Overall Scripting Tips

1. Aim for a 30 second message 2. Identify with EXACT words: A. What do you want the contact to do? B. How will they benefit from

doing what you want? C. How can you support that claim? 3. Discard any words that do not support the main point of your message. You want to sell your

“offer” or “call to action” so don’t waste words selling your products, services or company. 4. Follow a consistent message format. Once you’ve got one that works, keep using and refining it. 5. Say your message out loud as you develop it. Use words that reflect the way you talk, not write and

use the first person… (I’m calling to invite you...” vs. “This call is to extend an invitation to attend…”)

6. Don’t include a lot of information, too much detail or listed information – It’s a voicemail they won’t remember.

7. Repeat the “Call to Action” 8. If you’re also sending email or direct mail – refer to it! 9. Use short sentences (or just phrases). Use simple words.

Overall Recording Tips

1. Run through the message a few times – out loud- before you record it. Time it! Know it! 2. If you find a spot that feels awkward, or somewhere you keep stumbling – write it out in exact

words and then revise it until you can say it smoothly and easily. Use your own words. 3. Relax- This is only a voicemail – your sales reps leave hundreds of them 4. Listen to your “takes”. Does it sound like you’re reading? 5. Mistakes are OK! The odd ah, um or pause make your message sound more real 6. Smile and don’t hesitate to communicate your enthusiasm. 7. Pace your words, not too fast, not too slow – vary the pacing 8. NO CELL PHONE, NO SPEAKER PHONE, NO HEADSETS – Find a phone with a landline and handset.

If possible test different phones and listen for the best sound. 9. Talk directly into the receiver and keep your head still. 10. Do 4-5 takes, leave it for an hour or so and do another 4-5 takes. 11. Number your takes off the top of the recording i.e. “take 1” ……wait a few seconds and start the

Cold Call – Template “Hi – This is (name) and I’m calling from (Company) – sorry I missed you. I’m calling because I want to take a few minutes to discuss with you (what the company offers). (Introduction of the offer and the benefit it offers to the prospect). I would like to set up a brief meeting with you to discuss (the offer) so please give me a call back at (phone number). Once again, I can be reached at (phone number). (Optional: It looks like I have your email address here as well so I’m going to go ahead and send you an email – maybe it will be easier to connect that way). If you do not receive (what was sent) in the next couple of days or would like more information, please give me a call at (phone number).
