The output of the process is as followed

Data is entered after the customer call fax or email for the order Whole customer information is noted down by the customer representative The customer representative then check for the nearest warehouse to supply

the customer order The customer representative suggest the delivery date to the customer If the order is not sufficient in the warehouse the representative identifies the

other warehouse that is to the closest link The credit requirements are then made The order is delivered to the customer

The orders processing system in the company requires cooperation among sales function (receiving the order and entering the order) which may also include other business processes which are

Assembling the product Checking the quality Producing bills of materials

Sales and marketing

Identifying customers Product awareness Selling the product

Finance and accounting

Paying creditors Creating financial statements Managing cash accounts

The process can be made more efficient by adopting the following measures

The order recording is made through software systems. This will ensure the data recording without any errors and mistakes. The software systems will help make the data to be recorded in a more systematic way where data can be retrieved more easily and can be stored on magnetic tapes and other devices.tus the threat to steal or misplacement of data becomes to least

The order should be taken by one individual and recorded by the same so that a check is made with including all the necessary information of the customers

The customer should be provided with the supplier closest to the customers pick up point

Platform independence and standard tools are also very important that can be adopted for efficient processing

The standardized processing system will ensure the without error processing where all the order taking methodologies are similar to what the others are doing.

QUESTION NO 4

FOR ORDER ENTRY STAFF

The system will facilitate the data entry staff in way that each data is recorded according to the amount of sales made. this will make a separation among the purchasing pattern and thus the staff can made decisions accordingly. for example. that if customer A always buy the same chemical on a specified day. if some day the customer forgets to specify any item the order entry staff can identify his ordering pattern and can rectify the order by further confirming with the customer

FOR CORPORATE MANAGEMENT

The corporate management can identify the sales pattern with the help of this system .thus they can record how much they shuld have in their inventory and warehouses

The system provides the overview of the locality of the customers this can help managers to locate their ware houses nearer and closest to their customers to reduce the time of delivery. This system on the other hand can create high customer value and satisfaction

IMPACT ON ORDER PROCESSING

The impact on order processing and other parts because of the lack of functionality are the following

The inventory system control can not be managed properly and thus result the over flow or excess of inventory level while on the other hand it can also show the lack or inadequate inventory when the system counts inventory to the material that is still under the inspection of the quality control

If the system lack to record which customers fall in the category of tax exemption then the customer value chain and satisfaction can be disrupted

The last lack of functionality will result to the double ordering delivery date set back because of the different date for the back ordered item that are currently out of stock.

These systems can create serious problems in all the management and business processes the software systems and processes should be such made that it guards the effective business processes without any delaying and late delivery problems
