1.0 OBJECTIVE

The objective of this policy is to provide opportunities to employees to avail various services provided by

Bharti Airtel Limited, Bharti Hexacom Limited and Bharti Telemedia Limited at special terms and

conditions in meeting official obligations efficiently.

2.0 SCOPE

The policy is applicable to all employees of Bharti Airtel Limited, Bharti Hexacom Limited and Bharti

Telemedia Limited and Band SM employees of Bharti Airtel Services Limited (hereinafter collectively

referred to as “The Company”)

For the purpose of this policy; the people who are on the employment rolls of The Company, on the day

this policy comes into effect and employed thereafter, shall be deemed to be „employees‟.

This policy is only applicable to employees based out of India. Expatriates to Africa, Sri Lanka,

Bangladesh or any other location outside India will be receiving phone benefits as per the International

Assignment Policy.

Bharti Group Companies can extend the enclosed Employee Tariff Plan (Annexure 1) applicable to the

employees of The Company to their respective employees; however, the actual usage will be charged to

Bharti Group Companies. Also, „Family Plans‟ for Group Companies‟ employees will need to be managed

and accounted for by the Bharti Group Companies independently.

3.0 SERVICES AVAILABLE TO EMPLOYEES

Employees will be entitled to following services, allowances and allocations under the policy:-

3.1 PHONE USAGE ALLOCATION

All employees shall be entitled to a monthly Phone Usage Allocation (PUA) corresponding to their Band:

Treatment of Usage beyond Phone Usage Allocation: Any amount consumed over and above the

monthly allocation shall be charged to the employee as per the voice rates mentioned in the Employee

Tariff Plan (Annexure 1) and Data Usage Charges specified in Section 3.1.3. For the purpose of the

same, employees need to submit an ECS/SI declaration. In case the same is not done, the excess

amount would be recovered from his/her salary.

In case the excess usage is authorized by Reporting Manager, employee needs to take written approval

from Reporting Manager and then from CEO/COO (for Circles) or Hub Heads (for NSG Hubs) or

Functional Directors (for employees based at Airtel Center)

Post approval, employee can claim waiver for the excess amount.

Any unutilized PUA for a particular month cannot be carried forward to the next month’s PUA entitlement

3.1.1 Mobile Connection

All employees must allocate their Phone Usage Allocation towards an airtel mobile connection only, which

shall be called as „Primary Connection‟.

Primary Connection can be used for voice as well as data purposes

All such connections would be charged as per the tariff plan mentioned in Annexure 1

All primary connections will include ISD/STD/National Roaming Facility for employees

3.1.2 Data Connection

In case employees in Band 3 & Band UC require any allocation from PUA towards data, additional

connection(s) (over & above primary connection) for data usage purposes only would be allowed which

shall be referred to as „Data Connection‟. However, the maximum number of connections per band will

not exceed the limits specified below:-

3.1.3 Data Usage- 2G/3G

a) 1 GB Free Data Usage

All employees covered under this policy will be entitled to 1 GB of free data usage (no rental to be

charged) on only one of the following connections:-

Employee needs to specify the kind of connection on which they want to use 1 GB free data along with

the kind of network (2G or 3G) while declaring their PUA on easy Access.

b) Data Usage in addition to 1 GB

In case the data usage of an employee is more than 1 GB, he/she can allocate certain amount of PUA

towards data, details of which are mentioned below:-

o 3G Network- Employee can choose one of the following Data Shields for data usage: -

Data Usage in ‘Primary Connection’: In case an employee is availing one of the Data Shields

specified above (2G or 3G) , remaining Mobile Allocation would be available to employee for

voice & VAS usage e.g. if a Band 1 employee has allocated Rs 2000 towards Primary

Connection and chooses Rs 500 data shield , he/she will be able to use 4GB data ( 1 GB Free +

3 GB) and remaining Rs 1500 (2000 mobile allocation less 500 data shield) would be available

for voice & VAS usage.

