3 ACADEMIC INFORMATION
3.1 Academic Advising
Academic Advising is the process of providing academic support and services that enhance
the process of student learning. Every student at AASTMT branch in Sharjah is assigned an
academic advisor with whom he/she meets regularly. Advisors assist students in registering
for courses, understanding college policies, accessing campus resources and developing
career goals. The college provides advising and guidance for all new students as part of the
student orientation program, which introduces students to important information about
AASTMT branch in Sharjah, student advising, registration, academic probation, curricula,
academic support services, social and cultural activities, time management, and study skills.
AASTMT believes that effective advising will enhance students’ major exploration and
selection, satisfaction with academic programs, and success after graduation.
The academic advisor is selected based on the following criteria:
1. Being available for advising appointments and believing that advising is an
important task.
2. Knowing all the information on all educational enquiries such as requirements,
policies, and procedures.
3. Willing to encourage students without prejudice.
4. Caring about the educational and career plans of the student.
Responsibilities:
The academic advisor:
Helps students develop realistic goals,
Fulfills students’ requirements based on available resources,
Advices students on their program planning in a way that suits their abilities and
interests, and
Monitors progress toward educational/career goals.
Academic advisors are not allowed to:
1. Make decisions for a student,
2. Criticize a student decision or another advisor’s recommendations
3. Jeopardize a student's confidence for personal matters.
Students Responsibilities:
Clarify their personal abilities, interests, and goals to their advisor,
Contact and make an appointment with the advisor when required or when in need
of assistance,
Be aware of institutional policies, procedures, and requirements,
Evaluate the advising system, when requested, in order to improve the advising
process, and
Request re-assignment of a different advisor, if necessary.

When to meet the academic advisor?
1. To discuss any problems that affect academic performance,
2. To select courses for the upcoming semester,
3. To add or drop courses,
4. To discuss academic progress, and
5. To discuss career considerations.
3.2 Undergraduate Admission Policy
Admission to academic programs at AASTMT branch in Sharjah is available to highly
qualified male and female students from the UAE and abroad. All applicants must meet the
established minimum requirements for admission to study at AASTMT.
3.2.1 Undergraduate Admissions Requirements
3.2.1.1 General Requirements
The Admission and Registration Office determines the number of students to be annually
admitted according to job opportunities.
The applicants must complete the application form and submit the following
documents:
General Secondary School Certificate/Transcript (science section) or its equivalent
approved by the Ministry of Education in the home country from which it was obtained,
and then approved by the Office of Foreign Affairs in the home country and/or the home
country Embassy at the UAE, then UAE Ministry of Education.
Copy of a valid Emirati ID and/or a passport for both the student and the guardian;
A copy of a valid Resident Identity Card for non-local students;
Birth certificate for non-local students and Family Book for local students;
A valid English language proficiency certificate with a minimum score of 1100 EmSAT,
5 IELTS, 500 TOEFL (PBT), 61 TOEFL (IBT), or 173 TOEFL (CBT);
Four Passport-size photographs;
National Service Certificate for local male students (exemption or postponement)
Certificate of Good Conduct for both local and non-local students.
The minimum overall high school score should be above 60%. The overall score is
calculated after providing a certificate equivalency in accordance with AASTMT
regulations.
Applicants must be medically and athletically fit.
Applicants should pass the admission interview, medical test, and fitness test.
o Applicants who do not achieve the required score of English proficiency are required
to take an English language preparatory course in a remedial semester and then pass
the EmSAT with a minimum score of 1100.
o Applicants should have completed 12 years of school education before obtaining the
High School Certificate and should be able to provide the required evidence
documents.
3.2.1.2 Procedures

The Admission and Registration Office creates a personal file for each applicant.
Applicants should pay non-refundable admission fees and receive a receipt before
they can take any required tests.
Accepted applicants receive a “registration number" after authenticating all the data
and certificates, and after they pass all the required admission tests.
Accepted applicants refer to the financial department to pay enrollment admission
fees using their “registration number"
An AASTMT- student ID is then issued to accepted applicants and they receive the
study plan for the program they will join upon receiving AASTMT Branch in
Sharjah enrollment confirmation.
3.2.1.3 Late Registration
All dates specified in the academic calendar must be strictly adhered to. The calendar is
posted well in advance each semester. It is the student's responsibility to adhere to specified
date of registration, examinations, etc. Late registration fee is charged if the student does
not register for courses at the designated time. Registration to courses is not allowed after
the first week of classes.
3.2.1.4 Requirements for Different Certificates
UAE High School Certificate: Advanced Stream/General Stream/Secondary Technical
School (STS) /Applied Technology (ATHS)
Students holding an Advanced Stream High School Certificate with a minimum score
of 60% are directly admitted;
Students holding a General Stream High School Certificate with minimum score of 60%
receive conditional admission to the Maritime Transport Technology and Marine
Engineering Technology programs and are enrolled into a remedial semester to take
preparation courses in scientific subjects.
Students holding Secondary Technical School certificates (suitable specialization) are
accepted only in the Marine Engineering Technology program and are enrolled into a
remedial semester to take preparation courses in scientific subjects.
Students holding Applied Technology School Certificates (suitable specialization) are
accepted only in the Marine Engineering Technology program.
3.2.1.5 American Diploma (High School Diploma)
Students should have completed 12 years of school education before obtaining the High
School Certificate and should be able to provide all required evidence.
Students should have passed 8 subjects including English, Math, Physics, and
Chemistry.
Students complete the other four subjects in grades 10, 11, and 12 taking into
consideration that students cannot take more than 2 subjects from G10 and not less than
4 subjects from G12.
The required SAT 1 minimum score is 800, with minimum 450 in Math for foreign
students.

The required SAT 2 minimum score is 900 with the following required subject
combinations: Math with Biology, Chemistry, or Physics; OR Biology with Chemistry,
Physics, or Math.
3.2.1.6 The British Certificate (IGCSE, GCSE)
Students should have completed 12 years of school education before obtaining the High
School Certificate and should be able to provide all required evidence.
Students should have finished 8 OL subjects with a minimum grade C.
Students should have finished one AS or AL Math or Biology with a minimum grade D
from grades 10, 11, or 12.
If the AS is Math, the required subjects are Math, English, Physics, Chemistry, and any
other 4 subjects from grades 10, 11, 12.
If the AS is Biology, the required subjects are Math, English, Physics, Chemistry and
Biology.
3.2.1.7 The Canadian Diploma
Students should have completed 12 years of school education before obtaining the High
School Certificate and should be able to provide all required evidence.
Students should have passed 8 subjects with a minimum of 5 subjects from G12 and 3
subjects from G11.
English, Math, Physics and Chemistry are required subjects for all students.
Student must take Math or Biology in grade 12 and must have passed these subjects in
grade 11.
3.2.1.8 Australian High School Certificate
British Certificate requirements are to be applied
3.2.1.9 Students Holding the French BAC
Students should have completed 12 years of school education before obtaining the
High School Certificate and should be able to provide all required evidence.
7 subjects are required.
Mandatory subjects are English, French, Math, Physics, and Chemistry.
The minimum required score is 10/20.
3.2.1.10 International Baccalaureate (IB)
Students should have completed 12 years of school education before obtaining the
High School Certificate and should be able to provide the required evidence.
Students should have completed 6 subjects with 3 High Level subjects that include
either Math and Physics, or Biology and Chemistry.
The English language subject is a mandatory requirement.
The student must complete the extended essay and the Theory of Knowledge.
Students should have achieved a Minimum score of 24.

