    IEEE Grant Applicationfor

    Student Application Papers Applying Industry Standards

    Student Application Papers Applying Industry Standards are papers submitted bystudents, or their faculty mentors on their behalf, who have completed graduate,senior design projects, or development/research projects, in which an industrytechnical standard(s) was applied to complete the project. Each paper highlightsspecific design choices in the application of various technical standards anddescribes the resulting product, process, or service.

    Process for Submittal, Acceptance, Grant Dispersal, and Publication

    1) Fill out the application form below and submit it via email along with a

    Statement of Endorsement from Faculty Mentor/Advisor to:[email protected].

    You may also mail the information to: Jennifer McClain, IEEE EducationalActivities, 445 Hoes Lane, Piscataway, NJ 08854-4141 USA or fax to:+ 1 732 981 1686.

    2) The IEEE Standards Education Committee (SEC) will review yoursubmission and you will be contacted within 30 days of receipt for eithermore information or with an Approval or Disapproval Notification. The SECwill not consider incomplete submissions (those without an application,abstract summary and faculty endorsement).

    3) If your Grant is approved, we will send a check for $500.00 in the name ofthe Student Project Leader to your Faculty Advisors mailing address forpickup.**Please note that the Student Project Leader will be asked to completeappropriate taxation paperwork (W8 or W-9 forms) before a check can be sent.

    4) By accepting the Grant, you are agreeing to submit an ApplicationPaper/Report for publication by the IEEE according to the process anddeadlines below. Your paper will be posted on the IEEE StandardsEducation website at http://standardseducation.org in the Student

    Application Papers area.

    5) The paper must be critiqued and meet the approval of your FacultyMentor/Advisor prior to final submission to the IEEE. The final submissionmust include an evaluation or assessment of the project by the facultymentor.

    *** By submitting this application and the subsequent paper, theauthor(s) are granting the IEEE the non-exclusive right to post,publish and/or disseminate the work.

    6) The final paper shall be submitted electronically in a Word or PDF

    document to: [email protected].

    7) Important Dates:

    Applications may be submitted at any time throughout the year. TheStandards Education Committee will review applications according to thefollowing schedule:

    15 March

    15 June

    15 October

    30 January

    Upon final acceptance by the IEEE Standards Education Committee, the finalStudent Application Paper will be posted to the IEEE Standards Educationwebsite, the student(s) shall receive an IEEE Mini-Grant Award RecipientCertificate, and the Faculty Advisor/Mentor shall receive a Grant in theamount of $300.00. Please note that the Advisor will be asked to completethe appropriate taxation paperwork (W8 or W9) before a check can be sent.

    8) Either below or in an attachment, please write an Abstract Summary. In aminimum of 300 words, and maximum of 500 words, please describe yourproject, including, but not limited to:

    a) Project title, scope, goal, and the rationale for selecting this project;b) Description or plan of how the project will proceed from beginning to end

    and an explanation of how you will decide which applicable standards touse;

    c) List of technical industry standards and how they will be applied in order

    to achieve your project goal. *NOTE that the use of products orcomponents built to industry standards does not satisfy thisrequirement.

    9) The requirement for receiving this IEEE Grant is submission of a FinalStudent Application Paper upon completion of your project according therequirements below.*** By submitting this application and the subsequent paper, the author(s)are granting the IEEE the non-exclusive right to post, publish and/ordisseminate the work.

    a) The paper must be provided for critique to your Faculty Mentor/Advisorfirst, and then submitted to the IEEE Standards Education Committeeafter recommended changes have been made to your Mentorssatisfaction.

    b) Final paper submission must include an evaluation/assessment of theproject by the faculty advisor/mentor using the IEEEs Faculty EvaluationForm.

    c) Final paper shall be a maximum of 10 pages or 5,000 words. Paper maybe submitted in Word or PDF formats and must include a Reference

    section.

    10) What is the target date for final paper submission to the StandardsEducation Committee? If target date exceeds 6 months from the date ofthis application, please include an explanation.

    12) A statement of endorsement is required from your Faculty Advisor/Mentor

    upon submission of this grant application. The Standards EducationCommittee will not consider incomplete submission packages.

    This endorsement should be submitted via email to the IEEE StandardsEducation Committee at [email protected]/.

    The statement of endorsement shall include the following:

    a) An acknowledgement of understanding the purpose of the IEEE Grantsand an indication of how industry standards will apply to this project;

    b) Confirmation that the students have legal access to copies of thenecessary applicable standards for the project;

    c) A statement in support of the project and the students ability to succeed;d) Assurance that the final paper will include an explanation of technical

    industry standards considered and a description of how they were appliedin order to achieve the project goal;

    e) An agreement to complete the final paper review and to submit a finalevaluation using the IEEEs Faculty Evaluation Form to the StandardsEducation Committee.
