Exchange Semester Abroad – application process Information for outgoing Wiwi students
Have you ever thought about studying abroad for an academic exchange semester?
Go for it! The School of Business and Economics has bilateral agreements on student mobility with
around 60 partner universities in 20 countries through ERASMUS+. And that’s not all – our faculty
also participates in the Swiss Mobility Programme and has agreements with top universities in China,
Hong Kong, Israel, Kazakhstan, Peru, Russia and South Korea.
If this is not enough for you, Humboldt-Universität has signed university-wide agreements with
around 90 universities across the Americas, Africa, Asia and Australia. For all lists of university-wide

Possibilities to study in Economics, Business and Management-related fields at North
American universities are very restricted. For detailed information, please contact the
regional officer at the Department of International Affairs.
1. Planning and applying for a semester abroad
Consider your motivation and do some research: Which region or country are you interested in?
What is your budget? which language skills do you have?, etc.
Get all the info from the Moodle Course “Erasmus Outgoings WIWI”: Country-specific
information and details about each of the partner universities as well as reports by our alumni
with valuable first-hand info and tips are archived in the course: https://moodle.hu-

You will find the most important information about each partner university in the factsheet
uploaded in the Moodle course.
Decide which is the right programme for you and put together your application. For all
programmes managed by the Wiwi International Office (see above), your application should
include:
o Online- Application form (via online application software “MoveOn”)
o Motivational letter (max. 2 pages)
o CV (max. 1-2 pages)
o Language certificate(s) (for English and, if applicable, for national language(s))
o Copy of ID/Passport & Student-ID
o AGNES Transcript of Records (with official stamp from the Examination Office)
o Bachelor’s certificate (only master’s students)
For the motivation letter and CV, you can choose whether to write in English or German.
Your motivation letter should clearly state the reasons why you would like to study abroad in a
specific university, city and country – with as much detail as possible. We would like to see
whether you have a concrete project and clear idea in mind about your study abroad project. If
you can access the course catalogue, please indicate which courses you would like to take at
your host university and how your semester abroad complements your studies at Humboldt-
Universität.
Note: You are welcome to choose up to three universities and rank them according to your
preferences. Your motivation letter should address at least the first two preferences, with a
priority on your first choice (one paragraph for each of the other choices will be sufficient).
Your CV should contain all relevant information (studies and work experience, previous stays
abroad, language skills, etc.), similar to a job application.
Language requirements: To successfully study abroad, you need to already have a good
command of the language of study (learning a new language should therefore not be your
central motivation). Since most of your partner universities offer courses in English, you should
have at least B2-level English skills. Please note that the language requirements of your desired
host university may be more restrictive.
Your language certificate should not be older than 2 years. You can have your language skills
tested at the Humboldt-Universität Language Centre (around €20). Make sure to book an
appointment in time.
If you are native speaker of the relevant language(s), please mention it in your application. We
will get back to you to verify your language skills if necessary.
The application period is November 1st to January 1st.
Feedback about your application
The selection process follows a strict system that attributes points in the following categories:
motivation, academic performance, language skills.
By mid-February or early March, you will receive an email informing you of the outcome of your
application. There are enough places; however, some destinations are more popular than
others, and your chances really depend on the quality of your application.
If your application was successful, the email will include a deadline for you to confirm that you
accept the place offered to you. Make sure to not miss this deadline. Otherwise the spot might
be allocated to someone on the waiting list.
After you have confirmed the place, starting from March, we will inform the partner university
that we would like to nominate you for an exchange semester.
2. Application at the host university
The partner university will then contact you directly with information about the application
process. Most universities use an online system through which you will have to apply and upload
your application documents within a given time period.
Please note that the application documents and language requirements of your host university
might differ (i.e. be stricter) from those handed in at the School of Business and Economics. It is
your responsibility to gather the required documents in time.
It might take some weeks until the partner university has processed your nomination. From then
on, you will be in touch with your partner university directly and, in case of any specific
questions, can contact the responsible coordinator at your host university. Of course, you can
also contact our Outgoing Team with general questions about the exchange procedure.
The host university can still reject your application if you fail to meet their requirements. This is
no reason to worry, however – if you follow all steps as required, your application should be
successful.
Your host university will then send you an acceptance letter and inform you about the next
steps.
3. Preparing and managing your stay abroad
Following your application to the partner institution, you are personally responsible for making the
necessary preparations. With the following overview, we hope to guide you through the most
important steps. If you encounter a problem at any of the stages, we will assist you to the best of
our ability, provided you contact us early on.
Applying for a scholarship and/or Auslands-Bafög: Only in the case of ERASMUS can your
exchange place include financial support. With any other programme, as Humboldt-
Universität student, you are eligible for the PROMOS scholarship awarded twice a year by
the Humboldt-Universität central International Office (for semester stays) or a scholarship
with the DAAD (full-year stays). Please note that you have to apply separately through the
institution responsible. For a list of other scholarships, please consult our website or come to
our outgoing consultation. We can issue a letter confirming your participation in the
exchange programme upon request.
Improve your language skills: There are many ways to refresh or improve your language
skills. You might want to take another language course at Humboldt-Universität Language
Centre (or at any of the other universities or language institutes in the city), find a Tandem
Partner for a one-on-one language exchange, use the offers of the media library (individual
study centre) at Humboldt-Universität Language Centre (Dorotheenstraße 65) or use an app
to study on the road...
Registration at Humboldt-Universität: Please note that you need to re-register at
Humboldt-Universität regularly by paying the semester fees for the semester you are
spending abroad. Don’t forget to re-register in time for the next semester at Humboldt-
Universität in case the study periods overlap, or you decide to travel in your host country
before returning.
”Urlaubssemester“ (semester leave): If you decide to take a semester leave while studying
abroad, the semester(s) will not be counted in your ”Fachsemester“ (study semester count),
which might later be relevant for your Bafög status and your student health insurance.
Furthermore, you can decide whether to buy the Semester Ticket for public transport in
Berlin or not.
Visa: Make sure you know the regulations for your nationality and host country from an
early stage to have all documents ready and be able to apply in time. If you need a study
visa, you will, in most cases, need the acceptance letter issued by your host university.
Health insurance and other insurance: Find out whether your regular health insurance
covers longer stays abroad. Especially outside the EU, it might be necessary for you to sign
up for additional personal insurance. The same goes for accident and liability insurances.
Arrival and Housing: We recommend that you arrive at least two weeks before the start of
studies in order to find accommodation and take the necessary administrative steps. Some
of our partner universities will assist you in finding suitable accommodation. Some also offer
housing in student dorms for exchange students for which you will have to sign up during
the application process. You will find more information about the housing offerings and
assistance provided by the partner universities in the Moodle course. Are you wondering