3.2.1.11 The Admission Decision
Students are to be informed of admission decision personally or via email.
The admission deadline is five days prior to start of classes.
3.3 Registration and Additing/Dropping of Courses
The Admission and Registration Office is responsible for receiving the application for the
educational programs and for maintaining the student’s academic records according to
college regulations, policies and procedures. The Admission and Registration Office is also
considered the primary source of information and statistical data relating to all students,
which help the administration and colleges in making decisions and satisfying the
requirements of external sponsors and institutions.
The Admission and Registration Office responsibilities are:
1. Preparing every semester registration process, including follow-up of the course
schedules and their modifications by the colleges.
2. Monitoring the process of student registration online to ensure that student
registration is in accordance with the regulations of the college and study plans.
3. Registering new students as well as students with academic difficulties or special
cases.
4. Applying the transfer procedures between colleges and departments, and specifying
the courses that can be transferred for transferring students.
5. Monitoring course grades and calculating the GPA for the semester as well as the
cumulative GPA.
6. Preparing reports concerning the academic status of students.
7. Reviewing transcripts and study plans for students who are expected to graduate and
implement the graduation regulations.
8. Preparing reports and statistical data and providing them to the concerned parties.
9. Preparing the certificates, official approvals, and students’ transcripts.
10. Coordinating with the sponsors of students’ scholarships and ensuring that the
sponsorship rules are observed.
3.3.1 Addition and Dropping of Courses
The Admission and Registration Office sets up an academic calendar at the beginning of
each academic year and announces it on the website. The academic calendar states the dates
that students are required to adhere to during the registration period and date of beginning
of classes. Students are allowed to drop or add courses according to dates announced on the
calendar. In accordance with these dates, tuition and tuition refunds are calculated for adding
and dropping courses as follows:
During the Add/Drop Period:
If any course is dropped during the Add/Drop period, the student gets a refund of the course
tuition.
If any courses are dropped after the Add/Drop period, no tuition fees are refunded
to the student's account for the dropped courses.

All of the above-mentioned deadlines are specified in the academic calendar.
3.3.1.1 Add and Drop Regulation
After completing registration, a student is allowed to add a new course or drop a registered
course during the registration period provided he/she consults the academic advisor and
observe the restrictions below:
1. If any courses are dropped after the Add/Drop period without receiving “F” then
they are considered as “W” courses.
2. Not exceeding the maximum academic load permitted for registration based on the
student’s GPA.
3. The maximum academic load that can be registered is 18 credit hours (19 credit
hours for students in the College of Maritime Transport and Technology).
4. Students with a minimum GPA of 3.00 may register for an additional course in the
regular semester if allowed by timetables and final exam schedules.
5. Final year students (last two semesters) may increase the academic load to 21 credit
hours (22 hours in the College of Maritime Transport and Technology). The college
must examine each of those cases individually.
6. The number of academic hours must not be less than the minimum academic load (9
credit hours) permitted for registration.
A course can be dropped or withdrawn if a class is to be closed or cancelled due to the small
number of registered students.
3.4 Course Registration for Currently Enrolled Students
According to AASTMT regulations, each student who completes the registration procedures
is considered a regular student of AASTMT in the semester they have registered for.
3.4.1 Registration Procedures
3.4.1.1 Registration Online
It is important for students to register early in their classes so as to be able to register the
courses they want. After the academic advisor’s approval, students can register according
to the following steps:
1. Log into student portal.
2. Select "registration online".
3. Click "Add Course" to add courses and generate Schedules. Students can modify
their choices.
4. View schedule options. If no schedule is available, students may need to adjust their
desired classes or break times.
5. Confirm registration. Once students have selected a schedule, they click "Complete
Registration".
After online registration, students can:

1. Pay tuition fees before the deadline. A copy of class schedule and amount of tuition
fees can be obtained online.
2. Attend classes according to schedule.
3. Receive Text Books from the AASTMT Branch in Sharjah bookstore in person.
3.4.1.2 Closed or Canceled Classes
Information about closed or cancelled classes, changes and additions is updated daily during
the registration period online. If students are registered for a class that has been canceled for
low enrollment (less than 7 students) or for other reasons, they will be notified by email.
They will get a refund if they have already paid.
3.4.1.3 Change of College or Degree Program for Current Students
Any registered student who wishes to transfer from one college to another within AASTMT
branch of Sharjah shall do the following:
1. Submit a request for change of college or program to the appropriate college office
for studying and approving the request and in accordance with college deadlines.
2. The college will evaluate the request and notify the student regarding the decision
of the request. Approved changes will be processed in the Office of Admission and
Registration.
3.4.1.4 Course Prerequisites
Prerequisites, if any, are included in the course description. Students are responsible for
completing all prerequisites prior to enrolling in a course. The registration system prevents
a student from enrolling in a course without finishing its prerequisite; however, graduating
students may receive an exception to register both courses concurrently.
3.4.1.5 Overloads
Undergraduate students, who are not on probation, may register up to 18 credit hours (19
credits for students in the College of Maritime Transport and Technology) in a regular
(Fall/Spring) semester. Students on academic probation are limited to 12 credit hours (13
credits for students in the College of Maritime Transport and Technology) per regular
semesters. Enrollment in the summer semester is limited to a maximum of 6 credit hours (7
credit hours for students in the College of Maritime Transport and Technology)
Students who wish to take more than 18 credit hours in a regular semester must have
cumulative GPA of 3.0 or higher. Any student, who is not on probation, can take an
overload to be studying for 21credits (22 credits for students in the College of Maritime
Transport and Technology) upon the college approval.
3.4.1.6 Eligibility to Register

Students lose "continuing student" status and are considered “former students" when
they discontinue their registration at the AASTMT branch in Sharjah for two or more
semesters in succession (summer session excluded). “Former students" who wish to re-
register are required to use a re-registration application form.
Any student under the following conditions is not eligible to regular registration:
1. Loss of continuing student status
2. Dismissal for disciplinary reasons
3. Having any outstanding financial issues
3.4.1.7 Withdrawal
During the drop/add period for each semester, students may withdraw using the
online Student Portal or in person at the Office of Admission and Registration.
Students who withdraw from all courses they are enrolled in are eligible to register
for a subsequent semester unless they lose their continuing student status.
A student who has been charged with an offense that may result in a disciplinary
action may not officially withdraw from the college until a decision is taken by the
appropriate disciplinary committee.
3.5 Transfer Students
AASTMT Branch in Sharjah accepts students transferred from other institutions according
to the following terms and conditions
3.5.1 Transfer from Other Universities
1. Students are eligible for transfer admission from accredited institutions in the UAE, or
from a foreign institution of higher education based outside the UAE and accredited in
its home country.
2. Transferred students must meet the English language proficiency requirements (all
entering transfer students have to present a valid proficiency level certification (TOEFL
or IELTS or EMSAT) demonstrating the required scores for full admission.
3. Transferred students are requested to submit all official transcripts showing all post-
secondary transcripts at all institutions they attended.
4. Transferred students are required to meet the admission requirements of AASTMT
branch in Sharjah.
5. Transferred students must not have been dismissed from their previous universities for
disciplinary reasons.
6. Transferred students should have completed at least one academic semester in their
previous universities.
7. Courses already completed by the student may be transferred provided that they are
equivalent to those studied at AASTMT branch in Sharjah and that the grade obtained
in such courses is higher than a conditional pass (at least “C” in the credit hour system).
8. Grades of transferred credit hours are not calculated in a student’s GPA but shall only
be transferred in their transcript as achieved hours within the graduation requirements.
9. The number of transferred credit hours must not exceed 50% of the graduation
requirements of the college a student transfers to.
10. The student should fill a “Course transfer” form and submit it to Office of admission
and Registration to continue the transfer procedure.

