How do I post a stajob? Applicant Tracking All job posƟngs and all acƟons related to job posƟngs are located in the Applicant Tracking Module. Once you have logged into Recruit, go to the Module Menu at the top right, and choose Applicant Tracking. When you have changed to this module, the color of the top bar will be blue. To begin the process of posƟng a job 1. use the Shortcuts menu on the right side of the home page with two links: Create New StaJob DescripƟon, and Create New Casual Job DescripƟon, or 2. Click on the Job PosƟngs tab at the boƩom of the color bar and choose Sta. The Job PosƟngs page lists all job posƟngs that you have access to, including the current status of the posƟng, the date the posƟng was last modied, and the number of applicants aƩached to that posƟng. To create a new posƟng, click the orange Create New Job PosƟng at the top right . NOTE: if you want to post a Stajob and you are making changes to the job descripƟon, you must rst Modify the Job DescripƟon in the PosiƟon Management Module. On the Create New page select: 1. Create from Job Template—select this opƟon for Casual posiƟons ONLY 2. Create from Job PosƟng—typically select this opƟon for Casual jobs and consult with HR before using it for StaposiƟons 3. Create from StaJob DescripƟon—select this opƟon for most Stajob posƟngs to ensure that the person you hire is seated into a job descripƟon once the hiring proposal is approved. Once you've chosen Create from StaJob DescripƟon a list of all stajob descripƟons to which you have access will be displayed. Hover your mouse icon over the AcƟons menu to the far right of the record you want to use, and choose Create From. NOTE: If the menu includes either PosiƟon Request Outstanding or Job PosƟng Outstanding, you will not be able to use this job descripƟon to create a posƟng. Once you've selected a job descripƟon from which to create your posƟng, a Summary page will be displayed, where you can indicate any Ɵtle, division, or department changes, and what types of applicaƟons you will accept. Be sure to chose both Employment ApplicaƟon and Internal ApplicaƟon for any posiƟon that is open to the public. Click Create New Job PosƟng when you’re done.

How do I post a staff job?  

Applicant Tracking 

All job pos ngs and all ac ons related to job pos ngs are located in the Applicant Tracking Module. Once you have logged into

Recruit, go to the Module Menu at the top right, and choose Applicant Tracking. When you have changed to this module, the col‐

To begin the process of pos ng a job

1. use the Shortcuts menu on the right side of the home page with

2. Click on the Job Pos ngs tab at the bo om of the color bar and

choose Staff.

The Job Pos ngs page lists all job

pos ngs that you have access to, includ‐

ing the current status of the pos ng, the

date the pos ng was last modified, and

the number of applicants a ached to

that pos ng. To create a new pos ng,

click the orange Create New Job Pos ng

at the top right .

NOTE: if you want to post a Staff job and you are making changes to the job descrip on, you must first Modify the Job Descrip on

in the Posi on Management Module.

On the Create New page select:

1. Create from Job Template—select this op on for Casual posi ons ONLY

2. Create from Job Pos ng—typically select this op on for Casual jobs and

consult with HR before using it for Staff posi ons

3. Create from Staff Job Descrip on—select this op on for most Staff job

pos ngs to ensure that the person you hire is seated into a job descrip on once

the hiring proposal is approved.

Once you've chosen Create from Staff Job Descrip on a list of all staff job

descrip ons to which you have access will be displayed. Hover your mouse

icon over the Ac ons menu to the far right of the record you want to use,

and choose Create From.

NOTE:  If the menu includes either Posi on Request Outstanding or Job Pos ng Outstanding, you will not be able to use this

job descrip on to create a pos ng.

Once you've selected a job descrip on from which to create your pos ng, a Summary page will be displayed, where you

can indicate any tle, division, or department changes, and what types of applica ons you will accept. Be sure to chose

both Employment Applica on and Internal Applica on for any posi on that is open to the public. Click Create New Job 

Pos ng when you’re done.

Tabs —Each sec on of the job pos ng is broken out into tabs on the le side of the page.

Pos ng Details includes all the informa on that will be available to the applicant when the pos ng has been approved.

This also displays the fields that determine which users will have access to the pos ng.

NOTE: in the Applicant Reviewer field you should enter the person or persons

who will be managing the search. Hiring Managers can view applica ons, but

cannot change applicant statuses or view search commi ee evalua ons.

The Supplemental Ques ons tab allows you to choose any avail‐

able ques ons from the library to include with your pos ng. Click

the Add A Ques on bu on, select any ques ons you wish to add

to your job pos ng, and click Submit. You can reorder these ques‐

ons via the Posi on column, and make any of them Required

(the applicant must answer the ques on when comple ng his/

her applica on). You may also submit a new supplemental ques‐

on, if there is one specific to your pos ng that you would like to

include. Human Resources must approve all new ques ons.

NOTE:  Human Resources will automa cally add the adver sing source and

criminal history ques ons to any pos ng.

Click on the Applicant Documents tab to select all documents you want your appli‐

cants to upload.

Use the Search Commi ee tab to enter the names of search commi ee members

for your posi on search. You can search for and add members , or, if you do not

find the person you would like to include in your commi ee, you may request that

HR add a search commi ee member. If your pos ng will not have a search com‐

mi ee, you may skip this tab. Remember! Search Commi ee Members cannot

change applicant statuses. Those helping to manage this search should be added as Applicant Reviewers.

The search commi ee members may provide basic data about their rankings of the applicant pool. The Evalua ve 

Criteria tab houses a library of ques ons you can choose from, and like Supplemental Ques ons, you can submit ques‐

ons of your own.

The Budget Informa on tab includes all informa on regarding the posi on FTE and salary. Most fields on this tab are

required.

Use the Pos ng Documents tab to upload any documents associated

with your pos ng request (e.g., grants or suggested ad copy). Hover over

the Ac ons menu to the right of the document type you choose, and se‐

lect either Upload New or, if you wish to write the document directly

into the pos ng request, Create New. You can also use documents in‐

cluded with previous pos ng requests, by selec ng Choose Exis ng.

Move to the Request Summary tab to submit it into the approval work‐

flow. Save the request and finish it later by clicking Keep Working On 

This Job Pos ng, or you may Cancel it if it was done in error or is no longer needed. If you are a Hiring Manager 1, you

will have the op on to Submit to Hiring Manager 2 for Approval, and if you are a Hiring Manager 2, will have the op‐

on to Submit for Department Head Approval.

If you saved this posi on request and need to come back to it later, access it by clicking the Staff Job Descrip ons tab, and choose

Staff Posi on Requests from the menu. Any Posi on Request to which you have access will be listed in the records table below,

sorted by date of last system ac on. To narrow this search, use the Search field above the records table.
