Back to Back Orders

Each supplier can be nominated as a back to back order supplier in twomodes.

1. A purchase order for the supplier can be immediately generated forthe supplier each time a customer orders specified products andthey can’t be supplied from stock.

2. Specified products ordered by customers and not supplied fromstock are consolidated into a purchase requisition which can beapproved and converted into a purchase order when required.


Back to Back Orders

The products of those suppliers can then be specified as being ordered back to back or not.

Typically, high value items like office equipment wouldbe ordered back to back whereas low value items likeconsumables would be ordered in bulk for stock


Back to Back Orders

When customer orders are processed, any products which were selected forback to back orders are displayed for purchase. These purchases can be confirmed, modified or cancelled.

Individual purchase orders will be created automatically. Consolidated orders are accumulated in purchase requisitions until they are released.

Consolidated purchase orders are accumulated in requisitionsuntil they are ready to be released for order. The status of theserequisitions is now indicated by coloured flags


Control of Requisitions

Requisitions now need to be approved before they can be converted to purchase orders. The name of the person whoapproves the purchase is recorded for audit purposes.

Once released, requisitions are marked so that they cannotbe double purchased

Prints any of 23 different barcode specifications

Can be configured for any label stationery fromsingle rolls to sheets of labels

Choose to print the barcode labels needed fora specified supplier delivery

Or select to print labels for specified productsor sets of products



Check and, if necessary, modify the numbersof barcode labels to be printed.



Print the labels with the flexibility to stop printingand change the label settings, if necessary


Average Costing by Location

If you are using average costing and multiple stock locations then a new costing option is available.

When ABM 2.5 is run for the first time, you are given the option of having ABM maintain average costs for each product at each location.

If costs, and hence profitability vary a lot from one location to another then you may wish to adopt this new option.


Product Costs

Average and Last In Unit Costs can now be selected through the Column Chooser for viewing and sending to Excel


More control over Buying Prices

To cater for supplier’s specials, you can now specify the datefrom which buying prices start.

In addition, these buying prices are not now updated bypurchases if a new check box is ticked or if there is a validexpiry date showing.


Product Revaluations

A button is provided to re-value individual products.

You are also able to change the last in unit cost of a productand, if the quantity on hand is negative, then the averagecost of the product will be changed accordingly.

Both these facilities are available only to users who areauthorised to process a stocktake.


Easier Special Prices & Discounts

Lists of special prices and discounts can nowbe sorted by any of the columns by clicking onthe column headings


Prices can be in a Foreign Currency

Any of the eight price scales in ABM can beallocated to a foreign currency. You cantherefore store, publish and use prices whichare fixed in US Dollars, Japanese Yen, etc.


Importing Stocktakes

The “Enter Stocktakes using barcodes” facilitywill now also accept product codes so that users who don’t use barcodes can now importstocktakes from text files.


Ledger Balances

Users who are authorised can now selectmonthly movements and current balancesthrough the Column Chooser for viewing and sending to Excel


Better Exchange Rate Records

ABM now maintains a record of all exchangerate changes on all foreign currencies


Quick View a Ledger Batch

A new button in Ledger histories shows allthe transactions which belong to the selectedbatch


Standing Journals Get Easier

When processing a standing journal, userscan now choose to have it reversed automaticallyat the beginning of the next period.


Improved Bank Reconciliation

Users can now drill down to see individualtransactions which have been grouped byreference.


Easier to select Job Stages

Job stages can now be selected from a listso that consistency is maintained across jobs


Retentions can be Restricted

Job retentions can now be limited to a maximumentered for each job


Jobs can be analysed by Type of Work

Users can specify up to three types of work andthese can be selected transaction by transaction.


More Searching Options

The Advanced Find now allows searchingby a variety of criteria including customfields


Quick Partial Searches

There are times when you know part of a product or other code. Now you can enter thatportion, press F3 or click the Finder buttonand see a filtered list of only those items which match.


Easier Order Tracking

The customer’s or supplier’s order, delivery, invoice, etc. numbers are now shown to assist order tracking

Product/Job/ledger codes nowshow on the left

A “Send to Excel” button showsthe entire grid in Excel


Vary trading terms by Invoice

A customer’s terms can now be changed on individual invoices to specify that payment bedue on a particular date


Head Office / Branch Office Sales

On head office accounts ABM now shows which invoices relate to which branch.

On branch accounts, see which invoiceshave been posted to the Head Office account


Customer’s Recent Sales

Choose the timeframe you prefer.

Sort and Resize the columns.

Two ways to Store Addresses

To make it easier to synchronise ABM with other packageslike Legrand, TSM, Retail Manager, etc., you now have a choice of address formats. Tools/Options now lets you choosethe format and defaults to the existing memo format.


Greater E-mail Flexibility

When you e-mail an invoice, order, etc. to a customer orsupplier, you are now able to pick the email address fromthe list of contacts for that company.


Full Transaction List Management

All displayed transaction lists now have a column chooser and all columns can besorted and resized.


More Control Over Supplier Payments

The bulk payments wizard has been extendedto allow payments to be selected and exported to Excel for approval and possible changingbefore processing.

Suppliers and invoices to pay may be selected using several different criteria.

Supplier bank details may be viewed andedited as required.


Easier Receipt and Payment Voiding

Customer, supplier, ledger and job receipts And payments can now be quickly cancelledwithout having to enter bank reconciliation.

Transactions in the current month are set tozero with an appropriate narration and the ability to add a comment.

Transactions in prior months are reversedin the current period; again with a narrationand comment.

Available only to users who are authorisedto do bank reconciliation.

You can now have multiple reports open atthe same time up to the limit of your Crystallicence. Users who have not purchased aseparate Crystal licence are limited to threeconcurrent reports.

Give your ABM consultant the informationthey need by clicking the email button in theabout screen.

ABM integrates tightly with Microsoft Outlookto automatically e-mail documents, updatecontacts records, etc.

An irritating side effect of this has been the waythat Outlook constantly pops up security questions.

You will see these no more. ABM now keepsOutlook security happy so that you don’t needto answer these messages. Meanwhile, fullprotection against viruses, etc. is maintained.

All the forms tables now have a LineItemID field whichallows a direct link to the relevant records in TransDetails

This makes it much easier to add non-standard fieldsto forms lines.

The TransDetails.ExtraText field now contains the entire text on a line in memo format; not just the second and subsequent lines.

Fully formatted text can then be shown on Crystal forms with no truncation using these two features.