Data Usage in ‘Data Connection’ (For Band 3 & UC)- Band 3 & UC employees will get an

option of selecting 1 GB free data on only one of the connections- Primary or Data. Depending on

the usage, they can allocate certain minimum amount towards data connection based on the type

of the data shields for 2G or 3G network mentioned above. In case an employee allocates some

amount towards Data Connection but does not specify type of network, he/she would be put on

2G network by default and would be charged at the rate of Rs 1 / Mb up to the maximum limit of

amount allocated towards data

3.1.4 Blackberry/ Airtel Mail (pushmail) services

Blackberry or push mail services (hereafter called Airtel Mail) can be provided to employees for official

purposes according to their Band and approval matrix mentioned below:-

If usage of blackberry services is not authorized as per the approval matrix mentioned above and

employee still wants to avail Blackberry services, they can choose from one of three retail plans:

BLACKBERRY BIS PLAN (RS 299), BLACKBERRY PROSUMER PLAN (RS 599) OR Blackberry

Enterprise Plan (Only for B3 & UC) - (Rs 699) and charges for same would be charged against

their monthly PUA.

Based on the requirement, employees will be charged the monthly rental as per the following

table:-

For Band 3 & UC, Blackberry/Airtel Mail services would be „rental free‟ or „Free of Cost (FOC)‟

only on one of the connections- Primary or Data. Blackberry Services for other connections would

be charged against the PUA as per one of the above mentioned plans specified by the employee

3.1.5 Fixed Line Telephone OR 2G/3G/4G Dongle

All employees will be given a choice to distribute their PUA towards one Fixed Line and Broadband

connection OR a 2G/3G/4G Dongle Connection

Fixed Line Telephone

In areas where Airtel offers Fixed Line Telephone & its associated services like broadband,

employees will be eligible for a connection at their own residential address (as per HR records).

Employees are allowed only one such connection.

No installation charges and security deposit will be charged from employees.

While applying for a Fixed Line Telephone connection, the employee has to choose a plan from

the prevailing market plans subject to appropriation of Usage Allocation.

All employees will be charged at the employee billing rates which are a mark down of 50% on

the applicable bill plan

2G/3G/4G Dongle Connection

In case an employee resides in an area where Airtel does not offer Fixed Line Telephone & its

associated services like broadband, he/she can chose to take a 2G/3G/4G Dongle Connection

In case of employees who are required to travel quite often or have a field role, he/she can chose

to take a 2G/3G/4G Dongle Connection

This connection would be applicable for usage only on dongles and not for any other data device

like ipad, tablets, blackberry etc

Cost of the dongle device would be borne by the employee and the cost of data usage can be

charged against PUA

Employees are allowed only one such connection

Employees who are in 3G ICR (non-3G/4G) circles would be entitled only for a 2G Dongle

Connection. He/She can allocate the PUA as per the 2G Tariff plans offered on dongles (

mentioned in Annexure 3 )

4G Dongle Connection can be availed by employees in the following locations only: Bangalore,

Chandigarh, Kolkata, Pune

While distributing PUA on the online portal, employees can chose the plans mentioned in

Annexure 3

3.1.6 Value Added Services (VAS)

Employees will able to use their Phone Usage Allocation (PUA) towards following Value Added Services

(VAS) provided by Airtel

VAS includes services such as Hello Tune, Music On Demand, Alerts, Friends Chat, Voice

Portal, Airtel Live, Missed Call Alerts

3.2 DTH/IPTV ALLOWANCES

Only one Airtel Digital TV or Airtel IPTV connection shall be provided to an employee under this policy.

Such connection can only be installed at his/her own residence.

This allocation will be over and above the Phone Usage Allocation as prescribed in clause 3.1

above, and will be treated as a perquisite and will be taxable as per the prevailing income tax

laws

Cost of the set up box will be borne by the employee

3.2.1 Digital TV Connection

An employee subscribing for a Digital TV connection shall be entitled to Digital TV Allowance which will

be equivalent to the minimum monthly charges towards the following:-

o Magnum Standard Package – for Rs 453 + applicable taxes (for employees who have

Standard Definition Set Top Box)

o Magnum High Definition Package- for Rs. 499 + applicable taxes (for employees who have

High Definition Set Top Box)

Employees need to choose the type of set top box while declaring their PUA on easy Access and

DTH allowance will be given basis the type of set top box.

