Introduction to Portal SharePoint and SharePoint Servers This section introduces Portal SharePoint and the different available SharePoint Server

What is a Portal

A portal is a central place for making all types of information accessible to an audience of varying range In other words it provides a single point of access to aggregated information The portal concept has been applied to general audiences on the Web referred to as Internet portals or organization-private Web sites referred to as Intranet portals While all of this terminology may seem daunting at first the principles behind portals are relatively simple The primary goal of most portals is ease-of-use Besides having a single point of access a virtual front door portals generally try to provide a rich navigation structure Portals using Web pages for their user interface will for instance often include numerous hyperlinks on the front page An example of an Internet portal is the msnbccom MSNBC contains many elements one expects from a general-purpose portal including featured content numerous hyperlinks search capability stock quotes and customization based on user locale




An example of an Intranet portal is the Business Objects Customer Assurance BIP portal It contains a dashboard depicting weekly success measures access to the different BIP functional groups and sites and other navigation options to useful information including a search facility




What is a Webpart

A Web Part is a modular and reusable component that can be placed into a portal web page It consists of information organized using a title bar a frame and content Web Parts provide functionality ranging from document storage to complex data entry forms to discussion forums BIP Weekly Success Measure is an example of a webpart on the BIP Portal

Overview of SharePoint SharePoint is the Microsoft implementation of a Business Portal SharePoint sites are dynamic and interactive mdash members of the site can contribute their own ideas and content as well as comment on or contribute to other peoples ideas They dont have to use a complicated Web publishing process before they can post a document or make an announcement By default your SharePoint site includes a default home page with space for highlighting the information important to your group and several predefined pages for storing documents ideas and information so you can start working right away Your site also includes navigation elements so you can find your way around This tour covers the default site template the team site template




The home page of your site is your starting point It contains the Quick Launch bar views of the Announcements Events and Links lists and the name and description of your team Web site

Quick Launch bar The Quick Launch bar contains hyperlinks to specific pages on your SharePoint site Whenever you add a page to your site you have the option of including a hyperlink to that page on the Quick Launch bar

Announcements The Announcements list is a place to post important information for your whole team such as an announcement about an upcoming symposium or a reminder to bring a potluck item to the lunch tomorrow The five most recent announcements in the Announcements list are displayed on the home page by default You can also click the Announcements list heading to go to the full list of announcements When you create your SharePoint site a built-in announcement is displayed automatically You can edit or delete this announcement as desired and add your own announcements from either the home page or the Announcements page




Events The Events list is intended to help you communicate about your teams events mdash whether those are meetings key deadlines or work schedules When you create your SharePoint site this list is empty You can add your teams events to the list

Links The Links list is intended to include hyperlinks to your teams favorite Web pages or sites (such as your organizations Internet site) When you create your site this list is empty

Advantages of SharePoint

There are many different portal products available in the market today SharePoint has its own niche when compared to other Portals Here are few of the reasons why - SharePoint is easy to install and configure - The interface is user-friendly - Being a Microsoft product its integration with Microsoft Office is transparent - A number of templates have been made available by Microsoft to administrators for

download - There is tremendous support for SharePoint from software vendors For example you may

find that your accounting software already has a number of SharePoint Web parts available allowing you to slot in a Web part to display account balances or customer information

Different SharePoint Servers

SharePoint Team Services 10 and SharePoint Portal Server 2001 SharePoint Team Services 10 and SharePoint Portal Server 2001 were the original versions of Microsoft SharePoint Products and Technologies released in 2001 Based on customer feedback and the experience of developing the 2001 version of SharePoint Products and Technologies Microsoft designed the next generation ndash SharePoint Services 20 and SharePoint Portal Server 2003 Windows SharePoint Services 20 Windows SharePoint Services 20 is a collection of services for Microsoft Windows Server 2003 that you can use to share information collaborate with other users on documents and create lists and Web Part pages You can also use Windows SharePoint Services 20 as a development platform to create collaboration applications and information-sharing applications SharePoint Portal Server 2003 SharePoint Portal Server 2003 is a scalable enterprise portal server that is built on Windows SharePoint Services 20 You can use SharePoint Portal Server 2003 to aggregate Windows SharePoint Services 20 sites information and applications in your organization to a single portal Because SharePoint Portal Server 2003 requires Windows SharePoint Services 20 all features of Windows SharePoint Services 20 are available in SharePoint Portal Server 2003 In

