Ascend Licensing Management Module

TCC developed our Licensing Management System, Ascend, with the core functionality our subject matter experts know to be needed to support common licensing functions, as well as with the flexibility for customization we understand our clients will desire to address their unique policies and processes.

Ascend can maintain and track data on any type of provider in your organization - and it is designed to easily integrate with other systems to assure that your licensing staff have the most current information needed to conduct effective and efficient inspections.

The Licensing Management module manages all functions of the early childhood program licensing including online applications, background checks, inspections, complaints, enforcements, and renewals and appeals. Role-based user access supports workflow management, alerts and customizable correspondence templates.

Ascend Professional Development Registry (PDR) Module

The Professional Development Registry (PDR) module collects and tracks the training, education and employment history of early childhood caregivers. Within the module, caregivers can search, register and track participation in state-approved trainings and professional development activities. State-approved trainers and organizations can manage offerings and issue training completion certificates. Role-based user access supports workflow management, alerts and customizable correspondence templates. The Subsidy Management module manages eligibility determination, enrollment and recertification of families and children in state-approved Subsidy programs. It calculates subsidy and co-payment according to state policies and includes wait list management functionality. Mobile Inspection Add-on Service

The eXpedite Mobile Inspection Tool turns any state form into an electronic form that field workers can use to collect data. An offline option allows workers to collect and save data when no internet connection is available. Once an internet connection is established, workers perform a “sync” to send all data directly to the back end system. eXpedite also captures electronic signatures and can convert handwriting to text.

A state licensing agency faces many challenges associated with manual paper-based processes:

With these challenges in mind, TCC collaborated with HHS licensing experts to develop eXpedite - our electronic forms solution. Our solution replicates an exact copy of a state licensing agency’s paper forms and translates them into smart forms that allow field staff to collect data in the field and upload into a pre-determined central repository.

To promote ease of use and minimize data entry errors, appropriate fields can be pre-populated. Drop downs, checkboxes, free-form textboxes and electronic signatures are available for data input. Text boxes are used to enter words, numbers or special characters. The onscreen keyboard can be used to type the data or the pen can be used to write the data.

Various types of data may be collected with eXpedite including text, pictures, digital signatures and notes, and transmitted to a server-based licensing management system. Inspectors may also choose to print and leave a signed copy of the inspection results with the provider; or use the option to create a PDF copy and immediately email the inspection results to the provider.