11. Transferred students should submit their official transcripts as well as official copies of
the course outline or syllabi from the previous institution to the Admission and
Registration Office in order to process requests for the transfer of credits. The Office of
Admission and Registration will send the documents to the College for evaluation. The
College, after evaluating and taking the decision in the College Council, will respond to
the Registrar’s office within one week of receiving the request.
3.5.2 Transfer within AASTMT Branch in Sharjah
Students may transfer from one program to another within the same college or from one
college to another within AASTMT Branch in Sharjah as per the student’s request provided
the following:
1. Meeting the admission requirements and obtaining approval from the department or
college the student wishes to transfer to.
2. The remaining period spent by the student in the college or program he/she transfers
to be sufficient to meet the graduation requirements in terms of the maximum limit
of years or for postponing the military service.
Student’s grades in courses studied at the college or program transferred from and
approved to be transferred shall be counted and accepted in the new major as part of the
graduation requirements.
3.6 Grading System
3.6.1 Course Grade
Grades are an important component of the learning assessment process. Each course
registered is evaluated throughout the semester Examinations, quizzes, reports, discussions,
or other means of assessment are graded to help students evaluate their performance in a
course both in the middle and at the end of the semester. It is the responsibility of the course

3.6.3 Semester Average:
The semester GPA is calculated by multiplying the grade of each course by the number of
the course’s credit hours, and then dividing the total by the number of total credit hours
registered by the student in the semester.
Grade Point Average (GPA):
1. The GPA refers to the student’s overall average; it is calculated at the end of each
semester by adding all course points obtained in all courses and dividing them by
the total number of credit hours completed.
2. The GPA determines the student’s status in terms of academic load, pursuing
studies, academic probation and graduation.
3.7 Academic Probation
For undergraduate students, academic probation begins after a student has completed an
academic risk period and with a cumulative GPA below 2.0.
If the cumulative program GPA (grade point average) falls below 2.0, students will be
notified by the Registrar's office that they have been placed on the academic probation list
and that they will be obliged to a half load registration until their GPA is above 2.0.
The aim of the academic probation is to give students the opportunity to raise their
cumulative GPA so that they can pursue their academic goals. Once placed on academic
probation, the student’s GPA will be reviewed regularly after the completion of every 12
credit hours (13 credit hours for College of Maritime Transport and Technology).
Being placed on academic probation will affect current and future course registration; it
restricts future registration to half load (12 credit hours or 13 credit hours for College of
Maritime Transport and Technology).
The student should immediately discuss the courses available to him/her with the academic
advisor.
3.7.1 Consequences of Academic Probation

Registration: Students will only be eligible to register as half load students (12 credit
hours or 13 credit hours for College of Maritime Transport and Technology)., with no
exceptions.
Degree Conferral or Certificate Completion: Students must obtain a cumulative
program GPA of 2 or above to be eligible to have their degrees conferred upon them or
their program certificate awarded.
3.7.2 Continuation of and Removal from Academic Probation
Undergraduate students will have their progress reviewed at the completion of every 12
credit hours (13 credit hours for College of Maritime Transport and Technology). A student
will be able to continue to the next probationary period (s) provided that they have not
exhausted the probationary periods
If students on probation raise the cumulative GPA to 2.0 or above at the end of their review
period, they will be removed from the Probation list and will be able to register as full load
students.
3.8 Graduation Requirements
Students graduate from AASTMT colleges after completion of all program courses credit
hours requirements with a minimum GPA of 2.0 on graduation. .
The minimum duration of study must be fulfilled as stipulated by AASTMT educational
policies.
Students must complete the Application for Graduation Form in order to be eligible for
graduation at the end of that semester.
It is prohibited to improve the GPA after the end of the study years and obtaining the degree.
The nationality of the student cannot be changed after graduation. Student nationality
change may be considered during the years of study in accordance with the legal constraints
specified by AASTMT policies and regulations
3.9 Students Files and Archiving
AASTMT uses the information in the student’s directory: Name, current address, email
address, telephone and mobile listing, photographs, program of study (including degree
program(s) fields, years of study, and/or class information), current registration status and
participation in officially recognized activities and sports.
Students are responsible for ensuring that their directory information is accurate and
updated, in addition to providing accurate emergency contact information.

mail to the address specified in the file of the Registrar. The student will be responsible for
any late fees and other administrative action resulting from failure to respond to the
mail/email.

Students may update their address information via the student portal. International students
must also provide a permanent address in their country of citizenship in addition to the
residential address in Sharjah.
Requests for name changes must be submitted online or in person to the Office of Admission
and Registration. This is also required from international students wishing to change their
names in the college records along with submitting their international ID documents.
Graduating students should submit name change requests no later than two months before
the official date of graduation.
The name of the student mentioned in the student record will be the student’s legal name
and will appear on the official transcripts, college identification card, and any official
documents issued by the AASTMT.
3.9.1 Review of Education Records
AASTMT procedures regarding review of educational records are as follows:
1. All students who are enrolled or have been enrolled at AASTMT have the right to
review their educational records subject to AASTMT policies and regulations.
2. Students should be aware of the risks of giving out their personal information from
their educational records to others.
3. Parental statements of financial resources will remain confidential. Parents must
indicate their willingness for the release of information in such statements to the
student; the statements will be made available to the student upon request.
3.9.2 Amendment of Educational Records
Students have the right to review records if they believe their educational records to be
inaccurate. If a student believes a record is inaccurate he/she should go the Office of the
Registrar and identify the part of the record he/she wishes to modify and specify why it is
inaccurate.
3.9.3 Release of Students’ Educational Records
Students’ records may be released in advance without the consent of the student to
AASTMT administrative, supervisory, or academic officials employed by AASTMT.
Students’ educational record may also be disclosed without their prior written consent
under certain circumstances, including:
1. A student’s application for or receipt of financial aid.
2. To accrediting organizations for the purposes of accreditation.
3. To “appropriate persons,” including parents, in case of health and safety
emergencies;
4. In response to a judicial order.

4 STUDENT LIFE
4.1 Health Services
The health services vision at (AASTMT) is to preserve the value of the individual and to be
one of the most important entities that provide healthcare to its students and to achieve
excellence in human relations and professional competencies through the best doctors and
nurses according to professional values and ethics. Moreover, AASTMT health services
mission is to seek self-sufficiency in providing excellent medical care to deserving students
and workers in accordance with the regulations and the utmost equality between individuals,
creating a healthy environment for the success of the educational process. AASTMT in
partnership with the best external medical institutions are taking advantage of the latest best
available resources with efficiency and effectiveness.
4.1.1 Medical Care System
AASTMT guarantees medical care for undergraduate students. The AASTMT contracts the
best doctors and major hospitals to complete the treatment protocols and patients are
transferred to them by the Department of Medical Affairs.
Students must observe the following:
1. The AASTMT is not responsible for the student’s chronic diseases.
2. The student must inform the clinic about any infectious diseases to avoid complications
or spread.
3. The Department of Medical Affairs approves the external sick leave after examining the
student within 72 hours of its issuance date.
4.2 Student Counseling Services
The aim of this section is to give information on the Student Counseling Services provided
by AASTMT Student Affairs during the student study period.
The main aim of the Student Counseling Services is to improve students’ learning,
communication, and adaptation skills. The main objective is to provide the necessary help
for the students who are failing or skipping semesters due to the psychological and
communication problems they face.
Student Affairs, in collaboration with faculty members in AASTMT Sharjah Branch,
provides counseling services to a wide range of students in a trusted and confidential setting
to maintain feelings of trust and safety during the students’ counseling visits. Students facing
any academic difficulty that may be related to personal issues may be referred by a faculty
or staff member to counseling.
Students with learning disabilities, students suffering from psychological disorders, such as
anxiety, depression, phobia (social or exam phobia), and students with mal-adaptive or
dysfunctional behavior (antisocial/lack of motivation/aggression/frustration/abuse are
referred to individual therapy plans in confidential individual therapy sessions.
The student counseling services also provide group awareness sessions and free discussions

