April 14, 2020 Our Dear Parents, We pray that everyone in your family is in good health and is coping well during these trying times. May you continue to be safe and healthy. The government announced that the enhanced community quarantine (ECQ) will be extended up to midnight of April 30, 2020. We share your disappointment in hearing this news, as we have all been looking forward to coming back to school to finish the rest of the school year again. However, we also realise that the danger is still there and we need to stay in our homes a little longer in order to ensure that we flatten the curve and control the spread of COVID-19 among the populace. These additional two weeks mean that there will be a two-week delay in our respective classes again. In view of this, the CEIS Administration has carefully studied the situation and made certain decisions so that we will be able to come up with a satisfactory solution to complete school year 2019-2020. Based on careful analysis of the situation the following will be implemented in CEIS: 1.     1. On Classes

  • 2. On Remedial Classes

    • Students who shall not be able to comply with the subject requirements due to valid reasons shall be required to attend remedial classes.

    • Remedial classes shall be conducted online and will run for 3 days.

    • Students who shall not be able to attend the scheduled remedial classes shall be given an incomplete grade and take the subject/s in the summer classes.

    • Students who will fail after the remedial classes will take the online summer classes.

    • Remedial classes shall have no extra fees.

    • The procedure for enlisting in remedial classes are attached as Annex B.

    3. On Summer Classes

    • Students who were not able to comply with the grade requirements after the remedial classes shall enrol for summer classes.

    • All summer classes shall be online through the CEIS LMS.

    • Students shall be notified that they have to attend summer classes through email.

    • Summer classes shall run for 4 weeks, Monday to Friday, 4 hours per subject for a total of 80 hours, hence students shall only be allowed to enrol a maximum of two subjects.

    • CEIS shall ensure that a working payment gateway is available at the time of enrolment

    • Instalment payment shall be allowed for summer enrolment.

    • A graduating student with 3 failures can request for an overload class provided he/she sends an email to the Assistant Principal and shall be approved before proceeding to enrolment.

    • Summer classes shall be from May 15-June 8, 2020.

    • The procedure for online enrolment of summer classes is attached as Annex C and the policies as Annex D.

  • 4. On Graduation and Moving Up Ceremonies

    • Graduation and moving up ceremonies are cancelled.

    • The Souvenir Program that were prepared for graduation will still be printed and given to each graduating student.

    • Part of the graduation fee that will not be used shall be returned to you after the expenses for graduation such as the souvenir program, diploma, transcript and others are computed and taken out. They will be refunded or will be deducted to the tuition and other accountabilities such as books in the library, laboratories, etc.

    5. On Securing School Records and other Documents

    • The school records and other documents refer to the F-138 (school card), diploma, good moral character certificate, souvenir program of graduation, graduation and class pictures.

    • The student shall ensure that he/she shall be free of accountabilities in school such as account balances, documents at the Registrar (birth certificate, Form 137), materials in the laboratory, and books in the library before securing any documents from the school.

    • For settlement of account balances, see payment of fees in this document.

    • For submission of documents to the registrar, scan the document, email to the class adviser and bring the original documents during the scheduled day of securing the school records and other documents

    6. On Summer Class Enrolment

    • Enrolment for summer classes shall be conducted online through google forms from May 6-11, 2020.

    • The procedures can be found in Annex D.

  • 7. On Payment of Fees

    • The Accounting Department will prepare statement of accounts and shall be given to you through email or the CEIS LMS.

    • You can pay through the CEIS payment gateway:

    • Go to the CEIS website and click the “pay now” button. The payment page shall be displayed. Fill up the relevant information, the type of payment, amount and proceed to pay online or proceed to offline payment channels. After payment, go back to the OSEF or OREF and for those who paid online, “print screen” the notice of payment obtained either through email or sms and for the offline payment, scan or take picture of the receipt and email to the class adviser.

    8. On Opening of Classes for SY 2020-2021

    • Opening of classes for SY 2020-2021 will be on June 22, 2020 unless there are government announcements that will prevent us from starting the classes. In cases there shall be changes, you will be notified through posters in the CEIS FB page or through email.

    • Blended Learning will be the mode of instruction for SY 2020-2021.

    • During these uncertain times, your school is preparing a flexible learning mode so that instruction will not be sacrificed as we struggle with our day to day life in this CoViD19 pandemic. We are providing our learners with increased choice and convenience which will suit the learners. We provide learners with choices about where, when and how learning occurs, hence we will be doing blended learning.