Magnum SD/HD package will enable employees to view all channels offered by Airtel

In case an employee wants to opt for any other Top Up, the same shall be chargeable to the employee on

prevailing market rates. Cost of the set up box will be borne by the employee.

3.2.2 IPTV Connection

Any employee based in Delhi NCR and Bengaluru can subscribe for IPTV connection as per

details given below:-

1. SD-399: If the employee already has a Fixed Line connection, then the additional cost for

IPTV standard definition pack is Rs. 399/- per month.

2. HD-499 : If the employee already has a Fixed Line connection, then the additional cost for

IPTV High definition pack is Rs. 499/- .

If the employee does not have a Fixed Line connection at all, he/she will need to subscribe for a

new Fixed Line connection, at tariffs and benefits as indicated in section 3.1.5 above.

One time activation charges for IPTV (as specified from time to time) have to be borne by

employees. Activation and CPE charges for Fixed Line will be extra as per existing policy.

For Interactive Services & Video-on-Demand Services, the employee shall be charged as per

prevailing market rates applicable to external customers.

3.3 SMARTPHONE REIMBURSEMENT

Under the scope of this policy, all eligible employees will be entitled to purchase a Smartphone (only), of

their choice, subject to the following maximum reimbursable limits corresponding to their band. Such

reimbursements are limited to one handset in every two years of employment, against submission of

original invoices.

Lifespan of smart phones: All smart phones shall be deemed to have a lifespan of two years

from the date of purchase. At the end of two years, an employee can purchase another handset

as per his/her entitlement.

Accessories: The Company shall not issue any phone accessories

Transfer: In case of a transfer to another group company, pro-rata recovery against the cost of

smartphones shall be made from the Full & Final Settlement of the employee. Upon transfer, the

employee will be covered under the phone policy of the new entity (as applicable).

Loss/Damage of Handsets: During the lifespan of two years of smartphone, it will be the

responsibility of employee to ensure safety and prevent any misuse of the same. In case of loss

or damage of handset for whatever reasons during this lifespan of two years, the employee has to

arrange for another handset, the cost of which shall not be reimbursed by the Company.

3.4 3G DONGLES, 2G DATA CARDS

In addition to the allocation of PUA for 2G/3G Dongles, employees can choose to purchase the 2G Data

Cards/ 3G Dongles provided by Airtel for their personal purposes on discounted rates on retail plans

available in market.

Employees who wish to avail these services need to declare their 2G/3G Dongle Connections (over and

above the 2G/3G Dongle covered under PUA) in Personal Information page in Easy Access. All such

connections would be in the name of the employee and employees would need to fill up the required

forms available with local Admin SPOC

The cost of devices and usage charges would not be settled against the PUA and the same would be

chargeable to employees through ECS/SI as per the following rates:-

3.5 FAMILY CONNECTIONS

This policy also provides for benefits under „Family Plan‟ (earlier known as „Spouse Plan‟) to selective

direct relatives of employees which include parents, brother, sister, spouse, children, father-in-law &

mother-in-law only.

The maximum number of connections allowed under „Family Plan‟ is limited to 3 mobile

connections per employee. However, each Family connection must be in the name of the

employee. Connections declared under employee‟s own Usage Allocation (Mobile phone, Fixed

Line phone, Digital/IP TV) will be over and above this prescribed limit of 3 connections.

The tariff plan for family connections is as per Annexure-2 which will be charged to the employee

through ECS/SI/Salary deductions

3.6 DIFFERENCE BETWEEN 2G/3G/4G DONGLE ALLOCATION IN PUA AND 2G/3G DONGLE

DISCOUNT OFFER

An employee who does not have Airtel Broadband connectivity at home can opt for a 2G/3G/4G

dongle as a part of PUA. Such services are meant for official purposes only. In this case, cost of

the device is borne by the employee and usage can be charged against PUA. Process for this is

that employees need to purchase their own dongle device and can get data cards for dongles by

filling documents available with Unit Employee Services SPOC or by writing to mynet team. For

availing PUA on the dongle, they need to enter the connection details on Employee Self Service-

My Phone page. Post this, they can allocate PUA for this connection on My PUA page

However, in case they want to purchase 2G/3G dongles for personal usage or for family

members, they can available the 30% mark down offer on market plans for 2G/3G Dongles. In

this case, the cost of the device (dongle) as well as usage will be borne by the employee.

