Dear GraduateCongratulations on achieving your award! Your graduation ceremony is an official celebration of all your hard work and achievement during your time of learning with UCEM; it is an opportunity for you, parents, partners, family, employers to celebrate your success. UCEM prides itself on organizing ceremonies that create a celebration and memorable occasion for its graduates. To ensure that the day goes smoothly, careful planning and the cooperation of all involved is essential, so please do read this information booklet carefully and note any actions needed by you.

There are several things you need to do before your graduation ceremony and some important pieces of information to remember; this booklet will assist with this process and help to make it as easy as possible. If you have any questions, please do not hesitate to contact [email protected].

Ceremony Dates and Times UCEM graduation ceremonies are held in the Concert Hall within Reading Town Hall, Blagrave Street, Reading, RG1 1QH.

Ceremonies commence at 12noon unless numbers predict additional ceremonies are required on the day. Graduates will be informed of any changes at least 8 weeks before their ceremony date.

Before the graduation ceremony there is an invitation only prize winner’s reception. This is a chance for prize winners to meet with UCEM’s Principal, Vice Principals and Chairman of our Board of Trustees as well as the prize sponsors and other prize winners. Although the prizes will be presented during the main ceremony we use this opportunity to get some photographs of prize winners with sponsors and our Principal and Chairman. Guests of prize winners are also invited to attend.

A drinks reception is held for all graduates and their guests after the ceremony- further information is available on page 15.

Registration How do I register?

Details of how to register will be in your personal graduation ceremony invitation. This invitation will be sent to the e-mail address you have already provided. All graduates must complete section “A” of the form. If you are registering to attend a ceremony, it is a requirement that section “B” is also completed. You must return your registration form by the date stated in your invitation. If you fail to respond by the deadline we will assume you will not be attending.

Please make certain that your personal e-mail address is up to date.

What happens if I cannot attend the ceremony?

If you are unable to attend your graduation ceremony, and do not wish to defer your attendance to the next ceremony then please choose to graduate in absentia. Your award will then be conferred at the ceremony and your certificate posted to the address you have provided after the ceremony has taken place. Your name will appear in the ceremony programme but will not be read out during the ceremony.

Please make certain that your postal address is up to date.

If I do not receive an invitation what should I do?

If you have not received your invitation, please contact the Graduation Officer as soon as possible – [email protected]

Please do not pass on graduation invitations to other people. There could be a good reason why someone has not yet received their own personal invitation.

What will happen if I miss the registration deadline?

If you miss the registration deadline, then please contact the Graduation Officer as soon as possible – [email protected]. Whilst every effort will be made to accommodate you at your graduation ceremony this cannot be guaranteed.

To avoid disappointment please make certain you have registered before the deadline.

What if I am not awarded my degree?

If you register your attendance and your degree is then not awarded by the relevant deadline, you will automatically be put forward to a future ceremony. If this is the case, we will send you an email to confirm the situation before the ceremony is due to take place.

Can I still register if I have outstanding Fees/Debts

Yes. You should still register to graduate, even though you have outstanding fees/debts owed to UCEM. However, if you fail to pay all outstanding fees/debts by the time the assessment board releases the results for your programme of study, you will not be eligible to graduate at the forthcoming graduation ceremony.Students who are in debt to UCEM will be notified in writing by the Finance Office and they should contact the Finance Office to discuss further – [email protected] are responsible for ensuring that your account is clear. Please be aware that a debt will be noted on your account if your sponsor has not paid your fees. It is important that you respond to any correspondence you receive from UCEM in relation to outstanding fees/debts as a matter of urgency.

Please be aware that you will not receive your award certificate until you have repaid your debt.

How much does it cost to attend?

UCEM does not charge for graduation ceremonies. However, you will incur a charge for your academic robe hire and photographs if desired, which you pay directly to Ede and Ravenscroft the robe hire and photography company.

Is it possible to defer attendance to another ceremony?

