Microsoft has promoted metadata usage on documents for more than
a decade
SharePoint has always promoted metadata usage on documents through custom library columns, Site Columns,
and client tool integration
Unfortunately, SharePoint boundaries (e.g. Site Collection) has made metadata consistency very difficult across those
boundaries
The user interface provided for Choice and Lookup columns is not optimized for volume
or usability
Choice Column Type:
Lookup Column Type:
Choice and Lookup columns do not support hierarchical metadata
structures
Traditional metadata does not automatically appear and become useful in the search
experience
Managed Metadata in SharePoint 2010 overcomes these limitations
The Managed Metadata service establishes a centralized metadata database that can be used across Farms, Web Applications & Site
Collections
Managed Metadata
Term StoreDB
The Managed Metadata feature set and scalability is very robust
One term store per shared service app
Many groups per term store. Used as a permissions boundary
Many term sets per group (max 1000 total per term store)
30K terms per term set (max. 1m total)

The technology has been woven throughout the SharePoint UI and
Office client tools
When used on documents, Managed Metadata flows automatically into the
Search experience
The Managed Metadata service supports multiple user roles and planning for roles is
needed
Managed Metadata does have some limitations (see Notes for details)
Term Sync add-on can automatically synchronize Term Store with external
systems