The documents relevant to your programme can be downloaded in the Moodle Course ”ERASMUS
Outgoings Wiwi”.
Grant Agreement: The Grant Agreement is the contract between Humboldt-Universität and
yourself determining the terms and conditions of the scholarship awarded to you. We might
contact you again and ask you to update your personal information needed to generate your
Grant Agreement. You will be notified by the outgoing team when to come to the office and
sign the Agreement. Before leaving you will receive a copy for your own files.
Swiss Mobility Agreement: Much like the Grant Agreement in ERASMUS+, you have to sign
an Agreement regarding your participation in the Swiss Mobility Programme. The
scholarship is awarded by your host organisation and is therefore not part of the agreement
with Humboldt-Universität.
Learning Agreement: The Learning Agreement is a contract between yourself, your home
university and your host university, and assures that you can study the courses chosen and
that your credits earned abroad can be recognised at Humboldt-Universität. Please choose
the document for your respective programme (ERASMUS, Swiss Mobility, Faculty &
University Agreements). Fill in the courses you would like to study abroad and have the
agreement signed by the coordinators at your host university, then send it to your home
coordinator ([email protected]) to be signed. Generally, a minimum of 30 ECTS
should be earned per semester (you are free to choose how much of it you want to transfer
to Humboldt-Universität). Language courses and courses in other fields of study also count
towards the 30 ECTS.
Please note: For courses equivalent to a course offered at Humboldt-Universität, you need
to get the signature of the relevant chair or study coordinator on your learning agreement.
Courses equivalent to a course you passed successfully at Humboldt-Universität, or equiva-
lent to a course you have failed at least once at Humboldt-Universität, cannot be recogni-
sed. You can only repeat a Humboldt-Universität exam you failed at Humboldt-Universität.
OLS language test: You will receive a link via email that takes you to an online language test.

Steps upon arrival at the partner university
Confirmation of Registration: Fill in the document (downloadable from Moodle), have it
signed by the coordinators at your host university and send a scanned copy via email to

Learning Agreement: Fill in part two of the Learning Agreement ”During the Mobility“, have
it signed and hand it in at Humboldt-Universität no more than three weeks after your arrival.
If you are staying a full academic year, you will have to hand in a separate Learning
Agreement signed by all parties for each semester of the exchange.
If needed, prolonging your stay: If you want to prolong your stay, both your home and host
coordinators need to agree. In general, our office will gladly support you in staying for
another semester, provided we still have the capacity within the places granted in the
bilateral agreement with your host university. Whether your scholarship can be extended
depends on the funding period still available to you and on the budget granted to Humboldt-
Universität. You are not automatically entitled to receive an additional scholarship. The
prolonged stay requires a new Grant Agreement. Don’t forget to also hand in a Learning
Agreement and a Confirmation of Registration for the second semester!

