2018ProfessionalandScientificCouncilProfessionalDevelopmentConferenceOverview:TheneedforprofessionaldevelopmentforP&SEmployeeshaslongbeenapriorityfortheProfessionalandScientificCouncil.OneoftheopportunitiesCouncilhascreatedinanattempttomeettheneedforprofessionaldevelopmentatIowaStateUniversityisafull-dayconferencededicatedtotheprofessionalandpersonaldevelopmentofP&SEmployees.
Thisyearweheldour6thAnnualProfessionalandScientificCouncilProfessionalDevelopmentConferenceonFebruary14,2018aimingtoprovideparticipantswithadayfocusedonlearningnewskillsandstrengtheningoldones,discoveringusefultipsthatcanbeimmediatelyappliedintheworkplace,andsharingtechniquesthatmaybeutilizedforincreasingmoraleandmotivationwithinourworkplaces.
Thethemeforthe2018ProfessionalandScientificCouncilProfessionalDevelopmentConferencewasCultivateYourAdventure:GrowingYourFuture.ThethemewasselectedtocontinuetobuildontheCultivateYourAdventurethemethatwaslaunchedlastyear(CultivateYourAdventure:FromInitiatingtoInnovating).UsingtheentirenameoftheconferenceinanattempttocontinuetobrandthisconferenceasProfessionalandScientificCouncil’salsocontinuedthisyear.

surveyandreframinghowweaskedthequestionsthatwedecidedtoinclude.WeconsultedwiththeResearchInstituteforStudiesinEducation(RISE)whohelpedtothinkaboutthedatawewerelookingtogetfromthesurveyandthenaskingthequestionsthatwouldresultinthatdata.
o ThisalsoincludedcompletelyrecreatingthesurveyinQualtricssothatwhilebeingeasyandsimpleforattendeestocompleteitalsoenabledustopullreportsandcrossreferencedatatoeasilyanalyzetheresultsofthesurvey.
• 98%ofthe232surveyrespondentsreportedbeingsatisfiedorhighlysatisfiedwiththeconference(thesurveywasnotsenttospeakerswhoonlyattendedthesessiontheywerepresenting).

2018ProfessionalandScientificCouncilProfessionalDevelopmentConferenceBudget:InordertoputonafulldayconferencededicatedtothepersonalandprofessionaldevelopmentofIowaStateUniversityP&SEmployeeswebeganourbudgetingprocessinAugust.
Westartedwitheachoftheconferenceareas(Communications/Marketing,Education/Speakers,ParticipantExperience,Facilities,andBudget)andworkedthroughanypotentialcostsassociatedwithcompletingthetasksassignedtoeachofthoseareasandfromtheredeterminedourexpensecategories.
Everypotentialexpensewasmadealineiteminourbudgetwithanestimatedcost.Weworkedhardtomakesurethatallexpenseswerefullyconsideredatthisstagesothatnounexpectedcostsoccurredafterwesettheconferenceregistrationrate.Oncetheconferenceregistrationrateisseteachyearwedon’thavemuch,ifany,roominthebudgetforsurprises.Wethenprojectedrevenuesbasedonhowmanypeopleweanticipatedwouldregisterfortheconference,lookedatthatrevenueagainstourestimatedexpenses,andranprojectionsfortwoorthreepotentialregistrationrates.
Weadjustedexpensesandregistrationratesuntilourrevenuecoveredourexpensesandthenwesettheregistrationratesat$90forearlyregistrationDecember7-January23,2018andat$105forregularregistrationJanuary24–February7,2018.
Wethenmanagedtheexpensesthroughouttheconferencelifecycle,updatingestimatedexpensesandworkingwithinthebudgetweset.Asthebillscameinandweknewactualcostswithincategories,were-budgetedthosesavingsoroveragesasneeded.Additionallyweconstantlyreviewedinvoicesandreceiptstoassurethatwewerebeingchargedwhatweweresupposedtobecharged.Weworkedtobenotonlygoodbutgreatstewardsofourfunds.
ExistingRevenueforthe2018ProfessionalandScientificCouncilProfessionalDevelopmentConferencewas:
• $21,255.35BalanceForward-Weworktomaintainabalanceforwardofabout$20,000eachyearsothatifthereareyearsthatwedon’tmeettherevenueprojectionsthereisenoughfundingtopaythefixedcostsforSchemanandCouncilcanstillhaveaconference.Itwillbeaveryleanconference,butthefixedcostscanbecovered.
• $5,000fromtheOfficeoftheSeniorVicePresidentandProvost–ThesefundsarecontributedannuallyandcamefromaprogramthatwasfundedforthisamountbytheProvost’sofficeandmanagedbyUHR.TheFY15CouncilExecutiveCommitteedeterminedmoreP&SEmployeeswouldbenefitfromthesefundsiftheyweretobeusedfortheconference,onnon-foodexpenses,andthusthefundingisnowcontributedtotheConferenceeachyear.InthepasttwoyearswehaveusedthefundsfromtheProvost’sofficetopayoutsidespeakers’sfees.
Theremainingrevenueisderivedthoughregistrationfees.Wehad227peopleregisterunderthe$90.00earlyregistrationrateand89registerunderthe$105registrationrate.Fromthetablebelowyoucanseethatourprojections,whichwerecalculatedonpreviousyearsregistrationnumberswhereapproximately90%ofpeopleregisteredundertheearlyrate,werealittleoffandthatouractualrevenuefromregistrationfeesforthe2018conferencewasdownfromwhatweprojecteditwouldbe.
Whilewehadrecordattendancethisyear,thiswasalsothefirstyearweissuedacallforpresentationsandwedidn’tknowthatamajorityofpeoplerespondingtothecallwouldhaveco-presentersorwouldbepresentingwithagroup.Sonotonlydidwehavearecordnumberinattendance,butwealsohadarecordnumberofspeakersinattendance!
Notonlydidweconstantlymonitortheexpenses,butonceregistrationopensweconstantlymonitoredtherevenuesaswell.Wesawthatthepaidregistrationsweregoingtobedownabitfromourprojectionsandweworkedtheflexiblecostsinourbudget,butthefixedexpensesthatwillneedtobepaidregardlessofthenumbersofregistrantsdon’tbudge.
Theactualconferenceexpensescanbeseeninthetablebelow.Speakersincludespaymentstooutsidespeakersandtokensofourappreciationforinternalspeakerssharingtheirtimeandexpertisewithus.ConferenceSuppliesincludesprintingthepersonalizedschedulesandsignageatScheman,theparticipantnotebook,chargesfortheuniversityphotographer,thewebsite,printingthelunchticketstoputinthenametags,aCPMfeeof$10perregistrant,creditcardfeesforthosewhousedcreditcards,aswellastheISUAdministrationfeeontopofthecreditcardpayments,andtheCPMmanagementfee.Venuecostsincludesalloftheroomrentalfees,chargesformicrophones,laptops,andprojectors.FoodincludestheAMandPMbreakandtheboxedluncheswhichrangedincostperpersonfrom$20.06(including18%servicefee)fortheISCClubandthespecialdietboxedlunchesto$13.87(includingthe18%servicefee)fortheveggiewraps.

However,ProfessionalandScientificCouncilProfessionalDevelopmentConferenceSubcommitteewouldliketopointoutthattoprovidethequalityofaconferencethatwecurrentlyprovideandtocontinuetobeabletoprovidethisquality,wenotonlyneedpeopletoattendBUTweneedtochargeregistrationfeesthatcoverourexpensesaswell.
