold might have other problems such as missing financial aid paperwork or an unsigned payment plan. Because we try to place only one hold on a student at a time, be mindful when removing his or her hold that they might still have outstanding requirements.

It is also a good idea to be mindful of a student’s budget to make sure they are not over-packaged. Be particularly aware of the Resources tab as this will show you outside scholarships not included in financial aid.

RPAAWRD is also the only place where you can see which semester a loan is set to disburse. Any errors with a loan or other aid disbursement on RPAAWRD should be brought to the attention of the student’s financial aid counselor.

RRAAREQ

It is always advisable to give RRAAREQ a quick check to make sure all of the student’s requirements are completed.

As you can see, our example student’s MA No Interest Loan was not memoing in both RPAAWRD and ROARMAN, though RRAAREQ is showing his requirements as completed. In this case you will want to factor in that $1,000 aid into the bill.

You will also want to check Additional Requirements for missing promissory notes. If necessary, double check on COD (Common Origination & Disbursement) to make sure information is linking up correctly.

SGAUSDF

While not vital for calculating a balance, SGAUSDF can be an easy guide to check certain information about the student’s coding.

SGAUSDF will also tell you if a student’s balance is affected by a TMS plan, third-party payer, three-payment plan, WIT dependent coverage, or any other special circumstance.

TSIQACTWith particularly confusing balances, TSIQACT can be used to determine which charges and which payments belong to a given semester.

TSIQACT is particularly helpful when dealing with TMS plans or figuring out why a refund was issued to a specific semester and for a specific amount.

Helpful Hints

Always take note of housing and tuition deposits. Since these will only apply to one semester, it is easy to miscalculate when trying to project charges across the year.

Students with year-long TMS plans may miscalculate their budget or have unexpected charges that show up mid-semester and cause their plan to be under-budget. You can always check how much has been paid and is still pending on a plan directly at www.afford.com.

Page 65: Calculating Balances in Banner

Check on past history of housing and meal plan charges before quoting an anticipated balance for a semester that is not yet on TSAAREV.

Helpful Hints

Health insurance will only apply to students with 9 or more credits. Checking SFAREGF will help confirm that the health insurance charge is accurate.

Calculating a TMS budget

• Check TSAAREV for all charges. Be sure to check if student has previously unpaid balance that needs to be included in the budget. If the family wants an annual plan, be sure to double tuition, room, and board.

Page 86: Calculating Balances in Banner

Page 87: Calculating Balances in Banner

• Once all charges are added, deduct any payments student has made towards balance. i.e. tuition deposit, housing deposit, check or card payments, etc.

• Check SPACMNT for notes indicating whether the student will receive UPLAN or third party funds and deduct this amount from the total charges.

Deductions

Page 88: Calculating Balances in Banner

Deductions (cont’d)

• Check RPAARSC for any scholarships the student might have.

Page 89: Calculating Balances in Banner

• Before checking RPAAWRD for aid, check RRAAREQ to make sure student has completed outstanding requirements. For example, if the student has a missing MPN for Stafford loans, those loans cannot be counted as aid, because the student has not completed the process to have them disburse.

Deductions (cont’d)

Page 90: Calculating Balances in Banner

• Go to RPAAWRD to check for aid. If plan is for a semester then deduct only one semester worth of aid, if it is an annual plan, deduct all aid student is receiving. Be sure to deduct amounts that already have fees taken out. i.e. a $1,750.00 Stafford loan, will actually pay out at $1,742.00. Be careful not to deduct aid such as Stafford Loans, if the student has not completed all requirements to have them disburse.

Deductions (cont’d)

Page 91: Calculating Balances in Banner

After you have made all the deductions, the amount left is your TMS budget. You can now divide that amount by the number of payments in the plan the family chooses.

Once an account has been cancelled a letter is sent to the TMS payer, all coding is removed from the account, a hold is placed on the account and the student has 2 weeks to respond or else a $100 late fee is added to their account.

Budget Adjustment Request

• There are two ways a student can request to adjust their budget. They can call TMS directly and provide them with a new budget. When this happens a budget adjustment request is sent to the school for approval. TMS tells the student that this could take up to two weeks. Once the request has been approved or denied a note will be placed in SPACMNT containing all the details. The second way a budget adjustment can be approved is through the individual student’s billing counselor.
