    JOB DESCRIPTION Position: Marketing & Administration Assistant Held by: New: July 2015 Report to: Venue Manager Duties and Responsibilities Marketing

    Digital Marketing Social Media sales. Generate sale of tickets to events using current social media marketing techniques

    E-newsletters - MailChimp Using sales data to generate marketing campaigns Drawing up Press Releases Uploading events to online listings, etc Promotion of forthcoming events and festivals through press advertising, postering, mail shots etc Implementing and further developing Birr Theatre & Arts Centre Audience Development Plan

    Administration/Front of House

    Front of House duty Box Office ticket sales using TicketSolve booking system (training provided) Festival & event co-ordination alongside Venue Manager Hullabaloo! Offalys Childrens Arts Festival,

    OFFline Offaly Film Festival, Scripts Irelands Playwriting Festival, Dramatize Birr One-Act Drama Festival, Birr Vintage Week & Arts Festival etc

    Accounts using QuickBooks - including: o Data Entry onto QuickBooks (Accounts package)

    Data sources: Sales reports, Invoices, Cheque Book, Lodgement Book, Bank Statements etc o Bank Reconciliation o Weekly Cash Balance (more often, if required) o Bank Lodgements o Payment of artists/performance groups o Financial administration in line with financial procedures o Drafting of event contracts to be finalised by Manager o Invoicing and follow up of same (advertisers, venue hire etc)

    Front of House: The Administration Assistant will be trained in Front of House procedures for evening events including cash, wine bar, locking up etc and will be responsible for same when Venue Manager is not on duty. Any other duties which may arise during the course of the working day as instructed by management to ensure the smooth running of the business. 1/2

    Qualification Required: Third Level Qualification desirable - preferably in marketing/digital marketing /business/other relevant courses. Previous training/experience in accounts an advantage training will be provided. Position requirements:

    A very good to excellent knowledge of Word, Excel, Outlook, Publisher and good general PC knowledge.

    Excellent communication skills and telephone manner and an ability to work on own initiative.

    Ability to prioritise, organise workload and work effectively in a busy environment to strict deadlines.

    Attention to detail. Hours: 36 hour per week. Usual hours will be between 9.30am 5.30pm Monday to Friday. However, a certain amount of flexibility will be required to cover Front of House, get-in and get-out for events which will regularly be on evenings and weekends. All staff:

    are required to know the current programme of events and promote events to the general public while on box office or in general conversation with customers.

    will have a general knowledge of the lighting and sound equipment (i.e. where equipment is located, powered on/off and general use) and heating system in the building for which training will be given.

    are requested to pitch in when other staff members are on holidays all duties still need to be covered. are key-holders to the building and will be responsible for the correct lock-up of the premises from time to

    Financial Procedures (Staff are furnished with this document where applicable) Remuneration 10 per hour. Max 36 hours per week. Paid weekly. Eligibility of individual to hold a CSP supported post Birr Theatre & Arts Centre is funded by Pobal Community Services Programme (CSP). 70% of staff must be drawn from the following categories:

    Person in receipt of Jobseekers Benefit, Jobseekers Assistance or one parent family payment. Person in receipt of disability allowance, invalidity pension, blind person or other disability benefit.

    People employed from Ts, Community Employment and Job Initiatives schemes.
