This work is completed online by the school administrator or committee. The school personnel review their previous benchmark ratings and determine if any progress has been made. Benchmarks are rated for the current year and comments are written as required. Each diocesan office has a policy regarding evidence and the school is required to follow that policy. The completed ARCA demonstrates to the superintendent and the FCC accreditation office the school’s compliance with standards and progress made in the last year. Use the new website for all work Login on the new website: www.eas-ed.accreditrac.com. The user information is the same as last year. If a user (principal or any school personnel) do not remember a password, either click on the retrieve password link or contact the Associate Director for Accreditation. New principals use “password” for the password. Then the Annual Report page should open on the Dashboard. New this year: school year tabs on the Annual Report bar. Each school has access to 2014-2015 information. Always check the header to see which year is showing. All work should be done in the 2015-2016 school year tab.

Purpose of the ARCA

Each school in the Florida Catholic Conference Accreditation Program completes an annual report. This work is completed online by the school administrator or committee. The school personnel review their previous benchmark ratings and determine if any progress has been made. Benchmarks are rated for the current year and comments are written as required. Each diocesan office has a policy regarding evidence and the school is required to follow that policy. The completed ARCA demonstrates to the superintendent and the FCC accreditation office the school’s compliance with standards and progress made in the last year.

Use the new website for all work

Login on the new website: www.eas-ed.accreditrac.com. The user information is the same as last year. All work for the current year is completed in the 2015-2016 tab. Always check the header to see which year is open. The principal clicks “Edit” for the Principal Profile. From here the password can be changed and other updates made. Please click “Save Principal Profile” so that we know you have updated this section. Click on School Profile, make updates and click “Save School Profile.” Then it is suggested that “School Assistants” be assigned. This allows other staff members access to and the ability to edit the school’s page. Click on Assistants Profile. Then Click on Add New. Then enter the information requested. (Only the name, email address, and password are required.)

ARCA Click on ARCA. Click on Edit in the 2015-2016 Sch column or on the rating number in that same column to open the desired rubric. Or click on the standard desired (scroll down to see the standards in other domains). Comments or attachments can be added at the standard level, if desired. Click on Comments or Attachments tab to do this or to view any from the previous school year.

Click on the radio button for the level of compliance.

New this year: Last year’s scores are in one column. To view that detail, click on the rating for the specific benchmark. To complete this year’s ARCA, click on edit in

the 2015-2016 column for the specific benchmark.

Add comments, as appropriate (as directed by the diocesan or FCC office). This is a space to use to explain why the school exceeds the benchmark or does not meet it. Comments could also be made when it was difficult to come to a consensus. If this is one of the school’s strengths or opportunities for growth, this could be noted in the comments.

Evidence that is in electronic form (either a file or a link to a website) may be uploaded, according to diocesan policy. Click Add Evidence Source. Indicate if it is a file or link. Select Evidence Type. Write a title for it (the title can include details and the date the item is uploaded). Click Start Upload.

A message will appear that states the upload was successful and the link/file will be visible. More evidence can be added by clicking on Add Evidence Again. An item can be deleted by clicking the Delete button. Click either “Save And Go To Next Benchmark” or “Save And Go Back To ARCA Summary.” On the Annual Report Page the number of incomplete items is noted for the ARCA.

When finished: Click Submit Entry to Diocese

The Forms and Reports on the Annual Report Page are completed during the CIPA year and at other times as directed by the diocese or FCC office (possibly during third year reviews).

Final Steps

Contact the Diocesan Schools Office or the FCC accreditation office, if you have questions.

When the ARCA work is complete, click Submit Entry to Diocese at the bottom of the Annual Report Page.

If the Submit button is inadvertently clicked prior to completion, contact the FCC accreditation office to have the ARCA returned to the school’s queue.

If the superintendent has questions, wants more information, or wants a benchmark changed, he or she will return the ARCA to the school’s queue to do that. After the changes are made, click submit once again.

The ARCA should be completed and submitted to the diocese by January 15, 2016.