of various topics focusing on students’ daily life, interactions, moods, habits, stresses,
family problems, social interaction, communication, motivation, planning and other relevant
issues.
4.3 Cultural and Social Activities
The main concern of the cultural and social activities is to develop student's character and
talents to contribute to academic success.
Student Affairs coordinates students’ activities and makes information available about
different campus activities to students. The activities aim to develop the character of
students and help students adapt to the campus environment, all activities complement
academic programs and their expected outcomes are aligned with the institutional goals.
Students are encouraged to learn technical, cultural and social skills, express their creativity,
and form positive social relationships.
AASTMT takes responsibility for:
Organizing different activities both in and out of campus.
Communicating with the largest possible number of students.
Developing activities to suit the needs and skills of students.
Motivating students who always take part in activities with certificates and nominal
gifts.
Creating an environment to enables students to take responsibility and become involved
in the community decisions.
Relating students’ activities to scientific studies and translating them into actions and
positive behaviors.
Building student life skills abilities.
Encouraging volunteer work and social responsibility towards the society.
Organizing Sports Activities
AASTMT gives top priority to sports and athletes based on its belief in social and national
responsibility as an Arab League organization and to set a successful model.
AASTMT gives students the opportunity to enhance, refine and demonstrate their athletic
and intellectual skills through teamwork, sportsmanship, intercollegiate competition and
provides the training facilities and a distinguished athletic program. Physical education,
fitness and swimming lessons are part of the student’s preparation in the College of
Maritime Transport and Technology
Regulations for Using the Physical Training Halls and Health Club:
1. Observing public morals and following trainers’ instructions inside the hall.
2. Showing the student’s AASTMT ID and wearing sportswear (athletic shoes, training
suits, and towels) on entering the hall.
3. Using personal audio devices with headphones and keeping a low tone of voice.
4. The maximum time of the training session is 90 minutes.
5. The sporting tools and equipment used during the training session must be returned to
the right place after the training is over.
6. The maximum time for using cardio equipment (stationary bikes - roller coaster -
running) is 15 minutes.
7. Students must hand over their personal belongings to the secretariat/staff in charge.

4.4 Residential Life Policy
AASTMT branch in Sharjah offers residence for all students in the first four semesters
according to the Regulations of College of Maritime Transport and Technology, as well as
students who wish to reside at the AASTMT, Life on campus provides a social, educational,
cultural and sporting environment suitable to all students.
4.4.1 Accommodation Regulations
4.4.1.1 Accommodation Overall System
1. The accommodation administration and the supervisors of the dorms have the right to
make monitoring tours at any time.
2. The accommodation administration and the supervisors of the dorms have the right to
enter students’ rooms at any time, if deemed necessary.
3. Students residing at the AASTMT’s premises are not to violate instructions and
regulations of the Student Affairs or of their colleges.
4. The accommodation closes at 10 PM for female students and at 11 PM for male students.
5. Students have to leave their room maximum within two days after their academic
semester final assessments. Furthermore, all students have to leave their dorms
immediately during feasts and mid-year vacation. Exceptions are made for those who
have stay permission from the Student Affairs.
4.4.1.2 Accommodation Transfer
1. Students can be transferred from a four-student room to a three-student one or the
luxurious accommodation (if available), according to their wish, after paying the
required fees. The transfer can be considered after the student submits the required form
to the Student Affairs.
2. If necessary, a student can be transferred from one building to another after completing
the procedures during the specified time.
3. The accommodation administration has the right to make students stay at any room
inside the building and to transfer them from one room to a similar one in the same
building or in another building, if necessary.
4.4.1.3 Checking out and Departure
1. The duration of students’ accommodation ends after their academic semester final
exams maximum by 48 hours. In case a student does not clear their room in due time,
he/she will lose their insurance.
2. The duration of students’ accommodation ends in case of cancelling an academic
semester, withdrawal of courses, not registering the subjects, or being expelled from
AASTMT or the dorms for any reason. Students’ stay, in this case, is considered illegal
and they have to leave the room immediately.
4.4.1.4 Penalties
In case of any violation of these regulations, the Student Affairs has the right after taking

all the legal procedures with the student to terminate his/her stay and not to provide
accommodation for him/her later.
4.4.1.5 Financial Affairs
1. Students cannot refund the accommodation expenses in case of departing before the end
of the duration stipulated in the accommodation request in any case and whatever the
reasons were.
2. The insurance is refunded to the students after leaving the accommodation dorms unless
there is any destruction or missing items in the rooms.
3. Students who wish to continue in their dorms during the following term have to pay for
the accommodation expenses during the allotted time.
Forms that should be filled out by the applicant for accommodation:
1. An accommodation request form.
2. Instructions of the accommodation.
3. An accommodation ID form.
4. A statement pledging the accuracy of data provided to the Student Affairs.
5. An evacuation form in case of evacuating accommodation dorms.
4.4.1.6 Violations and Penalty Regulations
1. Violating regulations and instructions of accommodation.
2. Disrespecting the accommodation supervisors and offending them or other colleagues.
3. Failing to submit the academic schedule to the accommodation supervisor as stipulated
in the regulations of accommodation.
4. Losing the student ID.
5. Destroying the dorms furniture.
6. If the student gives any false information or fails to fill in all the required data in the
specified forms.
4.4.1.7 Requirements of Acceptance at AASTMT Accommodation
1. A proof of being accepted at AASTMT.
2. To be a student at AASTMT and have registered for the courses during the designated
semester.
3. To be enrolled in one of the training courses of AASTMT.
4. External students can be accepted during their registration in programs for visiting
students or other programs if there are vacancies in the dorms.
5. Students should not have been previously expelled from the students’ accommodation.
6. Students shall sign a warrantee of abiding by the regulations of accommodation dorms.
7. Students must not be carrying any contagious diseases. They are to present a medical
report from the medical department to prove this.

4.5 Student Council
The Student council is a lawful body in AASTMT that expresses the views of the students
and protects their interests. The SC is responsible for organizing all student activities on
Campus away from politics, religion and irrespective of nationalities of students.
The Student Council aims to prepare a generation that can take responsibility and strengthen
ties between students, develop moral values and support the student’s character by setting
and organizing student projects and programs that serve the academic goals and contribute
to the community and the surrounding environment.
4.5.1 Student Council Processes
The Student Council is elected each year and is formed of a President, a Secretary of the
Council and an Assistant Secretary of the different committees. The Council should be
formed equally of male and female students who are directly elected from among the
students at college levels. In case no one is nominated for the Student Council, the selection
of the Student Council shall be made by the Student Affairs in coordination with the college.
The call for the Student Council elections is made by the Student Affairs at the end of the
second semester of each academic year. The preparations include the organizing committee
of the elections, and the names of the candidates of each list. Each list should include the
following details:

Council Secretary name with his/her personal data.
Assistant Secretary with his/her personal data.
Different Committees members with their personal data.
The election process takes place during the fourteenth or fifteenth week of the second
semester of the academic year either electronically or manually. For the election process to
be legal, the number of participating students must be 50% plus one student from the
registered students in the second semester, otherwise, the election process will be repeated
the next day with the presence of any number of students from the college. In case of equal
votes, a lottery is held in the presence of candidates to determine the winner.
The convening of the Council General Assembly and/or its different committees shall be
called for by the Council President or his/her Secretary. The notification for the convening
shall be made at least three days in advance and must be held on a monthly basis. The
meeting shall be valid if more than half of the members are present. If a quorum is not
present, the meeting shall be postponed for two days; only then it could be held with any
number of participants. The Student Council decisions are made by the majority of the
members. The Student Council shall be dissolved upon the resignation of two thirds of the
members through an official statement declaring their resignation to the student body.

