7. New Business a. Region 4 Minutes & Scholarship Awarded to Austin Chapter (ATTACHMENT C) b. Holiday Party – Board Planning Committee Everyone should begin looking for locations for

December 3, 2013.. We usually have a turnout of 35 to 40 People c. Small Firm Administrators Group For firm’s of 20 attorneys and under. There are currently 17

members. Their group is successful, but they have had problems finding a place to meet. Karie arranged for them to use Austin Bar Association room.

COMMITTEE REPORTS

Business Partner Relations Committee – James Cornell

We will be sending a Save the Date email out to our Business Partners this week for the August 22

Summer Educational Seminar and Legal Expo.

The Business Partner Relations Committee will be meeting soon to begin discussing a theme for this

event and to get assignments rolled out. We will also schedule and host a Business Partner Advisory

Committee Meeting to get feedback from a group of our Business Partners. This feedback will be

incorporated into this year’s Expo.

We need to schedule an Austin ALA Board Meet & Greet with our Business Partners. I will discuss dates

and ideas for this event at our Board Meeting. It will be held on June 4th, 8:00 to 9:00 AM, at 401

Congress.

Community Relations Committee – Joan McClendon

Several chapter members enjoyed a beautiful spring morning this past Saturday, May 11th, working on

the Urban Roots farm under the watchful eye of our UR youth interns who led the work crews. Along

with other volunteer groups that day we harvested over 700 pounds of produce and pulled at least

three times that much in weeds. We had a good turnout in spite of the previous day’s downpour and no

one left unmuddied. Debbie will have photos to follow in the next newsletter.

Another meeting via conference call of the Community Relations Committee will be scheduled soon.

Compensation & Benefits Committee – Andrew Molnau

We have three new members: Deb Krutsinger Allen Odom Joan Cunningham And welcome back three previous members: Elaine Nielsen Kerry Stigler Andrew Molnau Hope to go live with the survey after the July 4th holiday and published before Labor Day, this is

about a month earlier than last year.

Education & Program Committee – April Stanaland

Recap - April Lunch & Learn Monthly Luncheon with Billy Baschnagel on the Medicare Puzzle: We had 22 members attend, 21 evaluation forms were submitted. Speaker overall rating was 3.79.

May Lunch & Learn Monthly Luncheon on 5/23/13 will be Mark O’Leary of Frost Insurance on Healthcare Reform, What you need to know now.

August 22, 2013 Summer Educational Seminar and Expo at the Hilton. We are working on potential speakers for this year’s program, which will be like last year – two separate rooms, running two concurrent sessions, offered morning and afternoon. James has talked to Susan Burton, an attorney with his firm, about being one of our speakers – topic is employment law. We are exploring possibilities for the second speaker.

Education & Program Committee met on May 2 at noon. Committee members are James Cornell, Summer Jurrells, Diana Stangl, Teresa Tipton, Kennon Welch and myself. Overview of meeting:

o Topics and potential speakers were discussed. Social Media, Marketing. Advertising & Risks Associated, Wellness Program, Voice to Text, Practice Management Systems (cloud computing, network security, disaster recovery, business continuity), Budgets, Back to Basics, Leadership, Time Management, State Bar Updates, Staffing and Cross-Staffing.

o We also discussed the importance of offering sessions that offer CLM credits and meet ALA subject areas of knowledge.

o Everyone took an assignment on contacting different folks with our ultimate plan to have speakers identified and engaged for the rest of the year (June thru March 2014) ASAP.

o I mentioned the Education & Program Committee may not be responsible for the annual Holiday Party in years past. We had a brief discussion on past parties and how fun they are; we also had an idea of having the party at a bowling alley and in lieu of a CD or movie exchange, members bring canned goods for CAFB, new toy for Blue Santa or something for a group Community Relations is targeting.

Membership Committee – Christine Giles/Shary Gonzalez

The Chapter Renewals are almost complete. Currently we have:

o 82 current members. (Keith Gard has not renewed his ALA membership so we will

have to drop him from our membership and refund his dues until he renews his

national dues.)

o Brenda Segovia has not renewed but we are not sure she is still in the field.

We have one new member since the last meeting.

o Melissa Taylor, Office Manager, Law Office of Christine Andresen. Has anyone

contacted her for a lunch?

New member recruitment:

o Cissy Rico, The Mundy Firm: I am bringing her to the next monthly luncheon as a

guest.

o Desiny Villarreal, Office Manager, Beaty Bangle Strama: After she came to lunch

with Shary says she plans to join. Will follow up if I have not heard from her soon.

o Pete Gomez, Harris & Harris. Harris& Harris is in the process of shutting down. He

told Shary he will probably join as an associate member. I left another message for

him to follow up.

o Michele Roberts, Personnel Coordinator, Morgan Adler Buxton Jetel: Left message

for her but she hasn’t called me back yet. Will follow up with an email if I don’t hear

from her soon.

o Shelly Drablos: Chrissie is bringing her as a guest to the next luncheon.

o Diana Stangl thinks she has a promising candidate and is working with them.

