What is the AAPB NDSR?8 recent graduates of Master’s programs

8 host institutions in public media from around the United States10 months of dedicated digital preservation assistance funded by the Institute for

Museum and Library Services (IMLS) and administered by WGBH and the AAPB

Who can be a host?

any organization “responsible for creating, curating or distributing publicly funded media content”

i.e. television and radio stations; distributors; independent producers

Benefits to Hosts

• full-time professional archivist resident for ten months

• link to community of other organizations involved in AAPB NDSR

• support from a member of the AAPB NDSR Advisory Board

• connection to an established local or regional archivist

• opportunities for continuing education and professional development

• ongoing promotion through the AAPB NDSR

• final project deliverable

Organizational Commitment

• designate at least one staff member to mentor (next slide) and allow them to dedicate working hours towards NDSR project and events

• treat the resident as a staff member w/ full access, email, business cards

• make sure other staff recognize resident’s position in organization

• provide space/supplies/equipment (software, hardware, storage, etc.)

• understand that approximately 20% of resident time will be spent on other projects (cohort activities, program requirements, professional development)

Host Mentor Commitment

• integrate resident into work and organizational culture of institution

• help the resident understand the public media landscape

• schedule regular meetings with the resident to discuss project progress

• review project deliverables with resident (consult Advisory Board mentor & local mentor when needed)

• attend AAPB NDSR events – virtually and in person (if funds are raised)

• conduct a professional review with the resident in the middle and at the end of the residency

Additional Mentors

Advisory Board Mentor: a well-known digital preservation professional who has been involved with the development of the project, and will meet regularly with the resident to provide guidance and support on the preservation aspects of the project

Local Mentor: an established local or regional archivist who works in the same geographic area as the host, and will meet regularly with the resident to introduce them to the regional archival community

Both additional mentors will be available to meet with and provide support for the host mentor and host organization

Residency Dates

Immersion Week: July 25-29, 2016Residency Start: August 2, 2016

Residency End: May 26, 2017

Travel and Funding

Grant funding is allotted to allow residents to attend three professional events over the course of the residency

Grant funding does not cover hosts, but WGBH has planned a crowdfunding campaign to raise scholarship money for hosts to attend conferences

Hosts must commit to accepting conference travel scholarships if the money is raised, but are not required to travel otherwise

Application Process

Completed application form – included in the application PDF

Statement of interest – one page describing the institution & interest in the project

Letter of commitment – one page created and signed by upper manager

Identification of mentors – approximately one paragraph explaining the rationale

Primary mentor CV – two pages maximum

Project Proposal – included in the application PDF

Signed host/mentor checklist – included in the application PDF)

Project Proposal SectionsProject Summary – an overview of the proposed projectSpecific Project Goals and Objectives – a concrete list of objectives that the project is designed to accomplishProject Timeframe and Deliverables – a breakdown of the time to complete each portion of the project, and description of items to be completed and deliverables to be created in each phaseResources Required for Project – a concrete list of resources required for the resident to complete the projectProject Context – an explanation of the need for the project within the broader context and history of the organizationRequired Knowledge and Skills for Residents – a list of requirements for the resident who takes on this projectPreferred Knowledge and Experience of Residents – a list of desired qualities in the resident who takes on this projectPost-Residency Project Integration Plan – a description of how the organization plans to further build on the results of the project after the conclusion of the residency

AAPB NDSR Projects

Projects for residents must focus on one or several aspects of audiovisual digital preservation and stewardship, such as digital file management, digitization, or long-

term digital preservation planning

planning and implementing a digitization project

designing or updating a digital a/v assets workflowdesigning and implementing a digital storage solution

performing a preservation needs assessment

planning and performing file migration (changing formats for the purposes of preservation)

metadata mapping and management

developing digital preservation policies and standards

creating materials for digital education and training

identifying and testing tools for improved digital preservation

Additional Support

An optional section of the project proposal form which allows hosts to list other support or benefits that the organization can provide for the resident, like transportation assistance, extra travel funding, or org membership benefits.

Doesn’t this give larger/better-funded organizations an advantage?

No – we definitely want to encourage and support smaller organizations in applying! We will always take institutional resources into account when looking at this section.

Then why ask for this at all?

It’s a way for organizations to demonstrate commitment to the project, and to help residents feel like their host institution values them and their work