4.5.2 General Rules for Colleges Student Council Elections
Elections are held on the basis of the list system and not the individual system. Accordingly,
the entire list wins the most votes, regardless of the percentage of voting in the elections.
The Student Council of each college consists of the Chairperson/ President, Vice President,
Secretariat, Treasurer and the Human Resources official in addition to a Committee
Secretary for each of the seven committees indicated below:
Culture and Media Committee.
Social and Trips Committee.
Artistic Committee.
Scientific Committee.
Families Committee.
Roving Committee.
Sports Committee.
The College Student Council at AASTMT consists of 12 students from different
departments.
Each Student Council shall include at least 2 female students in each college student council,
with the exception of the Student Council of the College of Maritime Transport and
Technology.
Each Student Council at different colleges at AASTMT may include a disabled Student
called the “Challenge Champion Officer”. This student can be added to the above-
mentioned list.
Each list participating in the Student Council elections must abide by the whole conditions
for candidacy for the Colleges Student Council at AASTMT which will be announced by
the Student Affairs.
Elections for all colleges will be held during the fourteenth or fifteenth week of the second
semester of the academic year. The winning lists will be announced on the official page of
the Student Affairs within one week from the last day of elections.
The elected Student Council list takes over their duties after the Academic year summer
semester ends to begin preparing their work plan.
4.5.2.1 Conditions for Candidacy for the Colleges Student Council

The candidate on each list:
Must have been a student in the AASTMT during the Fall semester. Moreover, the
student must have spent at least one year or more studying at the AASTMT;
Must be registered in the Spring semester). The membership of the student will be
activated in the Student Council by the next year after his/her registration of the courses
for the following Fall semester
Must have at least a full academic year ahead before graduation, (two semesters);
Must score a GPA of 2.5 or more Must possess good personal characters and must have
a good reputation during his/her study at AASTMT;
Should have a record of continuous activity in the area of interest of the committee
which he/she nominates himself for in the Student Council.
Must fill an Application form either manually or electronically according to the time
plan that will be announced by the Student Affairs.
The provisional lists of accepted candidacies, which meet the conditions and requirements
for candidacy, will be notified immediately after the nomination forms are approved of by
the Student Affairs to launch their election campaigns. It is strictly prohibited for any
accepted list for the election process to start the election campaigns in colleges or on the
social media unless the accepted lists for candidacy are announced through the Student
Affairs official page.
Lists that start the election campaign before the official announcement of the Student Affairs
will be excluded from the elections.
4.6 Disability Services
The Policy of dealing with Students with Determination at The AASTMT provides a
framework for promoting and sustaining equality. It aims to ensure that applications for
admission from potential students are assessed on the basis of the applicant’s aptitudes,
abilities and qualifications, to ensure that disabled students have an access to appropriate
support, advice and adaptations to enable them to be fully included in the of the student life
where reasonably possible and it also aims to ensure that individual student views are
ascertained and taken into account whenever needs are being assessed.
AASTMT provides services for Students with Determination, (SwD) including information
on accessibility, identification of accommodations, the filing of medical reports, and liaison
with faculty and staff in establishing accommodations and the provision of auxiliary aids
when required.
AASTMT is committed to a policy of equal opportunities and access; recognizing the fact
that determined students have an equal right of participation in higher education. AASTMT
will make reasonable adjustments, including anticipatory ones, where necessary and
feasible to facilitate this. All (SwD) should be able to participate fully as far as reasonably
practical in the full range of academic, cultural and social activities available within campus
life. Students will be urged to disclose their disabilities on application and throughout their
student life to facilitate appropriate support. It is important to note that individual students
have a responsibility to provide all necessary information so that support can be provided
in a timely and appropriate manner.

Identify and analyze potential discriminatory policies, practices and procedures in
all aspects of the Academy activities.
4.6.1 Student Support Unit for SwD
AASTMT runs a program of staff development to provide support and address issues
relevant to the educational and other needs of the students with disability.
Each college nominates a member of staff (Learning Support Coordinator) to be on the
Learning Support Coordinator’s Group to share practice relating to (SwD). The Group
includes staff from the following areas: Student Services, Academic Advising and Student
Counseling.
AASTMT offers a professional support to those experiencing emotional, psychological or
mental health issues. Welfare, Disabilities Advisers, and Counselling and Mental Health
staff are all part of the Health and Wellbeing team and work closely to support students with
severe and enduring or complex mental health difficulties defined as a disability.
AASTMT has a range of specialist equipment and assistive software available. For more
details of what is currently available, the (SwD) can contact with the staff members at the
Student Disability Center.
AASTMT offers the disabled students a comfort accommodation during their studies period
in the accommodation dorms.
4.7 Food Services
AASTMT branch in Sharjah provides catering services for students at AASTMT
Accommodation. Below the catering instructions, policies and procedures of the main
restaurant at the Academy:
1. The cleanness of the place reflects your own cleanness. Accordingly, the student shall
keep the place clean and shall not cause any kind of harm to others.
2. Students residing on the premises are allowed to have the three meals in the main
restaurants. Post-graduate and senior students who do not reside on the premises are
allowed to have their meals in the main restaurant after paying the meal cost and
receiving a receipt as per the instructions of the Catering Department.
3. Students are required to show their IDs and the accommodation receipt upon the
responsible staff request. In case of the student refusal, s/he shall not be allowed to
enter the restaurant.

4. Students shall have their meals only in the designated places.
5. Students shall stick to the time allocated for meals.
6. It is totally prohibited to take silverware outside the restaurant.
7. Visitors are not allowed in the restaurant.
8. It is not allowed to speak with the catering employees through the restaurant
backdoors.
9. Smoking is prohibited.
10. Students are not allowed to take any food from the restaurant or to the restaurant.
11. Students are not allowed to enter the kitchen of the main restaurant in order to keep it
clean.
12. Students must show discipline within the restaurant.
13. Students shall ensure their safety and the safety of others, and should avoid any
quarrels with others.
14. Students must contact the restaurant supervisor immediately if there is a problem or a
complaint concerning food or related to the restaurant.
4.8 Transportation Service

4.9 Career Advising
The Career Service Office (CSO) supports the mission of the Arab Academy for Science,
Technology and Maritime Transport to empower the students and alumni of AASTMT
branch in Sharjah in their career journey.
The CSO mission is to encourage students to explore their career paths, identify and develop
skills, and pursue experiential opportunities. The CSO vision is that each member of
AASTMT Branch in Sharjah community will be empowered to achieve lifelong
professional success.
The Career Service Office (CSO) assists students and alumni as they explore, prepare for,