Windows SharePoint Services 20 is installed with the install of Microsoft SharePoint Portal Server 2003 Windows SharePoint Services 30 Windows SharePoint Services 30 is the newer version of Windows SharePoint Services 20 SharePoint Portal Server 2007 Microsoft Office SharePoint Server 2007 is a new server program that is part of the 2007 Microsoft Office system Here is a list of few of the new features available in Microsoft SharePoint Portal Server 2007 - WIKIs

A wiki is a new site template that makes it easy to create edit link and restore an individual Web page Wikis can be used as creative forums to brainstorm ideas manage knowledge bases create designs as well as instruction guides or simply gather information in an easy-to-edit format Wikis are easy to create modify and annotate in addition to tracking contributions and changes Wikis leverage existing SharePoint functionality including search navigation alerts and custom fields

What is a Portal Integration Kit




A portal integration kit provides generic web parts that can be used with any commercial or homegrown portal It is a software package which provides an interface between a Business Portal and various Applications Business Objects has various versions of Enterprise applications and provides a SharePoint Portal Integration Kit for each version of Enterprise All BusinessObjects PIKs provide the following core functionality out of the box

- Single-sign on from the EIP to your BI content - A document list web part to provide access to corporate documents personal

documents inbox documents and a search capability - Document viewing to display BusinessObjects and Web Intelligence documents Just

like with standard InfoView users can save documents in Adobe Acrobat (pdf) format and as fully formatted Excel spreadsheets and they have full analysis capabilities

- Favorite Document web part by adding multiple instances of this web part to a page users can create dashboard style views of their most important BI resources

Business Objects provides SharePoint Portal Integration Kit for Crystal Enterprise 10 BusinessObjects Enterprise XI Release 1 and BusinessObjects Enterprise Release 2 which can be installed on a server hosting Windows SharePoint Services 20 or Microsoft SharePoint Portal Server 2003 The SharePoint PIK gives the ability to view Crystal Reports Web Intelligence Documents Desktop Intelligence documents Analytics Microsoft Office and PDF documents amongst others via web parts provided as part of the PIK available for BusinessObjects Enterprise Release 1 and Release 2 available for BusinessObjects Enterprise Release 2 only

Pre-requisites for Installation

Installing Windows SharePoint Services 20

Windows SharePoint Services 20 is available for free download httpwwwmicrosoftcomdownloadsdetailsaspxFamilyId=B922B28D-806A-427B-A4C5-AB0F1AA0F7F9ampdisplaylang=en System Requirements Supported Operating Systems Windows Server 2003 Server hardware

bull Intel Pentium III-compatible processor bull 512 megabytes (MB) of RAM bull 550 MB of available hard disk drive space

Server software One of the following operating systems

bull Microsoft Windows Server 2003 Standard Edition bull Windows Server 2003 Enterprise Edition bull Windows Server 2003 Datacenter Edition bull Windows Server 2003 Web Edition

A Web application server with the following components

bull Microsoft ASPNET bull Internet Information Services (IIS) 60 with World Wide Web Service




To begin the install run stsv2exe

Accept the terms in the license agreement to proceed with the install You can either choose to perform a typical install or a sever farm one Typical Install SharePoint Services are installed on the default web site No additional configuration is required




Server farm Install If you choose to opt for the server farm option ndash after the install you have to manually set up the SharePoint Database instance and the sites Unlike typical install which install MSDE for server farm install you need an existing SQL Server database you can connect to (Steps on how to configure are on page 17)

After you have made the selection to perform a typical install or in a server farm click on the next button and go through the following steps




If you opted for lsquoTypical installrsquo after the install launch httpservernamedefaultaspx you should be able to view your SharePoint team services home page




Additional Configuration with lsquoserver farmrsquo option If you opted for lsquoServer farmrsquo install once the installation is done yoursquore routed to the ldquoConfigure Administrative Virtual Serverrdquo page The following few screens will take you through the steps on creating SQL database instance and a SharePoint site Select ldquoUse an existing Application Poolrdquo Select ldquoNTLMrdquo as the security model instead of Kerberos (you may select Kerberos if you want that configured) Select OK Note Make sure you have access to an exiting MS SQL Database and have the lsquosarsquo account and password ready




The next screen asks you to do an IIS reset Go to start run and type iisreset and hit enter Select Ok Create and configure the database that WSS will use See diagram below Select SQL authentication enter the lsquosarsquo username and password for your SQL Database Click OK




Now go to IIS Manager and create a new web site Right click on the Web sites folder and select new web site Enter a description (ie Compuwarehouse) Click Next Change the TCP port from port 80 to some other port number (ie 5003) Click Next Point it to the web sitersquos home directory (ie Ccompuwarehouse) Click Next Select Read and Execute permissions for the Web Site Access Permissions Click Next and then Finish

