How to set up a charity event

1. Log in to your MyDonate charity account at www.bt.com/mydonate

2. Click on ‘Fundraising events’ in the left-hand menu and select ‘Create a new event’, n.b. it’s important to complete the process and save your event within 30 minutes, otherwise your session will time out.

3. Tick the button to select which event you are planning to run or select ‘Other’ to add a different event type into the box. Then add a title and a description of your event.

4. Include some text in the further information section (maximum 500 characters), n.b. this text will automatically transfer onto the fundraising page of any fundraisers linking to this event.

5. You can also add an image to illustrate you event and a YouTube link to a movie about the event or your charity.

6. Leave the Gift Aid box ticked if donations to the event are eligible for Gift Aid.

7. Now enter an easy to remember name for your new event page using only lower case letters a-z and numbers 0-9.

8. Enter the fundraising target for this event. You can also add offline donation amounts e.g. this could be money that is donated in cash during the event that you would like to count towards your fundraising target.

9. It’s a good idea to add ‘Thank You’ messages for; Your donors - this will appear in the confirmation emails that are sent to everyone who donates to the event Your fundraisers - this message will be sent to anyone signing up to fundraise for your event via MyDonate

10. You can input the details of a key charity contact including name, tel. no and email address if there is someone whose role is specific to this event.

11. You can also assign up to six event tags for this event. (Tags are sometimes called reporting or cost codes. These will help you to filter your reports for this event and make financial records easier to maintain).

12. Input the event location if the event has one (or multiple locations if neccessary) and the date and time(s) of the event.

13. To link this page to your charity profile page tick the box under’Display options’ and click ‘Add’ to view a summary of the information that you have just entered.

14. At this point you can ‘Edit’ to make changes ,‘Save as draft’ if you want to go back to it later without losing any information, ‘Add a new event instance’ or click ‘Next’ to complete the event set up.

15. Your event summary will appear to give you a final chance to review the information before you click the ‘Create Event’ option which will generate the url for your page and allow you to see the live page on the MyDonate site. This makes it available for donors to donate and fundraisers to sign up to.

16. You can opt to receive notification of new fundraising pages and/or you can log in to the reporting area of your account to find out who is fundraising for you through this event.