At the CSO, individuals are empowered to take a proactive and strategic role in finding
and pursuing their personal and professional passions. The CSO offers a comprehensive
program of professional and career services for students and alumni, and develop the
professional skills they will need to achieve their goals.
The programs, tools, and services offered through the CSO facilitate partnerships between
students, alumni, faculty, employers and parents to maximize career opportunities. As a
result of participating in the CSO, students will be able identify core values, beliefs, and
skills, and use them to articulate relevant career goals acquire transferable skills and relevant
experiences for future professional accomplishments; and utilize resources that are available
to gain experiential learning opportunities and foster professional networks.
The CSO aims at helping AASTMT students determine and fulfill their career goals. During
their academic studies, the office helps them learn about themselves, develop skills and
identify resources to pursue their professional and academic objectives. The CSO prepares
and assists students and alumni as they pursue career development and the job search

process in the world of work. The Office serves as a place for employers to advertise job
openings and for students to access this information.
Following policies govern student participation in Career Services Programs. They are
designed to maintain a standard of equality and professionalism.
4.9.1 Workshops and Seminars
Throughout the year, the CSO offers workshops for small and large groups in classrooms.
Topics include: Writing a CV, Interviewing Skills, Job Search Strategies and Internships.
4.9.2 On Campus Recruitment Programs
The term ‘On Campus Recruitment’ refers to the multiple programs in which CSO staffs
agree on interview dates with employers, send them the resumes of interested candidates,
and schedule interviews with the individuals that the employers select. The
Corporate/Government Recruitment invitation list is updated annually.
4.9.3 Career Day
AASTMT organizes an annual career day where employers meet formally with students and
distribute information about their organizations. Some employers may collect resumes and
conduct on-the-spot interviews. The CSO organizes job fairs for part-time and full-time
jobs.
5 CODE OF CONDUCT
The purpose of this section is to ensure that all students registered at AASTMT are
following AASTMT regulations as indicated below.
The list of regulations is titled “Student Conduct Regulations” and states the principles
and rules that the student should abide by as well as the penalties enforced in case of
his/her committing of any conduct violations. The following words and phrases are
defined according to their meaning as intended in the Regulations, unless indicated
otherwise.
The Student: The student is the one who is enrolled in any of the AASTMT educational,
training, and preparatory or affiliate programs.
Violation: Any verbal or behavioral misconduct committed by the student that violates
the rules and regulations of the AASTMT, which disrupts its system, its general conduct,
the educational process, the examination process or what would by any means negatively
affect or jeopardize the well-fare of others, whether students, employees or academic staff,
by any means, is considered a violation of the rules imposed by the AASTMT.
The Penalty: This includes all the disciplinary penalties exclusively stated in these
Student Conduct Regulations.

Student Affairs Committee: It is the committee formed to look into students’ violations
of the AASTMT rules of conduct and consequently issue appropriate disciplinary action.
The Investigator: The person responsible for conducting the investigation with the
student in case of committing any conduct violation stated in the Student Conduct
Regulations.
Decider of the Student Affairs Committee: He is the person responsible for preparing
the Student Affairs Committee agenda as well as notifying the violating students and their
guardians of the penalties sentenced by Student Affairs Committee.
In line with AASTMT policy at its Branch in Sharjah for maintaining transparency in
dealing with its students, Student Conduct Rules and Regulations were laid down to indicate
the students’ rights and obligations. Breaching any of these rules and regulations is
considered a direct violation of Conduct that would result in disciplinary action against the
violator, in accordance with the Student Conduct Regulations. Below the objectives of these
Regulations:
The Regulations aim at:
1. Maintaining an appropriate conduct for the students and guaranteeing the
continuation of building their personality.
2. Disciplining the behavior of violating students and addressing their behavior with
appropriate educational methods.
3. Controlling students’ behavior at the AASTMT so that they get ready to take a
leading role in developing their societies.
4. Guaranteeing the quality of the educational process and the related extracurricular
activities in the AASTMT in Sharjah Branch.
5. Disciplining the conduct of students who are violating the rules and regulations of
the AASTMT in Sharjah Branch as well as those who violate the traditions and public
morals.
6. Reducing students’ violations through achieving public and private disciplinary
actions.
7. Preserving the AASTMT’s in Sharjah branch physical and qualitative value as one
an educational institution.
8. Protecting the reputation and status of the AASTMT’s in Sharjah branch as one of
the specialized organizations affiliated to the Arab League.
9. Clarifying the rights, duties and responsibilities of the students.
5.1 Process of the Code of Conduct
5.1.1 Scope of Regulations Application
These regulations apply to all students who are registered at the AASTMT in Sharjah
Branch in both undergraduate and post-graduate studies, in addition to those who join any
of the Academies' academic, training, and preparatory or affiliate programs. Throughout

their enrollment period, students are subject to the provisions shown in these regulations,
taking into consideration applying the discipline regulations to the students of the College
of Maritime Transport and Technology to meet its nature of study.
5.1.2 Publishing Student Regulations
Student Regulations shall be published on the AASTMT’s official page in Sharjah Branch.
It shall also be announced to students via various media authorized and recognized by the
AASTMT. Students shall not claim ignorance of these regulations or any other
AASTMT’s abiding rules and regulations or any instructions issued by the AASTMT,
based on the exhaustive legal basis, “ignorance of the law does not excuse one from
liability”.
5.1.3 Procedures
In case of student’s violation of regulations, a report of the incident and the offender is
issued and submitted to the Student Affairs who refers the case to the Students
Investigation Department to investigate the incident. A time is set for the investigation and
the student to be interrogated is informed by the College or the Student Affairs with a
maximum number of two interrogation sessions. Not showing up for interrogation is
regarded as the student’s acknowledgment of the validity of the violations attributed to
them and shall consequently be referred to the Student Affairs Committee to impose the
appropriate disciplinary action. A student referred for interrogation may be suspended,
pending an investigation. If interrogation time clashes with assessment, it shall be
postponed after the student is done with his/her assessment.
5.1.4 Forming Student Affairs Committee
The Student Affairs Committee is formed by decision of the President of the AASTMT’s in
Sharjah branch and chaired by Vice President for Education and Student Affairs. The
committee examines the violations committed by the student after the investigation process
during which the student is given the full opportunity to express his/her defense, ends. By
stating that an offence has been found, the committee issues its decision to impose
disciplinary penalties appropriate for the committed offence in accordance with the penalties
enlisted hereby in Student Conduct Regulations exclusively. The committee’s decisions
shall be by majority of present votes and are only deemed final after the approval of the
AASTMT’s President.
5.1.5 Status of Students in Violation of Conduct Regulations
According to these regulations, a student who has committed a conduct violation cannot
withdraw or fill in student clearance forms before investigations end. All graduation
procedures and student clearance forms are suspended until a final decision is issued
regarding the violation attributed to the student, provided that the Deanery of Admission

and Registration and the College are informed of the student’s status. Besides, students
are not allowed to drop out unless they refer back to the Student Affairs.
5.1.6 Student Responsibilities while Studying at the AASTMT
1. Students are responsible for knowing and following the study system at the AASTMT
and its regulations, in addition to being responsible for any deficiencies or wrongdoings
that take place as a result of lack of knowledge or ignorance of instructions.
2. Students shall abide by the instructions and rules of ethics, public morals, decent look,
customs and traditions on/away from AASTMT campus.
3. Students should work to preserve AASTMT property and adhere to an exemplary code
of conduct in dealing with colleagues, staff members, other employees at the AASTMT
and other institutions and companies representatives who are assigned to work at the
AASTMT.
4. The student is abide to have his/her student IDs when they are on AASTMT Campus
also he/she have to show the student ID or personal IDs whenever any in charge at
AASTMT ask for it.
5. Students are committed to an appropriate dress code inside the AASTMT campus, while
avoiding shorts and ripped jeans, ...etc.
5.1.7 Conduct Violations
A violation is any action committed by a student and considered to be a breach of the
AASTMT’s rules, regulations and instructions. This definition includes violations of order
and public decency, disruptions of educational, training or examination processes, and any
other act that jeopardizes the welfare and safety of students, employees, and staff members.
Generally, this covers any transgression on part of the students, including:
1. Any action that disrupts the educational process in the AASTMT.
2. Any action involving religious disputes, threatening the dignity of others, posing a threat
to modesty, and disrupting general peace at the AASTMT and its facilities. It can also
be an act discriminating against people based on their religion, race, color, etc., in
addition to all attempts of influencing employees by intimidating or enticing them.
3. Tarnishing the reputation and status of the AASTMT and those who belong to it in any
manner through actions or words in or out of campus.
4. Any action that is verbally or physically offensive to the AASTMT members, such as
employees, staff members, students as well as representatives of companies or
organizations affiliated with the AASTMT.
5. Preventing the execution of any programs or activities on or off campus, or any of the
AASTMT facilities directly or indirectly.
6. Damaging, destroying, defacing or misusing AASTMT property, facilities or student
dorms, including all mobile and fixed property such as buildings, furniture, and
equipment inside scientific centers, classrooms, and laboratories. This includes
educational resources, maps, the content of the central library and its branches,