Future:

o Meeting in May to begin planning for recruitment. Your suggestions are very

welcome.

Debbie Roan sent a link of a sample we might consider for our interactive membership

brochure.

Past Presidents Advisory Counsel – Ann Jacobsen

PPAC’s only formal task this term is to facilitate the 2014 Chapter Award submissions. Since there is so

time until that task is underway, I am assisting Karie and Kelly with the selection of a speaker for the

Chapter’s Retreat which is scheduled the weekend of September 13-14 at Lost Pines in Bastrop. We are

still gathering information on potential speakers and topics but hope to have this task completed within

the next two weeks.

Website Committee – Amanda Koplos

Amanda wants Board members input on what we want to see on the website. A couple of good

websites to look at as examples are the Atlanta Chapter and the Seattle Chapter. Some suggestions are

a job bank and listserv.

Minutes Region 4 Council Meeting

2013 Annual Conference & Exposition National Harbor, Maryland

April 14, 2013 Attendees: Greg Madden, Region 4 Director Stephen Dempsey, CLM, Outgoing At-Large Director for Region 4 Andrea Everage, Outgoing Education Officer Shari Doidge, Outgoing Business Partner Relations Officer Brenda Homan, Communications Officer Tracy Spore, CLM, Incoming Communications Officer Grover Brittain, Incoming Education Officer Linda Broomell, CLM, Incoming At-Large-Director for Region 4 Fifteen ALA members representing nine chapters were present. The Utah, Fort Worth, and Tulsa Chapters did not have a representative at the meeting. Mr. Madden also discussed the importance of taking the information from the Regional Council Meeting back to their respective chapters. We're Glad You're Here The team members introduced themselves and provided the attendees with a short description of their position. Attendees were reminded to collaborate with Ms.Homan on all Business Partner needs. Ms. Spore discussed how chapters should communicate chapter news and send photos to the Region and ALA. Ms. Spore also reminded attendees about the ALA Conference App and free WiFi in the Conference Center to enhance their conference experience. Mr. Brittain provided detail on communicating educational session information to the Region. Ms. Broomell covered the ALA Update with the attendees.

Mr. Madden facilitated an idea exchange with attendees to discuss the initiatives planned for the coming year in their chapters.

New Mexico - Recruiting new leaders for the chapter Dallas - Peer Connection program changes New Orleans - membership drive, suggestion box at meetings Arkansas - membership drive, increasing guest invitations, monthly community service activity Austin - membership drive, new member lunches, seeking new member involvement for

committees, phase II website Alamo - membership drive, create a chapter brochure OKC - community service events quarterly, past presidents reactivation program (B.O.B.), joint

event with Oklahoma Bar Association event Houston - Revamping website, social media and list serve capabilities, membership committee

revamp, Mile High - Membership drive, bar relations, communication plan throughout the chapter

Ms. Bloomell discussed Chapter visits, sharing information with Focus Chapter liaisons on the Regional Management Team (RMT), and reaching out to RMT officers for help. Region 4 Educational Conference & Exposition Highlights Mr. Brittain covered plans for the upcoming Region 4 Conference & Exposition. Mr. Madden highlighted the Business Matters sessions at the conference. Mr. Madden also highlighted the "How To" nature of the conference and opportunities for seasoned administrators. Attendees received a "teaser" handout outlining the tentative schedule of educational sessions. Monty Morton, the Host Chapter Liaison for the Conference and member of the New Mexico Chapter, provided additional information about New Mexico and Albuquerque. Mr. Morton also highlighted some events taking place in the area around the time of the conference. Mr. Madden reminded chapters to make door prize items for the conference. Austin and New Orleans Chapters were awarded scholarships to Region 4 Conference & Exposition. Mr. Madden announced that the Region 4 Volunteer Award is being renamed to the Susan French Region 4 Volunteer Award. Searching for Our Leaders Mr. Madden covered the many volunteer opportunities available at the Regional and ALA levels. He highlighted the ALA Nominating Committee and Regional Nominating Committee opportunities. Mr. Madden provided a leadership presentation outline to encourage chapters to provide a session about Association volunteerism. Getting to Know You The RMT members met with their Focus Chapters to discuss Chapter Performance Objectives, the Presidents' Award of Excellence & Chapter Awards, and an overview of the timeline for the year for communications and reporting to the Region.