If you are unable to attend your graduation ceremony you can choose to either graduate in absentia or defer your ceremony for up to one year. You can select to do either of these when you receive your personal graduation ceremony invitation.Graduating in absentia means you will receive your award but not attend the ceremony. If you choose to graduate in absentia you will not be able to attend a ceremony at a future date.

Please note your certificate is issued at the time of your chosen ceremony – it cannot be issued before this time – (further details on page 12)

Tickets and SeatingDo I need a ticket if I am graduating?

Reading Town Hall is a public venue; therefore, graduands will be issued with a registration ticket approximately 4 weeks before their graduation ceremony.

Please note there is no charge for registration tickets.

How many guests can accompany me?

Two guest tickets are guaranteed for each graduand attending if requested at the time of registration. This is in addition to your own guaranteed ticket of admission as a graduand. These two guest seats are guaranteed if you submit your intentions by the deadline on your personal ceremony invitation. Once ceremony numbers have been calculated and depending on the number of extra tickets available the graduation officer will allocate extra tickets as fairly as possible.

Please note there is no charge for guest tickets. Extra guest tickets cannot be guaranteed and any advance arrangements regarding travel or accommodation are made at your own risk.

Do children need tickets?

Any child over the age of 3 will require a ticket to attend a ceremony. Any child attending without a ticket must sit on the lap of one of your guests.

Please note that whilst babies and young children may attend, the ceremony is a formal occasion and will last over an hour. Guests with babies or young children will be asked to sit near an aisle so that if a child cries or becomes restless they can leave the ceremony without any disturbance to others.

Reading Museum is within the Town Hall complex and admission is free from 10am.

How do I receive my tickets?

All tickets and further information will be sent by post to the address you have provided on your ceremony registration form. This will be approximately 4 weeks before your ceremony. Please ensure your postal address is correct to avoid any delays.

Seating in the Concert hall

Only graduands and guests with tickets will be seated in the Concert hall. Guest seating is not allocated. We ask that guests are seated at least 30 minutes before the start of the ceremony. The Concert hall is home to a magnificent Father Willis organ, music will be played before the start of the ceremony.Graduands will be sat on the left-hand side at the front of the Concert hall and arranged by programme and alphabetically. There will be marshals to assist graduands find their seats.

Please make sure you are seated at least 30 minutes before the start of the ceremony.

Special requirements

There will be an opportunity to let us know if either yourself or your guests have any special requirements when you register for your graduation ceremony. The Graduation Officer will contact you before your ceremony to discuss how we can meet your requirements.When notifying us of requirements, the more specific you can be, the better we will be able to assist you. Please be aware that there are steps to the main stage, the Principal is extremely happy to come down the steps to greet you. It is not possible to provide a wheelchair ramp up the steps. Staff at Graduation are always on hand to assist graduands in getting the most out of their day.There is no parking available at the Town Hall. However, there is on-street disabled parking adjacent to the main entrance.

Dress CodeDo I have to wear academic dress?

All graduands attending a Graduation Ceremony are required to wear academic dress. You should hire the correct academic robe, hood and cap for the award you are receiving. Please refer to page 19 to view the UCEM academic robes.

Who do I hire my gown from?

Academic dress can be hired or bought from the UCEM robe makers, Ede & Ravenscroft Ltd. To place your order please go to www.gownhire.co.uk. Refunds are available from the company if a graduand has placed an order but are then unable to attend their graduation ceremony. Please note that orders cannot be guaranteed unless made at least 10 days before the date of the ceremony. Payment should be made via credit or debit card at the time of making the order. If you do not have access to a computer, Ede & Ravenscroft have a Call Centre operating between 9am and 5pm Monday to Friday, please call 01223 861854.

What should I wear?

Clothing beneath the robe should be smart and in keeping with the formality of the day. . Please be aware that there are several steps you will be required to walk up to get to the main stage so it will be best to consider wearing suitable footwear.

The graduation hood fastens by a loop that needs to be attached to a shirt or jacket style button; ladies are advised to wear something with a button on the front. It is advised to also bring along some safety pins and hair grips to help secure your hood and cap.

