Programme

The full programme is available to download from the conference website. A printed copy will be included in your welcome pack, which you will receive on arrival at the event.

Registration

The registration desk will be located at the Holywell Park Conference Centre in the Babbage (Low Bay) and will be held alongside posters, the exhibition, refreshments and lunch. The registration desk will be open throughout the conference at the times listed below. Outside of these times and only in case of emergency, please telephone +44 (0)7881 93 142.

On arrival at the registration desk, participants will receive a pen and pad, a copy of the programme and a conference badge. Participants are asked to wear there badge at all time throughout the conference to help with security and identify fellow participants. Replacement badges can be issued at the registration desk for £2.50.

The abstract book will be available in digital format only and can be downloaded as a PDF from the website and via the conference app. If you want a paper copy to refer to while onsite at the conference, please print a personal copy.

Payment

The organiser reserves the right to refuse admission to any participant who has failed to pay their registration fee prior to the event.

Catering

Refreshments and lunch are included in the registration fee and will be served at set times throughout the conference. Please refer to the programme for times.

Dietary requirements

Participants with dietary requirements are asked to notify the conference office by email prior to their arrival if not already done so when registering (please see your conference email). It will not be possible to provide an alternative menu unless prior notification has been received. Please email [email protected] if you have any questions.

Evening meals

Participants should make their own arrangements for dinner as evening meals are not provided (excluding the conference dinner on Thursday). Dinner can be purchased from Burleigh Court or the Link Hotel; please visit their respective websites at www.burleigh-court.co.uk/food-drink/ and www.linkhotelloughborough.co.uk/food-drink/ for more information.

Burleigh Court offers dinner from 18:30-21:30 (bar menu is available until 22:00) and the Link hotel from 18:00-21:15. You can find menus via their websites.

Bars

Burleigh Court and the Link Hotel bars will be open throughout the conference serving a selection of spirits, beers and daily ales from local brewers and distillers, plus a range of draught beers and wines. The bar is open from 12:00 and offers a 24-hr service if credit facilities are set up on arrival.

A welcome reception will be held on Tuesday 23rd April immediately following the poster session. The reception is taking place in the Babbage (Low Bay)

Conference Dinner

The conference dinner will be held on Thursday 25th April from 19:00 in the Main Restaurant (Bistro) at Burleigh Court. The diner will consist of a three course menu with wine.

The receptions and conference dinner are included in the registration fee.

Excursions

The following excursions have been arranged for Wednesday 24th April. Pre-booking is required. Please contact [email protected] if you would like to attend either excursion.

Woolsthorpe Manor

Visit Woolsthorpe Manor and hear the story of Newton's time at Woolsthorpe, from his birth and childhood to the discoveries of his Year of Wonders. In the 17th century manor house you can stand in the room where he used a prism to split sunlight into the colours of the rainbow, exploring the nature of light. From the window you can see the apple tree in the orchard which inspired his theory of gravity.

Coming back to the present day, you can discover Newton's science for yourself in the hands-on Science Centre and walk to the village church (not National Trust) where he was baptised. For more than 300 years people have come to Woolsthorpe, drawn by his story to find their own inspiration in this place of genius.

A coach will depart from outside the conference centre at 13:30 and collect from Woolsthorpe Manor at 16:30. The journey is approximately 60 minutes traffic permitting.

John Taylor Bell Foundry Museum

Visit the Bell Foundry, one of only two remaining bell foundries in the UK, to hear about how bells are made, repaired and altered.

Participants attending this tour, must wear strong (not fabric) fully enclosed shoes (toes, sides and back must be covered with slits or gaps in the uppers) (brogues, trainers or boots are preferable) are to be worn for the tour of the works. Participants not wearing the appropriate footwear will be refused entry on health and safety grounds.

A coach will depart from outside the conference centre at 13:45 and collect from the museum at approximately 16:00. The journey time is approximately 15 minutes traffic permitting.

Public lecture - The Path to Delivering Fusion Power

A public lecture will take place on Wednesday 24th April from 19:00-20:00. Tea and coffee will be provided from 18:30.

