1 Welcome to the AS/400 Carina.lnk This is a basic guide to assist you in the process of Assessment. To begin this process, you must have access to the AS/400 database. If you do not, please have your supervisor request access for you by contacting the helpdesk at (810) 766-4060 Your sign on name will be the same as the Baker College email. (i.e. jhoite01->password: xxxxx) For first time users, your password will be XYZ . You must change this after gaining entrance. To change your password enter #75 and follow the process.

Welcome to the AS/400

• This is a basic guide to assist you in the process of Assessment.

• To begin this process, you must have access to the AS/400 database. If you do not, please have your supervisor request access for you by contacting the helpdesk at

AS/400 Training• To locate your specific printer, choose

item number 95. At printer command, press shift F5 (this will list of all the printers available.) Select the printer you would like to use, put a character in the box to the left of the item and press enter. Press F3 to get back to the main menu.

• F12 is the highest key on the keyboard for the control functions. To do any higher control function than F12, hold the shift key down and press the F key that adds up to the control number. For example F13, press shift F1 (F12 +1= F13 in the AS/400). For F22 press shift F10.

• F13 select all discipline /course codes will print every course/program review available for that quarter and year.

Tips for the AS400 database

• F12 will take you to the original screen.

• F3 will exit the screen that is currently being used.

• ENTER will take you to the next screen.

• To get back to a specific character, press “shift- tab”. This takes you back one character space.

• If you see a message at the bottom left corner that states “Function key not allowed” hit the “control” key and your screen should go back to normal.

 • “Record not found” means there was

not a scantron processed for this course/program.

• To erase a field entry click on the Erase button or hit the Backspace button.

• If you haven’t already updated the email and phone directory, please take a moment to do so. Use F5 to do the search for location, building, or office.

• If you have updated the directory, please just

enter through the screen.

• You must be on the RESDEAN menu to activate any Assessment items.

• If you do not have access to this menu, please have your supervisor request it from the helpdesk.

• To get to the RESDEAN menu, go to the cursor and type:

go resdean

numbers of 52 and 74.

• To Enter/Update Assessment of Course Evaluations by Student at the cursor type: 70 (enter)

• To Enter/Update Assessment of Course Evaluations by Faculty at the cursor type: 71 (enter)

• To Enter/Update Assessment of Program Evaluations by Student at the cursor type: 72 (enter)

• To Enter/Update Assessment of Program Evaluations by Faculty at the cursor type: 73 (enter)

• At the Program Parameters Course Evaluation by Student screen:

Enter the specific quarter, which the courses for your program were to be reviewed.

(Check the Course Review Chart if you have any questions. This can be located on the Baker College web site under:

Faculty/Staff->Administration->Assessment-> Schedules->Course Review Schedule.)

Enter the Quarter Code: F (tab) 2001

• At the Course Evaluation by Student Listing screen:

Enter the course for your program that was

to be reviewed this quarter.

Example: Discipline/Course Code:

CS 205 (enter)

After you press enter, you might get the following code:

*Invalid Discipline/Course Code!*

(This means there was not a course by that specific name found OR this course was not reviewed for this quarter.)

Try a different course OR F3 to get back to the main menu.

If the Discipline/Course returns blank, you will receive 2 choices:

1. A = will show all the data from the student reviews for this course . (Put an X on the line near the A and press enter.)

2. BLANK = (default option) This will show only the data that falls below the 3.5 scale and needs to be addressed for assessment purposes . (Just leave the line blank and press enter)

• The comment screen will then appear. Enter the appropriate comments for your department and address any issues below a 3.5 or 70%

• After you have completed your comment, press enter. This will take you to the next question that needs to be addressed.

• When you have completed all of the questions, press F3 (2 times), this will take you back to the main menu.

• For Program Reviews at the cursor enter item #72 or #73.

• At the Assessment of Programs Evaluated by Student screen:

Enter the program code for your program, which was to be reviewed this quarter.

Example: Discipline/Course Code: AB ACC (enter)

You can find your program code on the Baker College web site under:

Faculty/Staff->Administration->Assessment-> Schedules->Program Review Schedule.

TO PRINT INFORMATION

1. Enter the number 58 or 59, which is the Print System Course Evaluation By Student or Faculty Report. (60/61 for Program Evaluations)

2. Repeat the same steps you did before.

a. Job Initiator screen: U

b. Enter the Quarter Code: F 2001

c. Enter Discipline/Course Code:

CS 205

d. This pulls the information from the AS/400 ready to print.

e. After viewing the data and comments, press F3 to get back to the main menu.

AS/400 Training• Choose item #91 OR Work with the

printer option to print a hard copy of your data and comments.

• At the Work With Spooled Output System screen, you will be given six options:

(0) Download (1) Merge (2) Change (3) Hold (4) Delete (5) Display (6) Release

You will want to choose:(1) Merge, which sends information directly to

the printer OR(5) Display, which displays the information on the

screen.

• At the Select Printer Options System screen, press (enter) This will give you a hard copy to take to your meetings.

These steps are necessary for all of the following surveys:

• Course Review by Students

• Course Review by Faculty

• Program Review by Students

• Program Review by Faculty