Where do I collect my robe on the day?

On the day of your graduation you will need to make your way to the robing room on the ground floor. Staff will be at the main entrance and will be able to direct you. The robing room will be open from 9am on the day. All robes should be returned no later than 3pm on the day. Graduands are advised to allow at least two hours before the ceremony for robing. Please note there is no charge for guest tickets. Extra guest tickets cannot be guaranteed and any advance arrangements regarding travel or accommodation are made at your own risk.

Where do I leave my personal belongings?

We ask that graduands leave their coats, bags, umbrellas or any other items not needed during the ceremony with their guests. However, space depending, it may be possible for suitcases/overnight bags to be left in the robing room.

How to find the Town Hall LocationThe address of the Town Hall is located in Blagrave Street in Reading.

On Foot from Reading StationAt the station, walk down the new concourse to the Heathrow Airbus exit and cross over the

road to Blagrave Street, where you will see The Town Hall on the left.

By trainFrom London to Reading: trains run from London Paddington to Reading at least every 15 minutes throughout the day and late into the night. The journey takes just 25 minutes, if you get a direct train.From Oxford to Reading: trains run every 15 - 30 minutes and the journey takes 30 minutes.From Newbury to Reading: trains run every 15 minutes and the journey takes between 20 - 30 minutes

By CarFrom the M4, leave the motorway at Junction 11 and head onto the A33 into Reading town centre. Follow signs to the train station and turn into Blagrave Street, which is opposite the Reading Airbus terminal at the station's side entrance.Parking is available at The Oracle, Queen's Road, Garrard Street and Reading Station Car Parks. Certificates When should I expect to receive my certificate?

If you attend a graduation ceremony your certificate will be presented to you on the day. Please make sure before you leave the event that you check that the information on your certificate is correct. Your certificate is a valuable and unique document that verifies your award. It will confirm your full name, award, programme of study, classification and the date your award was confirmed. It is important you take good care of this document.

What do I do if I am not able to attend my graduation?

If you are unable to attend your graduation ceremony, you certificate will be sent to you by DHL as soon possible after the ceremony has taken place. However, you must have returned your registration form with the address to which it should be sent to ensure that you receive it promptly. If you do not return your form, then we will hold the certificate until we have confirmation of the address to which it should be sent (we will contact you after the ceremony but this will incur a delay).

What if I do not receive my certificate?

If you have not received your certificate 4 weeks after your graduation ceremony, then please contact the Graduation Officer as soon as possible by e-mailing [email protected]

What should I do if my certificate is lost, stolen, damaged or mislaid?

It is possible to have a replacement of your original certificate, however there is a cost of £15. You need to contact the records officer [email protected] and the necessary arrangements will be made to get your replacement to you.

Visa Guidance and Support

If you are travelling from outside the EU to a graduation ceremony, then you will need to apply for a visa to enter the UK. You will need to apply for a general visitor visa UCEM can provide you with a visa support letter to assist you with your visitor visa application. Please e-mail [email protected] to ask for

Visitors from countries which are not classed as visa national countries can apply for a visa either before travelling or on arrival in the UK Visitors from countries which are classed as visa national countries can apply for a visa at the British Embassy in their home country before travellingYou can assist your friends and relatives with their visa application by sending them the following documents: A letter of invitation from you stating our address, your relationship with your visitor, the purpose of the visit, the dates of the visit and the details of where they will be staying. As you are the person they will be coming to visit the letter must come from you and not from UCEM. A photocopy of the information page of your passport A photocopy of your own visa If you will be supporting your visitor financially during their visit, or paying for the cost of their visit, then provide your original bank statements or some other evidence proving that you have enough money to support them. We suggest that these documents cover several months before the date of application.

Please note: The information provided here is only general guidance. Requirements may vary from country to country and you are strongly advised to check with the Home Office, your local British Embassy or High Commission for exact details of the required documentation.

