Built an AI Driven SaaS Application for Fiduciary Our client FAI’s nature of business involves using the experience and knowledge of fiduciary experts to leverage AI, which helps fiduciaries operate more efficiently. We built a system for fiduciary professionals that uses Artificial Intelligence services to protect against fiduciary risk. It does this by providing an automated, audited record of the meeting combined with a documented governance structure that allows participants to see draft minutes of their fiduciary meeting immediately upon conclusion of a board meeting. Problem Statement

It takes roughly 9 months for a hedge fund manager to prepare the minutes of meeting for an annually recurring meeting. This was a very time consuming process and affected the productivity of the Fiduciary employees.

Business Requirements

End ObjectiveTo provide a meeting solution which reduces manual effort i.e. meeting scheduling and meeting minutes preparation, so that more focus can be paid to actual financial discussions.

Key RequirementsThe key tenets of this solution were:

User should be able to create committee level meetings and invite committee members to

those meetings.

User should be able to create, organize, and assign meeting agenda items to committee

members who act as owners to the assigned agenda items.

User should be able to upload or prepare resolutions before or during the meeting for the

agenda items.

Agenda owner should be able to respond to the questions asked by AI which are related to

the agenda.

Meeting attendees should be able to vote individually over discussion items.

Solution Approach

Our Solution StructureThis is a SaaS application for running Fiduciary meetings. Organizations can sign up and setup committees for various portfolio types. They can invite other members to join these committees and can plan the meetings. They can collaborate over the agendas. Once the meeting is planned and agenda finalized they can run the meeting. The meeting is conducted via an AI Engine which facilitates the meeting workflow.

The AI Engine conducts roll call to begin the meeting. A question and answers is carried out for each agenda item, using these responses meeting minutes are generated. Voting is conducted and resolutions are read and prepared with the help of AI. Next meeting is planned and scheduled at the end of the meeting.

Solution Dynamics and Interactions

The app uses a Django server for backend. For the meeting room, clients connect to IBM Watson Services such as Speech To Text(STT) and Text To Speech(TTS). The AI Engine gathers user response and communicates with IBM NLU and Watson Knowledge Studio to generate minutes summary. WKS contains the domain specific model trained to identify entities from user response.

User InterfaceThe application primarily uses Django templates for the UI and React for the meeting room.

Business OutcomesWith this application we have reduced the time taken to prepare the MOM for an annually recurring meeting from 9 months to a day. This application also provides tools to manage scheduling, planning and conducting of Fiduciary meetings.