Go back to WSS Central Administration (ie httplocalhost8596defaultaspx) or go to Start-gtPrograms-gtSharePoint Central Administration page to extend the virtual directory

Click on Extend Virtual Server Select you new web site (ie Compuwarehouse)




Click on Extend and create a content database

Select ldquoUse an existing application poolrdquo Fill in a bogus email address and select NTLM security and then click OK




Click OK as the Virtual Server has been extended

You should be able to access the WSS home page now by going to ndash httpservernamexxxxdefaultaspx




Installing SharePoint Portal Server 2003 Microsoft SharePoint Portal Server 2003 install is fairly easy You can get the installation files from vanpgsoftwarerdcrystaldnetsoftwareMicrosoft System Requirements Supported Operating Systems Windows Server 2003 Server hardware






Run setupexe



















Enter all the required fields







Next step is to create a portal

Install on a non-default website




Click OK to create the portal site







Installing SharePoint PIK on WSS 20 or MS SharePoint Portal Server 2003

Download CE10 Portal Integration kit - httpwwwbusinessobjectscomproductsdownloadcentersharepointdefaultasp Download XI Release1 or XI Release 2 - httpbusinessobjectssubscribenetcomXI Release 1 install can also be found on the XI R1 Installation CD To start the install run setupexe

Accept the License Agreement to proceed with the install




Enter the URL to the virtual server where the Web part package should be installed (best is to leave this blank if the install is on the non-default website doing this will make the web parts available for all virtual servers) You can choose of overwrite any existing web part packages (never seen this work perfectly)

The following screen is relevant for CE10 only where you will be prompted to enter the CMS name as well as the WCS name Also specify the type of authentication you want to be used by the web parts to connect to the CMS These options can later be changed by modifying the SharePoint webconfig




For BusinessObjects Enterprise XI Release 1 and Release 2 enter the name of the CMS and the authentication type you would like the web part to use to connect to the CMS These settings can later be changed by modifying the SharePoint webconfig




The following two screens will only appear for BusinessObjects Enterprise XI Release 1 or Release 2 PIK ndash where you can choose either the NET or Java Infoview when using web parts and the server hosting the selected Infoview Make sure to enter the port number with the Java Application Server name when choosing Java Infoview




Click next and follow the installer through the rest of the install




The PIK is now installed To confirm the install go to httpservernamedefaultaspx and choose lsquoModify Shared Pagersquo lsquoAdd web partsrsquo lsquobrowsersquo




Under lsquovirtual server galleryrsquo you will be able to view the web parts added by the SharePoint PIK install




Configuring SharePoint PIK on WSS 20 or MS SharePoint Portal Server 2003

After the PIK kit has been installed and you have verified the install by browsing to the web parts you can proceed to make any changes to the information specified during the install The entire SharePoint PIK configuration is stored in the webconfig file under the cinetpubwwwroot folder If the install is on a virtual server other than the default website you have to add certain tags to the webconfig of the non-default website In which case the webconfig you will be changing will reside under the home folder of the website The following are the tags which need to be added after the ltsystemwebgt tag for CE10 ltappSettingsgt

Portal Integration kit for SharePoint Portal Server 2007

Business Objects provides SharePoint Portal Integration Kit for SharePoint Portal Server 2007 with Business Objects Enterprise XI Release 2 Service Pack 3


Following are the pre-requisites of installing the SharePoint Portal Integration Kit for SharePoint Portal Server 2007

bull Internet Information Services bull Microsoft SharePoint Portal Server 2007 (32 bit) ndash we do not have support for the

SharePoint portal Server 2007 64 bit bull BusinessObjects XI R2 NET SDK bull BusinessObjects XI Release 2 Service Pack 3 (Note You will need to meet the

minimum requirements of R2 SP3)

Installing SharePoint Portal Server 2007 Before you install SharePoint Portal Server 2007 you will need to make sure you have the following requirements met

bull NET Framework 20 (you will need NET Framework 30 for Windows workflow foundation version 3042032 so you can directly install Framework 30)

bull ASP NET v 20 needs to be set to lsquoAllowrsquo in the list of IIS web server extensions




Start the setup by running setupexe




Choose the lsquoBasicrsquo install option







When prompted reboot the machine Once the machine is rebooted launch the lsquoSharePoint Product and Technologies Configuration Wizardrsquo










After the self configuration wizard is finished the SharePoint home page will launch automatically

