INTRODUCTION:

Remunance Systems Pvt. Ltd. (Remunance Systems)offers various services in

Payroll Processing domain. These services range from end-to-end payroll processing, to

modular services like eTDS, reimbursement management, PF & gratuity trust audit to filing

Income tax returns for individual employees.

We at Remunance Systems during observed that one of the key pain areas in generation

input data for monthly payroll processing was to collate and finalize the attendance data at

the end of the month. The Attendance and leave management system is designed and

developed to ease the pressure on the tie office to build that data every month. This

document broadly covers the key features in this system from user perspective and is

created with a purpose to give system overview to the intended user.

System Details:

In this section of the document, different stages and activities that are carried out in

Attendance and Leave Management System are listed. This is useful to understand the

transition of the system from old to new Remunance Systems A&L management system.

A&L system mainly consist of following activities,

Daily Attendance Data collection:

In different companies daily attendance data get created using different

methods ways such as,

• employee logs into the system to mark the presence

• employees sign the attendance muster

• admin can make entry for employees

• attendance is collected from biometric or card type of access control

system

• employees call or SMS to the assigned person in the company from OD

work place

• employee send email to the boss about his/her presence on work

Attendance Data Cleanup:

Every attendance data collection method used by company has some

issues or the other regarding the completeness or correctness of the data

which needs to be cleaned/corrected.

Leave application and approval mechanism:

Here again different companies adopt different systems for allowing

employees apply for leave and again has very many rules around its

approval. Few systems adopted by companies for leave application are,

• employees use leave cards to apply and get prior sanction for the type

of leave applied.

• employees sends email to the approval with copy to time office. The

app-rover send response to the same by replying to the email.

• Admin office centrally keeps the record of all the approved leaves.

• Absence is treated as leave.

Attendance Data confirmation:

• Attendance data in conjunction with the approved leave confirms the

attendance and leave data to be used for payroll on monthly basis.

Reporting:

The reporting needs of the attendance and leave management system could

be broadly divided in to statutory requirements and management and monitoring

necessities.

Remunance Systems A&L management system:

Remunance Systems A&L management system is a web based application build with a

purpose to reduce the pain of time office or admin team of its customers to generate

attendance data of the employees at the end of the month for payroll department, which is

mainly the number of days to be considered for payment of salary. The principle used here

is ‘employee’ through his/her secured login should help generate a clean data at the end of

the month for payroll. This system is mainly aimed at using along with MakeMySalary but

can used independently also.

A. Interfaces

Remunance Systems A&L management system is designed to interface with

following customer systems for daily attendance,

- access control system on continuous streaming basis

- access control system on periodic upload basis

- batch upload of attendance data in a predefined csv/xls format.

- Manual-online-secured interface for a single person to update attendance data

for multiple people.

- Manual-online-secured interface for all individual employees to register their

daily attendance.

Remunance Systems A&L management system is designed to interface in

following way with employees for leave application,

- batch upload of approved leaves in a predefined csv/xls format.

- Manual-online-secured interface for every employee apply for a leave.

- Manual-online-secured interface for a person to apply for a leave on

employee behalf.

B. Transition

Remunance System's transition methodology ensures that the migration from your existing

A&L management system to new web based system is smooth.

At end of planning phase, following steps will be carried out

a. All data collection methods will be finalized

b. All master data of company and employees will be collected and entered into the

system. Same will be verified by customer for 100% correctness.

c. All the previous months’ leave data is updated in the system based on companies

annual cycle for leaves.

d.Individual log-ins will be assigned along with the access rights.
