The 2018-2019 Performance Evaluation process is active as ofFebruary 1, 2019. As of that date, you will be able to create plans foreach of your employees in the TTU Employee Portal.
Please keep in mind you need to review your employee’s job duties aspart of the position review process prior to completing your Plan.Note: Employees will not do a job duties review this cycle.

Your Action Items should include the plans to create as shown in theexample below.

The Plan simply shows you the core competencies and job dutiesthat your employee will be evaluated on.
Step 1: Creating the Plan
The primary focus of creating the Plan is for you to review youremployee’s Job Duties and make sure they are updated from theposition review process.
Since you will only be reviewing these items during this process, nochanges are actually made in the Plan.

Use the “Next” navigational button at the bottom right of
the Plan to move through the tabs (Introduction, Competences, Duties,
Accomplishment)

Supervisors will review dutiesunder the Job Duties tab.
Select the Apply button to ensureany items are pulled over.

Each employee should have between 3-6 primary job duties listed inthe Job Duties section.

After reviewing all sections of the Plan, you are now ready tocomplete the Plan.
At the bottom of the final section, select the Complete button andselect OK in the confirmation screen to complete the Plan.
After completing the Plan, your employee will then receive an emailnotification (within 24 hours) that their Self-Evaluation is available.We suggest communicating with your employee either prior to ordirectly after completing the Plan to let them know about theupcoming Self-Evaluation requirement.
Self-Evaluations are highly recommended from each employee during our annualevaluation process for 2018-2019.
Self-Evaluations will not be available to the employee until the Plan is completed.
After the Plan is completed, employees can access the Self-Evaluation andsupervisors can access the Supervisor Evaluation. We suggest thatsupervisors review the employee’s Self-Evaluation prior to completing theSupervisor Evaluation.
Self-Evaluations are a great way to see your employee’s performance from theirperspective. They should be used as a tool to enhance communication andrecognize any areas of interest that should be reviewed.

Once the employee has submitted their Self Evaluation, the supervisor should then complete their employee’s Supervisor Evaluation.

Supervisor Evaluation should be listed as an option in Your Action Items as shown:

While completing the Supervisor Evaluation, the supervisor will be reviewing and rating each core competency and job duty in reference to the employee.
To begin, read through the Introduction and click Next.

RatingsExceeds Expectations: performance consistently exceeds the standards and expectations for the position. This rating should only be used if someone goes above and beyond normal expectations.
Meets Expectations: performance typically meets the standards and expectations for the position. Performing your job duties as assigned is meeting the expectations of your position.
Needs Improvement: performance sometimes fails to meet the standards and expectations for the positions. Sometimes failing to meet the standards of your position means you may need improvement.
Unsatisfactory: performance seldom meets the standards and expectations for the position. Unsatisfactory performance is acknowledged by being on a Performance Improvement Plan or in the process of being on a PIP.

After selecting a rating and entering a comment for each core competency, select the Save Draft button in order to save your progress.
Use the Next button at the bottom of the core competencies section to proceed to the Job Duties section of the Supervisor Evaluation.

After selecting a rating and entering a comment for each job duty, select the Save Draft button in order to save your progress.
Use the Next button at the bottom of the job duties section to proceed to the Employee Goals section of the Supervisor Evaluation.
You will rate your employee on each job duty as you did for the core competencies.
Please remember to add a descriptive comment to justify your rating for each.

Employee Goals:This section should include any goals you entered for your employee during last year’s evaluation process (Present Goals) and any goals you would like to enter for the employee to focus on during the upcoming year (Future Goals).

For Present Goals, please comment on your employee’s accomplishments relating to each goal listed.

After entering a comment for each Goal, select the Save Draft button in order to save your progress.
Use the Next button to proceed to the Goal Accomplishments section of the Supervisor Evaluation.

For Future Goals, please enter at least one realistic goal for your employee to focus on during the year.
Click Add Entry to add additional goals.

Overall Comments:Use this section to enter any overall comments regarding performance for your employee’s Supervisor Evaluation.

You can add attachments to the evaluation by selecting the Attachments tab
ORYou can click Complete and Select OK in the
confirmation screen to complete the Self-Evaluation
Some examples of acceptable attachments areany of the following that were attained during thereview period: feedback, awards, letters ofachievement, training certifications, or otherperformance related items pertaining to theemployee. Items that were forwarded to youfrom your employee can be attached if applicable.

Select Complete and OK in the confirmation screen to complete your Supervisor Evaluation

General reminders:
It is always best practice to communicate with your supervisor when your employee’s evaluation is pending their approval.
Feel free to discuss any areas of the evaluation that may need to be reviewed. A face-to-face meeting between the supervisor and reviewing officer is not required.

A Reviewing Officer is the direct supervisor’s supervisor.

Once the Supervisor Evaluation is completed, the Reviewing Officermust approve the evaluation before any further action can be taken.
An automatic system notification will be sent to the ReviewingOfficer (within 24 hours from completion of the SupervisorEvaluation) that they have an action item to take care of.
Once the Reviewing Officer logs into PeopleAdmin and navigates to the TTU Employee Portal, they should have any evaluations pending their approval showing a description of “Reviewing Officer Approves Evaluation”.

After selecting “2018-19 TTU AnnualEvaluation” the Reviewing Officerwill be able to review the SupervisorEvaluation for the designatedemployee.2018-19

Scroll down to review the entire evaluation.
Enter any comments you have regarding theevaluation or performance of the employee.
Select Return to return the evaluation to the immediate supervisor for correction
ORSelect Approve to approve the evaluation
If Approve is selected, select OK in the confirmation screen to complete approval.
Best Practice Suggestions: The employee will be unable to view their evaluation in the system at this
point, so please print them a physical copy of the evaluation to reviewduring the meeting.
Discuss each rating and comment and offer any explanations needed tobetter their understanding of your performance expectations. This is a greatopportunity to positively reinforce exceptional performance or discussconcerns.

Step 5: Evaluation Review MeetingAfter the evaluation is approved by the Reviewing Officer, a one-on-onemeeting should be scheduled with each of your direct reports.
Reminder: Do not meet with your employee until your Reviewing Officer has approved the evaluation

Employees can enter any comments they have regarding their evaluation in the Comment text box at the end of their evaluation (shown below)
Once they Acknowledge the evaluation, the evaluation process is complete.
