Use of Bulletin Board

Allows for communication with Maximo usersYou can use to inform the users about:

Outages Planned service campaigns Training Procedure changes or new instruction but also about Changes in Maximo

For example the need to update Start Center because the template was changed

New report or Planned server restart

Creating new message

Following information has to be entered: Mandatory values

Short description visible on the records list Message body Post Date – date when the message will be visible in the

bulletin board. This can be future date allowing to define the message on Friday, which will be visible starting Saturday

Expiration Date (must be greater than Post Date) – indicates when the message will be removed from the bulletin board

Optional values It is possible to limit the visibility of the message to selected

group of users using the tabs: Organizations, Sites, Person Groups (to one or more organization/site/group respectively)

To limit the audience one of the buttons New Row or Select Organizations/Sites/Groups should be used

Note: if no organization, site or person group is specified, the message will be visible to all Maximo users

Approving message The message by default has status DRAFT Draft, which

means it was not published yet Only changing the status to APPR Approved displays the

message in the bulletin board (but after reaching Post Date)

Information about new messages

New messages are presented: In Bulletin Board portlet on the Start Center as list

of records (short description of the message is visible) On navigation bar as number of unread messages

Reading messages

You need to click the indicator on navigation bar or message on the list to open message details Opening of the message is by default equal to reading its

content (see next slide), the number on unread messages is decremented by one

The messages are sorted descending i.e. newest ones are on the top of the list

Viewed columns allows for record filtering: N – unread Y – read No value – all messages

Defining how messages are displayed

Once the message is opened, the Viewed column changes from N to Y. This record will no longer appear on the list

System property PMBBISTRACKED can be set to N, which will turn off the above mechanism. The message will be visible on the list until reaching its expiration date

Deleting expired messages

By default, the expired messages are not removed from the system

They can be removed manually or automatic mechanism can be turned on: System property mxe.crontask.deleteBB should be

changed to 1 You need to configure the escalation ESCBLTNEXP:

Add EXPIREDATE field in Escalation Points section. You can enter optional values Elapsed Time Interval and Interval Unit of Measure to delete messages after specified interval

Cron task

BBCron cron task is responsible for displaying approved and not expired messages for logged inn users
