HABIB BANK LIMITED (HBL) is not an overnight success story. HBL is a BankingCompany, which is engaged in Commercial & Retail Banking and related services domestically

and overseas.It is the prime bank in country established 1942 having a registered head office in Karachi, it was

nationalized in 1947, but recently on 24th

February 2004 it has been privatized by Government of Pakistan and taken over by Aga Khan fund for Economic Development ( AKFED ).They

acquired 51% shares of HBL.

Brief History of the Company: 

Habib Bank Limited was established by Mr. Ismail Habib on August 25, 1942 on the desire of 

Quaid-e-Azam Muhammad Ali Jinnah, father of the nation. It was established with paid up

capital of Rs. 2.5 million. It was the first Muslim bank of sub continent. Quaid-e-Azam first of all opened his personal account.

The first branch of HBL started functioning on 30th August, 1942 at Muhammad Ali Road

Bombay, In 1942, on the desire of Quaid-e-Azam, Habib family migrated to Pakistan and later 

on shifted the Bank's Head Office from Bombay to Karachi on 7th August, 1947 just one week 

 prior to independence, to play its pivotal role in the development of this newly born country. 

At a time when this newly born country was at whirlwind of crises, it was HBL which fulfilled

generously the financial needs of all its sectors, paid salaries to the employees of all Govt.

departments, helped in the establishment of State Bank of Pakistan which the Quaid-e-Azam

inaugurated on July 1st, 1948. HBL after partition opened its branches throughout Pakistan to

  provide finance and other facilities to the business community. In association with HBL, the

Govt. sponsored Pakistan Finance Corporation Limited for financing of cotton. The Bank helped

handsomely in the construction of WARSAK DAM PROJECT, WAPDA, & K.D.A. by provided

finance and other facilities.

Organizational Structure

Any organization needs a structure, which provides a framework for successful operations.

The operation of an organization involves a number of activities, which arerelated to

decision-making, and communication of these decisions. These activities must be well

coordinated so that the goals of the organization are achieved successfully.

A chart defines the line of authority in an organization and its departmentation . It is a sort of visual presentation of the organizational structure. It specifies the duties and responsibilities of 

the personnel of the organization.

 ANALY SIS OF ORGANIZ ATIONAL STRUCTURE 

The purpose of an organizational structure is to help in creating an environment for 

human performance. It is then, a management tool and not an end in its own. Although

the structure must define the task to be done, the rules so established must also bedesigned in the light of abilities and motivation of the human recourse available. By

analyzing the organizational structure of HBL presence of the following elements can be

found in its structure.

Centralized Decision Making

By looking at the organizational structure of HBL would be found that the structure at

HBL is a critical one. All the decisions are made at the top management level and the

subordinates have to obey these decisions. This trend in the decision making shows a

 pattern of rigidity in structure of HBL.

Downward Communication

Communication is the process by which information is exchanged and understood by two

or more people, usually with the interest to motivate or influence the behavior of others in

the organization. Downward communication is the message and information sent from

top management to subordinates in a downward direction. Managers can communicate

downward to the employees through speeches, massages in company publications,

information leaflets, tucked into pay envelops material on bulletin boards, policy and procedure mandates.

The same pattern is followed at HBL. No doubt it is a very traditional approach but it can

create problems because it ignores the receiver of the communication because the issuer 

of policies and procedures does not ensure communication. In reality may the messages

communicated downward are not understood perfectly.

Chain of command

The chain of command is an unbroken line of authority that links all persons in an

organization and shows who reports to whom. By analyzing the organizational structure

it can be found that there is a scalar principle followed with in the Bank because each andevery person knows to whom can one report. The authority and responsibility for 

different tasks and duties are different, as well as every one knows the successive levels

of management all the way to the top.

Information System

Information system is the life blood of an organization. Managers depend upon accurateaccessible and useful information, this requires the information system to be responsive to their 

unique information needs, to empower them to think and act strategically ,develop effective plans, and make decisions that increase their own and their organization¶s competitiveness.

y  Software used by HBL

HBL is enjoying the competitive advantage of vast operational area. There are two types of 

 branches come under HBL network. One type is the online branches whereas other type is batch

 branches (offline branches). So obviously HBL uses two types of different software. All batch branches use SIMEX software whereas online branches use MISYS.