On the Day How long do the ceremony proceedings take?

The ceremony will normally last about an hour. However, depending on the number of graduands this may take a further 15 – 30 minutes.

What happens if I am late for my ceremony?

All graduands are asked to register punctually and to arrive no later than 11.00.

Those who do arrive late may not have the opportunity to wear the appropriate academic dress. However, if it is possible to seat you before your name is read out you will still be able to participate in the proceedings.

If your name has been read out, then you will have missed your opportunity and you will be deemed to have received your award ‘in absentia’. You will still be sat with other graduands but we cannot disturb the order of proceedings.

Is it possible to take photos/videos of the ceremony?

Whilst we do not confine the taking of photos or videos to the professional photographer on the day, we do request that guests be alert to the movement of graduands and the eye of sight for other guests. Only the professional photographer will be permitted on the stage.

Is there an opportunity for official photogaphs to be taken?

Ede & Ravenscroft Photography provide a graduation photography service and are situated in the Waterhouse Chambers within the Town Hall complex on the day of graduation.

You can have official photos taken either before or after the ceremony. You may wish to have group photos with family and friends, these can either be pre-booked or ordered on the day. A photo is taken of each graduate on stage as they shake hands with the Principal and can also be ordered through Ede & Ravenscroft.

Are there refreshments available on the day?

Refreshments are on sale from 9am in the Palmer’s café on the ground floor within the Town Hall complex. UCEM provide a complimentary drinks reception after the graduation ceremony. This is for graduates, their guests, UCEM senior leadership team and academic staff. It is held in the Victoria Hall on the second floor of the Town Hall complex. However, only graduands who have registered to attend the drinks reception will be admitted.There are several very good restaurants and pubs within Reading Town Centre. Many are listed in this brochure and it is advised to make a reservation to avoid disappointment on the day.

Reading Town Hall/Concert HallReading Town Hall is a magnificent Grade 11 listed building. The Concert Hall shown above is located on the second floor of the Town Hall complex. The Concert Hall was originally built in 1882 and restored in 2000. It features traditional horseshoe seating with a surround balcony and thrust stage. The Father Willis organ is the center-piece of the Concert Hall, it was originally located in the smaller Town Hall, now known as the Victoria Hall. The acoustics in the Concert Hall are the perfect complement to the organ.

The Palmer's CaféThe Palmer’s Café serves a range of hot and cold drinks, snacks and lunches. All food is freshly prepared on site.

Keep in touch with the Career serviceUCEM provides high quality careers advice and guidance to all prospective and current students and recent graduates. We are committed to delivering this in a professional, impartial and accessible way, and aim to equip our students and graduates with the skills and knowledge to effectively choose and manage their careers.

The Service aims to:

Coach and facilitate you in achieving your career goalsWork with you to identify which career will suit you and to help you develop a career action plan.Help you to identify the skills you need to develop and progress in your career and plan how you will develop themFacilitate your access to staff that can advise you and provide access to relevant up to date information on careersTo achieve this we provide coaching resources on the Virtual Learning Environment (VLE), with guidance on topics such as: networking, preparing your CV and understanding your career motivations. We have a E-Careers and Employability Adviser who you can contact for impartial and confidential advice. We also have an online Job Shop where employers advertise a wide range of job opportunities and placements.

The Careers service is offered to all prospective and current students and Alumni up to three years after graduation.

Careers and EmployabilityAfter graduation, the Careers and Employability team continues to support and engage with UCEM alumni.

You can access online and telephone careers advice and guidance for three years’ post-graduationThe UCEM Job Shop can be found on the website. It is updated weekly with industry vacancies from employers, often alumni themselves, interested in UCEM students and graduates. UCEM’s mentoring programme supports students with their studies, career development and industry knowledge. We regularly recruit new mentors from our alumni. Since 2016, UCEM has carried out the Destination of Leavers in Higher Education survey, collecting valuable information on the work and careers of it’s graduates. We contact past students by email with a link to the confidential online survey questionnaire.
