Guided Tour

The guided tour highlights some of the main enrollment screens and shows examples of some of the built-in system functionality.

><

Introduction & System OverviewWelcome ScreenThe Welcome screen identifies the employee and Agent by name.

The system is designed to make the enrollment process fast and efficient and the benefits content easy to understand.

Screens can be easily customized and branded for each employer by creating PowerPoint slides and converting the slides to Flash.

><

Enrollment Demo

Navigation down the left hand side of the screen tells the Agent which benefits have been enrolled, which have been waived and which benefits are incomplete.

Introduction & System OverviewKey MessagesKey employer messages can be easily loaded into the system making it an effective communications tool. ><

Introduction & System OverviewKey MessagingHere’s another example of key messaging and employer branding.

><

Introduction & System OverviewSetting ExpectationsBy alerting the employee at the beginning of the face-to-face meeting what he or she can expect to learn and how long the meeting will take, you begin to build rapport and also set your expectations.

><

Employee Update Reviewing the Employee RecordOnce the introductory slides are finished, the system takes you directly into Step 1: Review Personal Info.

If the system is preloaded with an employee census, you can verify employee contact information including home address, telephone numbers and email. Which fields can be updated by the Agent is determined and configured at the time of case set-up.

><

Dependent Update

Reviewing Dependent InformationHere you can add, drop or change dependent information on the employee.

A bank of “behind-the-scenes” logic is at work applying the employer’s business rules as they relate to eligibility. These include maximum age to cover a dependent child, full-time student status age, all required fields completed, only eligible dependents allowed to be added, etc.

><

Dependent Update

Example of Business Rule AppliedIn this example, the employee attempted to add a child with a birth date of 10-15-81. The system recognizes that the child is over the maximum age for coverage and alerts the employee.

The employee can either go back and correct the age (if it was entered incorrectly by mistake), or continue without adding the dependent to his or her coverage.

><

Quick Enroll FeatureQuick Enroll Saves TimeOnce dependent information is verified and updated, the system can be set-up to allow a “Quick Enroll” of the employee’s prior year’s benefit choices.

On this screen, the Agent can check each core benefit plan which the employee wishes to continue for the next plan year. New costs are also calculated and shown on this screen.

Any benefits that are checked for “Quick Enroll” will be automatically forwarded to the confirmation of elections screen at the end of the enrollment session.

><

Medical

Easy-to-Understand Benefit Education ScreensEach benefit plan to be enrolled is usually preceded by a short series of easy-to-read slides which highlight the main features of each plan.

><

MedicalEasy-to-Understand Benefit Education ScreensIf more than one option is available to choose side-by-side comparison charts can be quickly built in PowerPoint and uploaded to the system.

><

Links to Carrier WebsitesIf you are using the system over the Internet, you can link directly to each carrier’s website. This is helpful if the employee must choose a primary care physician or primary dental office at the time of enrollment.

><

MedicalChoosing the Medical PlanThe system will only display those plans and coverage tiers for which the employee is eligible to select.

Notice in the example shown here that the options for “Employee & Spouse” and Employee & Family” are grayed out and cannot be selected. This is because the employee only has one dependent child listed on the Dependents screen.

><

Medical

Choosing a PCPThe system can be set-up to collect PCPs as defined by the employer.

At the same, the system can request “other coverage information” that the employee may have through a spouse’s plan.

><

Dental

Dental Benefits Education ScreensHere’s an example of displaying the employee’s dental plan options. ><

Dental

Dental Benefits Education ScreensSide-by-side comparison charts of the various benefit options can be quickly created in PowerPoint and uploaded to the system.

><

Basic Group Term Life

Group Term Life ScreensEmployer-paid benefits can also be included on the system. By communicating the employer-paid benefits, employees get a better idea of the full scope of their benefits package.

><

Collecting Beneficiaries

Store Beneficiary Information ElectronicallyIf requested by the employer, the system can be set-up to collect beneficiary information for any of the core life and AD&D plans.

Collecting beneficiaries can be set up as mandatory, optional or not collected.

><

Optional Group Term Life

Optional Group Term LifeThe system has a sophisticated life and AD&D business rules module that can be configured to account for any combination of business rules that determine guaranteed issue amounts and under what circumstances evidence of insurability is required before coverage is approved and new deductions are started.

><

Group Term Life – Evidence of InsurabilityWhen EOI is RequiredWhen an employee requests a coverage which requires evidence of insurability before coverage is approved, the system will notify the Agent (and the employee) that an EOI form must be completed and submitted to the insurance before coverage is effective.

><

Flexible Spending Accounts

FSAs - Easy to Understand & Easy to EnrollFlexible spending accounts are explained in simple terms and by using tax savings examples.

><

The data “bridge” between Benefits-Selection and carrier enrollment software allows employee and dependent census and enrollment data to flow in two directions eliminating the need to re-key employee or dependent information. This speeds up the enrollment process and also eliminates keystroke errors.

Carrier Laptop Software

The Data Bridge

Data flows in both directions between the core enrollment system and carrier laptop software.

><

Voluntary Plans Underwriting questions as simple as point-and-click

Underwriting questions are asked in a logical sequence. At any time based on the answers to the underwriting questions, the system will notify the agent and the employee if coverage will not be approved based on the employee’s answers to certain questions. This helps to speed up the enrollment process and eliminate any unnecessary applications from being filed.

><

Sign & Submit Your ElectionsBenefit Verification Form

Once all voluntary applications & other required documents are signed, the employee is presented his or her Benefit Verification/Deduction Confirmation Form. This is usually the last form to be signed electronically by the employee that recaps all of his or her elections, and new deductions starting the at the beginning of the next plan year.

><

Examples of Built-in Reports

Benefits-Selection automatically includes a library of built-in report and file downloads that you can run at any time.

This is an example of one of the built in reports which is Benefits Confirmation Statement. The user can run statements individually by employee or in batch for all employees depending on the needs of the employer.

Statements are set-up to fit perfectly in a #10 window envelope with the name and home address printed on the back side of the statement and showing through the window once its folded to size.

><

Examples of Built-in Reports

Here are examples of some of the other administrative reports that be run by an admin at any time during the enrollment or after the enrollment is complete.

><

Data Synchronization & Online Reporting

Data Synchronized to a Central Database

Each day Agents can synchronize their enrollment information stored on their laptops with the central database by connecting to the Internet, starting Benefits-Selection and clicking on the “Sync Now” button.

During a synchronization, the Agent can decide if he wants to send just his data up, pulling only new data down, or send his data up and at the same pull down any enrollment data taken by all of the other agents that day who have also synchronized their laptops with the central database.

Online Reporting

Take a Look at the Big Picture Once all agents have synchronized their laptops with the central database, administrative users have access to a wide variety of real-time reports. These reports let you see aggregate production to date, individual agent production, employees seen by location, completes/incompletes, enrollers who did not synchronize their data, enrollers who have low production, etc.

By having access to this type of reporting, you can make any necessary adjustments early in the case to correct trouble spots, change staffing or spot train on specific issues.

Thank You.This concludes the tour of the Benefits-Selection enrollment system.