4.0 PROCESS & GENERAL GUIDELINES

4.1 PROCESS

For any query related to the policy, employees can write to HR Activ Connect at [email protected]

4.2 GENERAL GUIDELINES

Online declaration for New Joinees: All new joinees need to ensure that the online declaration

of Phone Usage Allocation (alongwith ECS/SI declarations) on easyAccess is done within 15

days of joining for the official number as per HRMS records. Activation of new connections will be

done at Unit level, basis inputs from the Admin team.

Online declaration in case of Band change: All employees are required to ensure that the

online Usage Allocation declaration on easyAccess is done within 15 days of change in

entitlement on account of Band change.

Deactivation of connection/Transfer to individual name: All deactivations/transfer to individual

name (before employee separation or otherwise) will be done centrally by the central myNET

team in CSD ([email protected]).

3G Plan: Any activation/deactivation of Employee 3G Plan will be done centrally by the myNET

team in CSD.

In case of mismatch between the employee phone number mentioned in HRMS records and the

online Usage Allocation declaration made by the employee, the Usage Allocation will be

discontinued (by myNET team in CSD) within 5 days from the date of notification.

All usage charges for employee connections will be deducted from the employee‟s salary in case

of a non-compliant Usage Allocation and/or ECS/SI declaration.

Billing: The bill mode for all employees will be e-bill and paper bills will not be sent.

e-bill mode will be activated on the official airtel email id.

5.0 POLICY GUIDELINES FOR EXPATS AND BUSINESS TRAVELLERS

All employees who would be travelling outside India for duration of 0-2 months for official purposes are

advised to follow the guidelines mentioned below:-

For locations where Airtel has its operations, employees are advised to use local SIMs of the

respective countries. In case local SIM cards are not available, employees should use

international calling cards and get the expenses reimbursed as per actual.

All Band 2 & below employees should not use data (GPRS) while on international roaming.

Employees are advised not to use their phones on roaming while in transit.

Treatment of usage over & above PUA on account of International travel: In case an

employee exceeds the maximum limit of PUA on account of international roaming, he/she can get

the same waived off post approval as mentioned in Section 3.1

6.0 SEPARATION OF EMPLOYEE

Whenever an employee leaves the services of the Company, he/she will surrender all the

services, as mentioned in this policy, being availed by him/her as an employee on or before

his/her last working day.

The employee may also choose to continue with all or any of the connections post his separation,

in which case he/she will be charged as per prevailing market rates applicable to external

customers.

Deactivation/transfer of all connections/services subscribed during his/her tenure as an employee

to the individual‟s name will be the prerogative of the employee separating from the Company. All

employees separating from the Company will be liable to ensure that deactivation/transfer of

connections to individual‟s name is done and any charges incurred on such number post date of

separation of employee from the Company, need to be paid by the separated employee (even if

the charges apply retrospectively from the date of separation). This also applies to the

connections under „Family Plan‟ for the separated employee.

If the separating employee has procured a handset(s) during the last two years, pro-rata recovery

of the cost of handset shall be made from the Full & Final Settlement of the employee or it will be

recovered separately, as the case may be. The pro-rata cost of handset shall be computed on

basis of completed months of service of the relevant two-year term with the Company.

7.0 SPECIAL MOBILE NUMBERS

An employee covered under this policy, can request for a special number for his/her official

mobile connection subject to availability of such number. However, no VIP/premium numbers

shall be issued to employees.

An employee requesting for a special mobile number shall be charged at the prevalent market

rates.

This facility is available for “Mobile Connections” only and not meant for Fixed Line Telephone

connections.

8.0 DEVIATIONS / EXCEPTIONS

Any deviations / exceptions from this policy require approval from the Head – Total Rewards, One Airtel

Management reserves the right to modify or terminate this policy without prior notice.