Misys :In HBL Misys Equation is a fully integrated, provide realtime, multi-currency retail banking

solution that helps HBL minimise costs, protect and maximise revenues and react

quickly to changing markets and regulations.

y  Misys Equation.

It Helps HBL by providing an integrated, multi-currency, multi-lingual retail banking system,

with support for all areas of the bank's operation from a single automation platform.

y  For Retail operations, there is a comprehensive set of host retail applications and support

for relationship banking. Retail branch automation is provided by the Equation branch

 banking platform. Equation can also be interfaced to ATM and point-of-sale networks, to

electronic banking systems and to clearing systems.

y  For Corporate Banking, support for banking services is complemented by commerciallending, efficient payment processing and a sophisticated trade finance application.

y  For Treasury operations, the system handles foreign exchange, money markets, interest

rate swaps, and marketable securities.

Thus Equation provides an unrivalled set of applications and interfaces to support the whole

range of retail banking operations.

y  Misys Desktop

Misys Desktop is more than just another Graphical User Interface. In HBL, It gives the user a

user-friendly, thin-client framework that allows rapid deployment across multiple sites. The

system is multilingual and increases productivity by providing faster input,a reduced learningcurve for new users and Improved search facilities. It lets you personalise the desktop screenlayout so you can include your own logo and set up links to search engines, e-mail and your own

corporate web-site. And it lets you to keep your current security and menu or option definition,including any user-defined function keys.

y  Misys Cashier system

In HBL Cashier System supports teller operations that include:  Customer and account opening. ( provides the profile of customer and computer based

account opening form )

  Transaction processing. ( record all the transaction incurred in a specific account )

  Enquiries. ( Previous transactions or bank statement of individual )

  Foreign exchange and travelers Cheques. (Provides rates of foreign currency and

exchange rates )

  Commission payments and transfers.

  Cash and cheque deposits and withdrawals; ( Gives information on the statement that

how much money has been deposited/withdrawal, when deposited/withdrawal and whichchannel has been used for transaction.

y  Misys Relationship manager.

In HBL the Misys Relationship Manager module supports the interaction between the customers

and staff. It provides a customer-session basedsystem with tools that rapidly:

+ Identify customer relationships.+ Manage contacts.+ Maintain a log of actions.

+ Provide workflow management; and+ Display bank definable product information.

y  Misys Internet Banking.

In HBL Misys Internet Banking module provides an integrated internet banking solution for both

corporate and retail customers. It enables clients to manage their accounts 24/7 and gives themthe efficiency of optional straight through processing. By online banking, the customers of HBLcan get their band statement through internet by loging-in on HBL website, they would be able to

check their account balance and also would be able to transfer funds through internet.

y  Misys Co-Sign.

Co-sign handles the storage and retrieval of signatures and photographs. It supports all signingrule from simple joint accounts with dual signatures, to complex corporate accounts where

mandates include specific criteria. All maintenance, including scanning images, can be donecentrally or in branch.

³SYMBOLS´ Banking Software 

HBL being ranked in top five banks of Pakistan is quite possessive about its online system andwas using very good banking software ³MIBS´ ± Multi Currency Inter-branch system. This banking software fulfilled all the weaknesses of previous system and had very strong reporting

features. But it had a major flaw too that can hampers the growth of bank i.e. It¶s not a real time banking software

With the passage of time banking became more and more service oriented. Now days all banksespecially foreign banks provide real time banking services, So HBL being quite aggressive in its

operations again took first step towards it and purchases ³SYMBOLS´ banking software fromSingapore Company ³System Access´. Symbol¶s is internationally recognized and well

renowned banking software especially for its multi system and for providing wide range of

HBL after providing training to staff (region wise) starts its installation in all branches from2005. SYMBOLS is an integrated customer centric solution for Retail and corporate banking,

designed to support small, medium or large branch networks in personalized delivery of all banking products and services to all kinds of banking customers. It enables all services related to

current accounts, savings accounts, term deposits, and customer lending.

System Features:

Multi-branch functionality is one of the prominent features of the system. Customer does not

have to physically go to the µhome¶ branch to do a transaction; any SYMBOLS branch would provide the desired services, in addition to the available e-banking facilities.