You can now go ahead and add new site to the SharePoint Server if you wish to This can be done by clicking on the lsquoSite Actionsrsquo buttons on the SharePoint homepage and selecting the Create Site option follow the wizard Note By default SharePoint Server 2007 is installed in a new web site which runs on port 80 The Default web site is lsquostoppedrsquo after the install The home directory for the SharePoint site is CInetpubwwwrootwssVirtualDirectories80 ndash This is the site users access by going to httpsharepointservername SharePoint has a separate website for administration which runs on a different port

Installing SharePoint PIK The next step after the install and configuration of the SharePoint Office Portal Server 2007 is to install the SharePoint Portal Integration Kit This Kit can be downloaded from the support site at httpwwwbusinessobjectscomproductsdownloadcenterboepikasp Install Business Objects NET SDK In order to install the PIK you need to first install the NET SDK from the Business Objects XI Release 2 media







You can choose to do a client install and install all the client tools including the NET SDK or a custom server installation ndash and choose just the NET SDK In this example we choose the custom server installation

Crystal Report View

bull Only displays Crystal Reports bull The web part comes with a viewer and a built-in toolbar that can be used to perform

a number of report-viewing activities such as navigating pages selecting parameter values and so on



















Document View

bull Enables users to view the information in any supported document type from within your SharePoint portal

bull When a user selects a document which is either a crystal report Desktop intelligence document or a web intelligence document it is opened in the web part itself

bull A document that is in a different format (for example a Word document or a PDF) then that document will open inside its corresponding program (Microsoft Word and Adobe Acrobat)

Troubleshooting SharePoint Portal Integration Kit The following troubleshooting tips are consistent amongst the various versions of SharePoint Portal Integration kits

Installation issues In order to avoid any installation issues make sure

bull NET SDK is installed on the SharePoint server prior to installing the SharePoint Integration Kit

bull The account running the install should be member of the local administrators group if not the local administrator account

bull The account running the install should have access to write to the SharePoint Database since the web parts information is written to the database

bull If you are installing on a SharePoint server hosting multiple websites and the install fails on choosing a specific website install on all websites To accomplish this during the install when prompted to select the SharePoint virtual Server on which you wish to deploy the SharePoint web parts on leave the value blank This usually happens when you are trying to install Portal Integration kit on the non-default website

Login issues

The second most common issues that are encountered with SharePoint PIK are login issues Most of the times the error messages are self-explanatory Here are some tips on login issues

bull If you are using single sign on with the Portal Integration Kit make sure SSO is configured and works with the Enterprise Infoview Test this by opening up a browser on the SharePoint server and connecting to BOE Infoview Make sure SharePoint IIS server has integrated security enabled and the browser you are using to connect has lsquoAutomatic logon with current username and passwordrsquo selected under user authentication section in IE settings

bull Try to log on using Enterprise authentication You can enable this in the webconfig for the specific web site you are hosting the SharePoint Portal Integration Kit on

bull Prompt the user for logon by modifying the prompt property in the webconfig for the SharePoint PIK website

bull Login issues can also be caused by incorrectly configured firewalls Make sure the BOE server hosting CMS is bound to the correct IP




bull If you are using third party authentication make sure the user accounts are added to the SharePoint Site using the SharePoint Central Administration page

Report viewing issues For any report viewing issues make sure the report can be viewed successfully from the BusinessObjects Infoview Also you can copy the opendocument URL from the SharePoint webconfig replace all the parameter with real values and paste the URL in a browser window on the SharePoint Server to see if the report works outside of SharePoint If not the issues will be treated as enterprise issue and not SharePoint and the usual Enterprise troubleshooting should be followed

Best practices for troubleshooting You will always encounter new issues and in cases where you are not able to figure it out enable tracing in the SharePoint webconfig Go back to SharePoint site and refresh the page a log will be generated at the bottom of the web page Please note this log is only generated if an error is encountered on the SharePoint side If there is a firewall between the Enterprise server and the SharePoint server you will need to open ports 6400 and 6420 (net SDK port) and a requestport for CMS since the SDK connects directly to the CMS Also add the -requestport switch on the CMS in the CCM If SharePoint is managing the default web site the crystalBusinessObjects and crystalreportviews10crystalreportviewers11crystalreportviewers115 virtual directories maybe in the managed path they need to be unmanaged In SharePoint Servers 20 or SharePoint Portal Server 2003 open SharePoint Central Administration select Windows SharePoint services from the left hand column select Configure Virtual Server settings under Virtual Server Configuration From the Virtual Server List select the Default Web Site select Defined managed paths from the Virtual Server Settings page under Virtual Server Management section Isolate the issue take SharePoint out of the picture Get the customerrsquos webconfig and replace yours with theirs to replicate the issue Alternatively take a backup of the customerrsquos webconfig at their end and replace theirs with yours to rule out any configuration issues
