Overview  of  System  Problems  &  its  Resolution    •  Current  System  Major  Problems:

1)  Process  Breaks  Easily.  2)  Lack  of  Transparency.  3)  Time  Consuming  Processes.  4)  Money/Resource  Consuming  Processes.  5)  Limits  the  CooperaKon  between  the  Departments.  6)  Creates  a  BoOleneck  at  the  IT  Sub  process  of  the  System.

»  (IT  Sub  process)  Used  when  an  error  was  made  in  the  informaKon  provided  under  the  Senate  Rules  Staff.

Overview  of  System  Problems  &  its  Resolution    • New  System  ImplementaKon:  •  It’s  a  web-‐based  data  entry  app  which  connects  directly  to  the  DESK  database.

 •  Data  is  inpuOed  directly  from  terminals  in  the  Governor’s  office  and  which  is  instantly  accessible  in  the  enKre  DESK  system.

•  The  data  will  remain  visible  to  the  governor  and  editable  via  the  web-‐app  up  unKl  the  official  submission  deadline.

The  Impact  of  Change  in  the  System:

•  Expected  Impact:  1.  Increase  efficiency  of  the  system.  2.  Decrease  employee  frustraKon  when  working  on  the  system.  3.  Decrease  data  redundancy.  4.  Decrease  the  number  of  errors,  that  will  reduce  the  number  of  system

crashes.  5.  Reduce  downKme,  that  will  lower  any  late  submissions.  6.  Reduce  overKme,  that  will  lead  to  beOer  system  efficiency  and  less

employee  frustraKon  as  well  as  save  money.  7.  Streamline  the  DESK  database  appointee  submission  process.  8.  Governor  will  be  able  to  make  addiKons  and  changes  to  the  appointee

list  via  the  web-‐based  app  from  a  variety  of  devices  and  locaKons.

The  Impact  of  Change  in  the  System:

•  Measurement  of  Impact:

April  28,  2015  6

Downtime Journal and interviews will be conducted by phone and/or email to capture the time spent during downtime, or the duration of the crash.

Functionality Rubric for evaluation for pre and post implementation. The rubric will identify the functionality by review conducted by those using the system

Frustration

Survey individuals involved in the executive appointment process. This survey would discover how the frustrations levels occurred prior to the implementation.