SYMBOLS multi-branch system allows customer of one branch to go to any of the SYMBOLS

  branch to avail related services. There are multiple one-time parameters that are centrallyincorporated into a specific module of the System according to Bank¶s requirements. Symbol¶s

Kernel (FM) module is a central repository of programs, business rules and enterprise-widereference data such as: Customer information (name, contact details, classifications etc),

Customer. The bank remains focused on using technology for improving customer servicesstandard and expanding the range of products being offered and other technology based solutions

What Is A Management Information System?

Definition:

  Management Information Systems (MIS  ) is the term given to the discipline focused onthe integration of computer systems with the aims and objectives on an organization.

   A management information system (MIS) is a system that provides information needed to manage organizations effectively [1]. Management information systems are regarded 

to be a subset of the overall internal controls procedures in a business, which cover the

application of people, documents, technologies, and procedures used by management accountants to solve business problems such as costing a product, service or a business-wide strategy.

The development and management of information technology tools assists executives and the

general workforce in performing any tasks related to the processing of information. MIS and

  business systems are especially useful in the collation of business data and the production of reports to be used as tools for decision making. 

MANAGEMENT INFORMATION SYSTEMS AT HBL

Information Technology:

We use the term information technology or IT to refer to an entire industry. In actuality,

information technology is the use of computers and software to manage information. In somecompanies, this is referred to as Management Information Services (or MIS) or simply as

Information Services (or IS). The information technology department of a large company would be responsible for storing information, protecting information, processing the information,

transmitting the information as necessary, and later retrieving information as necessary

Management Information System:

Management Information Systems at HBL are where people plan, develop, use, manage, andstudy computer-based information systems in organizations. Management information system

 provides information to support decision-making by mangers. MIS at HBL provides reports anddisplay to managers. The major software used in HBL is Misys. This software helps the

managers to get information about the situation of bank by providing them periodically reportsand make them aware about the situation of each and every sector of bank.

Benefits of MIS in HBL 

The field of MIS can deliver a great many benefits to enterprises in every industry. Expert

organizations such as the Institute of MIS along with peer reviewed journals such as MISQuarterly continue to find and report new ways to use MIS to achieve business objectives.

Every market leading enterprise will have at least one core competency ± that is, a functionthey perform better than their competition. By building an exceptional management information

system into the enterprise it is possible to push out ahead of the competition.In HBL, they have acquired Misys system before any other bank in Pakistan.This software has

given a stretigic edge to its competitors. The software just needed data as input and providedinformation in the form of report as output to the relevant department and become a MIS system

for Habib Bank. This MIS system provides the tools necessary to gain a better understanding of the market as well as a better understanding of the enterprise itself.

Every organization keeps its database and structure of one organization is different from other.

Big organization has different structure than the organization having smaller in size.

y  There is Main server called Phoenix in regional branch blue area where all data is stored.

y  Main server remains active 24 hours in a day.

y  The main server is the intelligent server which automatically performs the actions on the

data sent by the branch.

y  It tells the real time position of the account .e.g. ATM

Security Management of an Organization

Habib Bank, Pakistan's largest banking group, signified its renewed commitment to building itsIT infrastructure to deliver growth and improved services to its customers across Pakistan andacross the globe.

Moving towards this goal, Habib Bank selected Symantec Client Security and SymantecEnterprise and Corporate Anti-Virus Solutions for roll out across 3300 users in the organisation

in partnership with IBM Pakistan and IOP.Habib Bank has long been acknowledged as a leading player in Pakistan's service industry. From

 being the first company in Pakistan to install a mainframe computer, to installing the first ATMmachine in the country, their focus on the importance of IT has underlined their growth.

Banking sector that gives you services conveniently, 24-hour account access security is very

important factor and protecting your personal information it is very big task now a days.

In HBL there is a scanner with the main server which scans the thumbs of the desired person and

allows them to access. Only branch manger and IT persons have the access to work with server.

Besides this there is a separate ID and password for each employee using the computer given by

the authority so that without this they cannot use the computer.

y  For online banking HBL use Secure Socket Layer (SSL) in order to protect your information

and help them to save it confidential.
