All participants must also bring their photographic ID on the day, in order to gain access to the Commission buildings. • Please email your ID card number and date of birth to us ([email protected]) as soon as possible and no later than 12pm/midday on Thursday 15 October. All visitors to the Commission will be subjected to security checks, similar to those undertaken at airports, please allow up to 10 minutes for its completion. 2. The rooms have been booked and paid for you in advance, including breakfast and city taxes. All other extras will need to be settled directly with the hotel so you may still be asked for a credit card for pre-authorisation upon check-in. Check-in time: 15:00 Check-out time: 11:00

3. AV

The Robert Schuman room is oval shaped and features a main table, equipped with a screen and microphone for each of the 60 participants seated around it. Additional AV facilities include a large screen and projector showing .ppt and .pdf slides. Speakers, panellists and chairs will be asked to sit at the top of the table during their panel sessions. The entire meeting will be video recorded by the venue. Presentation slides should be prepared in the 4:3 format, in order to fit the screens in the conference room. It would be appreciated if these could be emailed to Nicola Steele ([email protected]) by midday on Thursday 15 October, so they can be uploaded prior to the conference.

4. Directions Air: The main airports are Brussels Airport (also known as Brussels National or Zaventem Airport) and Brussels South Charleroi Airport. To travel to the hotel from Brussels Airport:

• Train: trains from Brussels Airport - Brussel-Nat-Luchthaven station - are regular and with a journey time of around 15-20 minutes, costs 8.50 EUR when purchased in advance (www.belgianrail.be). From Brussel-Nat-Luchthaven, take the train towards Mons and alight at Brussels Central. The hotel is a 3 minute walk from the station.

• Taxi: licensed taxis displaying a yellow and blue license emblem, are readily available from the airport and cost around 45 EUR to the city centre, with a journey time of approximately 20-35 minutes.

To travel to the hotel from Brussels South Charleroi Airport:

• Bus: the Brussels City Shuttle (http://www.brussels-city-shuttle.com/en/#/) departs every 20-30 minutes, and travels directly to Brussel Midi station and costs 14 EUR, when purchased online or 17 EUR from the airport. The approximate journey time is about 1 hour until Brussels Midi Station, and then 10 minutes by metro until the "Gare central" stop.

• Taxi: a taxi journey to the hotel is between 50 minutes and 1 hour 10 minutes in duration. A taxi taken from the rank at the airport can cost between 90 and 120 EUR. It is possible to pre-book a service for an often reduced and fixed rate from Charleroi Express (http://charleroiexpress.be/).

Train: The hotel is conveniently situated a 3 minute walk from Brussels Central station. Eurostar: From Brussels Midi station, you can take the Metro from the adjacent Gare du Midi station to Brussels Central, which takes approx. 10 minutes including a change at the "Arts Lois/Kunst Wet" Metro station. Euro coins are useful to buy tickets at the machine since foreign credit cards might be rejected. Alternatively, a taxi ride to the hotel is 10-15 minutes.

5. Meals Breakfast should be taken at the hotel (included in your room rate). Lunch will be provided at 13:15pm, as well as refreshments during registration and the coffee break, which will all be served at the venue.