Steps before returning home
Confirmation of Student Stay Abroad: Download the confirmation from Moodle, fill in your
data and have your host coordinator sign that you effectively completed your exchange
semester, then send the document to Cornelia Marx: [email protected]
After returning to Humboldt-Universität
OLS language test II: After your return, you receive another link for the second online
language assessment. Please check your spam folder as this email often ends up there.
EU online survey: You will also receive an email invitation to fill in an online report through
the Mobility Tool of the European Commission. Please check your spam folder.
Alumni report: Please fill in the report about your stay and upload it in the relevant section
of the Moodle course. Your report is a valuable source of information for coming
generations of exchange students. While compiling it, try to remember what information
you were looking for while preparing your stay abroad.
Transcript of records: The transcript contains your credits and grades earned abroad. It will
be sent either directly to you or to our office. We will notify you when we receive your
transcript so that you can come pick it up at our office. In case your host university sends
you the transcript directly, please hand in a copy at our office.
Confirmation of credit transfer (Anerkennungsnachweis): In order to have your grades from
the exchange semester recognised, you need to fill in the last page of your Learning
Agreement (confirmation of credit transfer), sign it (!) and hand it in at the Wiwi
Examination Office (Prüfungsbüro). The Examination Office will sign the documents and
forward it to us and Cornelia Marx. Make sure you keep a copy of the document for your
files.
4. General information on credit transfer (for study and exam regulations from 2016)
Make sure you know the exact study and exam regulations for your programme (Studien- und
Prüfungsordnung). There might be more than one possibility to transfer courses from your exchange
semester.
The Examination Office is in charge of course transfers and decides how exactly your grades
will be recognised. In case the host university does not use ECTS, the transfer will be based
on the weekly hours (4 hours of classes and study (SWS) are equivalent to 6 ECTS).
Mandatory courses (Pflichtbereich) cannot be replaced with courses from your studies
abroad. If you want to replace an elective course, you have to get the signature of the
relevant chair or study coordinator on your learning agreement before going abroad.
Courses equivalent to a course you passed successfully at Humboldt-Universität, or
equivalent to a course you have failed once or more than once at Humboldt-Universität,
cannot be recognised. You have to repeat any Humboldt-Universität exam you failed at
Humboldt-Universität.
Undergraduate students are allowed to transfer courses taken at master level. However,
graduate students cannot transfer courses taken at bachelor level. Exception: A few courses
taken from the 4th year bachelor level offered at Spanish and US partner universities can be
recognised for Wiwi master-level students (please contact the Examination Office
beforehand!)
Credits from one course will be recognised in one module and cannot be split between two
or more modules. Only graded courses will be recognised (no courses completed without
taking any kind of exam).
Courses which have been transferred cannot be deleted again.
A final degree thesis written abroad cannot be recognised at Humboldt-Universität.

When transferring equivalent courses: Official course description, reading list,

Note: To complete your degree at Humboldt-Universität, you have to achieve at least 50% of the
overall credits (thesis excluded) in your programme at the Humboldt-Universität School of
Business and Economics:
o Bachelor: (180 ECTS - 12 ECTS for thesis)/2 min. 84 ECTS HU + max. 84 ECTS transferred
o Master: (120 ECTS - 20 ECTS for thesis)/2 min. 50 ECTS HU + max. 50 ECTS transferred

Please note:
There is no guarantee that you will receive ERASMUS funding. The availability and exact amount
depend on the yearly budget granted to Humboldt-Universität by the European Commission.
Should you acquire fewer ECTS than the minimum amount (due to cancelled courses, failing an
exam, dropping out of the programme), Humboldt-Universität can reclaim a part or the full
amount of your scholarship
You may receive an additional monthly allowance for children travelling with you (currently
around €200/child).
Students with disabilities can apply for additional financial support through the German
Academic Exchange Service (DAAD).
Good news: You are eligible for funding through ERASMUS+ more than once! For each level of
study (BA, MA, PhD), you can receive funding for a period of max. 12 months. This means that if
you decide to study as part of an exchange in Spain for one semester during your BA studies (e.g.
a 3- to 4-month funding period) you may additionally (in the same academic year or later on)
receive funding for another semester in Norway and/or for an internship in another country
participating in ERASMUS. When starting your master’s studies, you are eligible for ERASMUS
funding again for 12 months in total.