playgrounds, gardens, showrooms and building annexes. This applies to all means of
transportation in the AASTMT as well. In addition, it covers any action or attempt that
negatively affects the property of others inside the AASTMT.
7. Possession or acquisition of weapons including firearms, cold weapons, sonic weapons,
etc., even if the owner presents required license, as well as other tools that can be used
for attacking others. This includes as well possessing explosive or inflammable
substances, and carrying out any action that threatens safety and security in the
AASTMT.
8. Possession or consumption of any kind of narcotics, prohibited drugs or similar
substances as well as any type of alcoholic beverages or any similar drinks and
possessing or distributing counterfeit local or foreign currency by any means.
9. Students’ refusal to take a drug test, be it a random check for all students, an admission
requirement, or a standard procedure of the College of Maritime Transport and
Technology. Refusal to take the test is an equal legal presumption of the positive result
of the sample.
10. Possession, distribution or sharing of any obscene materials that violate community
standards in any form whether visual or audible.
11. Being in charge of or taking part in the organization of meetings, conferences, or
demonstrations in any form; issuing releases, newspapers, magazines or distributing,
selling or buying them; collecting donations and individual or group signatures;
distributing or sharing any piece of news that shall harm the AASTMT, its students, its
employees, or the Arab League member states via different media channels (audible,
readable or visual), social media or through creating websites on the internet for related
purposes without obtaining an official written authorization from the competent
authority at the AASTMT or from staff members.
12. Participating in any political activities or joining a political party, thus undermining the
objectivity and independence of the AASTMT.
13. Stealing, or attempting to, inside the AASTMT, whether items such as money,
equipment, tools, devices, etc. or scientific or intellectual property (research papers,
books, graduation projects, assignments, plagiarized content, etc.)
14. Forgery of official documents issued by the AASTMT and those circulating on its
premise or any other related documents. In addition, forging stamps or attaining
documents illegally.
15. Inviting over an outsider to the AASTMT to impersonate a student in a lecture, a quiz
or an exam or any other form of evaluation.
16. Violating the code of conduct or instructions during lectures, sections, meetings,
conferences, seminars or any similar event or attempting to disrupt them by any means.
17. Smoking inside the AASTMT buildings and facilities. This includes all types of
smoking (cigarettes - electronic smoking vapes - shisha, etc.)
18. Wearing inappropriate clothes that violate the AASTMT dress code and the standards,
ethics and traditions of the community, in accordance with the AASTMT’s vision and
regulations.
19. Any violation of the regulations of the Student Affairs, such as benefiting from the
AASTMT Branch in Sharjah

services offered by the AASTMT without paying their due fees (student dorms –
restaurant - gymnasium – transportation, etc.).
20. Recording or attempting to record lectures (audio or video recording) using traditional
or high-tech devices without the consent of the lecturer.
21. Any hacking attempt on the AASTMT website or the websites or social media pages of
its colleges, deaneries, institutes, scientific centers, or the accounts of the AASTMT staff
members, employees and students.
22. Instigating violence and aggravating conflicts by any means and any action that shall
threaten the security of the AASTMT.
23. Modifying, changing or transferring equipment and resources in any of the AASTMT
facilities without obtaining an official approval from the competent authority.
24. Traffic violations, reckless driving and any violation of the security rules and regulations
on the AASTMT premises.
25. Being sentenced for criminal charges or being imprisoned for crimes involving
immorality or dishonesty.
26. Performing any action that shall negatively affect the reputation and the status of the
AASTMT as one of the specialized Arab organizations affiliated with the Arab League.
5.2 Disciplinary Actions
The disciplinary actions in the code of conduct at AASTMT include the following articles:
Article 1
1. Verbal or written notice.
2. Issuing a warning of expulsion from the AASTMT to be documented in a written letter.
3. Denial of taking part in student activities for one or more semesters.
4. Denial of attending college and sitting for examinations in all registered courses in the
semester during which the violation took place and receiving a ‘W’ in all subjects with
no right to a refund of tuition fees or the fees of student accommodation, if applicable.
5. Denial of registering the summer academic semester.
6. Denial of registering one academic semester.
7. Denial of registering two academic semesters.
8. Denial of registering two academic semesters and the summer academic semester.
9. Expulsion from the AASTMT.
Article 2
In case of damaging, destroying or vandalizing the AASTMT properties, such as writing on
its walls or carrying out any similar unacceptable action, the student shall pay the cost of
the damaged facility, the cost of its restoration as well as any fine estimated by the AASTMT
for this damage and its potential repercussions. This is to be done without referring the case
to the Student Affairs Committee, unless necessary.
Article 3
Smoking (cigarettes, electronic vape cigarettes, etc.) and dressing inappropriately are
strictly prohibited on campus. In the case of a student violating this rule, 25$ will be
deducted from the insurance money for the first-time offence, 50$ for the second, and 100$

for the third. In case violation occurs for the fourth time, the student is to be investigated by
the Student Affairs Committee to enforce suitable disciplinary action.
Article 4
No disciplinary action can be enforced unless mentioned in the previous articles.
Article 5
In case a student obtains their graduation certificate through fraud, forgery or cheating, the
AASTMT has the right to withdraw the decision to grant the certificate. In case of criminal
offence or forgery, the AASTMT may also file a complaint to concerned authorities.
Article 6
The student’s legal guardian, the scholarship organization, or the delegating body are to be
informed of the disciplinary action decided by the Committee. This is the responsibility of
the Head of the Committee and is to be done within three days of the Committee decision,
of which the student is to be notified in writing. The disciplinary action is also to be added
to the student’s record on the student portal.
Article 7
In case a student committed a series of related offences, the most severe disciplinary action
is to be enforced. In case a student committed a series of unrelated offences, each is to be
assigned a separate disciplinary action.
Article 8
Decisions taken by the Student Affairs Committee cannot be altered or modified after their
approval by the President of the AASTMT, except in case of student appeals.
Article 9
The Head of the Student Affairs Committee is to send a copy of the Committee agenda to
its members, 48 hours prior to their meeting.
Article 10
Disciplinary action decided upon by the committee is to be enforced after the approval of
the President of the AASTMT.
Article 11
Record of disciplinary decisions taken by the Committee is kept by the Student Affairs.
Article 12
Any issue that was not regulated by an article is to be subject to the Education Regulations.
Article 13
These current regulations may only be amended upon the request of the Student Affairs and
after the approval of the President of the AASTMT.