    • Blended learning is the combination of face to face instruction combined with online computer mediated instruction. If and when the government allows on-campus instruction, the students will come to school to have face to face classes with the teacher but if the government will again suspend classes as a safety measure, then we will proceed with online instruction. If during the start of classes, there will still be suspension of on campus activities, the classroom teachers will meet their students online and give orientations.

    • Guidelines for this shall be given in a separate circular.

    • Expression of Intent (EQI) is on going through the google form which can be access through the following links:

    • Online enrolment for SY 2020-2021 shall start on May 20, 2020.

    9. On Communication

    • The CEIS will continue to communicate with you for any announcement that we are going to make through the following channels.

    • CEIS Malolos, CEIS Manila, CEIS Makati facebook pages.

    • Email of your son or daughter (if you wish, you can also provide your email addresses so that we can communicate with you directly).

    • The eLearning platform your son/daughter is using.

    We very much appreciate your cooperation and support as we rise above the new challenges brought about by our circumstances. We know that the situation has been difficult for everyone, but we can see the patience and dedication that you have been putting into the studies of your son/daughter despite this crisis. This inspires us to continue working hard to provide you with quality education in this unusual setting. Rest assured that we will continue to explore choices to ensure the success of your son’s/daughter’s learning, and in keeping up with our academic objectives.

    May Easter bring us joy as Christ triumphed over death. We hope that together, we too, with God’s grace and mercy, will also triumph over this fearsome pandemic gripping the world.

    COMPUTATION OF GRADES DURING THE COVID19 PANDEMIC Based on DepEd Memo. 42

    1. Classes that are done with the final exams shall use the usual computation of grades. Grades shall be composed of written work, performance task, and quarterly exam with appropriate weighted scores.

    2. Classes affected by the suspension of on campus classes due to CoViD19 and has not taken the final exam, shall follow the guidelines for grading and the transmutation table found in DepEd Memorandum No. 42 s. 2020:

    a. DepEd Order No. 8, s. 2015 titled Policy Guidelines on Classroom Assessment for the K to 12 Basic Education Program (this is enclosed in DepEd Order No. 42) shall be the basis in computing the Fourth Quarter grade of the learners, except that it will be based only on class standing (CS) composed of written works and performance tasks.

    PROCEDURE FOR ENLISTING TO THE ONLINE REMEDIAL CLASS

    1. Class advisers notify the students who need to attend the remedial classes.

    2. Student registers to the online remedial online class through google forms using the link provided by the teacher.

    3. Enrolment staff accepts and registers the student to the online class in the CEIS LMS.

    4. Enrolment staff notifies the start and end of the online class though email.

    5. Assistant Principal/Coordinator assigns a teacher to teach the online class.

    6. Teacher conducts the online remedial class and monitors the progress of the students in the CEIS LMS.

    7. After the remedial class, the remedial grade will be integrated in the grade component (written works or performance tasks) where the student got a low grade.

    8. After the online remedial class, those students who did not meet the grade requirement shall enrol in the regular summer class.

    PROCEDURES FOR ONLINE SUMMER ENROLMENT

    1. Student fills up the Online Summer Enrolment Form (OSEF) in google form indicating his/her personal information and the subjects he/she is enrolling. The link of the OSEF are the following:

    5. Student goes back to the OSEF, “edits it” and upload the proof of payment made and submits again.

    6. Accounting staff encodes the student data in CARES and notifies the enrolment staff that the data had been encoded.

    7. Enrolment staff sends email the pdf form the certificate of registration to the student.

    8. Student prints out the certificate of registration as proof of enrolment.

    POLICIES FOR SUMMER CLASSES

    1. After the online summer classes, the certification of recomputed grades shall be prepared by the teacher.

    2. The student who completed and passed all the requirements in the subjects enrolled in the summer class shall get a passing mark. The teacher shall use the form for recomputed grades and reflect the passing grade in the official forms (Form 137 and F-9)

    3. The subject teacher will forward the adviser’s copy of the Certification of Recomputed Grades to the Section Adviser who will prepare the F-138 (card).

    4. The certificate of Recomputed Grades and the F-138 shall only be released when the accountability/ies of the student are all cleared.

    5. The student who completed and passed all the requirements in the subjects enroled in the summer class shall get a passing mark. The teacher shall use the form for recomputed grades and reflect the passing grade in the official forms (F-137 and F-9)

    6. In case the student did not pass during the online summer class, the original failing mark indicated in the record shall be retained.