The lecture will be given by Ian Chapman, CEO of the UK Atomic Energy Authority and Head of the Culham Centre for Fusion Energy. The public lecture is free to attend.

Exhibition

An exhibition will be held on Thursday 25th April. Exhibitors contribute towards the cost to operate the conference, reducing the registration fee for all participants. We would therefore encourage participants to take the time to visit the exhibitors to find out about their products and services.

Instructions for speakers

• We recommend presenters bring their presentation on a USB stick to load their talk onto the PC located in the theatre.

• Your presentation should be loaded on to the PC located in the meeting room in the break preceding the start of your session. Please save your presentation file in the appropriate named folder saved on the desktop. Direct connection of personal laptops should be avoided in the interest of time.

• Presenters are asked to prepare their talks to match the allocated times in the programme which will be strictly enforced by the session chairs.

Format and technical requirements

• The meeting room is large, so speakers should use a minimum 16-point font size in PowerPoint slides to ensure legibility.

• To avoid potential problems with display fonts, please only use fonts common to both platforms (Arial, Courier, Courier New, Geneva, Georgia, Helvetica, Times, Times New Roman).

• For images in your presentations, it is preferable that the images are in jpg format. • If you have embedded video files to your presentation, they must be any of the following formats

mpg, mpeg, wmv avi or QuickTime (mov). • Do not forget to upload any video files separately in addition to your PowerPoint presentation.

Posters

Posters will be located in The Babbage alongside refreshments and lunch (daily), receptions (Tuesday and Thursday) and the exhibition (Thursday). Posters can be mounted from 11:00 on Tuesday 23 April and can remain on display for the duration of the event. Posters should be removed by 14:00 on Friday 26 April. Any poster not removed by this time will be recycled. Poster boards are 180cm by 90cm (h x w) and orientated vertically. Posters should be AO in size (118.9 x 84.1cm/ 46.8 x 33.1 inches), in a portrait format. Posters must be prepared in advance of the conference as it will not be possible to print them on-site. Fixing material will be supplied to mount your poster. Safety and evacuation procedures

If the alarm sounds, please evacuate the building immediately using one of the marked external fire routes which will lead you to the assembly point. This is located in the car park to the rear of the building and is marked Fire Assembly Point 1. DO NOT re-enter the building until instructed it is safe to do so by the fire officer in charge.

Smoking

In accordance with government legislation, smoking is not permitted in any building, temporary enclosed structure or substantially enclosed space outside of the building. E-cigarettes are also not permitted in the venue.

First aid

If you fall ill or injure yourself during the conference, please report the incident to a member of staff who will call a trained first-aider. In case of serious injury, paramedics will be called. All members of the conferences team are also trained first aiders.

General information

• Britain's currency is the pound sterling (£). Credit cards - especially Visa and MasterCard - are widely accepted in restaurants, bars, cafés and shops. American Express and Diners Club cards are less commonly accepted. There are plenty of cash machines (also known as cashpoints or ATMs) available within walking distance of the hotel.

• Value-added tax (VAT) is a 20% sales tax levied on most goods and services except basic food items, books and children's clothing. Restaurants must, by law, include VAT in their menu prices. If you are travelling for leisure or business purposes, you may be eligible for a VAT refund. The VAT refund scheme is called the Retail Export Scheme or Tax-Free Shopping.

• Electricity – British electrical standards are 50Hz 230 volts, so some North American and European electrical devices may require converters; all require plug adapters.

• Telephone - If you're visiting the UK from abroad, the UK dialling code is +44 (which replace the 0). • Emergencies - Visitors should be aware of their personal safety. Call 999 for the emergency services

(police, fire and ambulance) which is a free call from any phone. You can also call 112 for non-life threatening assistance and to report crimes. To report non-urgent crime, call the police on 101 from within the UK.

• Weather - The Weather in the UK can be unpredictable and therefore we recommend participants bring a water proof rain jacket and/or umbrella. The average temperature for April is 13°C.