Article 14
These regulations go into effect, upon their approval by the President of the AASTMT.
5.3 Student Complaints
A student complaint is any social or disciplinary matter with which a student is dissatisfied.
The purpose of this section is to guarantee the right of students to submit a grievance
statement against AASTMT students or AASTMT according to procedures set forth by the
AASTMT. Moreover, it aims to ensure that students’ complaints are dealt with
systematically and effectively.
AASTMT implements the below-mentioned policy regulating grievance and appeal
processes for students with specific concerns about any aspect of their experience at the
AASTMT.
The purpose of this policy is to state, in clear and precise terms, the procedures whereby
AASTMT students may present grievance statements or appeal decisions affecting them,
and the timelines by which they may initiate the process and expect to receive replies.
5.3.1 Scope of Student Complaints
1. This procedure applies to all problems affecting undergraduate students, which might
result from the implementation of the AASTMT’s Quality Management System.
2. This procedure does not apply to student appeals regarding the outcome of the
assessment process.
3. This procedure applies to appeals relating to the AASTMT’s disciplinary system.
5.3.2 Documents Related to Student Complaints
1. Corrective and Preventive Action.
2. Students Discipline (Social).
3. Performance Indicators Analysis.
Many complaints can be resolved through informal discussions. A student has the right to
appeal against the penalty imposed on him/her in case new substantive facts and updates
appear. A student may submit an appeal within 30 days after being notified of the penalty
to the Student Affairs who, in turn, presents it to the Committee to come up with a decision.
The decision is considered final only after it is approved by the President of the AASTMT.
5.3.3 Procedures for Student Complaints
1. The student shall fill in the student complaint form and forward it to the College within
7 days from their receiving the notification.
2. The College shall acknowledge receipt of the student complaint and attempt to resolve
it.

3. If the student complaint is resolved by the College, the latter shall complete the response
details of the form and return it to the student. A copy shall be sent to the Student Affairs.
4. If the student complaint is not resolved by the College, he/she shall send it to the Student
Affairs who will transfer the letter to the Student Grievances Standing Committee, for
investigation and suggested resolutions based on the student conduct regulations.
5. The Committee discusses and studies the student complaint in detail, then directs a letter
to the Student Affairs with a final recommendation regarding the complaint.
6. The Student Affairs shall approve the response and then forwards it to the College.
7. The College shall return the student complaint to the student, and submits a copy to the
College Dean to inform him/her with the decision.
5.3.4 Analysis of Student Complaints
1. The College shall periodically review student complaints looking for trends or repeated
problems.
2. The problems found as a result of this analysis will be dealt with in terms of the
Corrective & Preventive Action Procedure.
5.4 Students Duties and Rights
Students are responsible for knowing and understanding their study plan and its
regulations.
Students shall abide by the instructions and rules of ethics, public decency, modesty,
and shall observe customs and traditions on and off campus.
Students should work to preserve AASTMT property and act responsibly when dealing
with colleagues, staff members, employees of AASTMT and other institutions.
Students must have their student IDs when they are on campus.
Students must comply with the dress code on campus.
5.4.1 Disciplinary Actions

5.5 Student Appeals
Students are responsible for understanding and abiding by college academic policies and
procedures. Students are responsible for their academic choices and for meeting the
standards of academic performance established for each course in which they enroll. Faculty
members are responsible for establishing methods and criteria for evaluating students’
performance in light of learning outcomes, courses, final projects, exams, prior learning
assessments, etc. Evaluations of students, awards of academic credit and other academic
assessments are based upon academic performance and the application of relevant academic
policies.
Academic assessments made by faculty members and other academic professionals are
recorded in college documents, such as:
Course outcome and grades;
Written records of academic decisions made by assessment committees, academic
review committees, or other academic staff.
Students review their course work grades throughout the semester with the course instructor
before final grades are announced. Students may appeal an academic decision if they believe
that it was unfair or that the college academic policies were not followed or were applied
incorrectly. Both student and instructor, or the decision-maker involved in the appeal, have
a right to a meaningful opportunity to be heard and to respond to information and
documentation presented.
6 PROCEDURES FOR APPEALS OF ACADEMIC DECISIONS
6.1 Oral Appeals during the Semester
1. Oral appeals may be made by the student to the lecturer only during the semester after
being informed of the assessment results and before being sent for registration.
2. The lecturer shall consider the appeal and if it is found to be valid, shall fill in a result
modification form.
3. The result modification form shall be reviewed by the course coordinator and approved
by the Head of the Department.
4. The Head of the Department shall attach a copy of the result modification form to a copy
of the student list.
5. The lecturer shall inform the student of the outcome of the appeal.
6. Grades of the 7th week, 12th week and the continuous assessment are consecutively
entered to the system by the lecturer (using his/her password) with the support of the
AASTMT Branch in Sharjah

Information Centre, and not later than the end of the 14th week of the semester, prior to
final examinations.
7. No changes are allowed by the lecturers for the above mentioned grades after the end of
the 14th week since the system will not allow any modifications.
8. Students can check their results by using their pin code on the AASTMT’s website
during the semester till the end of the 14th week. This is when withdrawals are allowed
before the final assessment.
6.2 Written Appeals
Written appeals may be made by the student not later than the end of the second week of
the semester.
Appeals can be made to the grades of one, and only one, previous semester.
The student shall initiate an appeal by filling in a student appeal form which is available at
the department office or is provided by the academic advisor.
The authorized person from the department shall fill in the appeal data and submit it to the
involved lecturer/course coordinator.
The involved lecturer/course coordinator (in case of part time lecturers) shall verify the
appeal and take the following actions:
If the student appeal is not accepted, the lecturer/course coordinator shall acknowledge
this fact by rejecting the student appeal and submitting it to the Head of the
Department/program manager.
If the student appeal is accepted after investigations are conducted, the lecturer/course
coordinator shall consider the reasons for result modification, mention the current grade
of the student before and after modification, attach all required evidence as per
mentioned in the drop down list, and submit it to Head of Department for review.
All related evidence for any changes shall be kept by the Head of Department for
verification.
The Head of Department shall review the evidence for modification and in case of
acceptance shall submit it to the Dean for review and approval.
After review and approval, the Dean shall submit it to the Vice President for Education
and Student Affairs for final review and approval.
The Vice President for Education and Student Affairs shall approve of the modifications
and, in case of acceptance, and in case of acceptance the grade is modified and is recorded
on the student transcript.
6.3 Timeline for Appeals
Students are allowed to formally appeal their final grade. The deadline for
submitting appeals is two weeks after the announcement of the final grade.
All modifications shall be reviewed and approved by the authorized parties
(lecturer/course coordinator/Head of Department/Dean/Vice President for

Education and Student Affairs) not later than the end of the third week of the
following semester.
6.4 Analysis of Student Appeals
The for Education & Student Affairs shall analyze student appeals using reports generated
by the system at the end of each semester looking for trends and/or repeated problems.
Problems found during this analysis shall be mentioned in the management review meetings
and dealt with in accordance with the Corrective & Preventive Action report.
7 FINANCIAL SERVICES
7.1 Tuition fees
Before the beginning of each semester, AASTMT determines the tuition fees in UAE
Dirhams. Tuition fees are calculated based on the student’s total marks in the secondary
education stage (or any equivalent degree) according to the categories mentioned in the
current financial regulations. Tuition fees are paid at the beginning of each semester. Fees
payment is considered a key requirement for the completion of registration procedures and
attendance. AASTMT presidency has the right to regulate payment for special humanitarian
cases.
7.2 Financial Aid
Students’ status at college will determine the extent to which they are eligible for financial
aid programs. Their enrollment as full-time students are essential in determining their
eligibility for financial aid, and the extent to which they can be funded.
7.2.1 Guidelines for Discounts
High School Discount
AASTMT Sharjah Branch provides a discount on semester tuition fees to students who
obtain an average of 98% or more in their high school grades only for the national
secondary school certificate. (Accepted grade is reviewed by the Admission
Department).
This discount is applicable to all colleges but does not apply to students on full
scholarships or sponsorships and/or transfer students.
Siblings Discount

Siblings discount is limited to two members per family regardless of the number of
siblings studying at college.
This discount is provided automatically to students and will only be applied after
presenting a copy of students' ID cards and birth certificates.

When does a student lose a discount?
In case the student repeats any course due to failure, withdrawal or grade improvement,
the course shall be paid in full without calculating any distinction discount. The
difference is to be paid upon registration.
In case of the cancellation of the acceptance grant or sports grant by the Student Affairs
Committee if it finds evidence of student misconduct.
